In an effort to ensure items meet the basic requirements to participate in this competition and are entered in the correct or most appropriate categories, adult entries will be pre-juried using an online entry and photo submission system. Exhibitors will be required to upload a photo of their entry when entering this year’s competition online. Exhibitor Notification for Adult Divisions Only: Exhibitors will be notified via email by June 10 the results of the first round of judging. If your entry qualifies and is accepted for the next round of judging you will deliver your entry on the Entry Delivery Day noted above. Not all entries may be accepted. No refunds will be issued for entries not accepted. For more information and photo upload instructions see the Category Guidelines. Adult Divisions are open to all Southern California residents. Youth (Ages 9-18 on or before July 15, 2016) are open to Orange County residents, students and club members only. Special Interest competitions are open to all U.S. residents. HOW TO ENTER... Important Entry Date Online Entry Deadline: Wednesday, June 1, 2016 Enter Online • Adult Divisions enter and upload photo(s) of your entry online at ocfair.fairmanager.com. After submitting your entry and paying the processing fee online you will be prompted to click on “UPLOAD MEDIA”. For each entry, up to three photos, (JPG/ JPEG, 5MB or less each), may be uploaded: one full view and two to show more detail. For additional assistance see the “Need Help” section on the following page or click on the link: ocfair.com/competitions/docs/2016/16_ImagePreparation.pdf • Youth Divisions enter online at ocfair.fairmanager.com. Youth Divisions are not juried and do not require a photo upload. Exhibitor’s Name Entries must be made under the name of the individual who prepared it. Do not use business or fictitious names. Please enter using the exhibitor’s name as it will appear on the display tag. This also applies to all youth entries. You will receive an email notification and confirmation immediately after your online entry is received. If you do not see a confirmation in your email shortly after submitting your entry, please check your Spam/Junk folder before contacting the OC Fair. Processing Fees Processing fees are payable online with a credit card (Visa, MasterCard or Amex). No refunds will be issued. Adult Divisions: $5 per entry. Youth Divisions: $3 per entry. Entry Limit Sets or ensembles may be entered as one entry. Quilts, Wall Hangings, Art Quilts and Afghans larger than 36 inches are limited to one each. HOW TO PICK UP Your Entry After the Fair... Really Important Pickup Date Tuesday August 16, 7 am-7 pm Claim Check or photo ID is required for pickup. If you are unable to pick up your items, please arrange for someone to pick them up for you. ENTER ONLINE BY JUNE 1. 2016 Claim Checks FIBER ARTS Free OC Fair Admission OC Fair Crafts & Hobbies TICKETS, YEA! Exhibitors will receive one 2016 OC Fair admission ticket, at time of entry delivery. If none of your entries are accepted for exhibition, one free admission ticket will be available for pick-up at the Guest Relations Booth at the Main Gate (please bring photo ID). One ticket per exhibitor, not one per entry. Tickets are valid any day the Fair is open. RULES We Need You to Read... 5 ENTER ONLINE BY JUNE 1. 2016 1. Read the Fiber Arts Competition Guidelines: Changes are made each year. Review the Category Rules and Guidelines for individual competitions and the OC Fair Guidelines at the end of this Competition Guide. 2. Entries must be made personally by the exhibitor whose name appears on the entry form and completed within the 2 years prior to of the opening date of this year’s OC Fair. 3. Exhibitors are solely responsible for reading the competition guidelines and rules, and entering their items in the correct Divisions/Classes. Incorrect entries may result in disqualification and may not be exhibited. If you need assistance determining the Division and/or Class, please contact the Exhibits Office at (714) 708-1553 or email [email protected] Someone should contact you within 48 hours. Personal assistance is also available during Help Days, see “Need Help” on page 4 for dates and times. 4. No refunds will be issued for items incorrectly entered by the exhibitor. 5. Judges and/or the Program Coordinator have the option of reassigning an entry to a more appropriate division or class. 6. Entries over the maximum amount allowed will not be accepted. Any entries previously entered at the OC Fair will not be accepted. 7. Entries that are delivered cannot differ from the accepted image submitted online. 8. Entries may also be limited or not displayed based on size, content, subject matter or for any reason determined not in the best interest of the OC Fair. No entry will be accepted where an exhibitor prescribes conditions under which they will exhibit. 9. Articles entered in “Original Design” classes may not be kits, commercial patterns or copies. The design, choice of material, and selection of colors must be the original work of the exhibitor. 10. Any articles showing signs of wear or use may not be entered. 11. Disqualified entries may not be displayed and must be picked up when notified. 12. Final acceptance of an entry will be left to the discretion of the Program Coordinator. 13. Due to the family-oriented theme of the OC Fair, no exhibit dealing with drug use, obscenity, defamatory statements, violence, gang activity, satanic or cult theme, or other offensive or objectionable content will be accepted. This at the discretion of the OC Fair staff. FIBER ARTS First Round Judging (Adult Divisions Only) OC Fair Crafts & Hobbies HOW IS MY ENTRY JUDGED? Fiber Arts Adult Divisions are now a juried competition. Not all entries are accepted. Entries will be judged first from your uploaded images and viewed online to determine if the submitted entry meets the basic requirements to participate in this competition and the subjective standards for exhibition set by the judges. Jury selections are final and cannot be protested. You will be notified via email no later than 6 p.m. on Friday, June 10 with the First Round Judging results. Please check your Spam/ Junk folders before contacting the Fair for the results. Exhibitors whose entries are judged to meet the show standards will deliver their work on Entry Delivery Day. First Round Judging Acceptance does not guarantee acceptance for exhibition. The delivered entry may still be judged out for not complying with the competition rules and guidelines concerning size, weight, framing or quality. Adult Divisions Placed using the American Judging System where exhibits are ranked one against another. 1st, 2nd, 3rd Place and Honorable Mention may be awarded in each class if judges so determine. More than one Honorable Mention per class may be awarded. 1st Place winners will compete for Division Winner. Division Winners compete for Best of Show. Additional awards may be added at the judges’ request, however no additional cash premiums will be awarded. Young Adults and Junior Divisions Placed using the Danish Judging System where each entry is judged on how well it meets a standard rather than how it compares to other entries. Entries are judged Blue (superior), Red (very good) or White (average) Award. There may be more than one Blue, Red or White Award per class. All Blue Awards will compete, using the American Judging System to determine a Division Winner who will receive a cash award. Division Winners will compete for Best of Show when there are 2 or more divisions represented in the show. ENTER ONLINE BY JUNE 1. 2016 6 FIBER ARTS Judging Criteria OC Fair Crafts & Hobbies HOW IS MY ENTRY JUDGED? cont... Originality and creativity, workmanship and technique, level of difficulty, color and design, finishing or presentation and appearance. Theme Award All entries are eligible and judged on adherence to theme, originality and workmanship. Judge’s Award Additional awards may be made at the discretion of each judge for outstanding entries that exhibit special qualities that the judge feel deserves to be recognized. Industry Awards Awarded by a community guild or organization. Judging The decision of the judges is final and cannot be protested. If an entry is disqualified after judging is completed, the judge will not change the status of awards given for other entries. Judges and/or the Program Coordinator have the option of changing the requested category of a submitted entry. Classes or divisions may be combined to create an adequate judging pool. Judges Qualified judges are experts in their field and selected by the Program Coordinator to judge all exhibits. ENTER ONLINE BY JUNE 1. 2016 7 FIBER ARTS Judging Results OC Fair Crafts & Hobbies WHAT IF I GET AN AWARD? Entries will be displayed in the Crafts & Woodworking Gallery with any awards received. Participants can view the results online around the third week of the OC Fair at ocfair.com/results. Please do not call or email for competition results. Awards Ceremony for Home Arts Saturday, August 13. Award recipients recognized include: Best of Show, Division Winners, Theme Awards and Industry Awards. Exhibitors will be notified to attend. RIBBONS, YEA! Exhibitors will receive awarded ribbons on entry pickup day. Knots of Love and Quilts of Valor competition winners will be mailed awarded ribbons at the close of the OC Fair. OC Fair Crafts & Hobbies HOW TO PREPARE • Notice of Acceptance Adult Divisions: Attach to your entry your notification of acceptance that was e-mailed to you after the First Round Judging. • Framed items and articles to be hung must be wired and ready to hang. Please no saw-tooth hangers, masking tape, string, pop-top rings, etc. Improperly wired entries will not be hung. Framing with plastic or Plexiglas is preferred. OC Fair staff will use extreme care in handling frames containing glass but assumes no responsibility for breakage. • Exhibitors entering free-hanging articles must provide their own hanging equipment and/or contact the Program Coordinator prior to the delivery date. • Sets or ensembles may be entered as one entry. If more than one unattached piece is included in one exhibit, the exhibitor must label each piece in a set: “1 of 2”, or “1 of 4”, etc. • Entries may also be limited or not displayed based on size, content, subject matter, or for any reason determined not in the best interest of the OC Fair. Contact the Program Coordinator for any special display needs or requests. • Exhibitor may include a brief description of article. • All finishing work must be done by the exhibitor except blocking, framing and pillow construction, which may be done by a professional. OC Fair Crafts & Hobbies Class 01: Basketry Class 02: Traditional Hooked Items, specify Rugs, Wall Hangings, etc. Class 03: All Other Items, specify FIBER ARTS For the Bed Quilts Show... • Please include with the quilt the following information on a 3-inch x 5-inch card: Source of design or pattern name Dimensions of quilt (length and width) Date of completion • OC Fair Crafts & Hobbies HOW TO PREPARE Entry Limit: One bed quilt per exhibitor due to the popularity of the Quilt Competition and limited display space. • Entire quilt may not be displayed due to space limitations. • Quilting must go through all layers of fabric. • Please include a 4-inch sleeve (rod pocket attached to backing of quilt) for hanging. • Quilts must have been completed/finished within the 2 years prior to the opening of this year’s OC Fair. • To qualify for judging in a class, more than 50 percent of the construction and techniques in the entered class must be used. “Mixed Techniques” means that two or more techniques are used where the additional techniques are more than embellishment, e.g., Sampler Quilts. • When a quilt top has been professionally/commercially machine quilted by another person, it must be entered into Division 472: Quilt Top by Exhibitor, Quilting By Another. • For quilts made by 2 or more people, identification must be given to all parties involved. • Quilts entered in “Your Original Design” may not be kits, commercial patterns or copies. The design, choice of material and selection of colors must be the original work of the exhibitor. Processing Fees • 25 OC Fair July 15-August 14 Some divisions are open only to Orange County residents and some limit the number of entries and age of entrants. Check individual Competition Guides for who may enter each competition. Youth must enter the divisions and classes specified for their age group. The exhibitor’s age as of July 15, 2016, determines their age group. Youth may not enter in the Adult divisions. Open Youth who turn age 19 by July 15, 2016, are considered adults. 4-H youth members in good standing may be age 19 as outlined by the 4-H Cooperative Extension Office. 4-H members who are age 19 may choose to enter as either a 4-H Young Adult or Adult - they may not enter both. This rule applies for all OC Fair 4-H Competitions. Most divisions require processing fees (check individual Competition Guides.) Fees are payable online with a credit card. No refunds will be issued. OC FAIR GUIDELINES ENTRIES AND EXHIBITS Acceptable Entries • • • • • No entries or works with copyright or licensing infringement will be accepted. If there is any reproduction of a registered trademark item or work of another artist, the OC Fair reserves the right to disqualify the entry. The OC Fair is a family-oriented event. Any entry deemed inappropriate for family viewing will be dis-qualified prior to judging. Articles which are objectionable, stained, soiled, broken, or not ready for hanging will not be accepted for judging and will not be displayed. You will be notified for pickup. OC Fair reserves the right to refuse, accept conditionally or to cancel any entry, disqualify exhibitors, prohibit exhibition of entries or to cancel awards, without claim for damages. OC Fair will not be liable for entries made in error and will not re-open judging to accommodate such entries. • No items entered in a previous year’s OC Fair competition will be accepted. Exhibit Sales • Sale of an exhibit or any part of an exhibit for delivery during the OC Fair will not be permitted. Entry Limit • • The Exhibit Supervisor and/or Program Coordinator have the right to limit entries to facilities available. Entry forms will be dated as received and entry forms received first will have priority. All entries will be accepted unless the exhibitor is otherwise notified. Protection of Exhibits • • 26 OC Fair July 15-August 14 Repeat Entries All cases will be locked and will not be opened while the public is in the building. Exhibits will not be allowed to leave the OC Fair & Event Center grounds unless the Program Coordinator has approved a release slip. Reasonable precaution will be taken in protection of exhibits. The exhibitor must arrange for insurance if desired. OC Fair will not be responsible for accidents or loss that may occur to any of the exhibitors or exhibits at the show and the exhibitors shall hold the management harmless and indemnify it against any legal proceedings arising from such accident or loss. Presentation of entry form shall be deemed acceptance of this rule. OC FAIR GUIDELINES JUDGING AND AWARDS Judges and Judging Procedures • • • • • • • Premiums • • Signed judging sheets will be used as evidence for payment of premiums. Ribbons and tags will not be accepted. Checks for awards will be made payable to the exhibitor whose name is indicated on the entry form and distributed within 30 days after the close of the OC Fair. Ribbons • To encourage high standards, the judge shall award 1st, 2nd and 3rd Place in each class according to merit; if without merit, the judge shall make no award under any circumstances. Ribbons and special awards must be picked-up by exhibitors at the close of the OC Fair unless otherwise noted. Claiming Awards and Exhibits • Exhibits and/or awards left after the official release date are not the responsibility of the OC Fair and will be discarded without exception. If you are unable to pick up your items, please arrange for someone to pick them up for you. Claim check or photo ID is required for pickup. No additional phone calls or email notifications will be made. OC Fair and State Guidelines • 27 OC Fair July 15-August 14 • • For judging purposes, the OC Fair reserves the right to combine classes or divisions to create an adequate judging pool where numbers are insufficient to ensure adequate competition. Qualified judge(s) will be selected by the Program Coordinator to judge all exhibits. Judges have the authority to disqualify or transfer to the correct class any exhibit that does not meet the requirement of the division or class in which it is entered. Adult Divisions are placed using the American Judging System (ranking exhibits one against another). 1st, 2nd, 3rd Place and Honorable Mention may be awarded in each class if judges so determine. Young Adults and Junior Divisions are placed using the Danish Judging System where each entry is judged on how well it meets a standard rather than how it compares to other entries. Entries are judged Blue (superior), Red (very good) or White (average) Award. There may be more than one Blue, Red or White Award per class. All Blue Awards will compete, using the American Judging System, for cash awards. The decision of the jurors is final. If an entry is disqualified after judging is completed, the judge will not change the status of awards given for other entries. Judging is NOT open to the public (except Special Contests). Judging results can be viewed online around the third week of the OC Fair at ocfair.com/results. Please do not call or email for competition results. Award information will not be given by telephone.
