We're so happy that you will be visiting our country. We hope that you will enjoy your stay. Please read carefully through this Welcome Letter. There is important information including traveling directions. Print out a copy of this information so you will have everyone’s contact information. My name is Elisa Pyle. I am a Program Coordinator for Cultural Homestay International (CHI). I will be happy to answer any questions you may have and I will also be available throughout your stay to assist, if there is any problem. There are a few things you will need to do now 1. Purchase a plane ticket. 2. Log onto www.SEVIS.org and enter your flight information. Please fill in as much information as possible, including flight time. 3. You must contact your employer, to let him know when you will be arriving and when you will available to start work. Enjoy your stay! Sincerely, Elisa Pyle BEFORE DEPARTURE 1. Most importantly, read the CHI Student Handbook which you should have received at the orientation or your student agency. It is your responsibility to read and follow all rules and procedures in the handbook. 2. Make sure you have all the correct documents and at least $1000.00 US funds available to you. 3. CHI advises you to bring one change of clothes in your carry-on in case your luggage is lost. These things happen and this is an easy step to take to be prepared. Carry all your paperwork with you. Do not pack them! 4. Contact your employer by email to notify him/her of your specific arrival time. Plan your flight accordingly: if your final destination is 5 hours away, make sure your flight arrives early in the day OR you have made a reservation at a hostel to stay overnight. BEFORE YOU ARRIVE IN THE USA Log in to www.sevis.org and enter your flight information as soon as you purchase your flight ticket. If you have cannot log-in, send an email to me at [email protected] with the following information: 1. Date of arrival in USA 2. Time of arrival 3. Airport where you are arriving 4. Airline that you are arriving on 5. Flight number 6. Date you are leaving the USA ARRIVING INTO THE UNITED STATES OF AMERICA There are five important documents which you MUST have in your possession and present to the U.S. immigration officials upon arrival in the U.S.: 1. Valid passport 2. DS-2019 Form 3. I-797 SEVIS fee receipt 4. J-1 Visa 5. I-94 card **Some airports will no longer require this** The immigration officer will review all documents, validate and place a stamp on your DS-2019 form and your passport. The officer will then return all validated documents to you, including the DS-2019 form. You should have no problem entering the U.S. as long as you have all the proper documentation AND cooperate and communicate respectfully with the U.S. immigration officers at the airport. Paper I-94 Card vs Electronic I-94 The I-94 card is a record of your arrival and departure in and out of the U.S. and it indicates the last day you are authorized to stay in the U.S. legally on the J-1 visa. Starting 26 April 2013, five major airports in the USA will no longer utilize a paper I-94 card, and within 3 weeks all international airports in the USA are set to follow with this change. Most travelers will not be given a paper I-94 form and instead, their record of arrival and departure will be saved electronically in a government database. For both paper and electronic I-94, you will receive a stamp on your passport indicating the last day you are authorized to stay in the U.S. on the J-1 visa. The letters “D/S” may be used on your passport (and paper I-94, if you have one) instead of an actual date, this is an abbreviation for “Duration of Status” and is equivalent to the dates indicated on your DS-2019 form, plus an optional 30-day period after your work program, for travel purposes only. In either case, you must depart the U.S. as specified on your I-94 card and in time to resume your academic responsibilities. Otherwise, you will be out of status and subject to arrest and deportation. If you are given a paper I-94 Form to complete on the airplane or by the immigration officer, please make sure you write your information in printed capital letters, the same way it is in your passport, with the dates according to the format requested on the I-94 card. Any mistake, not matching information, or wrong format in your date of birth may result in problems when getting your Social Security number! The paper I-94 card will be validated, stamped and attached to your passport or given to you by hand. AFTER YOU ARRIVE IN THE USA It is extremely important that you log into the SEVIS system within *THREE* days of your arrival! Log in to www.sevis.org or if you have no access to the web, call CHI for assistance at 1-800-432-4643. Refer to your Student Handbook, if you need specific instructions about how to log in. There are serious consequences if you do not validate your visa, beginning with a cancellation of your program, so please do it as soon as possible! Your housing will have internet access. You can also call CHI during office hours of Monday – Friday from 9am – 5pm PST. The toll free number is 1-800-432-4643 and dial 510 when you hear the recording for the Work and Travel Department to help you. IMPORTANT FOR PAPER I-94 CARD: The cost of replacing a lost card is $330 USD and processing time is up to 9 weeks. Please treat all important documents carefully. CHI is not responsible for providing a new I-94 card; however, we will assist any participant experiencing problems. DRESS CODE Must be well groomed at all times. Uniform must be clean and pressed. Hair must be off shoulders and away from face at all times. No beards. Nails must be clean. DIRECTIONS FROM THE AIRPORT TO YOUR HOUSING TBA APPLYING FOR A SOCIAL SECURITY NUMBER Once you are in Ocean City, you must register with the local Social Security Office to get your card and number. You must wait at least 10 days after logging into SEVIS before you apply for a Social Security card! BEFORE YOU TRAVEL TO THE SECURITY OFFICE Please make sure you log back in www.sevis.org after 3 days you register to make sure your visa status has been validated. This is a requirement for applying for a social security number. Also, a must: please visit www.cbp.gov/I94 to obtain your electronic I94 number and print out a copy of your I-94 card. Upon entering the U.S, you will receive a paper with instructions on how to access this website, contact CHI if you require assistance. If your employer is unable to assist you with transportation to the Social Security office, please contact me. The local bus may not have a direct stop at the office and this could be confusing for you.
