Shipping Instructions UASC’s enhanced shipping instruction module improves and simplifies the handling and submission of online shipping instructions. The module will use all data that was provided during the booking stage and will populate as much as possible to make it easier and more convenient for you to complete your shipping instruction. Can I submit any shipping instruction online? UASC offers the facility to submit any shipping instructions online for any confirmed booking either made at a UASC office, via INTTRA or on UASC Online. You can submit one or many shipping instructions per booking and you can now combine existing confirmed bookings to submit a single shipping instruction. Time to get started You are required to be logged in to submit shipping instructions. If you do not have log in credentials please register. 1 How do I submit a shipping instruction? By navigating to Shipping Instruction on the top navigation, a Document Inbox screen will display. This screen will have all confirmed bookings irrespective of the channel used to submit the booking. 1. The table shows all confirmed bookings. 2. All confirmed bookings are listed in descending order by next departure date. 3. A shipping instruction can be created by clicking on the green cross icon. When the create button (green cross icon) is selected, the system will request you to either: a) Select the number of shipping instructions to be created. b) Select the multiple bookings to be combined to submit a single shipping instruction. 2 How do I create one or multiple shipping instruction(s) for one booking? 1. Ensure you have selected the button for ‘How many Shipping Instructions do you want to create for this booking?’ 2. Choose the number of shipping instructions you want to create via the drop down menu. 3. Click Create SI button. Notes: a) If 1 is selected, shipping instruction will exist within the Single SI Single Booking tab. b) If more than 1 is selected, shipping instruction will exist within the Multiple SIs Single Booking tab. Please continue to ‘Completing Your Shipping Instruction’ section on page 5. 3 How do I create a consolidated shipping instruction for multiple bookings? 1. Ensure you have selected the button for ‘Please select multiple bookings to be consolidated in to single SI’ Note – this option is only available if other confirmed bookings exist, which meet the validations to combine bookings. 2. Select the bookings from the available list which you wish to combine. 3. Click Create SI button. Notes: a) Once Create SI is selected the shipping instruction for this combined booking will be found within the Single SI Multiple Booking tab. b) The original booking selected from the Documentation Inbox will be declared as the primary booking when combining further bookings. Please continue to ‘Completing Your Shipping Instruction’ section on page 5. 4 Completing Your Shipping Instruction When the Create SI button is selected, the shipping instruction screen will mirror a bill of lading. The main areas are: 1. References – a number of reference numbers can be added in this section. 2. Shipper and other Shipment parties – the shipment parties will be completed as it was submitted at booking stage. The opportunity is now to either edit or to add new parties. 5 3. Vessel Voyage and related shipping information – the Vessel Voyage and various port descriptions can now be edited. Note that the same information and format will appear on the BL as is displayed here. 4. Particulars as Declared by Shipper – in this section, the container details can be added. a. Select Containers – the drop down will have the container numbers as it was released from the terminal of depot. Choose the container from the drop down in the sequence they need to appear. b. Container Numbers –the container numbers can be edited if for any reason containers have been swopped between bookings. c. Seals –define the various seal numbers d. Packages –the packages detail define e. Cargo Weight –define the cargo weight f. Add Measurement –define the measurements 6 g. Add Description –add description and marks and numbers h. Action - Remove (red cross icon) and add (green cross icon) new packages. 5. General information 6. Submit now or Submit later (saves information to submit at a later stage). Action ICONS The following ICONS within UASC Online shipping instruction module can be used in the following manner: a) Pencil icon – for editing non submitted shipping instructions. b) Magnifying Glass – For viewing and printing submitted shipping instructions. c) Back Arrow – For reverting a previously combined booking back to the Documentation inbox. d) Red Cross – For deleting a created but non submitted shipping instruction. 7
