Introduction

Software Installation Guide for Dictaphone® Enterprise Speech System
Installation Overview
This document contains the instructions and procedures you need to follow to set up and
configure each user’s workstation. You will need to:

For Word Client/Correction Client and Enterprise Editor, ensure that your administrative
user login has the necessary access rights on the workstation. Refer to the check list in
Appendix A.
Log on to your workstation as an administrative user.
Refer to Knowledge Base Solution #12207 for antivirus exclusions and other
recommendations.
Ensure that the workstation meets all the prerequisites for the applications you intend to
run on it. Refer to resource document ESSA001 for operating system, memory, and other
requirements.
Caution: It is very important that you ensure that the workstation meets ALL
requirements before you begin the installation process.

Install and configure Microsoft® Word, if it is required for the applications you are using.
Configuration instructions begin on page 5.
Install the applications you intend to use. To determine which applications you need, refer
to “Selecting the Applications to Install” on page 3.
Run each application, and allow the application to auto-upgrade to the latest version if
needed.
Important Notes:
• Installing applications requires that you log on to the workstation as an administrative
user. If you do not have administrative rights on your workstation, contact your system
administrator or IT department.
• Before installing Enterprise Text, Enterprise Editor, or Enterprise Workstation®, you
must install Microsoft Word, along with any applicable service packs, and configure it
according to Nuance specifications. For more information about required and
recommended Word settings, refer to the procedures beginning on page 5.
• If connectivity to multiple servers is required, contact your Nuance Healthcare service
representative or project manager and refer to the section on About the Host Selector
Applications.
• You must have a license to run each of the Enterprise applications. See your system
administrator for information on licensing.

Selecting the Applications to Install
Consult your Nuance representative to obtain the installation files referenced in this chapter.
The applications you need to install depend on the job functions of the person using the
workstation. Refer to “About the Host Selector Applications” on page 4 for some important
information regarding the host selector applications.
Note: You must be logged into your workstation with administrative privileges to install the
applications.
System Administrators’ Workstations
System administrators typically use the following applications:
• Enterprise Voice
• Enterprise Text
• Customization Client
• EXText tools (Routing Queue Viewer and EXText System Monitor)
• RightFax
Transcription Users’ Workstations
Transcription users need either Word Client (with TransNet) or Enterprise Editor. Word Client
with Enterprise Speech requires installation of Correction Client as well. Users who connect
Word Client to more than one server, or who switch between Word Client and Enterprise
Editor, need the Enterprise Text Host Selector application. Other applications can be installed
at the discretion of the system administrator.
For versions of Enterprise Editor prior to 8.0, you must set up at least one site using the Site
Installer (page 111). In versions 8.0 and higher, you can set up sites directly from the
Enterprise Editor login dialog box.

About the Host Selector Applications
Beginning with Version 7.0, all users who connect the client applications to more than one
server are required to use the Enterprise Text and Enterprise Voice Host Selector applications.
The host selectors provide an efficient way to switch between servers. Because system
upgrades do not always occur on all servers at the same time, the various servers are not
always loaded with the same version of the software. Switching from one server to another
can therefore require a time-consuming download and upgrade each time. The host selector
applications streamline the process of switching servers by storing the configuration data for
each server on your workstation.
Note: Enterprise Editor has its own host selection capability; it does not require the use of
the Host Selector to switch between servers. Word Client users who want to switch to
Enterprise Editor, however, must run the Enterprise Text Host Selector before starting
Enterprise Editor.

Configuring the Microsoft Word Settings
This chapter provides the required settings for Word 2003, Word 2007, and Word 2010 for
Enterprise Editor and Word Client. Refer to the instructions that apply to your version of Word.
The Word settings described in this chapter are necessary for the Word Client or Enterprise Editor
software to function correctly with Word. If you fail to set the options exactly as shown here, it is
likely that Word Client or Enterprise Editor will not perform properly.
For Enterprise Editor 7.5.2.4 and higher, the software automatically makes some of the settings
for you when you first open a document, therefore you need only confirm that the required,
recommended, and optional settings for your version of Word have been made. In addition, be
sure to review these sections:

•
“Deleting Previously-Installed Microsoft Office Components” on page 8
•
“Word as Outlook Default Email Editor” on page 8
•
“Setting the Style Set Option” on page 22 (for Word 2007)
All required and recommended settings are provided here for your reference.
Caution: Ensure that the default driver for the local printer is installed on the workstation.
This driver must be a copy of the driver added to the server on which the EXText router
service resides; the same driver should also be loaded on the administrator’s workstation
prior to any setup of templates.
Word Add-Ins
Caution: This section includes instructions for modifying the workstation’s registry settings.
Only advanced Windows users should attempt these actions. Be sure you have backed up the
registry and are familiar with the procedure for restoring it before making the changes
described in this section. Incorrect registry settings can result in software malfunction and
permanent data loss, and might require re-installation of the operating system.
Word add-ins can interfere with proper functioning of Word Client or Enterprise Editor.You
should uninstall all or most Word add-ins before attempting to run Word Client or Enterprise
Editor. Because there are many add-ins available, and many possible combinations of add-ins,
and because some work successfully with the Nuance software and others interfere with its
performance, it is impossible to provide a comprehensive set of recommendations as to which
add-ins to permit and which to remove. The Stedmans add-in has been found, in general, to
work with Word Client and Enterprise Editor. The Office Live, Star Radiology (HBOC), and
Adobe add-ins are known to create conflicts.
As customer, it is your responsibility to test Word Client or Enterprise Editor and determine
whether it functions correctly with the add-ins that are installed, and to remove any that create

a conflict. If Word Client or Enterprise Editor does not function correctly, you should check
the workstation for any Word add-ins and then test for better performance with one or more of
them removed. It is recommended that you completely uninstall the add-ins rather than just
de-selecting them.
Checking for Word Add-Ins
To check for Word add-ins:

In the main Word window, select Tools > Templates and Add-Ins.
Select the Templates tab.
Deleting Word Add-Ins
Add-ins can be removed/disabled using the following methods:
• Uninstall the add-in through Control Panel > Add/Remove Programs.
• Set the LoadBehavior to 0, or delete the key for that add-in through the registry under
HKEY_CURRENT_USER\Software\Microsoft\Office\Word\Addins.
• Remove the add-in file from the Microsoft Word/Office startup folder.
• Follow the procedures in Knowledge Base Solution #13528 for Word 2003 or #13529 for
Word 2007.

Deleting Previously-Installed Microsoft Office
Components
Under HKEY_CURRENT_USER\Software\Microsoft\Office you will find keys
relevant to each version of Microsoft Office installed on the workstation. Often
previously-installed components will still be present here. Office Version 11 (2003) is the
latest version compatible with Word Client/Correction Client. If you see Office\12.0 or
Office\14.0 keys here, this indicates the presence of Office 2007 or Office 2010 components.
Other than compatibility packs, these components must be completely removed/uninstalled.
If additional versions are present here but not showing under Add/Remove Programs, delete
the “Data” key as highlighted below for any version other than the current installation version.
If the data key for your present version is deleted, it will be automatically recreated next time
Microsoft Word is launched.
Word as Outlook Default Email Editor
If you designate Word as your Outlook default email editing program, it is likely that Word
Client or Enterprise Editor will not function correctly if email is open.
In Word 2007, do not open email and do not have other instances of Word open while using
Word Client or Enterprise Editor. For all other versions of Word, follow the procedure below
to remove Word as the Outlook default editor.

To remove Word as the Outlook default editor:

From the main Microsoft Outlook window, select Tools > Options.
Select the Mail Format tab.
Clear the Use Microsoft Word to edit e-mail messages check box.

Uninstalling Unapproved Versions of Word
Only the approved versions of Word may be used with Enterprise Editor or Word Client.
Before running Enterprise Editor or Word Client, you must remove any old or unapproved
Word versions from the workstation. Failure to cleanly uninstall these versions of Word or
Office can cause the Nuance software to malfunction.
If you are unable to uninstall Word using the Add or Remove Programs feature in the
Windows Control Panel, then follow the instructions in this Microsoft Knowledge Base
article.

Word 2003
Use this section if the workstation is running Microsoft Office 2003 Professional Edition or
Word 2003 Standalone. When you have made the settings, close all applications and restart
the workstation.
Notes:
• Before you begin, you must exit (not just log off) the Enterprise Editor, Word Client,
and EXText Explorer applications. Then start Microsoft Word to open a blank
document.
• You must set the circled items to the values shown. It is recommended, but not required,
that you also set the other items as shown.
• EX Editor 7.5.2.4 and higher only: When you start the software and when you first
open a document, the software automatically sets the required (circled) items to the
values shown; you do not need to configure them.

Setting the Text Services Options
To set the text services options (Word 2003):

In the Windows Control Panel, select Language and Regional Options.
The Text Services and Input Languages dialog box opens.

Click Apply.

Word 2007
Follow the procedures in this section if the workstation is running Microsoft Office 2007 or
Word 2007 Standalone.
You will need to:
• Set the style set default option, which affects line and paragraph spacing
• Set all other Word 2007 options
When you have completed the procedures below, close all applications and restart your
workstation.
Note: Before you begin, you must exit (not just log off) the Enterprise Editor, Word Client, and
EXText Explorer applications. Then start Microsoft Word to open a blank document.
Setting the Style Set Option
The new default settings in the Word 2007 style set can cause line and paragraph spacing to
display incorrectly in Enterprise Editor. To prevent this from occurring, you must change the
style set to Word 2003.
To set the Word 2007 line and paragraph spacing options:

Installing the Enterprise Text
Applications
Note: Before you begin the procedures in this section, ensure that you have installed
Microsoft Word and configured it according to the specifications given. See “Configuring
the Microsoft Word Settings” on page 5.
This section provides instructions for installing the current version of the Enterprise Text
applications on administrators’ or transcriptionists’ workstations.
For system administrators who will use the Enterprise Text applications and for
transcriptionists who will use Word Client without Enterprise Speech, follow the procedure
below to install the current version of the Enterprise Text applications.
You will need:

For transcriptionists who will use Word Client with Enterprise Speech, follow the procedure
below to install the Enterprise Text client applications and then follow the procedure on

Installing the Enterprise Voice
Applications
This section provides instructions for installing the current version of the Enterprise Voice
applications. Unlike the Enterprise Text installation, you must install each file on the
workstation separately.
•
EXV Explorer—Install this application for users who manage the setup and configuration
of the Enterprise Voice system. (Dictaphone_EXV_Explorer.exe)
•
EXV Job Lister—Install this application for users who manage the jobs on the Enterprise
Voice system. (Dictaphone_EXV_JobLister.exe)
•
EXV TransNet—Install this application for users who transcribe jobs from the Enterprise
Voice system. Those using Word Client with integrated TransNet or Enterprise Editor
might not need this application. (Dictaphone_EXV_TransNet.exe)
Important: You must have a connection to your server in order to run these
applications. Refer to “About the Host Selector Applications” on page 4,
“Installing the Host Selectors,” on page 123, and “Using the Site Installer” on
page 111 (for versions prior to 8.0) if you need to connect to more than one
server.
To install the Enterprise Voice applications:

Double-click the .exe file for the application you want to install. The installation starts.
In the Dictaphone EXV InstallWizard box, click Next.
Enter your name in the User Name field, enter your company or facility name in the
Organization field, and click Next >.
4. In the Destination Folder box, click Next > to accept the default location.

6. Click Finish.
7. Repeat Steps 1-6 as required to install the remaining applications required for the
workstation.
8. When you have installed all the Enterprise Voice applications on the workstation, start
one of the applications by double-clicking the shortcut icon on the desktop.
9. In the Language Selection dialog box, click English and Don’t ask me this again
and click OK.
10. In the License Agreement dialog box, read the license agreement, click Do not show
this again, and click Yes.
11. When the EXV Commander Selection dialog box opens, click New and configure
your server connection.

your workstation. It is recommended that you attempt the installation first. If any
components are missing, the installer stops and provides a list of the missing items.
You can then obtain the prerequisites file from your Nuance representative, install the
files you need, and rerun the Enterprise Editor installation.
Overview of the Installation Process
You will need to:

installed on your computer. Refer to Checking for and Installing the .NET Framework

computer. Refer to Checking for and Installing the .NET Framework 4 and Security
Updates beginning on page 91.
Begin installing the Enterprise Editor software (page 101). If you are missing any
prerequisites, the software stops the installation process and provides a list of the
missing items.
Only if the installation fails because a prerequisite file is missing:
a. Obtain the prerequisites file from your Nuance representative. The prerequisite
package includes all of the required components, but you need to install only the
ones your workstation is missing.
b. Install the prerequisites you need, following the instructions in Installing the
Enterprise Editor Prerequisites beginning on page 106.
c. Begin the Enterprise Editor software installation again (page 101).
For versions prior to 8.0, use the Site Installer to create at least one host site. For 8.0
and later, follow the instructions in the Enterprise Editor Courseware and Reference
Guide to create the necessary site(s) from within the Enterprise Editor application.
Have the transcriptionist log into Windows with his or her own Windows login. Then
start the Enterprise Editor software. It is important that the first launch of the
Enterprise Editor software be under the transcriptionist’s Windows login, not the
administrative user account you used to install the software.

Checking for and Installing the .NET
Framework 3.5 SP1 and Hot Fixes
Enterprise Editor 8.1 and prior versions require .NET Framework 3.5 SP1 and its family
updates. Before you begin installing Enterprise Editor, check your workstation to ensure
that the .NET Framework has been installed. Follow the instructions in this section to
download and install any missing files.
Checking for the .NET Framework and Hot Fixes—
Windows XP
To check for the .NET Framework and hot fixes on an XP system:

Before you begin installing Enterprise Editor 8.3, check your computer to ensure that the
.NET Framework 4 and any necessary security updates have been installed. If any of these
items is missing, you can follow the instructions in this section to download and install it.
Checking for .NET Framework and Security Patches
in the Windows XP Operating System
Note: The information in this section is based on the Windows XP operating system. By
default, Windows 7 comes with the required .NET Framework 4 already installed.
To check for .NET Framework 4 and security patches:

Installing the Enterprise Editor Software
Allow about 20 minutes for installing the Enterprise Editor software. Before you begin, be
sure the .NET Framework 3.5 Service Pack 1 and its family updates, and .NET Framework
4.0 and its security updates, have been installed on your computer. See Checking for and
Installing the .NET Framework 3.5 SP1 and Hot Fixes beginning on page 74, and Checking
for and Installing the .NET Framework 4 and Security Updates beginning on page 91.
Installation of the Enterprise Editor software requires that several other Microsoft-supplied
components be installed on your workstation. Depending on your operating system, service
pack, and Word version, some or all of these components might already be present. It is
recommended that you begin by attempting to install the Enterprise Editor software. If
required components are missing, the Enterprise Editor installation stops and prompts you to
install the missing components. Make a note of which items are missing. Refer to Installing
the Enterprise Editor Prerequisites beginning on page 106 and then follow the procedure
below to resume installation of the Enterprise Editor software.
To install the Enterprise Editor software:

Prerequisites
You need to use this section only if you have attempted to install the Enterprise Editor
software and the installation has stopped because your workstation is missing one or more of
the prerequisites.
When you begin installing Enterprise Editor, the installer checks your workstation
automatically for some required items. If they are all present, the installation proceeds.
Otherwise, you will see one of the messages described in the following sections. The message
you see depends on which items are already on your workstation and which items still need to
be installed.
This section provides instructions for obtaining the prerequisite files from the Microsoft web
site. The files are also available in a self-extracting file you can obtain from your Nuance
representative.
Using the Self-Extracting Prerequisites File
You will need:

To extract the installation files:

missing. Follow the procedure below.

Enterprise Voice Host Selector
Users who need to access multiple Enterprise Voice systems must use the Enterprise
Voice Host Selector application. The Enterprise Voice Host Selector works with versions
6.5 and later.
The following applications and versions are included in the Enterprise Voice Host
Selector:
• Job Lister, Client Viewer, Enterprise Voice Explorer, and TransNet
• Versions 6.5, 7.0 SP1, 7.0 SP2, 7.0 SP3, 7.5, 8.0, 8.1, and 8.3.
To use the Enterprise Voice Host Selector, the user must have local administrative rights
on the workstation.
To install the Host Selector, you will need:
• Dictaphone EXV Host Selector.exe
Note: After installing the Host Selector application, do not run the client applications
outside of the Host Selector. Doing so will not harm the Host Selector installation, but it
could harm or disable the applications installed prior to using the Host Selector. We also
recommend that the File > Connect menu items in the individual client applications never
be used when you are using the Host Selector.

Chapter 7: Installing the Host Selectors
Enterprise Text Host Selector
Users who connect the Enterprise Text client applications to more than one server must
use the Enterprise Text Host Selector. Follow the procedures below to install the
Enterprise Text Host Selector software. You will need:
• HostSelectorInstall.exe
Installing the Enterprise Text Host Selector
Follow the procedure below to install the Host Selector on your workstation.
To install the Host Selector application:
1.
Double-click the file HostSelectorInstall.exe. The first InstallShield Wizard dialog
box opens.

Click Next >. The Install Folder prompt appears.

Browse to and select the folder where you want to install the Host Selector application.
The default folder is C:\Program Files\Dictaphone\Host Selector, but
you can select another folder if desired.
Caution: It is strongly recommended that you not install the application in the
DocNet folder or any of its subfolders, such as DocNet\bin. These folders will be
moved when you switch from one host to another.

Before You Begin
Before beginning your checkout procedure, confirm the following items:

The workstation meets all minimum specifications in resource document
ESSA001.

Your login has all the access rights listed in Appendix A for Word Client.

Microsoft Word is installed.

Microsoft Word service packs have been applied.

The latest Microsoft operating system updates have been applied.

Any undesired Word add-ins have been removed. Refer to “Word Add-Ins” on
page 6.

All Word settings are configured as indicated in Chapter 2 for your version of
Word.

The system administrator has special-assigned your login a test dictation from
Job Lister, and you have confirmed the login ID with the system administrator.

Antivirus exclusions have been applied following instructions in Knowledge
Base article 12207.
Notes:
• You must be logged into the workstation as a local administrator to perform the
install/upgrade.
• Do not log into the application as a local transcriptionist unless you also logged
into the network with the same user ID. Use the logins supplied in this document.
Word Client Checkout Procedure
To confirm that Word Client has been installed and configured correctly.

Play the voice job using the foot pedal. Test all foot pedal functions:
• Center—play
• Left—rewind
• Right—fast forward
Check the audio volume and clarity. You can adjust the audio by pressing F2.
Press Ctrl+N to save (spell check, save, route, upload, and sign off voice file) the
document. At the prompt, confirm that you want to complete the document.
On the main menu, click Exit EXText.
Confirm that the Word session closes. If Word does not close, the test has failed.
Note: On remote workstations, check the VPN connection, if possible, before
releasing the workstation to the transcriptionist.

Enterprise Editor Checkout Procedure
Note: When you log into Enterprise Editor for the first time, Word sets the location for the
normal.dot(m) file for the current Windows account that is logged in. If you are logged
into Windows as the administrator when the application is installed, and use the
transcriptionist account to log into the application, the transcriptionist will NOT be able
to access the administrator's normal.dot(m) once he or she logs into Windows for
production use, and the application will fail to load. After installation using an
administrator’s account in Windows, either log into the application with an application
user account that is dedicated solely for testing purposes (not the transcriptionist’s
account), or have the transcriptionist log into Windows to launch the application for the
first time to perform this checkout procedure.
To perform the checkout procedure:

Start Enterprise Editor:
• Right click the shortcut on the desktop and select Open.

• Select Start > Programs > EXText Client Applications > Enterprise Express
Editor.
Type the Login ID and password supplied by your system administrator, and press

personnel.

EWS ESig and Self-Edit Test
Perform the following tests from an ESig / Self Edit workstation with a PowerMic installed.
Be sure your initial login to the workstation has local administrator rights. You will also need
good name resolution (DNS) for full functionality – you might have to make entries in the
host’s file on the workstation for the EWS server.
You will need to:
•
Add the EWS Web server as a trusted site on the workstation (below)
•
Test the ESig and self-edit functions (page 157 to page 158)
•
Create and test a shortcut (page 159)
Adding the Web Server as a Trusted Site
To add the Web server as a trusted site:

Click Sites. The Trusted sites dialog box opens.

In the procedures below, you will log in to EWS, dictate a test report, and sign and view

Select Voice Editing. The download and setup begins, and a progress bar appears.

Complete the Mic Wizard. Following completion of this wizard, the software load

Complete the first enrollment screen, and then click Next.

Dictate your test report. When the report is complete, press the upper left-side button
on the microphone to present your recognized dictation.

Testing Shortcuts
Follow the procedure below to ensure that shortcuts are working correctly. You will need
to create a shortcut and then use it in a dictation.
To create a shortcut:

Click New.
Type a Shortcut name, for example, leg.
Enter a sentence in the expanded text area, for example, Leg was in normal
alignment.
Click OK. Your newly-added shortcut appears.

Select the Visits tab.

Dictate a new report following the procedures on the previous pages. In the report, use
the shortcut you just created. Precede the shortcut key word with “Dictaphone.” For
example, say “Dictaphone leg.” The expanded text should appear in the document.
