This 2015 State Career Development Conference Information Packet has been designed to provide you with the necessary registration information and forms. February 6 –Special Needs Form (if needed) emailed to State Advisor at [email protected] February 13- Last day for bump-ups, substitutions and changes-12 noon February 27- - Housing Costs due in full at the Marriott Copley via credit card or school check February 27-Last day for ‘Refund of Registration Form’ to be submitted to process drops & cancellations with refund 3 ATTENDANCE CRITERIA AND ELIGIBILITY ADVISORS There must be a minimum of one advisor (chaperone) for every ten (10) high school delegates. All advisors and students must be in attendance for the entire conference, unless special permission has been received from the State Advisor. Chapter advisors, parents, teachers and school administrators are eligible to chaperone as long as it meets the approval of your school and have been CORI checked. All adults registered through the chapter will be expected to work in an assigned area at the conference. The only exception is for those chapters that bring more than the required amount of chaperones. Please put an asterisk next to extra chaperones on your spreadsheet so they will not be used for a work assignment. STUDENTS To be eligible to attend the MASS-DECA Career Development Conference, each student must meet the fo llowing criteria (no other student is eligible to attend): 1. Be an active member of the High School Division of DECA. Membership must be recorded on an official DECA Membership Roster and be on file in the MASS-DECA office by January 28, 2015, and 2. Have the approval of the DECA Chapter Advisor, and 3. Have the approval of the School Administration, and 4. Have the approval of a parent or guardian (unless of legal age), and 5. Have qualified through district competition (the number eligible per district based on membership), or 6. Be involved in a competitive activity approved to go directly to the SCDC, or 7. Be a nominated MASS-DECA High School State Officer candidate, or 8. Be a current MASS-DECA High School State Officer, and 9. Have the approval of the State DECA Advisor. ALUMNI To be eligible to attend the MASS-DECA Career Development Conference, former State Officer DECA alumni must meet the following criteria: 1. Be a paid alumni member of DECA. Membership must be submitted by March 1, 2015 and 2. Be a member in good standing and 3. Be willing to assist wherever necessary during the SCDC and 4. Have the approval of the State DECA Advisor. Non-officer alumni may attend the SCDC, as chaperones for their chapter as long as they have been CORI checked and meet with your school’s chaperone requirements. 4 IMPORTANT INFORMATION Payment: All conference registration costs must be paid in full in advance unless a purchase order or number has been sent in with original registration. No payments will be accepted at SCDC. Purchase orders must be processed in advance of registration due date. Enclose a copy of the PO with registration forms or write the PO number on the Summary Form until the actual PO can be obtained. Schools owing money: If your school has an outstanding balance with DECA(any level), your registration will not be accepted until all balances have been paid in full. DECAid: Funds have been set aside by the MASS-DECA members to assist in the funding of any qualifying member who cannot afford to pay his/her expected conference cost. DECAid applicants are expected to have taken part in their chapter’s fundraising efforts. Chapter advisors should email [email protected] to request an application or obtain one on www.madeca.org. All requests will be kept confidential. Changes: No changes/substitutions will be accepted after 12 noon on February 13, 2015. Substitutions are only allowed in the written project area. Substitutions may not be made in Team Decision Making Events once the team competes at the district level. Changes and substitutions may only be made by e-mailing [email protected] Please state student’s full name, full competitive category code & ID number. Cancellations: Registration cancellations may be made until 4 pm on Feb. 27 in order to receive a registration refund. Refund requests must be made on the Cancellation & Refund Request Form and emailed to the State Advisor only at [email protected] You must notify Sharon Turner at the hotel of any room changes. The last day for room changes is also Feb. 27. Transportation: All schools are responsible for their own transportation to and from this conference. Students are not permitted to drive vehicles to the conference. Free parking is permitted at Bunker Hill Community College as long as a parking pass has been obtained from the State Advisor. Only Advisors should come to Registration Desk A to receive registration materials and room keys Please do not loiter in the hotel prior to your scheduled time since this creates chaos as final preparations for the conference are being made. If you plan on spending the day in Boston on Thursday, the State Advisor will let you know where you can store luggage. Bay State College will be hosting a pizza social prior to registration. More info to come. DECA/HOTEL REGISTRATION DESK A (Advisors only come to desk at designated time) Thursday, March 12, 2015 4:00 P.M. Chapters with 50 or more participants (lists will be emailed out prior to registration) 4:30 P.M. Chapters with 25-49 participants 4:45 P.M. Chapters with 1-24 participants BAGGAGE/LUGGAGE: All baggage should be tagged using name, address, city and school. MASS-DECA strongly advises that the insides of all members’ luggage be inspected prior to leaving school grounds either by administration or by parents/guardians in front of administration. Home baked goods should NOT be brought to the conference. Advisors should provide cases of water or similar for their members. Do not allow members to bring hand held bottles onto the bus. Arrangements may be made to have your chapter’s luggage inspected upon check-in by our DECA Conduct Committee; headed by the Essex County Sheriff’s Department. STUDENT IDENTIFICATION NUMBER: All students registered for this conference must be registered by name and ID#--regardless of what they are doing at the conference. All membership numbers are on-line in the membership system at www.deca.org. VOTING DELEGATES: Place an X next to the names of your voting delegates (see list in this packet for chapter allocations). Voting Delegates must be registered in a competitive area at the SCDC. Select a head-voting delegate. Voting delegates must attend the "Meet the Candidates" session & the "Voting Delegates” session on Friday afternoon and Saturday morning. Attendance will be taken. NAME BADGES AND WRISTBANDS: For security purposes, all conference participants must wear their name badge & wristband at all times. Misspellings will not be corrected since nametags are generated from the submitted online membership. If a student misplaces a tag, it must be replaced and a $5.00 fee will be charged in the TAB Center. DECA members without a wristband will be sent home or pay a $50 fine. CONFERENCE T-SHIRTS: Conference t-shirts must be worn to gain admission to the dance or other activities scheduled on Friday night. Sizes must be indicated on the registration spreadsheet for both advisors and students. Extra smalls are not provided. 6 CONFERENCE OVERVIEW continued ROOM INSPECTIONS: To avoid possible charges for damages, all advisors must inspect each room assigned to their delegation upon check in and check out. Advisors must provide members with the hotel check-in form (located at the end of this packet) to be completed for all rooms in their delegation. Check-in forms must be handed back to chapter advisor and any room damages must be made known to the hotel front desk within one hour of arrival. HOTEL CHECK OUT: Members should place all garbage in provided bags. All students must move out of their rooms prior to the start of the Grand Awards Session. Advisors must check all rooms for damages prior to the Grand Awards Session. Student members will be storing their bags in rooms on the lower levels of the hotel. Remind your members to tip housekeeping staff. The hotel has been advised not to make charges to rooms. Nevertheless, Chapter Advisors will assume the responsibility for all charges incurred by their delegation should any occur (parking, copying, room service). Please make sure that all charges are paid prior to check-out. CURFEW: The curfew at our SCDC will be 11:30 PM both nights. All students should be in their assigned rooms at curfew. Food deliveries must be received by curfew. Food will not be delivered directly to the rooms for safety reasons. All scheduled events will end 20 minutes prior to curfew, thus allowing delegates sufficient time to get to their assigned rooms. All advisors are requested to strictly enforce curfew. No Chapter meetings are to take place after curfew. Advisors will be expected to provide hall duty for at least 60 minutes following curfew. Every attempt will be made to keep advisors & students from the same school on the same floor. DELEGATE CONDUCT CODE: As a professional business organization, our image is of extreme importance to the reputation of DECA, your chapter’s program and the outside support received. A professional appearance and attitude of every member is essential. All conference attendees must sign a Comprehensive Consent Form and a Liability & Release Form/Emergency Form. The Chapter Advisor is required to send a completed Chapter Responsibility Form to the PO Box stating that these individual forms have been received. Please review these forms with all attendees prior to leaving for the conference. PUBLICITY: Don't forget to contact your local newspaper to publicize your school’s participation in the conference. Local cable television, Patch.com, Facebook, Instagram and Twitter are all great ways to publicize your program. Community awareness and support can only help the local DECA Chapters in Massachusetts. 7 MEETINGS & GENERAL SESSIONS ADVISORS’ MEETING: There will be a meeting of all advisors on Thursday, March 12, check agenda . The attendance of every conference advisor is important. See program booklet for time & location. SESSION SEATING: Chapter seat assignments will be handed out at registration. Attendance numbers will not be known until all conference registration has been received. A determination will be made at that time as to whether guests may attend the Grand Awards Session on Saturday. If the ballroom reaches maximum capacity, every effort will be made to have a live feed for guests, in a separate room. There may be an additional charge. OPENING SESSION: Thursday, March 12, 9:30 pm. This session is for everyone and is Spirit Night. Students may wear collared polo shirts or button down shirts with khakis or other non-denim pants, no sneakers. Chapters often wear matching attire or chapter shirts. Chapter T-shirts & sweatshirts are not permitted. Select 2 representatives from your chapter to go on stage with a DECA or school banner for the Parade of Chapters at the start of the session. There will be a rehearsal prior to the session for those representatives. This session will include a guest speaker, recognition of new schools, national & state membership recognition, state only awards, conference highlights, the briefing of voting delegates and the introduction of officer candidates. Share your photos for the conference flashback by emailing them to [email protected] with Mass DECA in the subject line. MEET THE CANDIDATES SESSION: Friday, 4:00 - 5:00 P.M. All voting delegates and state officer candidates must attend this session. All others are welcome to sit behind the voting delegates. ACHIEVEMENT AWARDS SESSION (MINI): Friday, approx. 8 pm. This session is for all. The program will include the awarding of medallions for the individual series, team decision making events, ADC, PSE, HSE & FMP. Students must wear the State Conference t-shirt with khakis or dress pants to this session, jeans & sneakers are not permitted. Entertainment, including a dance, will take place immediately following this session. ELECTION AND BUSINESS SESSION: Saturday, 8:30-9:30 am. All Voting Delegates must attend this session. Late arrivals of Voting Delegates will not be allowed in since doors close promptly at 8:30 a.m. Voting delegates will elect their 2015-16 State Action Team. GRAND AWARDS SESSION: Saturday, 10:30 am This session is for all participants, including guests. Any member not in proper business or formal attire will forfeit his/her award. Share your photos for the conference flashback by emailing them to [email protected] with Mass DECA in the subject line. ENTERTAINMENT: On Friday night a dance, karaoke/open mike will be held. Conference T-shirts will be required. Every Chapter must provide 1 adult to chaperone 15 minutes of the dance, schedules provided at Advisors’ meeting. Students cannot acess stairwells unless accompanied by a chaperone due to safety issues and the high noise level and damage that can be incurred in a dark unsupervised stairwell. 8 COMPETITIVE ACTIVITIES INFORMATION CONDUCTING OUR PROGRAM OF COMPETITIVE ACTIVITIES: Our extensive program of competitive activities cannot occur without the assistance of all advisors and chaperones in attendance. Our Coordinators, Series Directors, and Alumni members spend a great deal of personal time scheduling and preparing for the operation of our competitive activities. All registered advisors and chaperones will fulfill a work assignment during the conference unless you are bringing more chaperones than the required; 1 adult per 10 students. Excess chaperones will not be scheduled if they are indicated with an asterisk on the spreadsheet. PRINCIPLES, INDIVIDUAL SERIES & TEAM DECISION MAKING EVENTS Participants in these categories will take one exam and two oral role-plays. The career cluster exam will be taken on Thursday evening prior to the Opening Session. Participants will receive their schedule for the two roleplays which they will take on Friday. Each participant must bring sharpened #2 pencils and a watch to our SCDC. Pencils & calculators will not be provided. The watch is recommended for time keeping since time signals may not be given. Any student arriving late for an event will be disqualified. Students may use a simple processing calculator with the approval of the Event Director of that event. Students may use notes made only on the paper supplied during the prep time using black or blue ink, and/or pencil. WRITTEN PROJECTS: (include the following: Business Operations Research Events, Chapter Team Events, Business Management & Entrepreneurship Events, & Marketing Representative Events; see DECA Guide) All written project manuals are due in the MASS-DECA Office at Bunker Hill Community College by 5:00 P.M. on or before Thursday, February 26, 2015. No extensions will be granted, unless Bunker Hill has a snow closure. Write the members’ ID numbers under the names on the “Statement of Assurances” page to aid us in the check-in process. Verify that the projects have the same participants for which you originally registered them by including a copy of your original registration excel sheet with dates written next to canceled members or projects. Verify that projects coming in are listed under the same code in which they were registered. Ex: If Joe Doe was registered in 30-ENP, his project shouldn’t come in as 31-ENW. All projects must be in a DECA folio, sold thru DECA Images, please remove all stickers from previous years that may be on the folio. Projects missing students’ original, signed “Statement of Assurances” at the front of each manual will lose 15 penalty points. The Statement of Assurances can be found in the DECA Guide or at www.deca.org Written events will be reviewed and have penalty points assessed at the SCDC according to the DECA Guide. Entrepreneurship Participating Event, Hospitality & Tourism & Professional Selling Events have only one member per project. All other projects may have 1 to 3 members. All project members will be required to attend an assigned segment of the Focus Leadership Academy or risk disqualification. Lap top computers with sound at a conversational level may be used in all written events. Students are responsible for their own calculator, lap top, & battery power pack. Electrical power will not be supplied. No computer set up time will be allowed. Students may bring a copy of their report with notes written in the margin or on note cards to the interview. Materials appropriate to the situation may be handed to or left with judges. 9 HOTEL INFORMATION Our 56th annual State Career Development Conference will be held at: Marriott Copley 110 Huntington Avenue Boston, MA 02116 Ph: 617-236-5800 Room Rate: *$196 per night per room (all room types below) *this rate does not include the 14.45% tax ($224.32 with tax) Room types: Single, Double, Triples & Quads Registered students and advisors must stay in the conference hotel for the duration of the conference. All conference activities will take place in the hotel. Chapter Advisors must pay for all hotel rooms by February 27 with school checks or credit cards. The hotel does NOT accept purchase orders. INSTRUCTIONS FOR COMPLETING HOUSING SPREADSHEET (emailed separately) 1. Please use the hotel spreadsheet provided by email from state advisor or download from madeca.org 2. E-mail completed spreadsheet to the hotel by February 6 to Sharon Turner, Group Housing Coordinator at [email protected] and to State Advisor at [email protected]. You will immediately receive an invoice from the Marriott via email. 3. Double and single accommodations are available for advisors/chaperones only. Advisors or chaperones are responsible for finding roommates. The hotel will not find roommates for you. The Massachusetts DECA Facebook group page for Chapter Advisors is the best place to find roommates. 4. Triple and quadruple accommodations are to be used for students. You may combine students with other schools, but you are responsible for finding these roommates. If combining rooms with another chapter, include a note at the end of the spreadsheet or in the last column of the spreadsheet. 5. Please enter March 12 for all arrival dates and March 14 for all departure dates. 6. Save the file as, “Chapter DECA Rooming List”; ex: Bunker Hill DECA Rooming List, before sending to Sharon Turner and State Advisor. If you save it as “Marriott Housing”, it is difficult to identify your spreadsheet from the others being received. 7. Send updated information to the hotel if substitutions take place after the original rooming list is submitted. You must notify the hotel and the state advisor via an e-mail if a room changes. DO NOT SEND A REVISED HOUSING LIST since this makes it difficult to pull the changed rooms. Ex: Bunker Hill DECA, Delete Joyce Brown in room 12 and replace with Linda Black. 10 INTERNATIONAL CAREER DEVELOPMENT INFORMATION Who is eligible to go to the 2015 International Career Development Conference (ICDC) in Orlando, FL? First, second, third and fourth place in all competitive activities taking place at SCDC Special Activities DECA Quiz Bowl-First place winner only; one team of up to four to go into Ignite, Elevate, Aspire Academies 2015-16 State Officer Elects and 2014-15 State Officers Ignite, Elevate, Aspire Academies participants: New chapters(2), state-only event winners, MA DECA’s “How DECAcated Are You? campaign winners, Quiz Bowl winning team Virtual Business Challenge: NAR Finalists in Rounds 1 & 2; Sports, Retail, Restaurant, Finance, Hotel Stock Market Game Qualifiers Thrive Academy Participants: DECA’s ‘ I Am a Chapter Member’ campaign winners School Based Enterprise Event (SBE): Gold Chapters may send up to 3 participants NOTES: If any (eligible) place winner is unable to attend, the next place participant will be notified as a bump-up, as time allows, to fill the slot(s). You must notify your state advisor of any eligible student who cannot attend our ICDC as soon as possible so that we may notify the next qualifier in a timely manner. One advisor per school will be eligible to attend the ICDC. DECA Inc. requires 1 adult chaperone per 8 students, so additional chaperones and/or advisors may be required. If an advisor or other representative from your chapter is unable to attend you must notify the State Advisor. If student members will still be attending, it is the chapter advisor’s responsibility to find a chaperone or willing advisor from within the school or another chapter to chaperone. Chaperones can be faculty members, administration or a parent. All advisors & chaperones attending the ICDC will be expected to work at least one (1) day of competitive activities while at the ICDC. ICDC packets will be e-mailed out prior to the SCDC. Hard copies will be handed out at SCDC registration. All ICDC registration must be received by the established due date since there is a quick turnaround to get the material summarized and turned over to National DECA. Chapters provide their own transportation to ICDC and may arrive on April 24 or 25 with a mandatory meeting on the 25 th at 6:30 pm for all members. MA DECA will be staying at the Hilton WDW Hotel in Buena Vista, FL. Chapters must leave on April 29 or 30 th. . 11 CODE OF ETHICS FOR ADVISORS As a professional business organization, our image is essential to the reputation of DECA and your chapter, and the outside support received. Since advisors and chaperones are role models, a Code of Ethics has been set. It becomes the responsibility of each participant to see that proper conduct is adhered to at all times. Violations of these practices and procedures will be referred to the Massachusetts DECA Board of Directors. PROCEDURES FOR ADVISORS AT CONFERENCES The Chapter Advisor or assigned chaperone must accompany his/her delegation to the conference. The State Advisor must be made aware of whom the group’s chaperone will be, if not the chapter advisor. No high school student members are to drive vehicles to, from or during any DECA conference. All conference participants must stay at the designated conference hotel. There must be at least one (1) advisor (approved chaperone) for every ten students in the chapter present at the conference. All adults will be assigned to competitive event work areas. Extra chaperones with the chapter will NOT be assigned work duty as long as an asterisk is next to whom NOT to assign. All advisors should remain in the hotel as long as there are students from their school in the hotel, unless arrangements are made to have another adult chaperone temporarily. Advisors shall conduct daily meetings with members for progress reports, schedules, and other activities. These meetings must be completed before curfew. Advisors shall keep an agenda for each student so they may be reached at any time during the conference. Advisors should know where their students are throughout the conference. Each chapter shall arrange to have one advisor on call at all times. They must be reachable via cell phone. Student members must be aware of who is on call and the cell phone number. Each Advisor shall be responsible for seeing that participants adhere to all conduct practices and procedures. All participants must have read and signed the comprehensive consent Responsibility Form and liability release form. The form should be reviewed aloud by the advisor. If a member violates any portion of the conduct code a Delegate Infraction Form will be completed by the adult who observes the offense and it will be submitted to the State Advisor or Conduct Committee immediately. A sample of the form is provided. You should bring a copy of the completed Comprehensive Consent Form, Liability and Emergency Forms for each student attending the conference in case you need it. Do not send the completed individual forms to DECA. The Comprehensive Consent Responsibility Form, which is a summary of all aforementioned signed forms, must be emailed or sent to the MASS-DECA Office. 11 PROCEDURES FOR ADVISORS AT CONFERENCES continued The rules as stated in the Dress Code are called to your attention for review and should govern the appearance of advisors as well as students. It is imperative that every advisor monitor their members’ clothing choices to ensure that the dress code is being adhered. A professional appearance and attitude on the part of every member can only enhance our image. Advisors and chaperones may not consume alcoholic beverages while responsible for student members at DECA conferences. Your students must participate in all planned activities during the conference. Advisors must accompany them to all sessions and remain until the close of the sessions. Advisors should seat themselves strategically among their students to control noise levels. Check your students' rooms at curfew each night by physically entering the room and checking bathrooms and closets to be sure just the occupants are in the room. All students must be in their assigned rooms at curfew. They may not leave to get ice or a drink from the soda machine or to pick up a pizza delivery. Pizza deliveries must be picked up before curfew. Advisors will be expected to provide floor supervision each night at curfew time and for at least 60 minutes after curfew in the hallway as deemed necessary. Advisors only, are responsible for the check in and check out of your delegation. Advisors are expected to assist in conducting our Program of Competitive Activities and to be in attendance and present throughout the duration of the conference. The hard copy must also be mailed in with all of the registration materials to the PO Box by February 6. 20 DUE DATE: FEBRUARY 6, 2015 Hotel Registration Instructions It is the policy of Massachusetts DECA that ALL conference participants must stay at the assigned official conference hotel over the dates of the conference due to the large block of rooms that must be held months in advance. The Marriott Copley will provide DECA with a list of all registered guests, which will be compared to the ICDC conference registration printout. All hotel reservations must be on the Official DECA Housing Request Form provided to chapter advisors via email. Please prepare all requested information into the provided document on a computer. Each row of the document is one room; all roommates must be listed across the row in the indicated cells. List names to go in each room—adults first followed by the students from the same school. Due to the limited number of multiple housing rooms in the hotels, double/doubles will be used first as a quad for students,then as a triple for students, then as a twin for adults. Two adults may be assigned to a king or queen room. A rollaway will be provided, if this is not acceptable, please opt for single rooms since students in triples and quads must occupy the rooms with 2 beds. You may combine students with other schools, but you are responsible for finding these roommates. ACCEPTABLE BUSINESS ATTIRE: Competitive events, including tests, general and special sessions, all meals and banquets, state officer testing & interviews, and all workshops. Dress code violations at the final session will result in disqualification from any previous awards received. ACCEPTABLE CASUAL ATTIRE: Travel to/from conferences, dances, and non-conference activities. Males: Slacks, cords, khakis, golf shirts, tasteful denim (no rips, holes, bagginess), walking shorts, neat sneakers, DECA T-shirts and DECA sweatshirts. Clothing must be in good shape and proper size. Females: Slacks, khakis, cords, skirts, blouses, golf shirts, walking shorts, neat sneakers, DECA T-shirts and DECA sweatshirts. Tasteful denim is acceptable (no low riders, holes, stains, rips) All clothing must be in good shape and proper size. UNACCEPTABLE CASUAL ATTIRE: Sweatpants, pajamas, low cut shirts/blouses, open sides, see through blouses, tube tops, strapless tops, midriffs, clothing containing pictures or statements relating to alcohol, drugs or other items which would be considered inappropriate, shorts, sweatshirts, halter tops, one strap shirts, straps less than 1” wide, hats, all spandex, flip-flop sandals, sunglasses. Advisors: Bring signed forms to conference and keep in your possession 24 Comprehensive Consent Form continued CONDUCT CODE: Participation in DECA activities provides an opportunity for students to interact with business professionals, DECA supporters, other DECA members and the general public. As a result of establishing a positive professional image many businesses, civic organizations and other individuals provide financial and human resources to DECA and its student members. Once again, should you have a question concerning what constitutes acceptable behavior, ask your advisor or chaperone prior to making a decision. DECA values its reputation and asks that you help maintain it. The following Conduct Code has been established and is enforced at all area, district, state, and national DECA conferences and activities. LEVEL ONE VIOLATIONS: The following have been identified as extremely serious violations of the MASS-DECA Conduct Code. 1. Violation of any city, state or federal law. 2. Possession, consumption, transporting or purchasing of any alcoholic beverage or illegal drug. Possessing, using, selling, or transmitting paraphernalia associated with drugs, alcohol, or chemical substances in any form at any time or under any circumstances in public or private properties. If alcoholic beverages and/or illegal drugs or evidence of their use are found in a hotel room, offenders in that room shall be subjected to the penalties prescribed below in Level One Penalties. 3. Defacing, damaging, or stealing public or private property (for which responsibility will rest solely with offending individuals and/or their chapters. 4. Throwing or dropping any object from a hotel window or vehicle. 5. Inviting or having non-DECA or unregistered individuals in your hotel room. 6. Repeated violations of a Level Two Code. 7. Violations not mentioned herein, but identified by the advisor or school official. 8. Leaving the conference hotel without the permission of your advisor and/or chaperone. 9. Committing serious violations of curfew regulations. 10. Being in the willful companionship of someone who violates any portion of the conduct code or failing to report direct knowledge, other than hearsay, of conduct code violations. 11. Flashing or indecent exposure. 12. Using your own automobile to attend a conference or riding in an automobile with anyone other than your advisor or adult chaperone. Occasionally, a chapter advisor, under special circumstances, may allow a student to drive or ride in a private automobile to a conference. These students are required to submit the “Permission to use Private Transportation” form to the chapter advisor prior to the conference. Permission to drive/ride applies to transportation of the student named on the form, only to and from the conference site. Once a driving/riding delegate has arrived at the conference site s/he will not be in a private automobile again until leaving the site at the end of the conference. Delegates must be housed at the conference site. LEVEL ONE PENALTIES: 1. Expulsion from the conference. 2. Notification of parent or guardian and school official. 3. Student and parent/guardian must assume responsibility for & immediately arrange and pay for alternative travel plan to home. 4. Forfeiture of all awards, scholarships, travel grants and future opportunities to participate in all DECA activities. 5. Failure to attend conference activities, including competitive events, general sessions, and special meetings and leaving sessions prior to the official close. Having or being a member of the opposite sex in a room without an OPEN DOOR and without the permission of a chapter advisor or chaperone. Doors must be propped open with a trashcan. Failing to meet the professional standards of housing facilities, accruing incidental charges without settling the account prior to check-out, moving furniture from rooms, failing to follow or respect hotel rules and regulations. Smoking cigarettes during any portion of a DECA conference. LEVEL TWO PENALTIES: 1. Notification of chapter advisor and state DECA advisor 2. Verbal and/ or written warning and immediate compliance with conference rules.
