It organises the contents of your hard drive to store files in the smallest possible number of regions (fragments), attempting to create larger regions of free space to allow the hard drive to ‘read’ the data much more quickly. (Although Windows 7 does this automatically, for a comprehensive defrag we recommend manually completing this process every 3 months.) Windows Defrag Procedure o o o Start Menu > All Programs > Accessories > System Tools Disk Defragmenter (click to open program) ‘Defragment’ - Defragmenting process will take some time. Once Defrag is complete a window will pop up informing you, simply close the program. 27 Avoiding Moisture & Corrosion It is true that salt air will corrode hardware and electronics especially near the ocean/coast. Whether you prefer a laptop or a desktop your PC is affected by its environment. While overly dry conditions can cause static electricity in your computer's components, excessively humid conditions can cause faster corrosion and internal damage. If your environment is especially humid you should take precautions to protect your computer from malfunction due to moisture. Take note of the general level of humidity and follow these simple steps to stop damage. 1. Install a dehumidifier in your home or office. Dehumidifiers remove some of the moisture in the air so it's safer to use your desktop, laptop or tablet PC. When using a dehumidifier remember to empty out the reservoir regularly to ensure that the machine works efficiently. Small hippos may work for some, others may need to invest in domestic or commercial stand-alone models. 2. Situate your computer in an area of the home or office with a controlled temperature. Avoid using your computer in humid areas such as a hot tub room, sauna or the bathroom. Condensation from the humidity can affect the internal components of your computer causing corrosion or sudden malfunction. 28 3. Keep your computer stationary whenever possible. One way humidity builds up in your computer is when you experience sudden temperature changes. For instance, going from the cold winter air to a warm office could cause condensation. Transport your computer as little as possible and always use an insulated case to protect it from extreme temperatures if you must travel with it. 4. Wipe your computer down quickly if you notice moisture on the outside of the case. Use a clean towel to remove outer moisture before it has time to seep into the computer through the keyboard or vents. For this very reason, avoid positioning your computer near windows or external doors. *Iron rust is red/brown, aluminium rust is white, copper corrosion is blue/green.* 29 Avoiding Viruses & Scams PC Pitstop sees all manner of viruses and software ‘bugs’ every day from a range of different sources. It is near impossible to keep up with the speed at which new viruses or scams are created and spread, but common sense tells us where to look. It is with this knowledge that we have compiled some basic tips to avoid costly damage from viruses occurring on your computer. o Be sure to keep your machine up to date - With the latest patches from Windows Update. These software patches fix bugs and exploits and help to keep your machine secure from the newest viruses. o Watch your web browsing habits - There are billions of sites on the internet and not all of them are nice. Most of these sites are related to adult content; ‘free’ downloads such as music; software and movies; online flash game websites; and gambling websites such as online poker. If you are going to download or sign-up for something on a website make sure it is a verified safe site beforehand. o Avoid pop-ups or banners offering FREE product - most of these lead to malicious web sites or scams. These will usually present you with a window that reads something along the lines of "Your system is infected - Click here to run a FREE virus scan!” Do not click on these, just close the window and ignore them. If you are genuinely concerned about viruses, pop into PC Pitstop for a true virus health check. 30 o Do not open email attachments from people you do not know! This is the leading cause of virus infection and also the way most viruses spread, even if it is not an application in the attachment the file can still be infected or trigger an exploit on your system leading to your system being infected. Only open attachments from known people, and even then use caution. o Keep your identity safe online - do not give information out to strangers or to random web sites. This includes your name, address, phone number etc... as this information can be used for nefarious purposes such as bank scams or identity theft. o Finally, avoid taking calls from ‘technicians’ claiming that your computer is infected – No-one outside of the person directly in front of your machine can know exactly what is or isn’t wrong with your computer. These tricky scammers will usually ask you to type something into your machine, providing them with remote access, where they can then cause a lot of damage. Hang up on them and never hand over credit card details to someone you don’t trust. Hardware upgrades such as bigger hard drives, more RAM or a better graphics card for example, can be installed to your core system in lieu of replacing the computer or to facilitate the needs of new software or peripheral equipment. Hardware Upgrades provide: Speed and space increase from improved technologies Productivity gains from faster equipment Reduced cost of ownership over replacement Customised solution to fit your needs Extended service life by replacing ageing components Access to features not available with your original purchase Talk to your PC Pitstop Trained Technicians about suggestions for your working requirements. 32 Benefits of Onsite Service Onsite computer support is a premium service that gives you access to PC Pitstop Trained Technicians in your home or workplace. Many businesses only discover the real value of onsite computer support after they have experienced a major IT breakdown or disaster. However, more often than not, these IT issues can be prevented or at least minimised through regular servicing, regular maintenance and the right infrastructure and planning in place. Convenience: In some situations it can be inconvenient or unpractical to disconnect all the cables of your computer and bring it in store for repair. With onsite computer support, a professional can visit you at home or at your workplace, usually within 24hrs of your request. Better Knowledge of your Systems: Onsite support, especially at business visits, gives PC Pitstop Trained Technicians better access to your entire system – how it is set up, how it works, its inefficiencies and also how the users (the workers) interact with the system. This enables a more complete assessment of the businesses needs and allows for smoother integration, upgrades, and training or maintenance schedules. 33 Benefits of a Regular Tune-up Over time your computer equipment will invariably shows signs of ageing – slowing down, part malfunction, etc. A Tune-up is a thorough service of all components in your machine. It is a process whereby PC Pitstop Trained Technicians scan, clean and repair any issues, whether currently visible or hinting to likely to cause problems in the near future. We work with you to resolve any major issues found and provide you with options and solutions to get you back on track. Regular Scheduled Tune-ups provide: Warning and solutions to problems before they occur become a costly interference to your daily life or business operations Optimal productivity and efficiency from your investment Performance improvements such as speed, space, and reliability A time for you to engage a PC Pitstop Trained Technician to help resolve any issues you may have Peace of mind that your computer is in good working order For optimal performance, invest in a Tune-up every 3-6mths for business users and every 6-12mths for home users. 34 Beware Spyware 51% of Internet users have been spyware afflicted and this figure is on the rise.* So how do you keep spyware from tracking your habits or hijacking your computer? What is spyware? Spyware is a broad term for deceptive software that installs itself on a computer via the internet. It allows an outsider to harvest your personal information, which can be used for many purposes. Unsolicited ads or adware is spyware in its most benign form. Others are more malicious, such as stealing passwords or creditcard information. Just one of the side effects of having a number of these unauthorised programs running on your computer at once makes it sluggish, unstable, and ultimately more likely to crash. How do you know if your computer has been infiltrated with spyware? Unlike viruses, spyware exhibits a host of signs that remove your ability to control the computer. Hijacked home pages, redirected searches, and a flood of pop-up ads are common complaints to look out for. How does spyware sneak on board? Simply clicking on a banner ad can install spyware. Worms, which are self-propagating viruses, can also carry spyware. They search for computers without up-to-date security and install the nasty software. Spyware is 35 also spread by email and sometimes spyware is secretly bundled with free software you download from the internet. Sites that offer music-sharing, videos, weather data, and games often are paid to distribute adware. When you install the software, you might see a pop-up window asking you to agree to certain conditions. Avoid clicking ‘I agree’ or ‘ok’ without reading the fine print. How do you get rid of spyware? To eliminate it, you must track down every file and completely erase it. That can be tough since spyware hides inside your computer's operating system, making it difficult to find. Your PC Pitstop Authorised Service Centre provides a Level 3 Virus Removal service to rid machines of spyware. How do you protect your computer in the future? Protection is an ongoing process since spyware makers are constantly creating new threats. Install a personal firewall and an anti-virus program and allow for daily security updates. Also set your browser to a medium or high security level, ensure that the latest Service Pack from Microsoft is installed – PC Pitstop can help you set all of these up. And finally, practice safe surfing - download only trustworthy software, read licensing agreements, avoid banner ads, and delete spam. In other words, just say no! *Norton Antivirus Statistic 2013 36 Computer Rebuild :: What You Need to Know o You may notice little things that are different to the way you have had them before - This is because Windows had learnt the way you did things and remembered these settings. o You may need to reinstall any programs and devices (e.g. printers, Office, Photoshop etc.) that you have previously used if you advised your technician not to do so for you. Use your original CDs for programs or use the manufacturer’s website downloads for printers (e.g. HP, Canon etc.). o Unfortunately, during a Windows rebuild, these little personal touches may disappear until your computer picks up the way you do things again. Documents and Data Policy - While every care is taken to protect your documents, pictures, music etc, in some cases this is not always possible due to certain conditions. Professionally, while we take every care and technological measure to protect and recover your data, PC Pitstop cannot accept responsibility for any consequential data or financial loss through the loss of any data, through any fault whatsoever. 37 Dealing with Customer Software PC Pitstop will not deal with any illegal (pirated or otherwise) software and take no responsibility for customers personal or business loss by refusing to do so. Important points to remember: o Customers must have original disks for installs or re-installs of their programs, as well as legitimate codes or serial numbers and preferably all in its original packaging. o A burnt CD with a serial code WILL NOT be accepted for use by PC Pitstop staff in any way. o These rules protect PC Pitstop from the $250, 000 copyright infringement fines for organisations and the $2,500 for individuals or customers. o PC Pitstop is well within our rights to refuse to deal with pirated or illegal software of any kind. 38 Desktop Connection Guide Just got your computer back from repair and facing the task of plugging it all back in? Improper use or not being aware of safety issues can cause your desktop irreparable damage. These tips will help you stay productive and safe no matter where you are working. Vent Maintenance - Part of your weekly routine should be to inspect and clean the air vents at the back of your desktop. Forced air dusters can be used to keep the air vents clean and free from debris. It's important to know that you should never push anything into the air vents. Secure Transportation - Make sure that if you ever have to transport your desktop that you first unplug all accessories from it and carry it with two hands from the bottom of the case. Secure the desktop in an upright position wherever possible using the vehicles seatbelt for example. Parts may come loose during transport Soft Spots - It's a wise idea to use your desktop in a well-ventilated position with no soft material covering the fans located at the back or side of your machine. Soft materials can block the airflow vents and cause it to overheat. Your chair should be adjustable to provide good support to your lower back and allow up/down movements for you to choose a comfortable height with the keyboard. 2. Body posture should be as shown with right angles at the elbow, hip, and knee. The head should be held in a neutral position facing straight ahead with the eyes looking forward or slightly down. 3. A foot rest may be needed if the operator's feet do not comfortably reach the floor. Circulation will be affected if over extension of the feet occurs, as is the case when the user wears high-heeled shoes. 43 4. The keyboard support table can be adjusted to allow proper upper body posture. The keyboard should be detachable to permit flexible positioning. A wrist rest offers the worker maximum comfort for extended hours of work. 5. A document holder should be adjustable in height and angle of tilt sitting at or just below screen level, allowing the operator to hold their head in the neutral position. 6. The display monitor should be positioned so that the distance from the eye to the screen can be adjusted. Monitors placed too high or low will increase musculoskeletal and visual tension plus fatigue to the back and neck. 7. General lighting - Reduce glare onto the screen by appropriate placement in the room. The workstation should be oriented so the operator does not face an unshielded window or a bright light source. The screen should be tiltable to help eliminate screen reflections. LED screens or glare-resistant filters with help to eliminate other sources of light on the screen. 8. It is important that environmental factors such as temperature, humidity (30-70%), and noise (<75dbA or as low as achievable) be kept within acceptable ranges. 44 Exercising your Laptop Battery and Charger Your laptop battery charges whenever your computer is plugged into external power through an AC Adapter, an optional power adapter, or an optional docking device. The battery charges whether the computer is off or in use, but it charges faster when the computer is off. However, charging may take longer if a battery is new, has been unused for 2 weeks or more, or is much warmer or cooler than room temperature. To prolong battery life and optimize the accuracy of battery charge displays, follow these recommendations: o o o o If you are charging a new battery, charge it for a full 12 hours before turning on the computer. Charge the battery until the battery light turns off Allow the battery to discharge below 5 percent of a full charge through normal use before charging it. This is referred to as ‘exercising the battery.’ DO NOT drop, open, short circuit, burn or allow the battery to get wet. Need a new laptop charger? Improper use or not being aware of safety issues can cause your laptop irreparable damage. These tips will help you stay productive and safe no matter where you are working. Shut It Down - Unlike a desktop computer, laptop computers need to be shut down when not in use to prevent overheating. Overheating is very dangerous to the internal systems. If the hard drive inside your computer gets too hot it is very possible to start losing data & hard to get it all back. Get a Laptop Cooler - To lessen the chances of overheating (or burning your lap!), pick up a Laptop Cooler/Riser from PC Pitstop. It plugs into your laptop’s USB port and sucks hot air away from those vital components. A good investment to increase the longevity of your machine. Checking the Fan - Overheating problems can also be caused by the laptop fan not working properly. Always check the laptop manufacturer's online support and your warranty information. Vent Maintenance - Part of your weekly routine should be to inspect and clean the air vents in your laptop. Forced air dusters can be used to keep the air vents clean and free from debris. It's important to know that you should never push anything into the air vents. 47 Adjusting Power Settings - Adjusting your power options will help your laptop from heating up when not in use even if for short periods of time. You can set your hard drive and display to turn off after a set time period. Another option is to set the laptop to go into standby or hibernate mode. Before You Pack It Up - Make sure that before you put your laptop into its carry bag that it is shut down. A notebook that has been left on can melt! When enclosed in a bag there is no air circulation and the results can be fatal. Don't find out the hard way, and just be sure to turn off your laptop! Soft Spots - It's a wise idea not to use any soft material as a buffer between you and your laptop. Always operate your laptop on a hard surface, preferably one that allows ventilation. Soft materials can block the airflow vents and cause it to overheat. If it is not possible to avoid using a soft surface, an optional heat sink base should be used to maintain cooling. Unplug Accessories - Whenever your laptop will not be in use, even for short periods of time remember to unplug any accessories. Not only do they use power but they could cause the laptop to overheat. It's especially important to unplug any accessories before packing your laptop in its carrying case. While you may believe it will make it quicker to use, it could damage your laptop, the accessory and/or your laptop bag. Backing up at the basic level involves the act of copying all your important files to a separate external device that can easily be taken off site with you each day for security measures in business or easily accessible during an evacuation for home users, keeping precious data and memories safe and saving you time, money and tears. There are a several different backup types and just as many different ways to backup. We will run you through some of the most common. If you are unsure of which backup type you need, speak to one of PC Pitstop’s Trained Technicians for the best solution in your environment. Basic Data Backup: The basic data backup is the process of backing up the data the program made, not the program or the programs settings. An example here would be backing up a Word or Excel Document but not Microsoft Word or Microsoft Excel itself. How to do a basic data backup: 1. Insert/plug-in your External Hard Drive (or Flash Memory Drive) 2. Go to the folder or location of the files you want to backup 55 3. To select all the files in that location, use your keyboard to press [CTRL] + [A] (Press Ctrl key then while still holding Ctrl key, press the A Key) 4. You will now notice all the files in the folder are highlighted, this is telling the computer that you have selected these files and you want to do something with them 5. Now use your ‘right’ mouse button and click on one of the highlighted files 6. You will now see a little menu appear, run the mouse over the ‘Send To’ item then click on ‘Backup Disk’ or (E:) disk or similar (Depending on the number of external devices you have running, your hard drive will be assigned a letter to identify it) 7. Your files will now copy/backup to the external device. It’s a good idea to always have a copy of your files on at least one another device. Don’t make the mistake of copying your files to an external device then deleting them off your computer. Remember: Backups can also fail. If you are worried about your computer clogging up with too many files, consider a Hard Drive upgrade – You will keep everything the way it is setup, but with a bigger storage capacity for future storage. 56 System State backup: The System State backup allows you to make a complete backup of your whole computer – operating system, programs, settings, data, email: the lot. This is great way to recover your system if the Hard Drive fails or you get a particularly nasty virus. The system state backup is only available on Windows 7 and above. For anything else, you will need a separate program like Acronis True Image to complete the task. A great feature of Acronis True Image is the ability to do a backup to dissimilar hardware, very handy when you have a motherboard failure where normally it would require reinstall every program, all your data and settings, even if you have done a system state backup. Remember: Your data security is only as good as your last backup and backups can and do fail. There is a saying in the IT trade: You haven’t backed up until you have done the backup three times, and one of the backups is stored offsite. PC Pitstop can transfer your data (documents, pictures, music) but not programs (software, downloads, etc). Your original installation media is required to install programs on another computer. PC Pitstop, by law, cannot install counterfeit software. What types of transfer are there? o o Computer to computer – e.g. your computer failed and you’d like your information transferred onto a new computer. Computer to external hard drive – e.g. you are giving away an old computer and want the info off that computer for safe keeping. If you request data transfer to an external drive you may have to follow correct steps to restore this information to a workable state on your computer if you choose to do so down the track, i.e. importing emails, address books, music, pictures and documents to their right location. (PC Pitstop also provides this service if required.) 58 Data Recovery is the process of retrieving your important files from faulty equipment. It may be necessary if you don’t have a working backup of your files. PC Pitstop provide a range of recovery solutions from small devices such as USB’s, computers and through to large Servers. Things you should know about Data Recovery: o o o o o Data recovery can take anywhere from one day to 2 weeks to complete depending on the severity and size. PC Pitstop can recover your information to another computer, to an external hard drive or other device of your choosing as long as the chosen device has the capacity and stability to handle the information. Once recovered your information may appear in an unfamiliar order. While every effort is taken to replicate the original file structure, in some cases this is simply not possible due to no prior knowledge of the original setup. We work in consultation with you to ensure this process is as smooth as possible. In some cases, the recovery process may need to be handled by a third party Forensic provider. PC Pitstop is in partnership with some of the best data recovery companies in the world. Please contact your nearest PC Pitstop for more information. Depending on the severity of the damaged device recovery may not even be an option. 59 Overall, Data Recovery should be seen as the last option because ultimately prevention far outweighs cure! Computers and other e-waste contain non-renewable resources such as tin, nickel, zinc aluminium and copper, as well as hazardous materials such as lead and mercury. Sending these products to landfill means the resources they contain are potentially lost and there is a risk that the hazardous substances may be released into the environment. What can you do? Almost 99% of the components that make up a PC can be recycled. By recycling we can avoid serious toxins, chemicals and heavy metals from going to landfill and polluting our environment. Talk to your nearest PC Pitstop team about the best recycling option for your equipment in your area. 80 Gift Vouchers Gift Vouchers are available in denominations over $10 at your nearest PC Pitstop or via the Online Store.
