UNITED NATIONS HIGH COMMISSIONER FOR REFUGEES BRANCH OFFICE ANKARA INTERNAL/EXTERNAL VACANCY NOTICE VN/123/14 Title of Post Category and Level Position No. Duration Location Closing Date : Admin/Human Resources Assistant : GL4 : 10019858 : 1 year, renewable : Ankara, Turkey : 7/11/2014 FUNCTIONS: This position is located in the HR Unit, Admin/Finance Section, in Ankara. The Admin/HR Assistant will function under direct supervision of the Senior Admin/HR Associate and overall supervision of the Human Resources Officer, assisting him/her in personnel administration and other HR related matters, including the process of recruitment and appointments of staff, and in the performance management and welfare issues of staff in Turkey. RESPONSIBILITIES: Maintain hard and electronic office files and records; classify and code material relating to a variety of topics. Search and retrieve office files, and reproduce documentation and background material for reference and action by the supervisor, as and when required. Draft routine correspondence, memoranda and reports. Format more complex documents by using the appropriate technology. Facilitate implementation of Personnel administrative formalities and processing of documents in relation to official travels, leaves and movements of staff. Support staff members with processing personnel-related documentation. Provide clerical support in the recruitment, assignment and reassignment of local general service staff. Assist in processing local staff members’ contracts, entitlements and benefits in accordance with Staff Rules and established HR procedures. Provide advice to staff members on their rights, obligations, benefits and entitlements according to the UN/UNHCR staff rules and regulations. Assist newly arrived international staff with administrative formalities related to their accreditations, security/ground passes, arrange travel and hotel reservations. Assist with shipment of their personal effects in coordination with the logistics section. Maintain personnel records in the office, including maintenance of the attendance, overtime and leave records. Perform other duties as required. QUALIFICATIONS: Required education: Completion of secondary education. Experience: Minimum 4 years of previous job experience relevant to the function. Languages: Excellent knowledge of Turkish and fluency in English. Required Competencies Analytical Thinking Innovation and Creativity Planning and Organizing Desired Competencies Field experience with UNHCR and/or with other humanitarian organizations is an asset. Good knowledge of UNHCR administrative procedures and processes and exposure to provision of support services in an international organization. High IT affinity and working experience of PeopleSoft/MSRP.
