DATE
Please use the following form to create a phone tree. In the unlikely event of an emergency, parents may need to be contacted quickly. To streamline the process, please designate one
parent as a phone tree lead for each car load of children. If an emergency occurs, the school teacher at Walden West will begin the tree by calling each lead parent. Each lead parent
will call the first person under their name then drive to Walden West to provide emergency transportation. Please provide each lead parent with a map to Walden West. The first
parent called by each lead parent must call those listed under their name, then after completing all parent calls, call Walden West with the outcome (Saratoga Site: (408) 867-5950). If
a district has emergency bus service, parents will not be needed for emergency transportation, however the phone tree must still be completed. The lead parent will call all
other parents. One phone tree for each class must be submitted. Copies of this phone tree should be distributed to each lead parent, your school office, appropriate administrators,
and Walden West.

CABIN ASSIGNMENTS
Please do not make cabin assignments until you are given specific guidelines
about how many students to put into each group. The cabins vary in size and
the number to put in each group is dependent on the total number of boys and the
total number of girls from all schools attending that week!
At your pre-camp visit, please be ready to let us know how many boys and how
many girls you plan on bringing to camp. If you would like, you can email
([email protected]) or call (408-867-1120) with this information early to
speed up this process. You will then receive an email with the specific number of
students to put in each cabin group. We generally get you this information about 2
weeks before you are scheduled to arrive. That email will give you a deadline for
submitting your assignments – usually the Tues/Wed before you are coming to
camp.
Please stick to the guidelines we provide. Otherwise, we may end up with
students that don’t fit physically in the cabins. If you have fewer students coming
than predicted, please put one less in each group rather than make one group really
small.
Lists should be included in the body of an email. Please be sure to include first
and last names and to spell the students names correctly (the database is made from
these lists). Feel free to include notes with your lists regarding special issues, kids
that should never be together or students that need to be together. The lists you
submit are used to put students in specific buildings, assign hiking groups, make
dining hall table assignments and match up cabin leaders to groups. So, any
information that we need to know is helpful to get with the assignments.
Please remember, it is a big deal to the students who they get to bunk with. We
want them to be in a spot where they will make good decisions as well as have fun.
It may help prevent homesickness/problems to let your students have some input as
to whom they get to be with.
Please alphabetize forms!

Medical Care and Medication Dispensing
A Walden West Health Aide is responsible for medical care necessary for minor injuries and illnesses that
students may incur. For more significant issues, the Health Aide will either call or ask the teacher to call parents
to arrange for additional care. The Health Aide is also responsible for dispensing topical and ingestible
medication. Teachers, please help make sure that medication is packaged as described below:
•
•
•
One-gallon bag labeled with:
o Student’s name
o Teacher’s name
o School
Completed Physician’s Form:
o Parent’s signature
o Physician’s signature
o Correct medication, dosage, route, and time given
Correct Medications
o Up-to-date medication
o Medication is in original prescription container with student’s name
o Prescription matches Physician’s Form
o All medications, including over-the-counter meds, vitamins, cough drops, etc. must be
in the bag and noted on the form.
Most Common Mistakes!
We will NOT dispense medication if:
• The Physician’s Form is not complete
o Parent didn’t sign
o Physician didn’t sign
o Medication doesn’t match form (dosage,
route, extra medication)
• Medications are expired
• Medications are not in original containers
• Extra medications are not on the form
*If the directions on the medication container do not match the Physician’s Form, we will dispense
according to the form.
Check expiration dates!
Needs prescription box!
All medication, including topicals, should be collected by the classroom teacher and
given to the Walden West Health Aide the first day of camp. Medication will be
returned to the classroom teacher on the last day of camp. Walden West will provide
Tylenol though parents must complete a Physician’s Form in order for their child
to receive it. Please contact our Heath Aide at [email protected]
as soon as possible if you have a medically fragile student who has diabetics, severe
food allergies, is on oxygen, etc.

WALDEN WEST HEALTH POLICIES
The ongoing outbreaks of influenza and continuing lice and bed bug infestations in Santa Clara
County have prompted Walden West to develop strict policies regarding these conditions. By
following these policies, you will increase the health and safety of all students participating in
Walden West programs.
Influenza
In an attempt to decrease the impact of an influenza outbreak at Walden West, we are requiring that
all students be temperature free (under 100°) without the use of medications for 24 hours
leading up to their first day of camp. Walden West suggests temperature checks be done at school
before students depart for camp; however, we leave the decision to schools to determine how
temperature checks will be accomplished. We also highly encourage children (and teachers) who
have a sore throat, runny or stuffy nose, body aches, chills, nausea or are experiencing fatigue to stay
home.
Head Lice
Walden West is a lice and nit free zone! Walden West requires all schools to do a head lice
check the Friday before sending students to Outdoor School.
The Friday before students come to Walden West, an initial check must be done at school (not at home)
by a qualified individual. If lice or nits are found, students must undergo a lice treatment and nits must
be combed out. Students who were found to have lice or nits must be rechecked by school personnel the
day they are scheduled to leave for Walden West and be deemed lice and nit free. For a small number
of schools, that have a week off before attending Walden West, the check can be done the last Friday of
school before the break.
We strongly advise all parents to recheck their children the day before camp is to begin. If lice are found,
the child must be treated and nits combed out. Any students found with lice or nits at Walden West will
be sent home immediately. Schools are responsible for transportation. Warning: If one child has lice,
it’s almost guaranteed that more will have it. School representatives are responsible for a complete
check of all students if lice are found at Walden West.
Bed Bugs
In recent years, bed bugs have made a comeback in North America and have been found in hotels and
other living areas. Although the bugs are a nuisance, they do not transmit disease and there are simple
steps to take that will ensure that students do not bring them to Walden West or bring them home.
Information regarding the spread of bed bugs is in the student information packet.
Walden West Medication Distribution Protocol
In order for students to receive any topical cream or medication taken internally, including over the
counter drugs such as Tylenol or Benedryl, a signed Physician’s Form (included in student packet)
giving permission for medication must be signed by a doctor. Walden West will provide Tylenol as
long as students have physician approval.
Thank you for your help and cooperation in making Walden West a safer environment for all the
students. If you have any questions, please call (408) 573-3050.

A. The classroom teacher shall be available on a 24-hour per day basis for consultations

WALDEN WEST OUTDOOR SCHOOL
TEACHER RESPONSIBILITIES (Cupertino Site)
We encourage all teachers to participate in as many facets of the Walden West program as
possible. We love to see you involved in field classes, as well as in all other activities (so do
your students). However, we need you most when the students are on site. The duties listed
below are those you will be responsible for. All teachers will share duties with other teachers
and are expected to cover only a few each day.
1. TEACHER MEETING
Attend and participate in the on-site orientation meeting during the first morning of outdoor
school.
2. FIELD AND CABIN GROUPS
Assist staff in assigning students to field and cabin groups during first morning of outdoor
school. (Badger, Walden West director at the Cupertino site, will be contacting you ahead of
time with directions for forming your cabin groups.) Cabin groups must be organized and
lists emailed to [email protected] a full week before attendance.
3. CABIN INSPECTION
This entails checking and scoring each cabin on a scale of 1-10 based on neatness and the
number of teddy bears. This is usually done each morning after 9:00, but can be done any
time before 3:30.
4. RECESS DUTY AND/OR DISCIPLINE DUTY
Monday, Wednesday, and Thursday 3:50 p.m. - 4:45 p.m. and Tuesday 1:00 p.m. - 1:30 p.m.
During recess your first priority is to meet with students who are on the discipline list. If you
have signed up for recess duty but need to meet with students, ask another teacher to cover
for you until you are free. Your recess responsibility is to monitor the sports court to make
sure students are playing appropriately (no school against school, cabin against cabin, or
boys against girls). Trust your judgment as to proper behavior.
5. TEACHER/STUDENT MEETING
On the second day of outdoor school, immediately after lunch (approx. 1:00), meet with your
class so your students can complete a questionnaire about their Walden West experience thus
far. Collect, read, and organize forms by cabin so you can meet with cabin leaders at 4:15 to
discuss the responses. Inform Walden West staff members of any issues they should be aware
of. After questionnaires have been completed, supervise recess if you are on duty.
6. CABIN LEADER/TEACHER MEETING
On the second day of outdoor school, meet at 4:15 with cabin leaders in the dining room to
discuss student comments. (You should have time to address discipline issues with your
students from 4:00-4:15, before the cabin leader meeting.) Walden West staff members will
supervise recess during the meeting.
7. SHOWER COVERAGE
Monday - Thursday 4:45 p.m. - 5:30 p.m. Although cabin leaders will be in charge of their
cabin during shower time, problems may occur. You can help by monitoring cabins while
showers are going on. Please…female teachers in girl’s cabins and male teachers in boys'
cabins. Students should be dressed and ready for dinner by 5:30.
8. CLASS MEETING/EVENING WATCH
Monday - Thursday 6:30 p.m. - 6:45 p.m. The time immediately after dinner is set aside for
you to meet with your students. It can be used for discussion, journal work, letter writing,
etc. Although we have some materials, you may wish to bring your own. It is your time to
be with your students, and is required on the first and last night. We encourage you to meet
with your students on other evenings, as well.
When you finish meeting with your students, please monitor the main quad area and visit
cabins. This can be a very volatile time and the more visible you are, the better.
9. EVENING PROGRAMS
Each evening from 7:00 p.m. to 9:00 p.m. there are evening programs. We love teachers to
participate in all of them, but most important are Tuesday’s Astronomy program (during 5day programs) and Thursday’s Jeopardy game.
10. NIGHT PATROL
Monday - Thursday 9:00 p.m. - Quiet. After students are dismissed from the evening
program, you should be available and on patrol to help students settle in for the night. At
9:30 p.m. cabins should be given their first score, from 1-10, depending on how quiet they
are and if lights are out. We need your help until students are quiet.
11. FIELD CLASS
Although we do not require teachers to attend field class or night programs, the experience is
extremely beneficial to both you and your students. Your students love to see you participate
and it gives you the opportunity to mingle with them on a more personal level.
12. FRIDAY CLOSING PROGRAM
Friday’s closing ceremony now includes a reflective slide show of your students’ week at
Walden West. We ask that during the week you take digital photos of your students and work
with other teachers to create an iPhoto or PowerPoint presentation for students. Bring a blank
CD and you can walk away with a show perfect for your Open House. By the way, we have
wireless connection with the outside world.
13. EXIT MEETING
All teachers are expected to complete an evaluation questionnaire and participate in an
evaluation meeting Friday (10:15 a.m.).
Hopefully, these responsibilities are not too overwhelming. You will get lots of help from the
other teachers and, just as we tell the cabin leaders, what you put in is what you get out. Thank you
so much for your participation in the Walden West program. We appreciate your help!
