PARICIPATION REGULATIONS You can ask the organisation for the participation regulations.
ORDER & DELIVERY ORDER & DELIVERY
In chapter 3 you will find a set of order forms. After filling out these
forms, it is advisable to take a copy of them before you send them to us.
Some information must be completed. These compulsory pieces of
information are marked very clearly on the forms. All prices are stated
VAT*, unless otherwise indicated. These order forms should be returned to
Artexis nv/sa, unless stated otherwise (on the form itself).
Please return the forms before the date mentioned on the order form. If you
return the forms late, this will cause some practical problems and will reduce the number of services that can be provided in general. In case of late
ordering, certain items may not be delivered in accordance with your order.
To order according to the regulations, the order forms must be completed
correctly and completely. The following data are necessary: stand, client data,
invoice address, name, date and signature.
Supply of the different services, including electrical connections, will only take
place after payment of all invoices. The moment of delivery depends
on the type of service and the time of reception. Late orders cannot be given
andpriority to orders that have been placed in time.
In case of inaccurate deliveries or complaints relating to the services supplied,
you are requested to contact the front office within 24 hours after delivery.

INVOICING
RENTAL PRICE
RENTED MATERIAL
INSURANCE
A preferential rate and a standard rate will be applied, valid until 09/08/2014.
As from 10/08/2014 the preferential rate will be raised with 25%. An
additional supplement of 50% will be charged starting from the first
build-up day. Please bear this in mind while placing your orders. Artexis NV
reserves the right to change rates at any time to adjust to the prevailing market
situation.
In business affairs, it is generally assumed that traders/exhibitors have an
obligation to react to letters and invoices if they do not agree with the contents
of the documents. Failure to react upon receipt of a letter, is assumed to
indicate acceptance. As invoices presume the existence of a commitment, this
obligation is even more pressing. It is therefore unanimously accepted that if
an invoice is not contested within 8 working days, the trader agrees with the
invoice and its provisions. The trader/exhibitor has a moral duty to object if they
are sent a confirmation which implies a commitment for them. This duty is even
clearer when several reminders have been sent concerning the invoice.
The prices in the toolbox are valid for the duration of the fair (price in euro,
excluding VAT).
The rented material remains on the fair’s ground and must be returned at the
end of the fair. Rented material that is not returned or that is damaged will be
invoiced at the real cost price.
When participating in a fair organised by Artexis or a third party each exhibitor
has the obligation to take out an insurance policy for:
1° Stand and contents of the stand (all risk insurance)
2° Third Party Liability - participation in fairs
The premiums are charged automatically, together with the invoice for your
other orders. In order to be able to appeal to the insurer’s intervention in
case of possible damage or theft, it is important for you to meet the following
conditions:
1° Submit an inventory list (specified and valorised) of the stand
equipment and the exhibited goods to Artexis nv/sa before the start of
the construction period.
2° In case of damage or theft: immediately notify the front office and
complete a claim form. This claim form is only valid with an official
report established by the police.

The exhibitor is responsible for the material rented by Artexis nv/sa and will
take out an insurance for this material. If this hired material is not insured by the
interference of Artexis nv/sa, our supplier will send an invoice for the value of
this material in case of loss or damage. This amount will be invoiced directly by
Artexis.
TRANSPORT OF GOODS The exclusive forwarding company, rental service for fork-lift trucks and
-FORK-LIFT TRUCKS customs agent for all exhibitions at Flanders Expo is DHL Freight (Belgium).

SABAM DATA
Royalties for the background music in the halls and on the stands is settled
with SABAM by the organisation. Video films with no music are not subject to
royalties.
For video films with music, exhibitors themselves must settle any fees with
SABAM. The following will be required:

It is best to ask the makers/suppliers of the videos for this data. For groups
of musicians, combos, singers and other live performers, royalties should be
settled separately with SABAM in each case. For more information, you can

Fair remuneration is applicable when music is broadcast in places that are

FAIRGUIDE.
Artexis NV wishes to state very clearly that no collaboration exists with Fair
Guide, World Business Guide and expoGuide. We haven’t given any permission
to use in any way our company name or any fair name in the distribution of their
information via mail, fax, letter or any way what so ever.
WORLD BUSINESS GUIDE
The company World Business Guide requires entrepreneurs to update their
data for free. Free because in the small print of the contract can be read that
it is an annual contribution of € 995, and that the contract is automatically
renewed.
EXPO GUIDE
Expo Guide companies send a letter with a form to correct data for a listing in
expo Guide. After signing the letter you are subject to an annual payment for a
period of 3 years.

FAIR GUIDE (CONSTRUCT DATA)
The Austrian company ˝Construct Data˝ sends a letter asking to pass
corrections in ˝Fair Guide˝, and to register via www.fairguide.com to keep
company records up-to-date. Don’t forget that after you signed the letter, you
are bound to make an annual payment.
Carefully read the fine print before you sign the agreement.
Artexis nv/sa does not bear any responsibility if you signed such an order.
We do like to alert you that the orders of Artexis nv/sa are always identified by
the logo of the exhibition and our data. When in doubt please contact Artexis
nv/sa at [email protected]. We will gladly tell you who our partners
are in the organisation of our various fairs.

TRUSS LOAD Materials can be suspended from the trusses upon written request addressed
to Artexis nv/sa and the organisation. Additionally, approval by a recognised
inspection body may be requested.
All information on this subject can be found in the catalog under
2.8 Suspension points.
Hydrants and fire extinguishers have to be accessible at all times without
difficulty and without dislocation of objects. Please bear this in mind in the
concept and construction of your stand.
HOSE REELS

AND -DISMANTELING
The use of paint, stickers, nails, etc. is not allowed on the hired panels,
nor on the Flanders Expo walls and tarmac floors.
The following rates will be applied in the case of possible damage:
paint marks and other items: € 61,97 / m² (min. 1m²)
oil stains: € 185,92 / m²
scratches & damage caused by heavy material: € 37,18 / damaged area
When removing carpet/carpet tiles please consider that all double sided tape
and glue residues have to be removed from the floor. We ask you to take back
large-scale waste such as carpet, stand components, etc.
If Artexis nv/sa has to take care of this, the costs will be charged to the
exhibitors. Some rates are stated below:
removal of double sided tape and glue residues: € 14,39 / meter
Clearing large-scale waste (carpet, panels, etc.):
cost of a 1100 litre container / mixed compactable refuse: € 77,25
(includes container rental, waste tax, delivery and collection of container),
to be filled by the exhibitor
cost of waste tax per m³ / non-compactable waste (wood, stand
material, carpet, metal,…), to be stacked on a pallet by exhibitors,
transportation to waste disposal centre included: € 77,25 per m³ (minimum
of 1m³ is always charged)
waste paper on pallet (catalogues,…), to be stacked on a pallet by
exhibitors, transportation to waste disposal centre included: € 46,35 per
m³ (minimum of 1m³ is always charged)
17m³ open container / non-compactable waste – class 2 mixed:
€ 978,50 (includes delivery and collection of container), to be filled by the
exhibitor
For late dismantling, the minimum charge shall be € 1000,00 / day / stand,
from the first hour. Moreover, if your stand is cleared away by Artexis nv/sa (at
your risk), the following rates will be applied:
technician’s working time: € 60,00 / man / hour (min. 1 hour)
These provisions are a component of the general regulations that you will find
in chapter 4 General conditions and regulations.
CHOVEL AND CATERPILLAR When using a shovel and caterpillar the bucket or scoop of the shovel must be

executed without teeth and the caterpillar tracks must be equipped with
rubbers.

PLAN
ELECTRIC INSTALLATION
ELECTRICITY
The ˝squares˝, indicated on the plan, are the indications for the connection of
and for technical utility supplies. As a consequence the electrical supply and/
or supply and drainage of water Can be realised from there to your stand and/
or your neighbour’s stand. These power wells and electrical panels have to be
accessible at all times for the services of Artexis nv/sa. Please bear this in mind
in the concept and construction of your stand. (e.g. position of storage).
Directions concerning safety of electrical installation on fairs can be read in
chapter 4 General conditions and regulations.
Checking of the electrical installation: Artexis nv/sa checks the installations,
before the power is switched on.
Every installation that does not satisfy the official safety regulations can be
refused without recourse against Artexis nv/sa. We refer to the regulations on
safety of electrical installations of the stands at fairs. These safety regulations
have been transmitted to us by a recognized inspection organisation and are
based on Belgian standards. You will find these directives in chapter
4 General conditions and regulations.
USE OF GAS
As a result of safety instructions regarding the use of liquid petroleum gases
(propane/ butane) in areas accessible to the public, we are required to inform
you that the use of these gases is prohibited in the Flanders Expo buildings.

USE OF WATER
/ LEGIONELLA
Further to the decree passed by the FLEMISH GOVERNMENT on 09/02/2007,
(cf. Belgisch Staatsblad (Belgian official journal) of 04/05/2007), we would like
to draw your attention to the following:
All forms of water spraying (using water in aerosol form) are prohibited at the
trade fair (sprinklers, fountains, waterfalls, Jacuzzis in operation, bubble baths,
etc.) (Article 36), with the exception of:
applications, appliances or installations that are entirely enclosed (Art. 37.1)
applications with water, the temperature of which does not exceed 20°
under any circumstances and to which no sources of heat or heating
elements are connected (whereby a pump in proportion tot he volume of
the pond is not considered a source of heat ) (Art. 38).
In addition:
the installations, appliances, other applications with water, etc. must be
thoroughly cleaned and disinfected before being used (proof or declaration
to be submitted by the exhibitor). (Art. 38)
the temperature should be checked and registered by the exhibitor (4 times
a day). The register has to be shown by simple demand by the organisation
or Artexis nv/sa. (Art. 38)
As proprietor, Artexis nv/sa will execute controls. If there are any irregularitie,
Artexis will impose the necessary measures (art. 38 (art. 38 §4).

Why order free entrance tickets?
A free entrance ticket is a nice €7,00 gift for your clients and relations.
Only you, as an exhibitor, have the possibility to reserve free entrance cards without additional costs for you.
That way even more visitors will come and see your stand.
Besides the actual tickets, you can also request your unique code. Your clients will then be able to register online
and print their own entry ticket.
Please fill out 3.7 Free entrance tickets and send it back to the organization.

PARKING CARDS
Because of infrastructure works around Flanders Expo, the sale
of parking cards is limited. Please take this into account while
completing the order form.
IMPORTANT
You can buy parking cards for the entire fair for € 44,63 / card (VAT excl.). The
cards can be picked up from the front office, after all invoices have been paid, from
03/09/2014. Cards that haven’t been picked up can’t be refunded.
During the fair build up and dismantling parking is free between the halls.

INSURANCES
2.12
A)ALL RISK INSURANCE
All exhibitors are obliged to have their stand and exhibited materials and goods insured via policy, taken out by Artexis
on behalf of the exhibitors.
Artexis is not an intermediate insurer.
The premium is 0.48% of the insured value. A minimum premium of € 50,00 is automatically charged together with the
invoice for all your other orders. This provides you with all risk insurance at the value of € 10.000,00 on.
The insurance cover only applies:
‘All risks’ in accordance with policy A402400 - VERHEYEN.
- When a detailed and valued inventory has been submitted to Artexis before the goods have left the company’s
premises.
- After receipt of due payment. The insurance will not be used to compensate any claims unless all invoices have been
paid in conformity with Artexis rules.
The cover will be cancelled if errors are discovered during inventory checking by a representative of the insurer.
The cover applies from anywhere in the world to the show and back. “Door to door”: i.e. during transport to and from
and while staying at the show (‘door to door’).
Should the insurance be insufficient, the insurance holder will pay a proportional share of the damage.
NOTE
In addition, the cover during the assembly and dismantling work (I.E. the period before the date and
time of the official opening of the stock market and immediately after the closing of the fair - last day
of the exhibition) is only valid for equipment kept under permanent surveillance.
Exclusions
Damage as a result of the policyholder’s negligence, wear and tear, chemical, atmospheric and thermal forces, the
action of goods, electrical, electronic and mechanical disturbances is excluded. Indirect damage and damage caused
to third parties as a result of the risks of rust and oxidation for goods not packed in full boxes during transport and/or
damage resulting from inadequate packaging is also not covered.
B) INSURANCE THIRD PARTY LIABILITY (MANDATORY)
All exhibitors are obliged to take out insurance via Artexis to cover their civil liability for participation in the show.
The civil liability insurance has been taken out by Artexis on behalf of the exhibitors. Artexis doesn’t act as an coinsurer, nor as an insurance intermediary.
The insurance premium is € 25,00.
The cover is a maximum of € 24.789.352,48 per case of physical and/or material and/or intangible damage.
The exhibitor’s excess is € 61,97 per claim.
ATTENTION
You don’t need to indicate this insurance on the order form. It will be calculated automatically.
CIVIL LIABILITY INSURANCE CONDITIONS FOR THE EXHIBITOR:
Policy civil liability - AXA Belgium - Policy 010.730.266.337
The ‘Civil Liability’ coverage for participants/exhibitors is € 24.789.352,48 per case of physical and/or material
and/or intangible damage.
Within this cover and the above-mentioned limit of the applicable policies, this insurance covers participants/
exhibitors and the organisers against the consequences of civil liability for damage caused to third parties during
their participation in fairs or events in Flanders Expo.
This insurance is supplementary in nature, i.e. it only applies after any other policy covering this risk – even one
entered into at a subsequent date – has been exhausted.
The excess is € 61,97 per claim, payable by the exhibitor.

A hostess on your stand enhances your image and invites passing visitors to your
stand.
If you wish to have a hostess on your stand, per day or for the entire fair period,

You may also indicate which tasks you expect the hostess to fulfill: bring clients
to your stand, distribute folders or other tasks (serving drinks & toast, directing
people to your stand, etc.).
The hostesses wear a uniform. You may also provide your own uniform.

the official logistics provider for Artexis. This means that DHL
TFE takes care of all the logistics at the fair grounds of Flanders
Expo.
As a participant in a fair, you are given a unique opportunity to
present your products to your clients and to convince them of the
quality and added value of these products. To achieve success during
these critical moments, everything has to be perfect: the invitations
that you send, your product and the presentation of your company,
the image of your employees, your stand and the logistics. If you
entrust DHL TFE with your logistics, you can focus completely on

Remarks: Crane work shall always be planned in consultation with the client. A hoisting plan must be provided by the client. The order for crane work must reach us at least 2 weeks in advance of the
execution of the operation. When the operation can not be carried out with the ordered material, then more appropriate material will be placed in consultation with the client and at agreed rates.
Mentioned capacities are for lifting next to the crane. For further reaches the lifting schemes of the crane must be taken into account and where necessary a higher lifting capacity crane must be used. Your
order implies waiver of liability towards DHL or the by DHL used subcontractors. On explicit request a hoisting insurance can be provided at a premiuim of 0,35% of the value of the lifted goods and per hoist.

GENERAL CONDITIONS AND REGULATIONS
4.1
ARTICLE 1: DEFINITIONS
In the context of the present General Conditions, the terms
below are defined as follows:
- ARTEXIS: the public limited company ARTEXIS, with its
registered office at Maaltekouter 1, BE-9051 Ghent, listed
in the register of legal persons under enterprise number BE
0427.328.649 Ghent Commercial Court;
- Building: the real estate in or around which the Fair is being
held, either Antwerp Expo, Flanders Expo or Namur Expo,
depending on the place where the Fair is organised
- General Conditions: the present General Conditions;
- Fair: the fair or event organised in the Building, to which the
Exhibitor participates and for which the Exhibitor orders
some services from ARTEXIS
- Exhibitor: Exhibitorwho orders some services from ARTEXIS
The Conditions set out in this article have the same meaning
in the singular and in the plural.
ARTICLE 2: FIELD OF APPLICATION OF THE GENERAL
CONDITIONS
2.1 These General Conditions govern all the obligations
between ARTEXIS and the Exhibitor relating to his
participation in the show as an Exhibitor.
2.2 In his relationship with ARTEXIS, the Exhibitor explicitly
renounces the application of his own General Conditions,
even where they are drawn up after the present General
Conditions.
2.3 Any exception to the General Conditions must, in order
to have validity, be previously explicitly agreed in writing and
signed by ARTEXIS.
2.4 By ordering some services from ARTEXIS, the Exhibitor
explicitly declares that the entire contractual relationship
between himself ARTEXIS concerning the Fair shall be
governed by these General Conditions.
ARTICLE 3: PAYMENT, PAYMENT METHODS AND
LEAD TIMES FOR PAYMENT
3.1 Payment of amounts due to ARTEXIS
3.1.1 Invoices raised by ARTEXIS are payable in cash when
received, net without discount, at the ARTEXIS head office.
All possible costs associated with the method of payment
used by the Exhibitor shall be borne in full by him.
3.1.2 ARTEXIS will be entitled to disregard the service
ordered by the Exhibitor as long as the Exhibitor has not
settled in full the invoices that have been sent to him.
3.1.3 In the same way, any on-site orders of additional
technical facilities by an Exhibitor will be taken into account
subject to the full settlement of all the amounts owed to
ARTEXIS by that Exhibitor, as well as to the previous payment
of the invoice concerning those orders.
3.2 Methods of payment
3.2.1 The payments should be made in EUROS by transfer
to the bank account(s) specified on the invoices. Cheques
are not accepted, with the exception of certified cheques.
3.2.2 No payment made into the hands of an ARTEXIS
representative or officer shall constitute a full discharge,
except with explicit previous consent by ARTEXIS.
3.3 Complaints concerning invoices
Any complaint regarding an invoice must be made within
eight days from the date of invoicing. Such a complaint in no
way affects the Exhibitor’s obligation to pay other invoices

due at the time of the complaint and does not give him any
right to suspend any payment to ARTEXIS or to suspend any
other obligation towards the latter.
3.4 Non-payment or late payment
3.4.1 Failure to pay any invoice by the due date results, ipso
jure and without the need for prior formal notification, in the
liability for a late payment interest at the rate of 12% per
annum. Such non-payment by due date entails, under the
same Conditions as the liability for interest, the payment of
a fixed penalty equal to 10% of the amount of the unpaid
invoice, with 250 EUROS as the minimum. ARTEXIS is also
entitled to suspend the fulfilment of all obligations they might
have towards an Exhibitor who still defaults on the payment
of all invoices. This prerogative can be triggered by simply
noting the non-payment without the need for prior formal
notification.
3.4.2 Non-payment of all invoices when due also implies the
liability to immediately pay all the other amounts due from the
Exhibitor to ARTEXIS, even if their due date is in the future.
ARTICLE 4: EXCLUSION OF LIABILITY
The Exhibitor accepts the fact that certain services that
it orders from ARTEXIS will be delivered as a result of
ARTEXIS’s intervention.
Under no circumstances will the Exhibitor be able to hold
ARTEXIS liable for any problem or shortcoming concerning
any service delivered by third parties as a result of ARTEXIS’s
intervention. Consequently, no claim whatsoever for damages
related to any service delivered by third parties may be made
against ARTEXIS for any reason whatsoever.
The Exhibitor hereby expressly renounces any claim with
regard to ARTEXIS and/or any company of the group to
which ARTEXIS belongs and/or the owner of the Building
for any type of damage in the broadest sense of the word.
Pursuant to the provisions of this Article, the Exhibitor also
expressly renounces any redress he might be able to claim
with regard to ARTEXIS and/or any company of the group
to which ARTEXIS belongs and/or the owner concerned,
including any right to indemnification it might exercise with
regard to ARTEXIS and/or any company of the group to
which ARTEXIS belongs and/or the owner of the Building in
the case of a claim made by third parties in their presence. If
necessary, the Exhibitor shall undertake to inform his insurer
of the fact that he is renouncing his right to any claims.
ARTICLE 5: FORCE MAJEURE
Events considered as force majeure include fire, war, natural
disasters, act of government, decisions regarding the Fair
taken by the proprietor or operator of the Building which
render site occupation and/or the organisation of the Fair
considerably more costly and/or impossible, as well as all
other eventualities or situations which render site occupation
and/or the organisation of the Fair considerably more costly
and/or impossible.
In the event of a case of force majeure, ARTEXIS is entitled
to suspend the fulfillment of the contractual relationship with
the Exhibitor for the duration of the case of force majeure,
or to terminate in full or part that contractual relationship
at any moment with immediate effect, without being liable
to indemnify the Exhibitor. Moreover, in the event of force
majeure, the amounts paid by the Exhibitor will remain
acquired by ARTEXIS, the latter not being liable to pay any
reimbursement or indemnity whatsoever.

ARTICLE 6: APPLICABLE LAW, COMPETENT
COURTAND LANGUAGE
For the application, interpretation and implementation
of these General Provisions, only Belgian legislation is
applicable, to the exclusion of all other legislation.
Any dispute between ARTEXIS and the Exhibitor resulting
from or in connection with these General Conditions shall be
settled exclusively and definitively by the competent courts of
the legal district in which the Building is located.
In the event of a dispute, ARTEXIS and the Exhibitor must
use the language of the legal district in which the Building
is located or, if the Building is located in the legal district of
Brussels, the language used in these General Conditions
if this is French or Dutch, or French if the language used in
these General Conditions is English or any language other
than French or Dutch.

4.2
REGULATIONS
THE COMPLETE RULES AND REGULATIONS OF THE FAIR IS AVAILABLE AT THE FRONT OFFICE.
INTRODUCTION
The redaction of these directions has been undertaken with the purpose of procuring a short survey to the
exhibiter and his electrical engineer-installer with the aim of reducing the danger of fire and electrical shocks.
This survey does not replace at all the legal directions for electrical installations.
GENERAL RULES
The inspection of electrical installations is carried out according to the directions of the A.R.E.I. (General
directions on electrical installations) concerning:
• danger for direct contact (art. 30 till 40, 48 and 49)
• danger for indirect contact (art. 68 till 95)
• danger for fire due to electrical hardware (art. 104)
Electrical installations have to be carried out by skilful installers
Connection to the mains, locating the main distributing cabinets and supply of the electrical current has to be
carried out exclusively by the authorised staff of Artexis.
1. CHOICE OF THE ELECTRICAL CONDUCTIONS
Art. 198, 199 and 209 of the A.R.E.I. are mandatory.
The use of yellow or green coloured conductions is not admitted.
The colour of the safety conductor (earth wire) must be yellow-green.
The blue wire is used for the neutral in cabling using the neutral.
The use of VVB cable can be admitted on condition the cable is fixed over its entire length.
The use of VGVB, VVB and VFVB is not admitted if not fixed.
The cables have to be fixed by means of appropriate fixing clamps.
The use of VTLmb (side by side) is forbidden.
The cables used for connection to the mains of the exposition stands , exclusive use has to be made of VTMB
(H05VV-F) or CTMB (H07-R-NF) (double isolated flexible cables with service voltage of min. 500V or similar).
Minimal section of the electrical conductors:
1,5 mm² for lighting apparatus
2,5 mm² for connectors.
According to the location, the cables must be protected on a decent way against mechanical damage, f.e.
cables on the ground are to be protected by a foot-plinth.
All metal covers of apparatus of class I, eg. no double isolation, must be earthed (double isolation).
The earthing (protection conductor) has to form an integral part of the feeder cables.
2. POSITION OF DISTRIBUTING FRAME (ART. 248 OF THE A.R.E.I.)
The distribution frame has always to be within reach and may not be desposed on the ground (support is
needed).
Protection grade is at least IP 4X.

Differential switch: max. 300mA or more sensible, with a nominal power (In) at least equal to the nominal power
which is put at disposal at the point of departure of the installation.
Before the connection of apparatus and installations the exhibitor has to verify the voltage of all circuits to prevent
the connection of 380V on 220V connectors or circuits, due to a faulty distributor wiring.
The use of a unipolar protection on the neutral in a three-phase circuit with distributed neutral or as main fuse on
the distributing frame is forbidden.
Bipolar circuits (F+N) must be protected on the phase and on the neutral.
The conditions of art. 128 of the A.R.E.I. may be adapted in the presence of an engineer with qualifications BA4
or BA5 or if the sections of the conductors are equal or of very slight difference among each other.
If unipolar interruptors are used in a circuit, the fase-conductor must be interrupted.
No-used cable-entrances on the distributing frame must be covered.
Uni-polar interruptors are not admitted on socket-outlets.
3. CONNECTORS
The use of domino-plugs (threeway plug) is not admitted (table socket-outlets must be used).
Socket-outlets with earth and protection for children are to be used.
Interruptors and connectors for surface mounting must be mounted on mounting-places (PVC).
4. INTERCONNECTIONS OF CABLES
The use of unprotected connectors is not allowed (these connectors are only allowed in distributing boxes
except on luminaires as far as these are completely protected inside the luminaire).
The sealing of contactboxes, distributing boxes (cable-entrance) has to be carried out by the appropriate
elements provided by the manufacturer.
5. LUMINAIRES (ART. 242 OF THE A.R.E.I.)
Using halogen and low voltage spots, no combustible objects may be present in the lightbeam on a distance
less than 50 cm unless otherwise noticed on the spot.
Spot-rails must be mounted at least on a height of 2m. The ends of the rail must be covered by appropriate
caps.
Very low-voltage spots may not be uncorporated in combustible materials.
The use of auto-transformers as a source for very low voltage spots is prohibited (a safety-transformer 8 must be
used).
The transformers in use must be in conformance with a NBN norm or a harmonised norm (EN60-742 or NBN
52-742).
The transformer has to be protected primarily and secondarily for overcurrent.
The protection of the secondary is not necessary if the transformer supports a short-circuit.
Transformers may not be mounted on a combustable support or in a combustible environment, with the
exception of adapted types.
The use of luminaires on very low voltage with bare conductors or bare parts under tension may be admitted
under following conditions:
• This way of illumination can only be used in low combustible surroundings and at a hight of min. 2,5m above
the floor.
• All combustable materials must be removed in a zone around the conductors and the luminaires with a radius
of min. 0,5m.
• A safety transformer 8 must be used in conformance with the NBN-norm or harmonised norms (EN60-742 or
NBN52-742).
• The transformer must be protected in the primary and secondary for overcurrent.
• The secondary voltage of the transformer must be limited to 25V in BB1 and 12V in BB2 situation (BB1 dry
skin, BB2 humid skin).

• The connection of the halogen lamp socket and the bare conductors must be carried out by means of a screw
or an equivalent connection.
Gliding contacts or connection by means of alligator clips are not admitted (risk of spark).
• The bare conductors (cables) must be capable of carrying an electric current (the use of cables with a textile
cove are not admitted).
• The section of the conductors must be able to carry 5 the maximum current in normal conditions and causing
no temperature rise providing a danger.
6. NEON LIGHTING (ART 242 – HIGH VOLTAGE DISCHARGE LAMPS)
The transformers must be in conformance with NBN 575 or NBN C71-388 and carry the inscriptions BNL.
A pictogramm mentioning “danger of life” has to be sticked on transformer and luminaire.
Fed from a separate circuit and controlled by a bipolar switch.
The bulbs and transformer must be mounted on no-combustible supports.
The electrides must be covered.
The use of earth or a metal frame as conductor is forbidden.
7. VARIOUS ELECTRICAL APPLIANCES, MACHINES, ETC...
xcepting appliances on VLV, the protection grade of the electrical apparatus should be at least IP 2X. On top of

this, the machines and appliances under tension, easily accessible to the public and under no supervision of a
responsible, a safety factor IP 4X must be provided (e.g. impossibility to touch a bare conductor under tension).
8. DISCONNECTION OF THE MAINS
he user engages himself explicitly to disconnect every day after businesshour all lights and electrical appliances,

except refrigerators, computers a.o. as far as this is indispensable.
9. SWITCHBOARDS
Opening or modifying switchboards is strictly prohibited.
10. POWER-UP
Power-up is performed exclusively by the authorized staff of Artexis NV.
11. INSPECTION VISIT PRIOR TO POWER-UP
Each stand is inspected by an external company appointed by Artexis NV.
Exhibitors are required to be present during the inspection, for the purpose of designating all elements of the
equipment and to hear in person any remarks put forward.
12. TEMPORARY REPORT OF INSPECTION
In case of any remarks, a report will be left on your stand listing all the violations. Stand holders are obliged to act
upon these remarks. The external service for technical inspection (EDTC) will then, in consultation with Artexis
NV, proceed to re-evaluate the stands.
13.QUALITY OF THE POWER CIRCUIT
stand holders are to personally ensure that voltage stabilizers, no-break mechanisms or surge protectors are put
in place for all applications requiring a “pure” electrical network, for example computer equipment.

attributed to the different exhibitors .
The weight of a light rigging point may never exceed 50 kg.
For a point with or without hoist, up to 250 kg , the maximum load may never exceed 250 kg.
HEIGHT AND POSITION HOIST POINTS
The height of the hoist point and the x , y coordinates will be at our best
respected. Deviations are possible due to the construction of the building and the used hanging method.
MATERIALS AND MODE OF HANGING
For all attachments of your items to the hired suspension points, only approved
materials designed for rigging may be used.
. SUSPENSION POINTS TO 50 KG

The suspension points to 50 kilograms are delivered as a steel cable of diameter
5 mm with a singular Reutlinger cable glider with eye. (See photo). The eye has an
inner diameter of 30 mm. To the ordered item an instruction sheet, on the proper
use of the glider, will be attached. Additional copies of these instructions are freely
available on the Technical Secretariat.
The exhibitor rents a cable and a cable glider. The cable may not be shortened. Any
damage or loss of cable glider and / or cable will be billed.
. SUSPENSION POINTS TO 250 KG

The assessment materials must have a WLL (working load limit) or SWL (save working load). The applied loads
may not exceed 0.5 times the WLL or SWL.
All materials used have to be inspected at least once a year. The latest inspection report should be presented
on simple demand or within 24 hours.

Light bridges may only be fixed with steels or soft steels.
The use of rope, nylon slings or round slings is prohibited.
Picking up the light bridges directly to the hook or the load chain around the light bridge in the hook is

STABILITY
Hoist points requested for securing or supporting unstable structures on the ground will never allowed.
SECURITY
For reasons of security and protection Artexis has the right at all times to take a rigging down or to reduce
a pre-approved suspension (due to eg snow). The exhibitor should be aware that Artexis checks if the
suspensions were made according to the guidelines and the specified weights. If the exhibitor does not
comply with these directives Artexis has the power to disapprove the suspension. In case of rejection Artexis
is not liable for the damages suffered nor financial or reputational.

Partially unscrew the safety nut by hand.
(Don’t unscrew the safety nut completely from the cable clamp)
The cable clamp can now be slid over the cable rub.
By gently pressing the safety nut down, the clamp on the cable can be pushed back down.
Close the safety nut by hand. (NEVER USE TOOLS)
Install the load. Re-tighten the safety nu by hand after fitting the load.
We would like to point out that you are renting the cable and clamp.
The tenant is responsible for the cable, any damage will be billed.
It’s strictly forbidden to cut the cable.

GENERAL CONDITIONS DHL
GENERAL CONDITIONS
All our transactions are subject to the Belgian Freight Forwarding Standard Trading Conditions 2005. The text
of these Conditions has been published under number 0090237 in the Annexe of the Moniteur Belge dated
June 24th, 2005 and is available free of charge upon request. In case of dispute also the Courts of Justice in
Antwerp are competent.
The Belgian Freight Forwarding Standard Trading Conditions 2005 do not correspond in every case to the
activities of DHL Freight (Belgium) NV, DHL Trade Fairs & Events Benelux (hereafter named DHL Trade Fairs &
Events).
Therefore it has been considered necessary to apply additional conditions, which are mentioned below
ADDITIONAL CONDITIONS DHL TRADE FAIRS & EVENTS FOR ON SITE HANDLING &
LOGISTICS
1. DEFINITIONS
DHL Trade Fairs & Events provides logistical services for trade shows, congresses, exhibitions and events by
order of show organisers, stand constructors or any possible other parties.
Client: company or organisation which orders DHL Trade Fairs & Events to perform any logistics operation.
Stand holder: company or organisation which participates in trade shows, congresses, exhibitions and events.
Stand constructor: company which constructs and/or decorates the stand by order of a stand holder or show
organiser.
Hall owner: owner of the location (building, space) where trade shows, congresses, exhibitions or events can
take place. They rent space to organisers or give it at their disposal.
Organiser: company or organisation which organises trades shows, congresses, exhibitions or events on a
certain location (building, space) of which it is not the owner.
Representative: unless otherwise agreed, DHL Trade Fairs & Events shall consider any person who gives order
(verbal or written) to perform any logistics operation as authorised representative of the client for whom the
operation is performed. The representative declares himself in agreement with the additional conditions for on
site handling and logistics as described here and also with the Belgian Freight Forwarding Standard Trading
Conditions. This representative shall be considered by DHL Trade Fairs & Events as being authorised to give
instructions during the execution of the operation.
On site logistics: All operations being carried out by DHL Trade Fairs & Events during the build-up and
dismantling of a trade show, congress, exhibition or event. The operations include all activities in connection
with loading unloading of trucks with mechanical appliances (forklift truck, crane, …); delivery to, collection
from or positioning of goods on the stand; assistance during assembly or disassembly on the stand; storage of
empty packaging and/or goods during the show; rental of mechanical devices without operator (forklift truck,
scissor lift, pallet truck,…), … This list is not exhaustive.
2. EXECUTION OF OPERATIONS
a. All operations carried out by DHL Trade Fairs & Events are at the expense and risk of the client.
b. DHL Trade Fairs & Events is present on location during the normal working hours (Mon-Fri 08.00 – 17.00
hours). Operations carried out during these hours are invoiced according to the normal tariffs. Operations
carried out outside these hours are subject to surcharges. The applicable surcharges are mentioned in the
tariff.
c. When operations need to be carried out outside the normal build-up or dismantling period of an event, DHL
Trade Fairs &Events retains the right to invoice any related charges like travelling time, waiting time entirely to
the client.
d. When the client requests for handling material for the execution of the operation which is not present on
location, then this material can be deployed on request and with reservation of availability. The entire
charges for rental, transport and operation of this material will be invoiced to the client.
e. When the operation requires other aids than these ordered by the client, then the required material can be
deployed on request and with reservation on availability. The judgement if other material is required will be
made by mutual agreement of DHL Trade Fairs & Events personnel and the client. The entire charges for
rental, transport and operation of this material will be invoiced to the client.
f. If after a written confirmation of an order placed by the client, the operation does not need to be carried out
and this order was not cancelled minimum 1 day in advance then DHL Trade Fairs & Events retains the right
to invoice up to a maximum of 50% of the order to the client.

g. DHL Trade Fairs & Events retains the right to postpone any operation like loading/unloading under the following
circumstances:
1. The operation contains risk to cause damage to goods and/or third parties and/or persons. The causes can
be:
a. The physical condition of the goods: damaged, unstable…
b. The operation may not be carried out with the requested handling material due to safety or physical
restrictions.
c. The client or his representative does not give clear instructions during the execution of the operation.
d. No correct information was provided by the client concerning the goods (nature, dimensions, weight …)
or concerning the nature of the operation to be carried out.
2. The required handling material is not present.
3. It is not clear by whose order the operation must be carried out.
4. Consignees details in or out are not clear or incomplete.
5. The instructions of DHL Trade Fairs & Events personnel are not being followed correctly.
6. The location where the operation should take place is not accessible or available.
7. Stand constructor / stand holder is not present during loading or unloading.
3.RESPONSABILITY CLIENT
a. Goods are not automatically insured. The client arrange for his own (transport) insurance.
b. The stand constructor / stand holder is presumed being present during the execution of the operation to give
instructions and to supervise the operation.
c. The client is responsible for the conditions on or around the stand, as to execute the operation within the
agreed time.
d. The client is responsible to give written instructions concerning te operation to be carried out.
e. The client is responsible for the correct labelling of the goods for transport.
f. The client is responsible to present the goods for transport according to the RD of 27th April 2007 regarding
cargo securing. This law is effective since 10th September 2009. The client is required to present a ‘stable’
load for transport.
4. VERANTWOORDELIJKHEID DHL TRADE FAIRS & EVENTS
a. DHL Trade Fairs & Events is not responsible for the content of packages.
b. DHL Trade Fairs & Events is not responsible for the number of packages being collected from or delivered to
the stand, as well as being taken from or put into storage.
c. DHL Trade Fairs & Events delivers the goods directly to the stand, after which these stay on the stand at the
expense and risk of the stand constructor / stand holder.
d. DHL Trade Fairs & Events can in no circumstance be held responsible for damage to or disappearance of
goods which remain unattended in the exhibition halls and or stand locations.
e. DHL Trade Fairs & Events is not responsible for incorrect loading of goods in the absence of the client.
f. DHL Trade Fairs & Events is not responsible for damage caused by incorrect stowing of the goods when the
client gives insufficient or no instructions.
g. DHL Trade Fairs & Events is not responsible for damage caused by the use of inappropriate transport means by
the client.
h. DHL Trade Fairs & Events is not responsible for damage / disappearance caused by third parties at the show
site who do or do not perform operations by order of the hall owner / show organiser.
i. DHL Trade Fairs & Events only accepts responsibility for damages if these are reported immediately and before
leaving the show site so that DHL Trade Fairs & Events is enabled to establish and assess the damage.
5. INSTRUCTIONS OF HALL OWNERS / SHOW ORGANISERS
a. Handling of goods, storage of empty packaging or goods of clients by order of the hall owner, show organiser
or other interested parties will be carried out at the expense of the stand constructor / stand holder.
b. Charges for operations caused by changes in the organisation (alteration of build-up / dismantling period,
location…) will be invoiced to the stand constructor / stand holder.

6. STORAGE OF EMPTY PACKAGING AND FULL GOODS DURING THE SHOW (NON-ACCESSIBLE)
a. Empty packaging: empty crates pallets, carton boxes … necessary to pack goods after the show.
b. Full goods: Packaging in which still remain goods, tools, pallet trucks, ladders ... and which are not used during
the show.
c. DHL Trade Fairs & Events is not responsible for nature, quantity and/or content of packaging collected from the
stand during the build-up of a show.
d. When ordering storage a clear indication must be given on quantity of empty packaging and full goods.
e. The storage area for empty packaging is not accessible for the client.
f. Full goods are stored in a guarded storage.
g. After the closing of the show empty packaging and full goods are returned to the stand. After the delivery the
goods the stand constructor / stand holder is responsible.
h. Full goods will only be delivered to the stand when the stand constructor / stand holder is present to accept the
goods.
i. DHL Trade Fairs & Events gives no guarantee at what time the empty packaging and full goods are being
delivered to the stand. The time when delivery starts depends on the instructions of the show organiser.
7. STORAGE OF GOODS DURING THE SHOW (ACCESSIBLE)
a. DHL Trade Fairs & Events is not responsible for nature, quantity and/or content of the packages which are
collected during the build-up of the show.
b. The storage area is accessible during normal working hours, after authorisation and under supervision of a DHL
Trade Fairs & Events employee.
c. The access to the storage area happens at the clients own risk. All instructions given by DHL Trade Fairs &
Events must be respected at all times.
d. The client is responsible for all direct or indirect damage caused by him or by any person for whom he is
responsible.
e. All charges concerning the visit to the storage area will be invoiced entirely to the client.
8. CALCULATION BASIS TARIFFS
a. All tariffs are calculated according to unit (time, volume, quantity) as mentioned in the tariff.
b. The tariffs are always calculated per full unit. Every started unit will be rounded up to the next high full unit.
c. When a minimum is indicated in the tariff, this minimum will be invoiced when the total of carried out operations
does not exceed this minimum.
d. For every order a work order form will be made. This work order will be signed at the end of the operation by
the client, stand constructor or stand holder.
e. Every order which is carried out will be considered as a separate order and will be invoiced accordingly.

Show your professionalism.
Do not take unnecessary risks
Always observe safety rules and regulations!
This list is limited and not exhaustive!
Legal prescriptions always prevail.
WEAR SAFETY SHOES!
Avoid bruises and injuries of your feet both
during charging and discharging and on the
construction site. Always wear safety shoes
when you are working.
WEAR PROTECTIVE GOGGLES!
Avoid eye injuries during risky operations such
as working grinding machines, operating a
pneumatic stapler or an airbrush. Think of your
colleagues’safety as well.
AVOID RISKS AT GREAT HEIGHTS!
Do not use ladders when working at greater
heights, but use an approved scaffold instead.
Always follow the instructions and regulations
when mounting a scaffold.
WEAR A SAFETY HAT!
Protect your head from falling objects and
materials. Wear an approved safety hat as soon
as you enter the site. Remember a safety hat
enhances your visibility to others on the site.
REMOVE WASTE!
Do not let waste drag around on the booth or
in the ails, but bring it to the indicated waste
deposits. An orderly construction site avoids
pile-ups and allows you to work efficiently and
safely.
USE CERTIFIED MATERIALS!
Always use certified materials and tools for floor
covering, canvas, wiring, electricity, lighting,
switchboards, drapes, paint, plastics, panels.
STACK CARGO CORRECTLY!
Make sure all freight is stacked and lashed down
properly, even when it is for a shorter distance.
Rearrange partial freight in order to have a well
balanced stow.
DO NOT WALK UNDER CHARGES!
Observe the safety perimeter around suspended
charges and do not walk under them. Warn your
colleagues and all other people on the site when
you start hoisting.
DO NOT RIDE MANUAL PALLET TRUCKS!
Manual pallet truck is designed to transport
goods, not people. Do not stand on pallet trucks
and do not allow other people to do so.
KEEP AWAY FROM TAILBOARDS!
Keep away from hydraulic tailboards of trucks.
When parking a truck, leave enough free
space at the back to keep the tailboard easily
accessible during charging and discharging
DONOTSTANDONFORKLIFTS!
Forklifts are not suited for lifting people. Only
use a forklift for the jobs it was designed for:
moving goods around and getting them on and
off trucks.
WEAR SAFETY GAUNTLETS!
Avoid bruises and injuries when moving, nailing,
screwing or sawing panels and when cutting
carpet. Make sure your hands do not get
jammed when manipulating heavy objects or
large parts.
LIFT WEIGHTS CORRECTLY!
Do not charge your back unnecessarily
when lifting weights. Use an adequate lifting
technique, thusavoiding strained muscles and
muscular pain. Lifting weights correctly will
make you feel fitter.
USE A SAFETY HARNESS!
When working at greater heights, a safety
harness will protect you from falling. Especially
when you are working on trusses or profiles,
adequate body protection is indispensable.
