The Client
A Tier 3 airline operating in the Asia-Pacific region,
including Thailand, Myanmar, Laos, Cambodia, Malaysia,
Singapore, India, Bangladesh and Maldives.
Business Challenges
The airline’s miscellaneous billing processes were manual
and decentralized, leading to inefficiencies, invoicing
errors and revenue leakages. It wanted to automate the
inward and outward billing (ICH+bilateral) for two
reasons:
This process delayed the service-to-invoice cycle time,
thus impacting cash flows. The probability of misplacing
or losing charge notes was higher, leading to revenue
leakage.

Current processes
The airline’s existing processes were cumbersome. For
example, inward invoices were processed in a
decentralized manner, with invoices being distributed to
the various cost centers for approval. After approval, the
invoices were sent back to the main office for final
approval.
The physical distribution of invoices and manual
verification slowed down processing and increased the
chances of invoices and attachments getting misplaced or
lost.
The case was similar with outward billing. Charge notes
were physically sent from various departments to the
central office for raising bills. The central team then
raised the bills as per the details on the charge notes
without any verification.
The Accelya team set up accounting processes as per the
airline’s chart of account structure and rules for revenue,
expense and taxes. The result was a considerable
reduction in manual efforts and elimination of errors.
The workflow was set up to auto-distribute all inward
invoices to the users concerned for approval. This reduced
the time needed to process the invoices and ensured that
no invoice was lost or misplaced.
The Accelya team captured details of charge notes and
then routed them for approval.
Thorough quality checks were performed at every step to
capture any missing data for charge notes for lounge
billing, mishandled baggage and any other service. This
ensured that all services provided by the airline were
invoiced.
