Tennis Alberta Summer Student Job Description Tennis Alberta is the governing body for tennis in the province, providing programs, competitive opportunities, training clinics and administering the sport provincially. Based in the Percy Page Centre, which houses over 70 other provincial sport, recreation, and cultural associations, the incumbent would work in a team environment to effectively understand and satisfy our members’ requirements and exceed their expectations. SUMMARY STATEMENT Tennis Alberta’s Summer Student, reporting to Tennis Alberta’s Executive Director, will be responsible for: 1. Database functions including tournament administration and membership data management; 2. Program management support; 3. Providing quality customer service and communication to internal and external clients. MAIN RESPONSIBILITIES/DUTIES Customer Service and Communication The Summer Projects Coordinator will be support to the association’s main contact for general inquiries from our members and the public. He or she will respond to inquiries and requests in a timely manner and provide quick and professional responses to member feedback. Specifically the incumbent will be responsible to: Assist to draft and send written communication to association members via enewsletters or blast emails; Assist with general communication to program registrants, members and community associations; Keep Tennis Alberta’s website and Facebook page updated and fresh. Database, Tournament and Event Administration The Summer Projects Coordinator will be responsible to Assist with Tennis Alberta’s sanctioned event administration, as well as the coordination of any special events. More specifically, the incumbent will: Participate as required on event and tournament committees; Assist with the maintenance of the information in the national ranking system, as well as Universal Tennis Rating; Assist with all aspects of league management and planning, including registration, marketing, communication, data input (results), and policy development; Monitor compliance to Tennis Alberta’s newly implemented Respect in Sport program; Effectively input and maintain accurate and up-to-date membership information into the database; Prepare tournament and membership data reports; Attend events and tournaments as required. Program Management Support The Summer Projects Coordinator will assist in the management and coordination of Tennis Alberta programs, which may include: NCCP- Assist in the organization of coaching certification and recertification opportunities and ensure that participants receive appropriate accreditation. Rogers Rookie Tour- Assist in the coordination of the schedule of these non-elimination junior events. The incumbent will be responsible to oversee the progress of the tour, assist to track the number of unique participants, and to forward event results on to Tennis Canada. Summer Club Support- Support local tennis associations as required. Junior Nationals- Coordinate details of indoor and outdoor Junior Nationals including communication with Tennis Canada, registrations, uniforms, transportation, and support to coaches and players. SUPERVISION AND MENTORING PLAN To maximize the learning of the Summer Student, he or she will be mentored directly by the association’s Communications & Competitions Manager. The mentorship process will be overseen by Tennis Alberta’s Executive Director to ensure that realistic expectations and work plans are set and followed, and that regular, formalized meetings (one-on-one or in smaller groups) with documentation of objectives and outcomes are kept. HEALTH AND SAFETY PRACTICES IN THE WORKPLACE Tennis Alberta is committed to maintaining a healthy and safe workplace in partnership with its staff, and as such complies with Alberta’s Occupational Health and Safety Act, Regulation, and Code to set out the minimum requirements for health and safety. In terms of health and safety considerations specific to this position, there may be lifting and/or handling of heavy or awkward loads and equipment. Tennis Alberta will provide, where reasonably practicable, appropriate equipment to negate the risk of injury. QUALIFICATIONS As the governing body for tennis in the province we provide programs, competitive opportunities and training, while administering the sport provincially. Interested candidates should therefore have a strong knowledge and passion for sport and recreation, along with experience in Microsoft Office Suite and internet applications. Successful candidate must also have strong communication, writing and interpersonal skills while able to work both independently and with a team of committee members. Previous experience playing tennis, or a tennis coaching certification would also be considered an asset. HOURS OF WORK AND COMPENSATION The individual will be required to work 35 hours per week for Tennis Alberta. There is some flexibility in the work schedule (may work some weekends and evenings to attend event or to participate in committee meetings or conference calls). This is a temporary 16 week position, for which the rate of pay is $15 per hour plus 4% vacation pay. All required and approved outof-pocket expenses for travel, supplies, meals and accommodations are reimbursed by the association.
