2013-14 WVU Coliseum RESEATING A message from the Director of Athletics As part of our move to the Big 12 Conference, we have identified a variety of new projects and initiatives that we will be undertaking over the next several years to keep us financially competitive with our Big 12 peers. One initiative is the reseating of the WVU Coliseum prior to the start of the 2013-14 men’s basketball season. This new initiative will provide fairness and equity in the allocation of men’s basketball tickets, enhance annual scholarship support for student-athletes at WVU and help give our athletic programs the resources they need to compete amid increasing scholarship, operations and facilities costs. We are keenly aware that reseating the WVU Coliseum is a significant and emotional issue. Many of you have held season tickets for men’s basketball for a number of years, and we sincerely appreciate your support and attendance. A tremendous amount of time and thought went into our reseating plan, and we feel that it achieves our goal of rewarding past support and season ticket purchases while balancing the need to raise funds and provide more equity in the seating process. As we did with our Priority Points Program, we have put a plan together that carefully considers the needs of West Virginia University and our loyal stakeholders. We believe the reseating of the WVU Coliseum is essential for the future success of the Department of Intercollegiate Athletics at WVU. In the last five years, more than 30 schools have restructured their football and/or basketball seating plans. WVU is one of the few remaining BCS schools who have not implemented some type of seating program where tickets are allocated strictly on a priority basis. While there will be no limit to the number of season tickets that may be ordered, and fans are encouraged to order as many tickets as desired, priority limits will be placed on the number of seats that are able to be self-selected. This brochure outlines the 2013-14 men’s basketball reseating plan and will assist you in making preparations over the next several months. After significant in-depth research, we are confident that the reseating of the WVU Coliseum will positively impact WVU Intercollegiate Athletics’ ability to remain viable and competitive in the Big 12 and on the national stage. We thank you for all your support throughout the years and for your continued support in the years to come. 3 Reasons For Reseating: Since the WVU Coliseum opened in 1970, there has been very little movement of seat locations within the Coliseum for generous supporters and season ticket holders who have upgraded their annual giving levels, purchased season tickets over a consecutive number of years and for new donors and season ticket holders who have joined the Mountaineer Athletic Club (MAC). The reseating of the WVU Coliseum is being conducted in order to ensure that all current and new donors and season ticket holders are seated in accordance with their annual fund giving levels and their overall investment in WVU Intercollegiate Athletics. Most importantly, the reseating of the WVU Coliseum also gives our loyal donors and fans the opportunity to select season tickets in the priority seating areas, improve their existing season ticket locations and/or purchase additional season tickets in the priority seating areas. Through the development of the Priority Points Program, the Department of Intercollegiate Athletics has created a reseating plan that achieves balance, consistency and most importantly, equity, while recognizing longevity, donations and overall support of the athletic department and university in the self-selection process for season tickets. As we continue to compete for championships in the Big 12 Conference and become increasingly reliant on revenue generated from donations, sponsorships and ticket sales, it is imperative to have a system in place that properly recognizes those who are supporting the program on a consistent basis. aspects Fairness – Annual MAC giving levels and the recently introduced Priority Points Program will be the fundamental method used for the 2013-14 reseating. Priority Points will provide an equitable priority order by which season tickets are selected. Equal Opportunities – This is an equitable plan that gives all fans an opportunity to request and select available season tickets, in a priority order. Customer Service – The MAC staff will answer any questions you may have and help walk you through the seat selection process. Several “open houses”, open to all Mountaineer fans, have also been planned to help answer questions. Replaces – All grandfather clauses, verbal and written agreements and other previous policies will be replaced under this plan. 4 Overview All 2013 MAC members and all current/retired WVU faculty and staff, who are not current MAC members, who wish to purchase season tickets for the 2013-14 men’s basketball season, will be given the opportunity to personally select their seats at the WVU Coliseum. Available seats will be self-selected at a designated time, based on 2013 MAC annual giving levels and total priority points within each giving level. MAC members will receive first priority on selecting available seats followed by current/retired WVU faculty and staff who are not current members of the MAC. Current and retired WVU faculty and staff will receive an appointment time based on available Priority Points. Loyal fans and season ticket holders who are not members of the MAC are still able to request season tickets. However, their seats will be assigned by the Mountaineer Ticket Office. It is recommended that all fans who request season tickets join the MAC in 2013 so they may receive the benefit of personally selecting their seats. While there is no limit to the number of season tickets that may be ordered, and fans are encouraged to order as many tickets as desired, priority limits will be placed on the number of seats that are able to be self-selected. All other seats will be assigned following the selection process. Season ticket intent forms will be sent in early May 2013 with a deadline to return the form by May 31, 2013. For seat selection purposes, Priority Points will be locked in for each 2013 MAC member on May 15, 2013. All 2013 MAC gifts, including applicable matching gifts, must be received by May 15 to count towards Priority Points. How will the seat selection process take place? For all MAC members and current/retired WVU faculty and staff, the seat selection process will take place online. The online seat selection process is based upon a 3-D seating diagram of the WVU Coliseum, developed by Ballena Technologies, Inc. Ballena is the leader in the field of venue visualization, and the following are just a few of the many universities that have utilized Ballena’s technology: University of Maryland, Purdue University, University of South Carolina, University of Virginia, and most recently, Texas Christian University. The WVU Coliseum reseating is being conducted online to provide MAC members and WVU faculty and staff the convenience of self-selecting seats from their home or office. MAC members and WVU faculty and staff will be able to go online, view sections of the WVU Coliseum and, more specifically, available seat locations before self-selecting their season ticket locations. All Mountaineer fans will have the capability to compare multiple seat selections and locations, and become familiar with the Web based program in the months leading up to the seat selection process. An announcement will occur when the selection website is available for viewing. At that time, additional information will be provided on how to use the site. By utilizing this new technology, MAC members and WVU faculty and staff will be able to take ownership of their seating assignments. Each MAC member and WVU faculty and staff members will be able to establish his or her own preferences (lower level, upper level, east or west side, aisle or middle, etc.) and choose accordingly. In mid-June, each 2013 MAC member and each WVU faculty and staff member will be assigned a specific time to personally select their seat locations. All seats will be selected online. Available seats will be selected beginning July 15, 2013 with invoices sent following the end of the selection process. Payment for all season tickets will be due by mid-September 2013 with tickets mailed in October 2013. 5 WVU Coliseum Reseating Plan: Maintain Your Seats • 2013 MAC members at the Champion annual giving level and above, with men’s basketball season tickets in their name, may elect to forgo the reseating process and maintain a limited number of non-VIP season ticket locations from the 2012-13 men’s basketball season (upper level, lower level or a combination of both). Non-VIP season ticket locations include all upper and lower level sections of the WVU Coliseum except rows 1-10 in sections 5, 7, 9, 11 and 13 (pads), VIP sideline and sections 100 and 103. • Seats located in rows 1-10 in sections 5, 7, 9, 11 and 13 (pads), VIP sideline and sections 100 and 103 are considered VIP season ticket locations and are not eligible to be maintained from the 2012-13 men’s basketball season. • In order to specifically recognize longevity of long-time season-ticket purchases, season ticket holders who have purchased season tickets consecutively in their name since the 1988-89 men’s basketball season, or 25 consecutive years, may maintain the location of two non-VIP seats from the 2012-13 season. In addition, eligible season ticket holders with 25 consecutive years of season ticket purchases, must join and/or maintain an annual MAC membership at the Blue level ($400-799) or higher. • Non-VIP season ticket locations may be maintained from the 2012-13 men’s basketball season based on the following 2013 MAC annual giving levels and ticket limits: Stadium Suite holders and Mountaineer Scholars ($25,000+) – up to 10 season tickets Gold Scholar ($15,000-$24,999) – up to 8 season tickets Blue Scholar ($10,000-$14,999) – up to 6 season tickets Champions ($6,500-$9,999) – up to 4 season tickets 25 Consecutive Years of Season Ticket Purchases – up to 2 season tickets * While there is no limit on the number of season tickets purchased, there is a limit on priority seat location The following season tickets located in the VIP sections of the WVU Coliseum are not eligible to be maintained: Rows 1-10 in sections 5, 7, 9, 11,13 (PADS), VIP sideline and sections 100 and 103 • 2013 MAC members at the Champion annual giving level and above may also elect to maintain a certain number of non-VIP season ticket locations from the 2012-13 season as well as participate in the seat selection process. If you elect to maintain a certain number of non-VIP season ticket locations as well as participate in the seat selection process, you will be unable to move the season ticket locations you chose to maintain during the seat selection process. You will indicate the season ticket locations you wish to maintain on your season ticket intent form. • MAC members at the Director level and below, along with season ticket holders who are not current MAC members, may also maintain a limited number of non-VIP season ticket locations from the 2012-13 season by aligning their 2013 MAC annual gift with the specified giving levels and ticket limits above. • Maintaining non-VIP season ticket locations from the 2012-13 season will count towards the priority ticket limits found on page 9. 6 2013-14 Coliseum Seating Chart VIP Section Student Section VIP Sections 7 WVU Coliseum Reseating Plan: Seat Selection Individual seat selection is only available for 2013 MAC members and non-MAC current/retired faculty and staff who request season tickets by May 31, 2013, and may be completed in one of three ways. 1. Online: All customers may log on to a secure website. From this site, they will be able to select their seats. The site will provide customers with a 3-D view of the court while selecting their seats. Selecting available seats online is highly recommended. 2. Online, with phone assistance from the Mountaineer Athletic Club and the Mountaineer Ticket Office: The Mountaineer Athletic Club and the Mountaineer Ticket Office staff will be prepared to assist you over the phone in selecting your seats. 3. In-person, at the WVU Coliseum with assistance from the Mountaineer Athletic Club and the Mountaineer Ticket Office: If you wish to select your seats in person you can do so at the WVU Coliseum. We ask that you arrive at the WVU Coliseum 30-45 minutes in advance of your appointment time, and a staff member will help you select your seats online. If you intend to purchase season tickets, but choose not to participate in the seat selection process using one of the designated options, your seats will be allocated by the Mountaineer Ticket Office and Mountaineer Athletic Club at the designated time you are assigned. The best available seats will be selected. 8 WVU Coliseum Reseating Plan: Seat Selection Order by Total Priority Points within 2013 MAC Annual Giving Levels 2013 MAC members and current/retired WVU faculty and staff (non-MAC members) who request season tickets will be assigned an appointment time based on their annual giving level and total priority points within their annual giving level. Current and retired WVU faculty and staff will receive an appointment time based on available Priority Points. All seats will be selected based on total Priority Points within each of the following annual giving levels: Priority Ticket Limits per annual giving level While there is no limit to the number of season tickets that may be ordered, and fans are encouraged to order as many tickets as desired, priority limits will be placed on the number of seats that are able to be self-selected. 2013 MAC members and current/retired WVU faculty and staff who request season tickets will be limited to the following number of tickets they may select during their assigned seat selection time. Mountaineer Scholar/Stadium Suite Holders – 10 (up to 4 VIP seats) Gold Scholar – 8 (up to 2 VIP seats, if available) 1. Mountaineer Scholars/Stadium Suite Holders ($25,000+) Blue Scholar – 6 (up to 2 VIP seats, if available) 2. Gold Scholar ($15,000-$24,999) Champion – 4 (up to 2 VIP seats, if available) 3. Blue Scholar ($10,000-$14,999) Director – 4 4. Champion ($6,500-$9,999) Captain – 4 5. Director ($3,500-$6,499) Gold – 2 6. Captain ($1,500-$3,499) Blue – 2 7. Gold ($800-$1,499) Buckskin – 2 8. Blue ($400-$799) Current/Retired WVU Faculty and Staff (non-MAC members) – 2 9. Buckskin ($100-$399) 10. Current/Retired WVU Faculty/Staff (non-MAC members) 11. All tickets in excess of priority limits will be assigned by the Mountaineer Athletic Club and the Mountaineer Ticket Office following the order above. Note: If two or more customers want to select seats together, they must wait until the selection time of the customer with the lowest total priority points within the lowest annual fund giving level in the group to select. Tickets in Excess of Priority Limits: Season ticket requests exceeding priority limits will be allocated and assigned by the Mountaineer Athletic Club and the Mountaineer Ticket Office after all MAC members and all WVU faculty/staff (non-MAC member) have selected their priority seat locations. Excess tickets will be assigned in the best available locations starting at mid-court, working towards the baselines, then behind the baskets. Non-MAC Member Season Ticket Allocation: Loyal fans and season ticket holders who are not members of the MAC in 2013 are able to request an unlimited number of season tickets, however their seats will be assigned by the Mountaineer Ticket Office after all donor and WVU faculty/staff requests have been allocated. It is recommended that all fans who request season tickets join the MAC in 2013 at the Buckskin level or higher, so they may personally select their seats. Maintaining Season Ticket Locations in Subsequent Years Following the 2013-14 men’s basketball season, the annual fund giving level at which you selected your seats must be maintained each year to retain priority on selected seats. MAC members who choose to decrease their annual giving level may have the number of allowable priority season tickets purchased reduced and be assigned new season ticket locations. 9 WVU Coliseum Reseating Plan: Seat Selection Times 2013 MAC members and current/retired WVU faculty and staff (non-MAC members) who return a season ticket intent form will be provided a pre-determined appointment time based on their total priority points within their 2013 MAC annual giving level, to go online and select from available seats. All eligible MAC members and WVU faculty and staff will be notified in advance by mail and e-mail notification of their appointment time to select their seats. Should a MAC member and/or WVU faculty and staff member not be available for their seat selection appointment time, a proxy can be assigned on their behalf to select seats. If an appointment time is missed, one may log in anytime after their appointment time until the end of the seat selection process to choose seats. Seat selection appointments will begin on July 15, 2013. Appointment times will be scheduled Monday through Thursday, 9 a.m. until 7 p.m. EST and Fridays from 9 a.m. until 5 p.m. EST until all MAC members and WVU faculty and staff have selected available tickets and all tickets in excess of priority limits have been assigned. Appointment times will be scheduled every 2-3 minutes. 10 MAC members and WVU faculty and staff will have 10 minutes from the time they select their first seat to complete the seat selection process. Allowing 10 minutes to select available seats ensures fairness and makes it impossible for other MAC members and WVU faculty and staff to “hold” seats. Please keep in mind that other MAC members and WVU faculty and staff will be entering the site every three minutes to select available seats and could select the same seats you are considering. 2013 MAC members at the Champion annual giving level or above, who choose to maintain the same season ticket locations from the 2012-13 season and not participate in the reseating process, will not receive a selection appointment time. NEW for 2013: The new season ticket intent form deadline of May 31 is necessary to accommodate the reseating process. Invoices will be sent following the seat selection process with payment for your selected seats due by mid-September 2013. Please make note of this change. WVU Coliseum Reseating Plan: AMERICANS WITH DISABILITIES ACT (ADA) SEATING In accordance with applicable regulations, customers requesting handicapped accessible seating may select one handicapped accessible seat per disabled ticket holder and up to three companion seats (to total no more than four total seats) during their appointment time. Customers requesting season tickets in ADA locations will need to attest in writing that the accessible seating is for at least one person in the group who has a mobility disability or a disability that requires the use of the acceptable features that are provided in the accessible seating. This attestation should be submitted with the season ticket intent form. MAINTAINING AMERICANS WITH DISABILITIES ACT (ADA) SEATING Customers occupying ADA locations, who wish to maintain their season ticket locations following the 2013-14 season, must provide the previously-identified attestation annually and must also meet the minimum annual giving requirements found on page seven. ADA wheelchair accessible customers who request ADA seating, and provide the appropriate attestation with their season ticket intent form, will have their account noted and receive a call from the Mountaineer Ticket Office at their designated appointment time for assistance in selecting seats per their individual needs. At least one companion fixed seat shall be provided next to each wheelchair seat. Non-wheelchair customers qualifying for ADA seating will have the ability to select available ADA seats within the WVU Coliseum. If the customer qualifies for a better seat than available ADA seats based on their total priority points within their 2013 MAC annual giving level, then they may select that location. If a MAC member is eligible for additional priority seats based on their annual giving level, they will select those seats at their appointment time. The selection of ADA seats will count towards prescribed ticket limits. 11 Frequently Asked Questions Why are we reseating the WVU Coliseum? Since the WVU Coliseum opened, there has been very little movement in seat locations within the arena for generous supporters who have increased their annual giving or purchased season tickets over a consecutive number of years or for new donors and season ticket holders who have joined the MAC. The reseating is being conducted to ensure that all donors and season ticket holders are seated in accordance with their annual fund giving level, priority points and their overall investment in WVU Intercollegiate Athletics. The reseating of the WVU Coliseum also gives all MAC members and season ticket holders the opportunity to improve their season ticket locations and/or purchase additional season tickets in the priority seating areas. I have purchased season tickets consecutively for many years, but never made a gift to the Mountaineer Athletic Club. If I join the MAC in 2013, will I be able to select seats? Yes, all 2013 MAC members and current/retired WVU faculty and staff who request season tickets will be able to personally select their seats. If you elect not to join the MAC, but still request season tickets, your season ticket locations will be selected for you. If I did not have season tickets last season, how do I get involved in the seat selection process? Customers interested in becoming new season ticket holders for the 2013-14 men’s basketball season and participate in the seat selection process are encouraged to join the Mountaineer Athletic Club prior to May 1, 2013 to ensure they receive a basketball season ticket request form. I am a Champion level donor with four season tickets during the 2012-13 season. Can I maintain the location of two season tickets and select the other two (2) during the seat selection process? Yes. You will indicate the season ticket locations you wish to maintain prior to the seat selection process. Those tickets will be blocked from view and unable to be selected by another customer. You will then receive a seat selection appointment time when you will select your remaining two (2) ticket locations. May I Order Tickets Outside the Priority Limits? Yes. Customers are encouraged to request as many season tickets as they would like. Tickets requested in excess of priority limits will be assigned in the best available locations, after all MAC members and WVU faculty/staff have selected their seats, starting at mid-court, working towards the baselines, then behind the baskets. Can I use my employer’s matching gift program towards my 2013 annual fund gift? Yes. If your employer will match a gift to athletic scholarships, you may use these funds to fulfill your annual fund commitment. For reseating purposes, the matching gift will count towards your 2013 MAC annual giving level and Priority Points if the matching funds are received prior to the May 15, 2013 deadline. Matching gifts received after May 15, 2013, will be added to your 2013 annual gift (or in the giving year in which it was received) but will not be a factor in determining your 2013 MAC annual giving level or Priority Points for seat selection purposes. 12 What other universities/colleges reseat their basketball arenas? Is there an option to select my seats if I do not have access to a computer? Numerous schools reseat their arenas on a regular basis, including: Kansas, Maryland, Indiana, Louisville, Virginia, Duke, UCLA, and Memphis. Many of these schools conduct a reseating on an annual basis while others stagger their reseating process every few years. Customers who are unable to access a computer during their designated appointment time may assign a proxy to select available seats. Customers may also select their seats in person at the WVU Coliseum during their designated appointment time. Customers may also elect to forgo the seat selection process and request their seats get selected by the Mountaineer Ticket Office and Mountaineer Athletic Club staff. How will the seat selection process take place? The WVU Coliseum reseating will utilize the services of Ballena Technologies to assist in the reseating process. All 2013 MAC members and current/retired faculty and staff (non-MAC) who request season tickets will have a scheduled time to log in and select their seats. A 3-D view of the WVU Coliseum from each individual seat will be available for previewing before choosing self-selected seats. Appointment times will be assigned every 2-3 minutes. Will I purchase season tickets and/or make a donation during the seat selection process? No. Ticket invoices will be mailed at the conclusion of the seat selection process, with payment due mid-September 2013. Gifts to the Mountaineer Athletic Club must be received by May 31, 2013, for seat selection purposes. Will I be able to view available seats in the WVU Coliseum prior to the on line seat selection? Yes. A new seating website will be launched in April 2013. All Mountaineer fans will have the opportunity to navigate the site, become familiar with how it works, and ask questions of staff members well before seat selections in July 2013. If I only make a gift to a sport specific program (e.g. Rifle, 1100 Club, Legacy Fund), will I be able to select men’s basketball season tickets? To participate in the seat selection process you would need to join the Mountaineer Athletic Club with an annual fund gift of $100 or more and submit a season ticket intent form. Your sport specific gift will be included in your priority point totals and will help determine your appointment time for selecting available seats. Only 2013 MAC members and current/retired WVU faculty and staff, who request season tickets, will receive appointment times. What if I Miss my Assigned Appointment Time, or am Unavailable During my Assigned Appointment Time? How does the WVU Coliseum Reseating apply to current or retired faculty/staff? Current and/or retired faculty and staff of WVU and its affiliates will continue to receive a 100% soft credit for their 2013 annual fund gift to the MAC, a discount on the price of season tickets, with assignment of their selection time according to their total priority points within their 2013 annual giving level. Current and/or retired faculty and staff of WVU and its affiliates who request season tickets and are not 2013 members of the MAC will select available tickets after all current MAC members have selected based on available Priority Points. In order to specifically recognize longevity of long-time season-ticket purchases, current or retired faculty/staff who have purchased season tickets consecutively in their name since the 1988-89 men’s basketball season, or 25 consecutive years, may maintain the location of two non-VIP seats from the 2012-13 season. In addition, eligible retired or current faculty/staff with 25 consecutive years of season ticket purchases, must join or maintain an annual MAC membership at the Blue level ($400-799) or higher. How may I position myself to select the best possible seats location? Increase your 2013 annual giving level and/or increase your points within your current annual giving level by joining the Jerry West Society, Legacy Fund or WVU Alumni Association, etc. It is important to note that following the 2013-14 reseating, you must maintain the annual giving level at which you selected your seats, or your seat location may be reassigned. Who do I contact with questions about the reseating process? Please call the Mountaineer Athletic Club at 1-800-433-2072 or via email at [email protected]. Those who miss their scheduled appointment time may log on and select their seats at any time after their appointment time has begun. If you know that you will be unavailable to select your seats during your appointment time you may designate a proxy to choose seats on your behalf. A proxy form will be included in the June mailing (the mailing that contains the date and time of you seat selection appointment). Please note that if you miss your scheduled appointment time, other season ticket holders will selfselect seats at their appointment time, and preferred seats may not be available. 13 Important Dates and Deadlines DECember 2012 Reseating of the WVU Coliseum announced.
