EndNote is a software tool that enables you to store and manage bibliographic references and create and manage bibliographies. TASK 1 HOW TO INSTALL AND ACCESS ENDNOTE X4 . INSTALLING ENDNOTE X4 EndNote is not automatically loaded onto the desktop; install it by clicking on: Start | Install University Applications. Select Bibliograpic from the category menu. Highlight EndNote X3 install and click Run. The setup will run automatically and install Endnote X4 onto your PC ACCESSING ENDNOTE X4 To open Endnote click on the desktop shortcut: Or: Start | Programs | Endnote | Endnote program NOTE When the Endnote program first opens, you will probably see an Endnote Web screen. Please close this window. Endnote Web is a separate product and is not covered in this workbook. Ken Linkman August 2010 2 TASK 2 HOW TO CREATE AN ENDNOTE LIBRARY EndNote works by creating ‘libraries’ (i.e. files) in which to save references. When you open EndNote you are presented with options to Create a new library or Open an existing library You will need to create an EndNote library in which to store your references. Click on the picture to the left of the Create a new library option and click OK. You will be prompted to enter a name for your EndNote library and to specify where to save that library. Please name your library Endnote test (it will have the suffix .enl) and save it to your M: drive. Ken Linkman August 2010 3 Your new library will then open ready for you to add references: The library is empty, of course. Task 3a, b and c will show how to add references to your library. Please close Endnote before continuing. ADDING REFERENCES TO AN ENDNOTE LIBRARY Three methods of adding references to your Endnote library will be covered in this workbook: Connecting to an online database and retrieving references directly into EndNote. Importing text files of references that have been downloaded from bibliographic databases (when ‘Direct Export ‘into Endnote isn’t supported by the database). Manually entering references. NOTE TASK 3a References can also be imported into EndNote from sources such as online Library catalogues and other bibliographical management packages such as RefWorks or Reference Manager. HOW TO IMPORT REFERENCES DIRECTLY INTO ENDNOTE FROM AN ONLINE DATABASE This task requires that you to carry out a search using one of the following databases: Medline (Ovid) Scopus Web of Knowledge The search results will be used to populate the Endnote test.enl library. Ken Linkman August 2010 4 To connect to any of the Library’s online databases, follow the following steps: If you are off campus, first go to the Student Intranet http://www.liv.ac.uk/students/ and login to the Portal using your Managed Windows Service username and password. This authenticates you as a Liverpool student and gives you access to the Library’s resources. Follow the link to the Library. When you reach the Library homepage http://www.liv.ac.uk/library/ click on the Databases link within the Quick Links section You can choose your database from the list of Key Resources, or search for it via the Search Database Titles box. Note In Key Resources, The OvidSP icon links through to Medline Ken Linkman August 2010 5 How to import references directly into EndNote from Medline (Ovid). 1. Search the Medline (Ovid) database; to access it go to the library homepage http://www.liv.ac.uk/library/ then click on the Databases link within the Quick Links section. Select the OvidSP icon from the Key Resources section; or, alternatively, search for Medline under the Locate and search a specific database section and follow the links through to the database. 2. Carry out a search, check the boxes against the results you wish to save and select the Export option 3. The Export Citation List window will open: 4. From the Export to menu select Endnote 5. Under Select Fields to Display choose Complete Reference 6. Select Export Citations Ken Linkman August 2010 6 7. The references will be imported into your EndNote library. Only the newly imported references will be displayed. Select the All References link in the My Library panel to view all of the references in your library Ken Linkman August 2010 7 How to import references directly into EndNote from Scopus. 1. Search Scopus; to access it go to the library homepage http://www.liv.ac.uk/library/ then click on the Databases link within the Quick Links section and select the Scopus Icon; or alternatively, search for Scopus under the Locate and search a specific database section and follow the links through to the database. 2. Carry out a search and check the tick boxes against the results you wish to save 3. Click on the Output button. An output options window will display 4. Check that the Output Type is set at Export (this should be the default setting) 5. In the Export Format box: select RIS format 6. In the Output box: select either Citations only or Abstract Format 7. Click on Export 8. The Do you want to open or save this file? dialogue box will open. Select the All References link in the My Library panel to view all of the references in your library Ken Linkman August 2010 9 How to import references directly into EndNote from Web of Knowledge. 1. Search Web of Knowledge; to access it go to the library home page http://www.liv.ac.uk/library/ then click on the Databases link within the Quick Links section and select the ISI Web of Knowledge icon from the Key Resources section; or alternatively, search for Web of Knowledge under the Locate and search a specific database section and follow the links through to the database 2. Carry out a search and check the tick boxes against the records you want to export 3. Click on the Add to Marked List button. NOTE It is important to add the selected results from the current page to the Marked List before moving on to the next page of results; otherwise they will be deselected automatically when you page forward. 4. Select the Marked List option (at the top of the screen) Ken Linkman August 2010 10 5. Leave the defaults as they are and select the Save to EndNote, RefMan, ProCite option. 6. Select the Export option Note: the Export process may start automatically You may see this ‘Choose destination’pop-up window. Select Endnote and OK Ken Linkman August 2010 11 7. The references will be imported into your EndNote library. Only the newly imported references will be displayed. Select the All References link in the My Library panel to view all of the references in your library. Ken Linkman August 2010 12 TASK 3b HOW TO IMPORT REFERENCES INTO ENDNOTE USING A FILTER EndNote can also import files from certain databases using filters. The filter ‘maps’ the information in each downloaded reference to the corresponding fields in EndNote, and there are different filters for each database and each information provider. You need to make a note of both the database (e.g. PubMed (Medline)) and the provider (e.g. National Library of Medicine). 1. Search PubMed; to access it go to http://www.liv.ac.uk/library/ then click on the Databases link within the Quick Links section and select the Pubmed icon from the Key Resources section; or, alternatively, search for Pubmed under the Locate and search a specific database section and follow the links through to the database. 2. Carry out a search and choose the records you want to export 3. From the Send To menu select File, change the Format to Medline and click on ‘Create File’ 4. Give your file a name and save to the M Drive. PubMed defaults to the file format .txt. This will import into EndNote. 5. Start EndNote and open your Endnote library. Ken Linkman August 2010 13 6. Click on File | Import | File to display the Import dialog box 7. Click on Choose File, find the .txt file that you saved on the M Drive and click on Open. The file name will appear in the Import File box. 8. Click the down arrow next to Import Option and choose Other Filters. The Choose an Import Filter dialog box will open. 9. Scroll down the list until you find the filter for PubMed (NLM), select it and click on choose Ken Linkman August 2010 14 10. The import dialogue box will redisplay. Click on Import: 10. The references will be imported into your EndNote library. Only the newly imported references will be displayed. Select the All References link in the My Library panel to view all of the references in your library Ken Linkman August 2010 15 TASK 3c HOW TO ADD REFERENCES MANUALLY Open your Endnote Test.enl library and click on References | New Reference and an empty window opens. Select an appropriate reference type using the drop down menu: Enter the reference information, starting with the author. As you type, EndNote will suggest names similar to the ones you are entering. Use the Tab key to move between the fields: NOTE Enter each author on a separate line You do not need to fill in every displayed field. See below for additional information Ken Linkman August 2010 16 Additional information on adding references manually • • Author: Enter one author per line, in the format last name, first name OR first name, last name, e.g. Alan Robinson or Robinson, Alan. The name will appear in red text if it is the first entry of that particular author name Corporate author: Put a comma after the name, ensuring there are no commas within the name. All text before the comma will be treated as the name, e.g. Department for Culture Media and Sport, • Anonymous authors: Leave the author field blank • Complex author names: With multiple word names, enter the last name first, e.g. de Gaulle, Charles • Authors with titles: For example, ‘Prof’. Enter such names as Jones, Robert, Prof. • Punctuation: Enter all the information without extra punctuation e.g. no quotes around titles or Vol. EndNote will complete the formatting. • Dates: Enter dates as you wish them to appear in the references; EndNote does not reformat dates • If your reference includes a website, enter the URL into the URL field and it will appear as a clickable link • If your reference includes a link to a .pdf file, enter the URL into the Link to Pdf field You can spell check a reference when it is open for editing. Open a reference and click on Tools | Spell Check To save and close a reference click on File | Close Reference. Ken Linkman August 2010 17 HOW TO OPEN AN EXISTING ENDNOTE LIBRARY 1. If you have to download the Endnote program again (likely if you’re using a networked PC): Click on the picture to the left of the Open an existing library. Click on the drop-down menu, choose the library you wish to open and then click OK. 2. If the Endnote program has already been downloaded, or you already have an Endnote session open: Select: File | Open | Open Library and select the appropriate Endnote library . TIP Specifying a default Endnote Library to open when you login EndNote allows you to specify the library you want to open automatically when you login – this is the default library. Make sure you have already opened the Endnote library you wish to set as the default library. Click on Edit | Preferences | Libraries. From the ‘When EndNote starts’ option, select ‘Open the specified libraries’, then ‘Add open Libraries’ Add and Remove default libraries using the relevant buttons Ken Linkman August 2010 18 TASK 4 HOW TO DISPLAY, SORT AND EDIT YOUR REFERENCES Open the Endnote Test.enl Library An EndNote library is displayed as a series of columns (fields) within the library window. This means the references can later be sorted and rearranged to conform to various bibliographic styles. For this task you will change the displayed fields and their names; resize the fields; change the display font; re-sort the display order. Displaying records By default, EndNote displays the File attachments; Author; Year, Title, Journal, Ref Type, URL and Last Updated fields (columns). Up to 8 columns can be displayed in the Library window To Change the fields displayed click Edit | Preferences | Display Fields and select the required columns. You can enter different names for the column headings if you wish. Drag the vertical bar between column headings to resize columns if necessary. To change the display font click on Edit | Preferences | Display font and select the desired font/size. Sorting Records The EndNote library is automatically sorted by Author, Year and the Record Number in which the references were entered. Click on any column heading to re-sort the references by that field. Click on Tools | Sort Library to sort on fields which aren’t displayed, or to sort on more than one field. Ken Linkman August 2010 19 Selecting and editing references Choose a single reference by clicking on it. A preview of the reference you have selected will display at the bottom of the screen in the Preview tab. To view a full reference or edit a reference, double click on it. TIP At this stage you can also add additional information to a reference, e.g. keywords, source of data, which you can later search for. When you have finished editing the reference, click on File | Close Reference to return to the library. Ken Linkman August 2010 20 TASK 5 HOW TO SEARCH FOR REFERENCES WITHIN AN ENDNOTE LIBRARY If you have a large number of references saved in your EndNote library, it is helpful to be able to search for a specific reference or set of references. EndNote allows you to search on all of the fields that make up a references and to combine searches using AND, OR, NOT. Open the Endnote Test.enl library. Click on Tools | Search Library and the Search dialog box will be displayed. Type your search term and using the drop down menu, select the field in which you want to search, such as Author or Keywords for example. The default setting for the Comparison menu is Contains, although you can choose other options such as Is less than or Is greater than. Enter a further search term if required, and click on Search. Use this for more complex searches of your Endnote library; for a quick search, use the Quick Search box Once your search is complete, the MyLibrary window will read Search Results (xx) (below All references xx); you are still looking at the same library, but the view has been restricted to just show the results of the search. To save your search to re-run it at a later date, click on Options | Save Search; to load a previously saved search click on Options | Load Search. Ken Linkman August 2010 21 TASK 6 HOW TO FORMAT YOUR REFERENCES, PREVIEW, PRINT AND SAVE Open the Endnote Test.enl library. To format your references you will need to select a citation style. Click on the drop-down citation style window and select the appropriate style. If the style isn’t listed, click on Select another style and choose from Choose an output style window. Your choice will determine how the references look when you print, export, preview, or create bibliographies. Ken Linkman August 2010 22 How to view and print your citations Having chosen a citation style (Vancouver style has been chosen for the example below), choose File | Print preview. The formatted bibliography will be displayed. How to save your bibliography as an RTF file By saving in RTF you will be able to make any necessary alterations to headers/footers, page numbers, fonts etc. before printing. Choose the Export button from the menu bar or select File | Export The Save in dialogue box will open. Select Rich Text Format (*.rtf) from the Save as Type menu. Save the file to your M Drive. Ken Linkman August 2010 23 CITE WHILE YOU WRITE You can use EndNote in combination with Microsoft Word to create a bibliography using the Cite While you Write facility. Once EndNote is installed, an EndNote tab will be added to Microsoft Word containing various EndNote options. TASK 7a How to Insert Citations 1. Open your Word document and position the curser where you want to insert an intext citation. 2. Click on the EndNote tab and choose the ‘Go to Endnote’ option. 3. Highlight a citation in your Endnote library. 4. Click on the Insert citation icon 5. The citation will be inserted where your cursor is positioned in the Word document, in the output style you have selected in EndNote. The full reference is also displayed at the end of your document. Ken Linkman August 2010 24 As you continue to insert the citations into your document, the bibliography will grow as you write. NOTE Another way to insert citations: Within Microsoft Word, when you are ready to insert a citation into your document, click on the EndNote tab. Then click on Insert citation and select Find citation You will see the Find & Insert My References dialogue box. Type the keyword you are looking for (an author, or word from the title, for example) and click on Find. All references within your EndNote library that match your search term(s) will display. Highlight the citation you wish to insert and click on Insert or press Enter. Ken Linkman August 2010 25 TASK 7b How to reformat a bibliography There are many styles you can use to format your bibliography. In Microsoft Word, click on the EndNote tab, then select the Style drop-down menu and Choose another style (this example uses Harvard). Your citations and bibliography will be reformatted. ‘Select another style’ if the one you want isn’t listed. A dialogue box will open - choose from the list of styles displayed. Using the Harvard style, the bibliography is reformatted. Ken Linkman August 2010 26 TASK 8 How to delete references from your Word document To delete an in-text citation and reference, select the Edit & Manage Citation(s) option from the Endnote tab, and in the dialogue box select the citation you want to remove. Click on the Edit Reference drop-down menu and select Remove Citation button and OK. The in-text citation and reference at the end of your document will be removed. In the example below, the in-text citation and reference for ‘Bubley et al., 1999’. will be removed. NOTE Do not be tempted to ‘highlight and delete’ citations/references. If you do, the Endnote formatting in the Word document may be adversely affected. NOTE This process removes references from the Word document only; they are not deleted from your Endnote Library TIP You can also use the Edit & Manage Citation(s) dialogue box to: • • • Remove the date from an in-text citation Remove the author from an in-text citation Add page numbers to an in-text citation Ken Linkman August 2010 27 TASK 9 Accessing Endnote from a laptop or from off-campus via Apps Anywhere The Endnote program can only be downloaded to a networked PC or University-owned PC/laptop. If you’re using your own laptop, or working from your home PC you have to access Endnote via Apps Anywhere You can access Apps Anywhere from the Student/Staff Intranet: Select the link and login with your usual University of Liverpool username/password Once logged in you will see a list of applications housed on a server located on-campus. Select the Office folder: Ken Linkman August 2010 28 Select the Word link: You will see the Endnote tab on your Word document (currently Version X2): Select the tab and then choose the ‘Go to Endnote’ option to connect through to Endnote: In order to use Apps Anywhere and Endnote successfully, you have to access all programs from within Apps Anywhere – i.e. Internet Explorer and Microsoft Word as well as Endnote. What you cannot do is, for example, use Apps Anywhere to access Endnote, but then use your own computer’s Internet Explorer browser and Microsoft Word programs – if you do this, Endnote (which you are accessing from an on-campus server) cannot connect to your own computer’s web browser or Word program.
