Dear Outing Sponsor:
Thank you for inquiring about golf outings at Broad Run Golfer’s Club. We look forward to
guiding you through the process of creating a successful outing for your group, and strive to
provide you an event that will exceed all your expectations.
The enclosed Outing Packet will provide you all the information needed for your event. You
will find detailed information regarding golf, food and beverage options, and all the
necessary information pertinent to a world-class golf outing.
As groups of 25 or greater are deemed as “outings” at Broad Run, it is critical to secure a
preferred date and time. We require a 15% deposit at the time of contract agreement. This
contract will provide a detailed list of options and pricing specific to your event. Please
understand in order to secure your requested date and time, if a deposit is not received,
other parties may request and receive that date.
During the planning of your event, we ask you to consider us for your merchandise needs.
This may include custom apparel, custom balls, and equipment for prizes and awards. We
have accounts with nearly every major golf manufacturer, and can provide services that
large retail houses may not be able accommodate. In addition, allow us to make
recommendations regarding signage for your sponsors. Very often, our connections and
suggestions can assist in managing your overall budget.
Please use the enclosed Outing Packet to guide you through the process of designing your
ideal golf outing. If you have questions about specific options, or would like to make
modifications, please allow us to help you in making any adjustments to your event. This
may include menu options, beverage choices, prizes, and specific requests about the golf
portion of the day.

Additional Outing Information
• All outings are required to designate an Outing Sponsor. The individual shall represent the
interests of the group, provide primary communication to Broad Run representatives, and
represent all contractual obligations set forth in this Outing Contract.
• All groups of 25 or greater are considered outings at Broad Run. All outings are subject to
Broad Run Golfer’s Club’s Rules and Regulations and Outing Rules. A 15% deposit is
required to secure the requested date and time of the outing. All potential outings not
providing a deposit, are at risk for losing the requested date and time to other parties.
• All outings are required to provide a final count of participants, as designated in the postcontract agreement, no less than 10 days prior to the event. Please refer to this agreement
for participant number specific to your outing. This ensures the maximum use of Broad
Run’s facilities to all patrons. Any change in outing numbers are subject to the parameters
described in this agreement.
• The golf course will only be “closed” for outings with 104 golfers or more guaranteed
participating.
• The Outing Sponsor will be responsible for any damage to the golf course, equipment, and/
or club property. It is this person’s responsibility to advise all outing participants of Broad
Run Golfer’s Club Rules and Regulations - provided in the Outing Packet.
• The Outing Sponsor is required to schedule all Food & Beverage services for the day of the
outing. All activities relative to food and beverage services associated with the outing will
be handled by the Food & Beverage Department at Broad Run Golfer’s Club. Outside
food and beverages are not permitted on Broad Run property without consent by the Food
& Beverage Manager at Broad Run. Donated product may be subject to a service charge.
A food and beverage package is required for all shotgun start events.
• Broad Run Golfer’s Club requires that all outings provide an opportunity to bid for tee gifts,
prizes, auction items, custom merchandise, or awards. All donated prizes by outside
agencies must be discussed with the Head Golf Professional prior to the event.
• All outings canceling 60 days or more from the scheduled date are provided a full refund
on deposits, with the exception of any custom merchandise orders already processed
through the manufacturer.
• Any outing canceling less that 60 days from the scheduled date are subject to full forfeiture
of deposit.
• In the event of inclement weather, Broad Run management reserves the right to limit the
use of golf carts and/or deem the course unplayable. As this is an important decision, it will
be one not made in haste, and every effort will be made to go forward with your event as
planned.
• Should the golf course be deemed unplayable, rain checks will be offered to participants,
to be redeemed any weekday, or weekend after 12:00PM, in lieu of rescheduling the golf
portion of the event. Any obligations for scheduled food and beverage services must be
honored on the original day of the event. If play has commenced, and more than nine
holes have been completed, the outing is deemed complete.
• The Outing Sponsor is required to provide a final roster and pairing sheet to the Golf
Professional no less that 3 days prior to the event (as stated in the post-contract agreement
specific to the outing).
• All hole signage and/or outing banners must be supplied to Broad Run no less than 24 hours
in advance of the outing.
Any exceptions to the above rules require prior approval by the Broad Run Golfer’s Club
management. Management shall decide any matter not resolved by this contract.

be capped at any rate (as desired).
