Simply working smarter
We believe in the power of simplicity. Our solutions are developed to turn speech-to-text as easy and reliable as possible and
improve day-to-day work of busy professionals. With speech-to-text solutions from Philips, the needs of all users in a dictation
environment are met and satisfied. Our outstanding reputation for quality and reliability has made us number one in the
professional dictation market. Philips is the only full solution provider for all speech-to-text needs, such as software, hardware and
services. Practical technology, sophisticated yet simple, allows you to enhance your working environment and simply work smarter.
Headquarters Vienna, Austria
Philips Speech Processing, with its headquarter in Vienna, Austria is the worldwide market leader in the professional dictation
market and the only company to design and manufacture a comprehensive range of digital dictation solutions as well as analog
dictation products. Currently, the company employs around 170 people worldwide.
Leading in innovation
Philips is widely considered the pioneer in professional speech processing. Product innovations such as the Pocket Memo employ
the world standard Mini-Cassette that was invented by Philips specifically for the heavy-duty stop/start demands of analog dictation
use. Philips Mini-Cassette and the unique four-position slide switch, which enables the Pocket Memo to be operated intuitively with
one hand, have become the professional standard. Breakthroughs in digital dictation technology include PC-connected dictation
solutions like the SpeechMike and SpeechMike Air which are the world´s leading stationary dictation devices. For mobile solutions
like the Digital Pocket Memo Series innovations include the click-on Barcode Module for fast and easy coupling of patient/client
data to spoken records and Voice Commands, which understands spoken commands for easier and more intuitive operation.
The unique, thus simple SpeechExec software family for turning speech to content, seamlessly integrates speech recognition
into the dictation workflow and is considered the leading innovation in the dictation market. Philips Speech Processing
moreover delivered the idea for the development of the Digital Speech Standard (DSS, DSS2). With .dss, Philips together with
other companies established the foundations for simple, fast and above all, standardised processing of digitised speech today.
Prepared for the future
In recent years, a comprehensive range of digital recording and transcription solutions has been created in response to
increased demand for IT supported workflows. Philips now offers a solution to any IT environment. The key element of
Philips’ suite of perfectly aligned dictation workflow management solutions, SpeechExec Enterprise, provides individual
modules to the diverse requirements that are typical in enterprise-wide workflows such as remote device management
and smartphone support. The new service-driven architecture and several administrative functions make rollout, setup
and maintenance considerably easier. With the SpeechExec solution family, Philips has further strengthened its “one-stop
solution” strategy, delivering software, hardware and services - catering to everyone involved in the document creation
process: dictation authors, secretaries and transcriptionists as well as IT managers and administrative staff. Philips digital
dictation solutions are available through a mature, worldwide network of value added resellers and integrators as well as
professional office equipment and supplies dealers.

Sustainability
Sustainability offers a world of opportunities, creating value for individuals, communities, and every company. We constantly develop programs and policies to drive the implementation of our green strategy. With our eco-friendly
solutions, we combine our responsibility towards the environment with the best user experience for our customers.
Responsibility
We take responsibility for our products and the people we work with. Therefore, our high standards not only apply
to ourselves but also to our partners. This allows us to make smarter products that consume less of nature’s precious
resources. Like the SpeechMike –for which we reduced the carbon footprint by about 30 % compared to the previous
generation.
For green products: EcoVision
For many years, Philips Speech Processing has been pursuing a program known as “EcoVision”. Within this program, we
significantly reduce the environmentally damaging substances used in the manufacture of our products. Furthermore,
savings have been achieved through improved firmware, energy-efficient components, and optimized energy management.
Our green product sales represented 40 % of total sales in 2010.
43% lower energy consumption
The SpeechMike dictation microphone is a milestone in professional dictation. Besides having outstanding technical
characteristics, the product is also an environmentaltrailblazer. The new version has an impressive 43% lower energy

QUESTIONS
& ANSWERS
How many employees does Philips Speech Processing have?
Philips Speech Processing is headquartered in Vienna Austria, and employs 170 people worldwide.
Is digital dictation gaining territory?
Philips is the world market leader in professional dictation. Digital dictation is certainly gaining territory as digital has
already exceeded analog. Today’s digital dictation solutions offer opportunities for improved accuracy, streamlined
workflow and enhanced productivity.
Why digital dictation?
Digital dictation is a vast step forward. The majority of the dictation community using analog dictation will almost certainly
move forward towards digital dictation because of its advantages. Existing dictation benefits, such as better organization
of work and faster throughput times are combined with all the advantages of a digital environment, such as improved
storage, data security, file-encryption, transport and backup of files and full mobility. In addition, digital recording brings
improved sound quality, which does not deteriorate over time. The secret of digital dictation success lies in the fact that it
fits seamlessly in several professional areas, where it has previously proven its use. Digital dictation now provides greater
efficiency and convenience at work.
What is so special about digital dictation?
Philips digital dictation is a modern solution that supersedes analog dictation. It provides greater efficiency and cost
savings as a working method. Just look at the advantages of digital over analog: no more carrying around or misplacing
tapes, no breakage or diminishing sound quality. Without making a vast additional investment, users can make more of
existing IT networks to distribute, direct and process digitally recorded dictation files. Throughput times are minimized,
billable hours are maximized and work is distributed in the most efficient manner possible, to and from anywhere in the
world via internet and email. Furthermore, current ‘analog’ users need not learn new work methods.
The fact that more than half of the legal and medical community continues to make use of analog dictation without being
aware of the advantages of digital dictation makes the theme very current. In those professions more than anywhere else,
efficiency and convenience have formed a profound base in business processes showing exceptional economical results.
Digital dictation also opens new ways of communication like sending a voicefile by email, or recording conferences or
meetings in their entirety for transcription. Philips has specialized in dictation for over 50 years and develops scaleable,
dedicated and modern professional dictation devices.
12
Benefits of digital dictation
• Because dictation is automatically uploaded directly onto their computers, transcriptionists can immediately see when new work arrives.
• An on-screen “player” allows transcriptionists to use their computer as a transcription tool. This means they no longer have to alternate between analog equipment and their workstation, and can easily move between tasks with fewer interruptions to their workflow.
• Digital technology allows the individual who dictated a file to prioritize the work for transcription. Advanced digital systems mark the priority files in the transcriptionist’s in-box – the file name may appear in bold red, for
instance, or an optional audible “notification” may alert the transcriptionist of a new arrival.
• Users can locate certain files more easily because they don’t have to rewind and fast-forward the tape. Inserting comments is easier because insertions don’t overwrite existing dictation. Plus, jobs can be prioritized and special instructions or keywords can be added.
• Dictation and transcription software allows for both the individual who dictated the file and the transcriptionist to track a job’s progress.
• Most digital recorders are small, lightweight and ergonomically designed for single-handed recording. Screens clearly
display record and playback functions, and guide users through advanced operations like inserting dictation or spoken
instructions, using keywords to automatically identify files, and prioritizing individual files.
• Clearer sound quality improves productivity and turnaround time, while increasing the accuracy of the transcription.
• Some digital recorders offer barcode scanners and voice command functionality. These features allow the user to
automatically incorporate demographic information like client or patient ID and document work type into the file. In addition to improving accuracy and enhancing security, these features also make it easier to identify and retrieve files.
• Digital technology allows users to attach supporting documents to the original dictation.
QUESTIONS
& ANSWERS
The future of digital dictation
For some organizations, making the transition from traditional analog to digital dictation is a gradual process. They may allow older technology to co-exist as they bring digital systems online incrementally – perhaps using a current analog
system until replacements are needed, prompting the transition to digital systems. Organizations are choosing digital
because of the enhanced sound quality, and the efficiencies gained in personal productivity and business operations. Many systems today are “technology-ready” to incorporate optional features such as barcode scanners, voice commands and voice recognition.

QUESTIONS
& ANSWERS
How does digital dictation work?
Lawyers and doctors dictate either directly into their computer using a SpeechMike or into the mobile Digital Pocket
Memo. The files recorded onto the latter are downloaded via USB or using a docking station. The dictated file can be
sent (through email or internal network) to the secretary for transcription or, for example to an external transcription
pool or even a speech recognition engine. A file number is generated automatically for each dictation. Each dictated
document is also coupled to a generated patient/client number.
For lawyers and medical specialists, dictation is an ongoing process and a substantial part of their daily professional
activities. For these users, it is extremely practical to have ongoing automated support as provided by digital dictation
solutions. However, professionals who dictate less frequnetly may benefit in other ways. Travelling executives, for
example, can easily dictate into their portable dictation recorder or smartphone and send their documents to their
company transcriptionist or to an external service from their homes, hotels, remote offices or using their laptops.
Besides legal and medical users, are there “new” or other user groups for digital dictation to be expected? Who are they?
Generally, everyone who generates documents is a potential customer for dictation. Due to the fact that doctors and lawyers
typically generate huge amounts of text and documents, they represent our key target group. However, journalists, students,
architects, bankers, civil servants, insurance companies, social workers, the law enforcement sector and many more can also
benefit from increased efficiency gained through dictation. Digital dictation is speeding up workflow and this constantly attracts
new dictation users.
What makes digital dictation “exciting?”
Digital dictation provides certain functionalities, which make life easier and more efficient for the user. A lot of these benefits,
such as transport of dictated files over company networks or the Internet were not possible with analog technology. This
speeds up the entire document creation process including a higher security level that leads to process optimisation.
In addition we assume that we will continue to find and provide additional benefits for digital dictation users. Just consider
what has changed over the last 100 years. Voice recording began in 1870, Philips Speech Processing has been working in
that field for over 50 years now and our customers benefit from this working method every day. Digital dictation opens
up new possibilities and opportunities, for our end users as well as for Philips Speech Processing as a company. That
makes digital dictation exciting.
16
What is the Voice Command function of the Digital Pocket Memo?
The main reason for adding the Voice Command function was to provide a tool which makes the life simpler and more
efficient for our customers, such as simple and fast assignment of a patient/client number or work type ID to a dictation.
The Voice Command function enables simple hands-free dictation!
What is the difference between the Pocket Memo and the Voice Tracer?
A digital dictation system always consists of spoken input, usually created by one single person (author) and text output, based
on a transcription created by another individual (transcriptionist) or speech recognition, of this spoken input. The transcription
element is a vital efficiency factor in the dictation process. Professionals usually produce large volumes of text, often as an
essential part of their business procedures.
However, the transcription part is not always necessary. Some people simply want to record their thoughts, conversation
or lectures at any given time. Others prefer to do their own transcriptions, as they may be the only ones to know exactly
what the context of a certain short recording is, or what its place is in a larger project or document. That is where the
Voice Tracer digital recorders come into play. Journalists recording conversations, students who are recording a lecture
and people on the road, who want to capture their thoughts, usually apply these products.
Digital dictation is already integrated into mobile phones, PDA’s and other mobile products.
How does Philips position its Voice Tracers amongst these products?
The Voice Tracer is tailor-made for our user´s main recording activities. Ample attention has been paid to ease of use,
sound quality, sound file editing and PC storage, whilst the voice recording function on a mobile phone or PDA is simply an add-on function. Voice Tracers are easy to use, provide enhanced features, hi-quality microphones and the visual
interface is more advanced than in a mobile phone.
QUESTIONS
& ANSWERS
What are the benefits of the workflow software and speech recognition?
Digital dictation is the logical evolution for users of analog (tape/cassette based) dictation. It can be considered the next step
in what has long been an immensely widespread and indispensable working method. With the inclusion of PC networks into
the working environment, integration of dictation and workflow became a crucial option, making it possible to work more
quickly and easily than ever before. One of the secrets of digital dictation’s success lies in the fact that it seamlessly fits into
several professional areas, in which analog dictation has already proven itself indispensable, providing even greater efficiency
and convenience at work.
Digital audio files produced in the digital dictation process may also serve as input for speech recognition technology.
Currently speech recognition is mainly used in the professional environment where it adds genuine benefit to digital
dictation functionality. These include e.g. hospital applications such as radiology, pathology and neurology, where they
can rely on standardized terminology and jargons. SpeechExec Pro and Enterprise connect seamlessly with Dragon
NaturallySpeaking speech-recognition software to control the entire document creation workflow within one single
application. The complete speech-to-text process including speech recognition is managed within SpeechExec.
