Kirk in the Hills Mom to Mom Sale Table Rental Agreement • The date of the sale is Saturday, March 21st, 2015. The time of the sale is 8:00 a.m. – 1:00 p.m. Early bird is from 8:00 – 9:00 a.m. • Set up will be from 6:00 p.m. 8:30 p.m. on Friday, March 20, 2015. You must check in before proceeding to your table for set up. At check in you will receive your table number and the approximate location of your table. • Kirk in the Hills will open the doors on Saturday, March 21st at 7:00 a.m. the morning of the sale for continued set-up. Kirk in the Hills is not responsible for any lost, stolen or damaged items. • You must have your table set by 8:00 AM on March 21st. No refunds will be given for any no shows and your table will be available for others to rent. • You must be selling Mom to Mom sale items (baby/kids clothing, toys, maternity clothing, etc). At this time, we only have 4 vendors spots available. • Renter will be provided with an 8’ (rectangular) table. Your space will be approximately 3’ deep. This does not allow for rack space. Rack space may be purchased for $5.00 (one rack space per table rental). You must provide your own rack. (ONLY A STANDARD SINGLE BAR HANGING RACK, NO ROUND RACKS OR DOUBLE WIDE RACKS) • You will be provided a table to sell your items from. You must keep your items in the area assigned to you and not have items protruding out into the walkways. You may also rent space for a rack (the number of spaces is limited), which you must provide yourself. Your rack must fit into the space provided and it is an additional cost. • There will be a large item area, overseen by volunteers from Kirk in the Hills. If you have large items, please note these items, along with a description (manufacture, pattern, etc.) and the price you will be asking for each item on the attached form. The large items room fee is $2 per item. • Table renters are expected to provide their own change and their own bags. Kirk in the Hills will not provide these items. Renters are also expected to act as their own security for items that they bring to sell. The church cannot be responsible if items or money are stolen from a renter. • Renters are expected to stay until 1:00 p.m. Renters should not begin to pack up their items to leave before 1:00 p.m. (This is for the sake of those buyers who may be traveling between resale events). There have been many complaints regarding this. If you pack up before 1:00pm you will not be allowed to sell at our sale in the future. • If you bring children with you to the sale, you are responsible for your own childcare and for keeping them supervised. Refreshments and snacks will be available for you to purchase, if needed. • If 20 tables have not rented by March 7, 2015, the sale will be cancelled. Your rental fee will be returned at that time. There will be no refunds unless the sale is cancelled. Please return only the table agreement page along with your check. • Kirk in the Hills is accepting a limited amount of business vendors at our sale. Please identify yourself as one on your application. We reserve the right to decide what vendors we want to admit. If your application is declined your application and fee will be returned to you. A truck from Grace Centers of Hope or the Baldwin Center will be at the sale at 1pm for any unwanted items. Receipts will be given for any donations. Therefore, these items are placed in a “Large Item Room” with similar items from other sellers. In order to make the sale go smoothly for all parties involved, please carefully review the following procedures. If you have any questions, please do not hesitate to contact the co-chairs of the event. Procedures 1. There will be a large item area. If you have large items, please fill out the large item form. All large items MUST be checked-in and paid for by 8pm during Friday night set up. See attached sheet for large items. If you cannot make the Friday night set up please discuss other arrangements for your large items with the sale organizer. Large items are $2 per item. 2. Complete the enclosed “Large Item Room Form” thoroughly before arriving at Kirk in the Hills Church to set-up. Please provide a detailed description of each item being placed in the Large Item Room, as many sellers will have similar merchandise. If you are willing to negotiate on the sale price of items, please indicate the lowest acceptable price. The people working the Large Item Room will not reveal these prices to a purchaser; but, will then have the ability to sell your item if an acceptable offer is made. 3. Large items are such things as: bikes, crib, changing table, stroller, large race tracks, swing, exersaucer, bouncy seat, easels, outside toys, beds, are not allowed at your table and must be sold through the large item area only. 4. All Large Items must be tagged prior to check-in on Friday evening using the Large Item tags provided. 5. Complete the attached “Large Item Room Price Tag” for each of your items and securely attach it to your item. Please note that you will need to add the table number after you check in and receive that information. 6. Please check in your Large Items before you begin setting up your table. When proceeding to the Large Item Room, please bring all of your items down at one time and find one of the members to help you check them in properly. Do not leave your items unattended with the intention of returning later to get them checked in. This can cause delays for everyone, so please be prepared when you check in. 7. Sellers can collect their money from Large Item Room sales shortly after the completion of the sale. 8. You are responsible for pricing and tagging your own items, and arranging them in an attractive and orderly manner. This will help you sell your items. Items must be clean. 9. Kirk in the Hills will allow car seats to be sold in the Large Item Room as long as the car seat does not exceed the expiration date of the car seat (usually 6 years from the date of manufacture). Expiration dates are usually found stamped into the plastic of the car seat or on a consumer label (usually on the side or bottom of the car seat). Please do not sell a car seat that is broken, missing parts or if it has been involved in an automobile accident. 10. Cribs: As of December 2010, U.S. law outlaws drop-side cribs. (Courtesy of mom2momlist.com) Come prepared! Bring enough bags (Kroger, Meijer, etc.) to put the items in that you sell. Come with plenty of $1’s and change. It is your responsibility to have this for your customers. Don’t leave your money accessible to the general public. A hip bag is a good idea since it has more than one compartment. You will be offered a lower price at one time or another. It is up to you if you want to bargain. You do not have to take anything less than you want. But remember you are reselling used items and will not get retail price for them. Make sure if you have items under the table that they are accessible and easy to see. Making a sign to let the public know what size and sex of clothes you have will make things go easier. Make sure that your items are CLEAN. If there is a problem (zipper needs replacing) you should make sure that is known. It is the responsibility of the buyer to check it out, but if you are up front and let them know, they will know that your table is a reputable one. If you have a rack, make sure that it is secure so it won’t fall over if the items are pushed from one end of it to the other by buyers. It is a good idea to have a helper at your table. First, for one of you to be there during the sellers pre-sale time. You want to make sure that someone is at your table at all times. Also, during the day you may need to take a quick break and it isn’t the organizers responsibility to watch your table. Also, if you get busy, it’s nice to have extra hands helping. If you are not willing to barter on the price, post a sign that all prices are firm. On the other hand, if you are willing to barter, you may want to put a sign saying "no reasonable offers refused". Many people won’t even consider going down in price for the first hour or two. It’s all up to you. After all, it’s your table. If you are sharing a table with someone else, make sure that you have different tags to collect as you make the sale to assure both parties get their rightful monies. Sometimes after the sale the organization accepts donations. (Kirk in the Hills will not be accepting donations however, we will have a truck from Grace Centers of Hope or the Baldwin Center at the sale at 1pm) If you don’t want to haul the unsold stuff back home, inquire about it. They will be handing out receipts for any donations given. If you have big items, you need to decide what price to put on them as they are usually in the big item room and if you are willing to come down, state how much & at what time during the sale. Clearly label each item with price AND size. It also helps to sort your items by size. Make sure all your items are clean. Do your best to get out stains. If you are selling large items, make sure you clean those also - people are more likely to buy an item that looks newer, than one where they would have to clean up before use.
