The Exposition Management Coordinator (TAISEISHA LTD.) will not receive any packages for exhibitors at their on-site office. All exhibitors should have staff present in the booth to receive delivered packages. Delivery times and dates are as follows. Inquiries to: PACIFICO Logistics Center Pacifico Yokohama E-mail : [email protected] 17 8 18 RULES & GUIDELINES FOR EXHIBITORS & CONTRACTORS Unloading & Setup ・ All vehicle drivers are required to display a Vehicle Permit on top of the dashboard on the driver’s side for a security guard to inspect. ・ Double parking or other illegal on-street parking will be strictly punished by the local police. Drivers must follow the instructions given by security guards and management coordination staff. ・ All exhibitors and their subcontractors are required to wear their badge or work permit when entering the hall. Those without proper ID will not be allowed to enter. ・ Aisles in the exhibition hall are 3.5 meters in width. All vehicles entering the exhibition hall must be less than 4 tons in weight. Special permission is required to bring trucks over 4 tons into the exposition hall. Application is made by submitting Request Form 16 to the Exposition Management Coordinator. Drivers are asked to move their vehicles from the loading dock immediately after loading or unloading. ・ Booth decoration should only be conducted on Monday, May 23. ・ Part of entrance gate will be closed after 16:00 on Tuesday, May 24 in order to construct an arch. ・ Exhibitors are asked to take packing materials, empty boxes, and all remains with them, when leaving the hall. No store rooms are available in the hall. ・ Exhibitors are asked to submit a “Late Stay Permit” form to the TAISEISHA LTD. office if it becomes necessary to stay late from 19:00 to 21:00, on Monday, May 23, and Tuesday, May 24. A request for late stay must be made before 17:00 on the same day. A form is available in the TAISEISHA LTD. office. Exhibitors may remain in the hall up until 21:00, but must pay¥30,000 (plus tax) for each hour past the 19:00 deadline. (As a general rule, no exhibitors are allowed to remain in the hall after 21:00.) After the exposition closes, TAISEISHA LTD. will send a bill (debit note) to those exhibitors who incurred overtime fees. Please do not stay in the hall overtime unless you have been granted permission to do so. During the Exhibition ・ All exhibitors are required to wear exhibitors’ badges. ・ All exhibitors are required to go through the Exhibitors Gates when entering in the hall for preparation. The same gates should be used when leaving the hall. ・ No vehicles are allowed in the exhibition hall. All exhibitors are required to use the Exhibitors Gates when carrying catalogs and product samples into their booth by hand, cart, or other means. ・ Unless you have received permission from the exhibition management office, after show close at 18:00, all exhibitors should be out of the building by 19:00. Any expenses incurred for removing remaining materials will be billed to the exhibitor. Vehicle Permit Allocation ・ In order to unload and load materials at the exhibition site, a Vehicle Permit must be obtained for each vehicle entering or leaving the exhibition grounds. ・ The Vehicle Permit must contain the name of the exhibitor, booth number, and names of affiliated contractors. ・ Vehicles without permits or with permits that do not contain the required information will be denied entrance to the exhibition grounds. ・ Vehicles without permits will not be allowed in the hall. ・ Vehicle Permits will be sent out on the first half of April. 9 FACILITIES USAGE & GUIDELINES Height Restriction The height restriction for booth furnishings and display items is 3.0 meters. It is forbidden to display or build above this height except for cases where the organizer deems it is necessary. Including such necessary cases, the organizer may order that extra measures be taken to prevent accidents, and may include restricting or stopping work. Please check other restrictions and warnings regarding booth construction (see page 21). Smoking No smoking is allowed during setup, exhibition, and clean-up, except for designated smoking areas. Smoking is only permitted in the 1st floor yard outside of the exposition hall. Failure to observe smoking rules will result in a ¥10,000 fine. Sound Regulations Sound from demonstrations, narrations etc., should be kept under 70-dB as measured two meters from the booth. Exhibitors should ensure that any noise that they generate, even at the allowed level, does not disturb adjacent exhibitors. Taking Pictures & Videos As a rule, pictures/videos of exhibit items may only be taken by representative of the media. Exhibitors are requested to put “No Pictures or Videos” signboards on their booths if they wish to restrict photography. Business Activities in Aisles Solicitation, invitations, pamphlet distribution, survey taking, and other business-related activities are not allowed in the aisles.The handing out of pamphlets, samples, and so on shall be performed within the Exhibitor’s display space, and the value of such giveaways shall be no more than ¥500 apiece. Accident Prevention Exhibitors have the responsibility of preventing accidents and fire during their in-booth activities. Sufficient care should be taken in the use of lasers and the generation of heat, dust, gasses, odors, vibrations etc., activities which may lead to accident. Exhibitors are asked to conduct their activities in a way that does not disturb adjacent exhibitors. Protection, Management, and Liability relating to Display Items Although the JSAE and the Exposition Management Coordinator (TAISEISHA LTD.) will have security guards and management staff posted in the hall throughout the exposition, exhibitors should also take it upon themselves to be watchful for the outbreak of fire, theft, or other occurrences that could cause damage or property loss. Exhibitors should make sure that their property is adequately insured during the exposition.Under no circumstances can the JSAE and the exhibition management firm be held liable for stolen items, property damage, or bodily injury resulting from incidents which may occur on exhibition grounds. Therefore, it is strongly recommended that the exhibitor take out sufficient insurance to cover such happenings from the time that the exhibitor/contractor first enters the exhibition hall until the booth has been dismantled and removed along with all related personnel. Please report any accidents or incidents of theft to the exhibition management office immediately. Management of the display booth is the complete responsibility of the exhibitor. Removal of Exhibition Items & Booth Personnel Exhibitors are not allowed to remove exhibit items during the exposition without permission from TAISEISHA LTD. Booths should always be attended by a representative of the exhibitor. Sales Activities Exhibitors are not allowed to merchandise or sell exhibit items used during the exhibition unless permission has been granted by TAISEISHA LTD. Expenses Exhibitors are required to submit proper forms for use of utilities and rental equipment, and to pay such fees and bills accordingly. Changes or Cancellation JSAE reserves the right to change the exposition schedule or cancel the exposition due to events beyond the control of JSAE such as natural disaster, fire, or other such occurrences. JSAE will not be liable for damage exhibitors may suffer due to such schedule changes or cancellation, and exhibitors relinquish the claim to such damage. If JSAE cancels the exposition, the balance of payment for exhibit space and net expenses, including preparatory expenses, will be refunded. Guidelines for Booth Decoration, Furnishing and Construction 1. Booth fixtures and decorations should not protrude beyond the exhibit partitions. Equipment and displays are not to be set up in the aisles. 2. Fire Prevention Guidelines Local ordinances require that buildings, structures, or facilities which have a capacity of more than 50 people adhere to specific fire prevention rules. All exhibitors must observe the following rules in order to pass a fire department inspection that will be conducted on the first day of the exposition. 3. Cautionary Points for Materials Used in the Booth (Japanese Fire Prevention Regulations) ・Regardless of thickness, composite board such as veneer paneling, printed veneer board etc. must be treated with a fire resistant agent and have a label attached indicating that the material is fire resistant. The label must be affixed in an easily seen location. Materials that do not meet the fire prevention guidelines must be removed or replaced with approved materials. This rule will be strictly enforced. ・When attaching thick decorative cloth or corrugated paper materials to fire resistant panels, please use fire resistant cloth and paper. However, it is permissible to use fire resistant panels covered with thin cloth or paper as the covering may be considered as integral part of the panel. ・ When using flammable materials such as curtains, coverings, and cloths, please use materials that have been treated with an industrial fire-proofing process. Fire resistant coatings may not be applied in the exhibition hall. Please affix a label to each item certifying that the material is fire resistant. ・ Due to the difficulty of fire-proofing urethane, acetate, polyester, acrylic, and nylon materials, these materials may not be used in the booth. However, letters cut out from Styrofoam are permitted provided that they are placed in a location that cannot be reached by visitors to the booth. 4. As a general rule, overhead structures are not allowed. Application can be made to the fire marshal, however, for permission to build an overhead structure in the following cases: ・ If an overhead structure designed to block out light, sound, heat, or dust is essential to the functionality and effectiveness of the displays in the booth. ・If an overhead structure is required to illuminate the display. If you wish to be excepted from the "no overhead structures" rule, please make application ahead of time to the MURAYAMA INC. and be sure to attach a drawing illustrating the type of overhead structure you wish to construct. You will be informed of the results of your application after your plan is presented to the fire marshal. Please make application well before the start of the exhibition as it will take two to three weeks to receive permission (if granted). Please refrain from building any overhead structures if you are not granted permission to do so from MURAYAMA INC. Note, even if ceiling construction is approved, 50,000yen (plus tax) will be required for the installation of a smoke detector. 22 10 BOOTH DECORATION / FURNISHING RULES & CAUTIOARY POINTS 5. Booth fixtures and exhibition items should be secured and attached securely so as not to fall or move dangerously during an earthquake or other such disaster. 6. Exhibitors are responsible for any damage or defacement of fixtures, equipment, products etc. belonging to the exposition hall or other companies participating in the exposition. 7. Construction work on the booth is not allowed during the exposition., 8. Modifications, such as noted below, to floor, ceilings, beams, doors, movable partitions, sashes, glass, ducts, water drains, nozzles, outlets, pipes, wiring, lighting equipment, panels, and boards are not allowed. ・Chiseling, drilling, gas welding ・Use of concrete nails or other hardwall fasteners ・Painting ・Application of adhesives ・Attachment of signboards ・Use of materials and equipment that may damage or deface the exposition hall facilities 9. Exhibitors operating larger booths constructed of more than 10 booth units are required to submit a plan showing how booth occupants will evacuate in case of an emergency. Internet Connection Service A fee of ¥130,000 for one line (plus consumption tax) is charged to set up an internet connection. This includes the basic fee, installation work, adapter lease, and usage fee. An invoice (debit note) for this fee will be sent to the exhibitor by MURAYAMA INC. after the exposition. The line can be used from 15:00 on Tuesday, May 24. All applications must be received by the deadline of Friday, March 25. Late applications will not be accepted. Cautionary Points for Internet Use: The Internet service provided by the hall works best at a baud rate of 200Mbps. It is not compatible with high-speed communications. Communications speed may be reduced according to connection status, and there is a possibility of connection failure. ・NTT Communications Service is the only Internet service provider used by the exposition. ・The service provided is the NTT Communications FLET'S Family type which uses an optical cable network (OCN). The OCN FLET'S Family type service operates in the same manner as a dial-up connection by using a timing-type IP address allocation that differs from the user's IP address. ・Please use a mainline at the terminal end of the Internet line. (Kerosene, paint, and thinner may, however, be brought into the exhibition hall if special permission is obtained through application.) ・Be aware that permission may not be granted to bring combustibles into the hall if the local fire marshal determines that the items in question pose a safety threat. ・Two-story structures, or structures that appear to be two stories tall, are not permitted. A two-story structure is defined as: 1) A multi-level structure having a floor surface located at a height of more than 2.1 meters above the hall floor. 2) Storage compartments, empty spaces, meeting rooms, the lower parts of exhibits, and other like structures located at a height of more than 1.4 meters above the ground. 1. Overhead Structures As a basic rule, overhead structures, such as ceilings and roofs, are not permitted. Exceptions can be made, however, for exhibited items whose characteristics would be hidden or functionality impaired by the absence of an overhead structure. If you desire to be excluded from this regulation, please submit Form 6, along with the documents noted below, to MURAYAMA INC. Required Documents: ・Statement of purpose of the exhibit ・A floor plan of the proposed structure ・Elevated views and cross sectional drawings of the planned structure (including materials used to finish the structure, and dimensions of the vicinity around the overhead structure) ・Drawings showing the shape and configuration of the overhead structure (these drawings must show the span of the overhead structure and the materials used to finish it.) Note 1: Overhead structures are defined as ones that may cause accumulation of smoke. If it is considered as overhead structures, an automatic fire detector is required to be set. Small amounts of these substances, however, may be brought in if they are recognized as necessary and integral to displayed equipment and/or components, and only if permission is received beforehand from the local fire marshal. Exhibitors who plan to bring in hazardous substances, or vehicles containing hazardous substances, must fill out and submit Request Form 7, along with the documents noted below, to MURAYAMA INC. A drawing describing the type of work to be done should be faxed when you apply. Anchor bolt installation work cannot be undertaken without prior approval. If unapproved installation work is discovered, that work will be stopped immediately and the exhibitor fined accordingly. Compensation for property and or damage must be paid by the exhibitor if such damage occurs. Exhibitors should observe the requirements and work procedures listed below when installing anchors bolts. Note that some booths are located over the pit area beneath the floor. Guidelines for Installing Anchor Bolts 1. Only the flush-mount anchor bolts provided by the hall management can be used. Anchors and drills motors can be obtained on the working day at the registration counter in the exhibition hall. ※ These are hammer-in type anchor bolts with an embedded length of 50mm. Use of drill motors other than those supplied by the hall management is not permitted, nor the drilling of holes deeper than 50mm. ※ All exhibitors are required to use the drills (equipped with stoppers) which are supplied by the Hall Management. 2. Anchor bolts should not be placed into the boards covering the floor pit, areas within 20cm of the edge of the pit, or within 20cm of joint edges. Parts of some booths may be located over floor pits. When installing anchor bolts, make sure that you do not install them in a panel covering a floor pit. 3. When taking apart the booths on the last day, as the electric power will be stopped to each booth, you need to be supplied the power from the wall. The rental of the Sander or Cordreel is not accepted. Please prepare by yourself. 4. Anchor bolts don’t have to be removed after the exhibition. Exhibitors are required to cut off anchor bolt heads that protrude from the floor in order to maintain a flush floor surface. Do not hammer down used anchors or use a gas torch to cut off anchor bolt heads. 5. The cost to repair the floor from the installation of anchor bolts will be billed separately, and will reflect the number of anchor bolts used.
