Your Wedding at
BUFFALO MOUNTAIN LODGE
Thank you for your interest in Buffalo Mountain Lodge. We would like to take
this opportunity to introduce you to our lodge.
The Rocky Mountains have long been an area of great significance to our native peoples. The valleys were places
of ceremony and celebration. The lakes and mineral springs, places of rejuvenation for mind, body and spirit.
Near the center of what is now Banff lies a mountain the early visitors knew as “Sleeping Buffalo”. Buffalo Mountain
Lodge is set amidst the beautiful tall pines of this mountain environment, just minutes away from shopping and
the nightlife of Banff Avenue.
We have 108 guest rooms – 48 of which are our Premier units decorated with a king, queen or 2 queen size beds,
natural fieldstone fireplaces, oversized baths featuring claw-foot soaker tubs, heated slab flooring and either a
balcony or patio. The Lodge rooms are furnished with bent willow, pine furniture, feather duvets and have natural
fieldstone fireplaces. Our spacious Buffalo Rooms, equipped with 2 queen beds or one king bed and a kitchenette, are
perfect for those with young families. Our recreational facilities include a Steam Room, Gym and Outdoor Hot Tub.
The Main Lodge is built of hand-hewn timbers and has a massive fieldstone fireplace, high open beam ceilings, a cozy
lobby bar and historic antiques. The dining room in the Main Lodge features flavorful “Rocky Mountain Cuisine” and
an award winning wine list.
In the summer of 1998 we added a new Conference Center – the Wapiti-Longhouse and Wine Cellar. Its magnificent
views coupled with vogue décor make this a picture perfect place for a wedding, training session or a corporate
getaway. Alternative room options include our vaulted-ceiling Wainwright Room with outdoor patio, second-level
Strathcona Room with balcony, and independent Cascade – ideal for small groups and/or breakout sessions. If
interested in an intimate, casual setting our Mountain Café Cilantro is available during nonpeak dates.
In the winter, there are miles of cross-country ski trails. Buffalo Mountain Lodge is a 15-minute walk to the center of
Banff or to the Banff Center. Nearby are world famous downhill ski areas at Mount Norquay, Sunshine and Lake
Louise. Summer in Banff offers a variety of outings to choose from, including hiking, biking, rafting, horseback riding
and golfing.
Attached is our Wedding Planner package complete with room descriptions, room rental fees, and menus. If you
require additional information or have any questions, you can contact us directly. It would be our pleasure to assist

HELPFUL HINTS TO MAKE YOUR WEDDING
A SUCCESS IN THE CANADIAN ROCKIES
The weather here is known for its drastic, unpredictable changes. It is recommended to have a
back up plan in the event of snow or rain if you are planning to hold your Ceremony outdoors
There are various places for the Ceremony and pictures around Banff. You are welcome to
hold your Ceremony in the same room as your reception /dinner. After the Ceremony we ask
that your guests depart the room for 2 hours in order for our staff to successfully complete the
room set-up and keep the dinner running on time.
Your function room will be set-up with the appropriate tables, chairs, linens (white) and
settings. The Lodge is very unique in the aspect that decorations are not needed.
Simple flowers and candlelight are all that you need to enhance the atmosphere. All rooms
are tastefully decorated and offer natural lighting, art or other decorative wall hangings.
It is strongly recommended to offer hors d’oeuvres to your guests during a Reception period,
especially if a Host bar is in effect.
Upon booking, the Conference Coordinator has various names of photographers, DJs, florists,
etc to help you get on your way. The Bride and Groom are responsible for the booking of
these services.
The Conference Coordinator, after helping you select the room that is suitable for your special
day, will assist you with the menu and wine selections.

WEDDING POLICIES
(Please review carefully)
ACCOMMODATION:
A minimum of (20) twenty guest rooms is required to be booked. Accommodation type and style is
subject to availability. If the wedding ceremony is scheduled before 4 pm it is strongly suggested
that the immediate wedding party be registered in the hotel the evening before the wedding. We
will not guarantee occupancy of hotel rooms prior to 4 pm.
A ROOM BLOCK WILL BE HELD UNTIL 45 DAYS PRIOR TO YOUR FUNCTION.
Your guests are welcome to call our Central Reservations line at 1-800-661-1367 to make their
reservations. Any rooms not reserved by this time under the block will be released and availability
will not be guaranteed. All blocked room rates will depend upon the time of year they are
reserved.
DEPOSITS:
A $2000 non-refundable deposit is required at the time of booking to secure function space when
booking within a year. Booking more than a year out a $4000 non-refundable deposit is required
to secure function space.

Prices are non-negotiable. Includes all set-up necessary – tables,
and table settings.

The function room will be available 10:30 am the day of the function for decorating.
*Please note: Two hours are required to change the room from Ceremony to Reception style set-up.
Access to the room is limited to hotel employees only during this time.
Buffalo Mountain Lodge is not responsible for damages to or loss of any article left in the hotel
prior to, during or following any function by the customer or his/her guests.
Should damages occur in a function room or a guest room due to the negligence of member or
the wedding group, an assessment of damages will be made. The couple will be notified and
payment will be due upon the assessment.
All accounts are to be paid in full upon check out, unless otherwise stated on the contract.
All function requirements must be confirmed by Banquet Event Order 30 days prior to arrival.
Should changes be required, the Lodge reserves the right to charge subsequent fees.
Please note that music must be kept to a minimum noise level for the consideration of other guests.
Buffalo Mountain Lodge will reserve the right to restrain or end the music if complaints are
received. Buffalo Mountain Lodge may specify guestrooms that must be booked in order to reduce
noise complaints. DJ’s are only allowed in the Wapiti Longhouse but not in the main lodge.
In the event the hotel has to discount room rates or provides complimentary rooms to hotel guests
because of noise complaints, these charges will be added to the wedding master account upon
departure.
WEDDING POLICIES

Entertainment must be pre-approved by the Lodge and conclude by Midnight. All live or
recorded entertainment is subject to a SOCAN (Society of Composers, Authors and Music
Publishers of Canada) and Re:Sound charge. These are automatically applied to function
invoices. SOCAN – 20.56 plus GST (without dancing), $41.13 plus GST (with dancing)
Re:Sound (1 to 100 people) – $9.25 + GST (without dancing), $18.51 + GST (with dancing)
Room drops (gift items in guest rooms) will carry a charge of $1.50 per room per drop, plus 5% GST.
FOOD AND BEVERAGE:
Hotel policies and Alberta Liquor licensing prohibits guests from consuming their own wine and/
or liquor in our function rooms. Host bars and cash bars are only permitted (no toonie or ticket
bars). Buffalo Mountain Lodge will be the sole supplier of all food & beverage (with the exception
of a wedding cake).
For all menu selections a guaranteed number of guest meals must be confirmed seventy-two
(72) hours in advance. Charges will be applied to the guaranteed number or the actual number
whichever is greater. A gratuity of eighteen percent (18%) will be added to all Food & Beverage
service.
There is a cake cutting and plating fee of $2.00 per person plus 18% gratuity plus GST.
Buffets are set for a maximum of 2 hours.
All food and beverage planning is required 30 days prior to the date of the wedding. In the
event, confirmation has not been received, the hotel reserves the right to choose the menu based
on the individual’s budget requirements. All prices are subject to change without notice; however,
Buffalo Mountain Lodge will guarantee prices forty-five (45) days prior to the function. A service
charge of 18% will be added to all Food and Beverage Services. All prices are subject to the 5%
GST.
Additional Meals: We strongly recommend that you advise your guests of the menu selected, in
order to accommodate for food allergies or dietary requirements. If there are any unexpected
meal changes or dietary requirements that have not been prearranged an extra charge of $35
per meal will apply plus service charge. Guest names and their specific dietary requirements must
be forwarded to Conference Department at the time of planning.
A selection of main courses for plated meals may be offered to your guests. Selections are limited
to three choices, including a vegetarian entrée. Place cards are required to designate main
course selection to the banquet staff and are to be provided by the client.
If you are unable to provide an exact count for each main course selection, a charge of $6.00
per person will apply.
FOOD TASTINGS:
Available to guests who have their wedding booked with a contract signed and deposit paid.
All food items must be ordered and arrangements made a minimum 2 weeks prior to the tasting.
All food and beverage consumed at the tasting will be paid for prior to departure. The Lodge
cannot open Banquet wine to sell by the glass for tasting. Banquet wines will be sold by the
bottle, if available, at the time of the tasting. - For wedding parties of more than 60 people the food portion (not including tax, gratuity or beverage) of the meal will be discounted to a maximum $100.
- For wedding parties of 26 –59 people 50% of the food portion is discounted to a maximum of $100.

ACCOMMODATION
All 108 guest rooms feature a wood burning fieldstone fireplace, down duvets, cable
television, private entrance, full bathroom, iron and ironing board, and coffee makers.

36 rooms, 24 with 2 queen beds, 12 with 1 queen bed, wood burning fieldstone fireplace,
oversized bathrooms featuring claw foot tubs, heated slate flooring, balcony or walk out area,
and TV.
Premier King Rooms
12 rooms, each with 1 king bed, wood burning fieldstone fireplace, oversized bathrooms
featuring a claw foot tub, separate shower, heated slated flooring, balcony or walk out area,
and TV.
Lodge Rooms
18 rooms with 1 queen bed, 2 rooms with 1 king bed, and 20 rooms with 2 queen beds,
wood burning fieldstone fireplace, balcony or walk out area, and TV.
Buffalo Rooms
16 rooms, 6 rooms with 2 queen beds, 6 rooms with 1 king bed and 4 rooms with 1 king
bed and plasma TV/DVD player in a separate bedroom, kitchenette, wood burning fieldstone
fireplace and TV *Limited availability in winter months.

4 rooms, each with 1 queen Murphy bed, bathroom featuring claw foot tub, separate shower,
kitchenette, wood burning fieldstone fireplace and TV.

Wapiti Long House - 2 Levels
(99 person capacity - Minimum 50 people required for booking. To book the Wapiti
Long House, we require a gaurantee of 50 adult meals to be purchased on the day of the
wedding.)
Room Rental: $3000 plus GST – all inclusive use of the building ~ not sold individually

ALBERTA MARRIAGE LAWS
Prior to being married, couples must obtain an Alberta Marriage License from a registry in the
province of Alberta. It is valid for 3 months from the date of issue.
OBTAINING AN ALBERTA MARRIAGE LICENSE
The Bride and Groom need to provide the following information:
- Proof of Identification
- Full name of father, birth place of father
- Maiden and full name of mother, birth place of mother
- If divorced, Decree Absolute
- If Widowed, Death Certificate of former spouse

Important Information
Two witnesses of at least 18 years of age are required for the ceremony. It is not necessary
that the witnesses have prior knowledge of the couple being married.

In a quieter area of Banff, we are located on Tunnel Mountain Road just a 3-minute drive or a
15 minute walk to the downtown area (1½ hour drive from the Calgary International Airport).
Take the first exit into Banff, make a left off the Exit. Take the first road to the left, which runs
between “ Banff Rocky Mountain Resort” This road is Tunnel Mountain Road and you will
see a sign that also says to “ Tunnel Mountain Campgrounds.” Follow the road for about 10
minutes passing the campgrounds and we are the second hotel on the left.

PAYMENT AND CANCELLATION POLICY:
Payment:
1. The deposit shall be paid at the time of booking to secure function space. The deposit shall
be credited towards the final billing. This initial deposit is non-refundable.
2. All wedding events will receive an estimate from Buffalo Mountain Lodge. This will include
all expenses affiliated with the event day (i.e. F&B, Room Rental, Guest Rooms).
From this estimate the lodge requires a collection of a non-refundable 50% of the total, 2
months prior to the event date. The remaining non-refundable 50% of the estimate is then
collected 7 days prior to the event date. In the case of over estimating, the lodge will then
refund the remaining balance. Final balance is to be cleared upon departure.
Cancellation:
1. Weddings cancelled 60 days prior to the event will lose the advanced deposit. The deposit
may be held for one year for a future reservation.
2. Weddings cancelled 30 days prior to the event will lose the advanced deposit and will be
charged 50% of the estimate.
3. Weddings cancelled 7 days prior to the event will lose the advanced deposit and will be
charged 100% of the estimate.
