2015 NEW YORK CITY PLUMBING & FIRE PROTECTION EXPOSITION EXHIBITOR INFORMATION GENERAL DETAILS: DATE OF EVENT LOCATION EXHIBITOR SET-UP TIME TIME OF EVENT EXHIBITOR BREAKDOWN MAY 21, 2015 JACOB JAVITS CENTER, RIVER PAVILION 9:00AM - 2:00PM 4:00PM - 8:00PM 8:30PM – 10:00PM The NYC Chapter of the American Society of Plumbing Engineers is putting on our biennial Plumbing and Fire Protection Exposition. We are excited to announce that this year’s expo will be held at The Javits Center, New York City’s premier venue for conventions, trade shows and special event. The exposition will be attended by engineers, designers, consultants, contractors, architects and city officials making it the opportune time and place to display your latest products and services. Our marketing campaign for the event has already kicked off with professionally designed save-the-date posters being displayed at our monthly meetings leading up to the event. We will also have save-the-date post cards, printed in color, which will be provided to all exhibitors for their use and to all members of the plumbing and fire protection design community. We plan on raffling off prizes on the day of the event (i.e. iPad and/or Kindle) in order to further boost attendance. Please feel free to bring your own promotional items and giveaways. The venue itself has already created quite a buzz within the design community. Food and beverages will be provided for you and your guests, and the audience throughout the event. There will be NO admittance fees for those attending the event. You are encouraged to invite engineers, designers, architects, etc. EVENT SPACE: The Jacob Javits Center is located on 11th Avenue between West 34th and West 38th. The expo will be held in the River Pavilion which provides over 45,000 sq. ft. of glass enclosed space overlooking the Hudson River. The space is accessible via car or public transportation. The 7 Train Extension is planned to be completed before our event in May and will bring riders right to 34th and 11th Avenue. DISPLAY TABLES: The table layout is attached at the end of this packet which includes room dimensions and clearances planned between tables and rows. Each table measures 30” x 8’ and will be provided with a cover and a chair. You are encouraged to bring your own table covers to display your company name and logo. The tables will be set up within the space prior to your arrival. Please note that electric/plumbing connections are not available at the tables for your use. All display items must fit on the table. PRICING AND PAYMENT: Single Display Table $1,000 Please inquire about discounts for multiple tables All payments can be made via check or credit card. All major credit cards accepted including Visa, MasterCard, Discover and American Express. Checks are to be made out to ‘NYC Chapter of ASPE’ It will be through your contribution that the event is made possible. We thank you in advance for your participation. SET-UP AND BREAKDOWN: All materials coming into the building are to be “hand carried”. Larger/heavier items can be brought in on a 2 wheeled hand cart which is still considered hand carried. If you have something larger please reach out to Jared to discuss. Laborers will not be required per the hand carry rules. Please see the policies below which explain this in more detail. Unload Location: Exhibitors will unload at the covered Inner Roadway and enter in at the doors adjacent to Super Shuttle. Walk straight into the space, under the escalator, past the restrooms. Make a left and take the elevator to the 4th floor, River Pavilion. Staff will be onsite to provide direction on the day of the event. Approved for Hand Carry: • Individuals moving these items must be employees of the exhibiting company and must carry identification with them to verify this fact • Exhibitors moving items must use the doors and routes designated by event management • Hand carried items can be brought in through the front of the building (east side) and at specified times, the north side, as long as traffic regulations are obeyed • Exhibitors may use nothing larger than a two-wheeled baggage cart (plastic or rubber wheels only) to move their items • Hanging clothing racks with four wheels are allowed for moving hanging garments. • "Pop-up" displays, equal or less than 10' in length, capable of being carried by hand by one person may be brought into the Convention Center Restricted for Hand Carry: • Power tools, ladders or any other type of carpenter/construction equipment are not permitted in the convention center, unless specific written approval has been obtained in advance • Any freight from a vehicle larger than an Econoline van • Any freight moved on equipment larger than a two-wheeled baggage cart • Any freight that cannot be hand carried by one person • Any freight moved by a moving or freight company, contractor or any persons other than Javits Freight Handlers or direct employees of an exhibiting company engaged in approved hand carry Freight Moving Exhibitors May Do Themselves (“Hand Carry Policy”) • Hand carried items can be brought in through the front of the building (east side) and at specified times, the north side, as long as traffic regulations are obeyed. Temporary loading and unloading zones are assigned and managed by Javits Public Safety personnel in conjunction • • • • • with show management staff. Loading and unloading of vehicles is limited to vehicles no larger than an Econoline van. Vehicles must be attended by a licensed driver at all times. Moving company trucks may be loaded and unloaded only on the Javits Center loading dock by Javits Freight Handlers. Such trucks may not be loaded or unloaded in front of the building or on the north end or anywhere else in the vicinity of the Center, as their freight is not considered "hand carry" regardless of its size. Under no circumstances will moving company employees, or any persons other than Javits Freight Handlers or direct employees of an exhibiting company engaged in legitimate "hand carry," be permitted to handle freight on Javits Center property. Exhibitors may use nothing larger than a two-wheeled baggage cart (plastic or rubber wheels only) to move their items. Hanging clothing racks with four wheels are allowed for moving hanging garments.
