How the Live Auction Works

WELCOME
Good evening and welcome to our SHS Auction 2016: Passport To Education, “A Trip Around The
World.” Thank you for coming to our grand event and for supporting our school. These auctions
help support operational costs of the school and keep the tuition affordable for families. More
importantly, this evening is about coming together as a Parish in support of Catholic Education and
community of purpose as a Catholic Family.
We share our sincerest gratitude to all those who have made this special evening possible. We
know it took the gifts of time, talent and money from our school families and benefactors to bring
us together tonight. We especially thank the Auction Committee Members who have invested
their time and creativity to ensure the success of our Annual Auction.
Sacred Heart Parish and School would also like to acknowledge the enormous support provided by
the local business community through their many generous donations. Their generosity enables
Sacred Heart School to continue educating the whole child: body, mind and spirit. We encourage

Sign-Up Events
This year we have several Sign-Up Events that have been donated
by families and businesses. You do not “bid” on these items.
There is something for everyone from exquisite dining at Praga to
Sacred Heart Swim Night and everything in between. Simply
purchase a place for the event(s) of your choosing on the tablet or
smart phone bidding system and receive a ticket/invoice to the
event at check out. Space is limited so don’t delay!
“Golden Ticket” Raffle
Sacred Heart Auction Committee has offered ONLY
50 “Golden Tickets” for $100 each. At 7:45 p.m. this
evening, one ticket shall be drawn at random. The
owner(s) of the winning ticket shall select any single
item from the Live Auction or any Class Gift as their
prize. Live Auction item #31“Let Me See Your Smile!”
is excluded from this raffle.

Treasure Chest Raffle
Win up to $100! This fun raffle is full of treasures of all
kinds! Buy raffle tickets $5 each or 5 for $20 for a
chance to pull a treasure from the chest! This chest is
full of gift card loot worth up to $100! Winner must be
present.
“Fund-A-Need”
Classroom Challenge
At the beginning of April each class was given a
special container to fill with spare change. You can
add to the class donation of your choosing by
placing a “bid” on the tablet or Smartphone bidding
system to the item number designated to the class.
Class totals will be posted periodically throughout
the evening. The class with the highest total at the
end of the evening will win an Out Of Uniform Day
and Pizza Party! All proceeds will be added to the
Fund-A-Need collection.

Auction Rules
1. You will have a pre-assigned 3 digit number which must be used for all bidding. Use only the
number assigned to you.
2. Touch pad technology will be used for bidding on silent auction, sign up events and all raffles.
Paddle raise will be used for Live Auction and Fund-a-Need. Instructions for touch pad and smart
phone bidding are enclosed with this program and posted throughout the room. Volunteers are
also available to assist you.
3. Values set forth for both Live and Silent Auction Items are a good faith estimate of the fair
market value, which the donor has placed on the item. Charitable donations are limited to the
excess of the amount paid over the value of the item. Purchasers should retain their receipt
which they will receive at checkout for tax purposes. Additional notifications will not be sent.
4. We have tried to describe items listed in the program book correctly, but all items are sold “as
is” and we neither warrant nor represent, and in no way will be responsible for the correctness of
description, genuineness, authorship or condition of items. No statement contained in the
Program or made orally at the Auction or elsewhere will be deemed a warranty, representation or
assumption of liability.
5. The SHS Auction Committee reserves the right to change, add to, or remove from the Auction,
any items it deems appropriate, even though the same may have been previously advertised,
catalogued or verbally indicated as being for auction.
6. If your purchase is in gift certificate form, please review it as soon as possible for stipulations
and/or exceptions. Please pay close attention to all conditions and expiration dates.
7. Please contact all condo or “mutually agreed upon” donors as soon as possible so that both
you and the donor are in agreement with the arrangement.
8. Arrangements for use of a condo, vacation home or other privately owned property is subject
to agreement between the donor and the winning bidder. Specifications in the Program are those
made by the donor. These friends of Sacred Heart have been most generous in donating their
properties for your pleasure. It is the responsibility of the successful bidder to leave these
accommodations in the same condition as they were upon arrival.
9. Please do not ask for or offer to sell someone an identical item for a lesser amount than that
which the item sold for at Auction.
10. Payment by the successful bidders must be made following their final purchase of the
evening. Payment may be made with cash, personal check, Visa or MasterCard. Payment in full is
expected this evening.
11. Removal of sold items must be accompanied by a paid receipt on departure and must be
taken from the premises the evening of the Auction. Absentee Bidders will be notified of any
winning bids the first Monday following the auction. These items must be claimed no later than
the first Tuesday following the auction.
12. All sales are final and there will be no exchanges or refunds. We do not replace lost
certificates. No adjustments. Please do not ask donors for exchanges, substitutions or refunds.

Important Tax Information
The IRS requires that Charitable Organizations inform their contributors as to the deductibility
of payments and donations made by patrons for fundraising activities. The following are
guidelines and are provided to assist you in your tax preparation.
 Auction Admission – Each admission is tax deductible to the amount it exceeds the fair
market value which is $5.00.
 Cash Donation – Deductible to the fullest extent of the law.
 Gift Contributions – Tax deductible to the fullest extent of the law. For non-cash property
donations, it is advised that you consult your tax professional, since the IRS has specific
requirements for filing which may apply to you. Contribution of services may not be
deductible; consult your tax professional.
 Raffle Ticket – Not deductible.
The Auction sales receipt is your official receipt of items purchased at Auction. The value set
forth for each item in the program or addendum is a good faith estimate as required by the IRS.
You may deduct only what is paid in excess of each gift’s fair market value.
Checkout Procedures
The wireless bidding system will ensure a smooth and efficient check-out:
1. The bidding system will generate your receipt at the close of the silent auction including all
items which you purchased or signed up for as well as any amounts you donated.
2. Check out will begin at 10:30 pm after the silent auction closes.
3. Several check out stations will be available in the Parish Center entry way. You need only
give your Auction number and name to get your pre-prepared receipt. You may pay by
cash, check, Visa or MasterCard.
4. Following payment:
a. All GIFT CERTIFICATES or TICKETS will be delivered at check out.
b. All OTHER TANGIBLE ITEMS can be picked up at their display table after showing
your paid receipt.
5. All items must be taken with you on the night of the Auction.
6. All items purchased must be paid for and claimed on the night of the auction. You are
required to pay for all items on which you were determined to be the winning bidder and
you will be contacted regarding any unclaimed items.

How the Live Auction Works
The Live Auction will begin at approximately 8:15 p.m. and will continue until all items have
been auctioned.
In order to enter a bid, you must raise your bid card high and be acknowledged by the
auctioneer. This must be repeated each time you initiate or increase a bid. Each bid legally
obligates the bidder to pay his or her bid price in full if the bid is deemed the high bid by the
auctioneer. THE AUCTION WILL BE FAST PACED, SO THE BIDS MUST BE MADE QUICKLY!!
Bid spotters will be present to help attract the auctioneers attention to your bid. Remember,
however, that notifying a spotter of your intention to bid does not constitute a bid until the
auctioneer acknowledges your bid.
If the auctioneer determines that an opening bid or any subsequent bid is not commensurate
with the value of the item offered, he/she may reject the bid and withdraw the item from sale;
if having acknowledged an opening bid, he/she decides that an increase bid thereafter is not of
sufficient amount, he/she may reject the bid. The auctioneer retains the right to announce
conditions of the sale at any time. In the event of any dispute, the auctioneer will have sole
and final discretion in these matters. The high bidder will be acknowledged by the auctioneer
and receipt verifying the item, winning bid amount and winning bid number will be prepared
and delivered to the checkout station. On the auctioneer’s declaration, title to the item and/or
services will pass to the highest bidder who, thereupon, assumes full risk and responsibility
therefore. Our Auctioneer is Mr. Daniel Niestrom.

receive a complimentary framed photo to remember this experience! Participants must be at least 12 years
old and 60 inches tall. Children ages 12-15 must be accompanied by a participating paid adult age 18 or older.

Anyone wishing to place a bid on a Silent Auction Item may do so by manually entering in their Bid
Number on a Slate (wireless computer), and entering in the bid amount. Maximum bid amounts may
also be entered, enabling the system to incrementally increase the bid amount, as necessary, until it
reaches the maximum bid amount designated.
