If providing own set up, space will be available for no charge to exhibiting only artists while selling artists/vendors will be charged as detailed in package. Anthem Celebrates the Arts ● http://bit.ly/1Je3Xnr ● 1 Anthem Celebrates the Arts Date & Times *Application Deadline is November 1st* Event Date: Saturday, November 14, 2015 Event Time: 12:00 - 5:00 PM Installation/Break down of Exhibit Booths Installation- Saturday, November 14, 2015 9:00 AM - 11:45 AM Break down- Saturday, November 14, 2015 5:00 PM - 7:00 PM *There will be a $20/hour fine assessed to any vendor breaking down prior to 5:00 PM All exhibit material must be unloaded and setup by 11:45 AM on Saturday to permit the review of displays by Festival staff and the removal of any trash. Any exhibit not in compliance with these deadlines may not be able to participate. Payment Anthem at Merrill Ranch will not provide vendor space unless full payment is received within 15 days of receipt of application and booth is setup a minimum 15 minutes prior to start of Festival. There will be NO refunds on vendor payments for any reason. Vendor is responsible for all taxes and other impositions by a governmental authority. Booth Space Anthem at Merrill Ranch reserves the right, at our sole discretion, to reject or terminate a vendor application or otherwise remove the booth due to booth content, subject matter, other audio/visual display, or vendor’s behavior, at vendor’s own expense. Interviews, demonstrations, distribution of literature, etc., will be permitted only within vendor’s space. As a condition of participation in the Celebrate Anthem Festival, each vendor, its representatives and agents must agree to and abide by the rules and regulations set forth in these guidelines and in other correspondence of Anthem at Merrill Ranch and its contractors/agents. Insurance Requirements Business owner participants, to the extent applicable, shall provide and maintain at all times prior and during participation the following insurance: 1. Workers Compensation for statutory limits with Employers Liability limits not less than $100,000/$100,000/ $500,000 2. Commercial General Liability Insurance with minimum limits as follows: a) Bodily Injury & Property Damage $1,000,000 per occurrence b) Personal Injury & Advertising Injury $1,000,000 per occurrence c) Products & Completed Operations liability $2,000,000 aggregate d) General Aggregate Limit - $2,000,000 3. Business Auto Liability $1,000,000 per occurrence to include owned, hired and non-owned liability 4. Professional Liability $1,000,000 per occurrence/claim Cancellation Policy Due to the limited number of available booths and the nature of reserving specific booth locations, there are no refunds given for any reason once payment has been received. No Guarantee of Results Anthem at Merrill Ranch does not make any guarantee of results that your company, product or service will receive anything more than exposure. Unless exclusivity has been purchased, it is possible that there will be multiple vendors offering the same or similar products and services. Booth Setup and Construction Booths cannot include or overflow into an aisle or adjoining booths. Construction and setup of booths is the full responsibility of the vendor. Dismantlement of Booth For the safety of patrons and staff, vendor booths and displays must remain assembled and staffed throughout the entire event until event conclusion at 5:00 PM. Security Anthem at Merrill Ranch, Sun City Anthem and Del Webb assume no responsibility for the safety of the property of the occupant of the booth, his officers, agents or employees from theft, damage by fire, accident or other causes. Event vendors that do not carry general liability insurance will be required to sign an insurance waiver. Event vendors that carry general liability insurance for their business, must submit, with their Application to Exhibit, a Certificate of Insurance evidencing required coverage to: Anthem at Merrill Ranch Community Council, Inc. 3200 North Anthem Way, Florence Arizona 85132 ATTN: Jeannie Martens Liability Anthem at Merrill Ranch, Sun City Anthem and Del Webb will not be responsible for loss or damage to displays while being brought in or out of the event site, or while on the premises of the Anthem at Merrill Ranch. In all cases, the exhibitors will assume responsibility for damage to property and accidents and injuries to vendors, employees, contractors, or Festival participants. Vendor will not be responsible for any loss, damage, or liability arising from the sole negligence of the Community Association, the Association’s trade contractors, agents, staff or consultants. The family-friendly event celebrates the season with festivities featuring local artist displays, art activities, live entertainment, art/craft and business vendors, food vendors, and includes a beer & wine garden. All Vendor packages include vendor booth space, booth set up/tear down and supplies are not included. The event will be held outside in our beautiful park setting with most vendor spaces on grass. We expect to have attendees of all ages attend the festival. The ARTIST or ART GROUP is required to install and remove their artwork, in the exhibit, on the scheduled day and time. This exhibit will be held outdoors, on concrete. 2. The ARTIST or ART GROUP is responsible for providing all the necessary display supplies, i.e. hanging wire, tools and personnel for the installation and the removal of the exhibit. Easels/tables will not be provided by the facility. 3. Anthem Celebrates does NOT provide or arrange for wire, tools, additional hanging supplies or labor needed for the installation/ removal of the exhibit. 4. ALL artwork displayed in Celebrate Anthem must be displayed on easels, tabletops or with in designated space. Oversized artwork may be displayed, please contact the event manager to make arrangements. 5. The ARTIST or ART GROUP must present a list of all artwork for each piece of art in the exhibit, prior to the day the exhibit is installed. 6. If the ARTIST wishes to have the exhibit publicized, preliminary information must reach the Event Coordinator 4 weeks before the event date. This information may be included in marketing materials such as: a press release to magazines or newspapers. Materials needed include Resume, Artist's Statement, descriptions of the artwork and any other information you feel is important for the public to know regarding the exhibit or artist group. 7. The ARTIST or ART GROUP will provide their own Title Cards. 8. Food and drinks are available during the event. Attendees may have food or drink in hand as they view artwork. Smoking will be allowed in designated space, not near the exhibit area. 9. Anthem Celebrates will be held on Anthem HOA property. Security will not be provided. 10. Any Shipping/Handling costs will be the responsibility of the ARTIST. 11. ARTWORK will NOT be accepted prior to the installation day and time as scheduled. 13. Please remember all ages will have access to view art displays when selecting your artwork for this show. Please speak with the Event Coordinator if you are not sure if your artwork is family-friendly. 14. Failure to comply with art exhibition rules and regulations will result in immediate cancellation and/or removal of the Art Exhibition.
