Set-Up Requirements for National Tartan Day ’2015 Festival at Market Square
This event will be held on Saturday, 11 April 2015, on Market Square, immediately in front of
Alexandria City Hall, located at 301 King Street, Alexandria, VA. Setup may not commence
until after 1pm on the day of the event and all displays must be removed no later than 7:30 PM
that same day. Available space will be allotted on the raised area of Market Square by the
NCTDC event organizers, on an assigned basis. Each vendor will be allotted an area
approximately 10 feet long by 10 feet deep. No setup on the adjacent sidewalks or curbs will be
permitted. Vendors must provide their own tents, tables and chairs. The event will be held rain
or shine. A non-refundable setup fee of one hundred dollars and no cents ($100.00) must be
paid in advance to NCTDC and received no later than April 4, 2015 (unless other arrangements are
made with the organizers). Make checks payable to National Capitol Tartan Day Committee and send to
Kathy Garrity, 9361 Birchwood Court, Manassas, Virginia 20110, or pay through PayPal by registering
here - http://dctartanday.org/scottish-festival/ . Regardless of how you pay, please complete this form
and send to Ralph Wallace at [email protected] no later than April 4.
Agreement of the Parties: This is a Contractual Agreement by and between the Event
Permit-Holder, the NCTDC, Inc., a 501(c)(3)-certified nonprofit corporation, organized under
the laws of the District of Columbia, the City of Alexandria, VA and ___________________
(hereinafter, Applicant). In exchange for good and valuable consideration had and obtained,
namely, reservation of display setup space for Applicant’s table or tent at the above-referenced
event in Market Square in Alexandria, VA on Saturday, 11 April 2015, and access to the general
public attending the said event, between the hours of 1:00 PM and 7:30 PM, Applicant agrees to
pay NCTDC the non-refundable amount of One hundred dollars and no cents ($100.00), in
advance of the date of said event no later than April 4, 2015. Compliance with all applicable
licensing and sales tax regulations remains solely the responsibility of the vendor.
Hold Harmless Agreement
The Individual/Organization named in this form hereby agrees for itself, its successors and assignees, to
indemnify and hold harmless the National Capital Tartan Day Committee, Inc. (NCTDC, Inc), and the
City of Alexandria from all claims, lawsuits or any other action for personal injuries, including death,
and damages to property, real or personal, caused by your individual/organization, and/or acts or
omissions of NCTDC, Inc, arising out of your individual/organization's involvement in the National
Tartan Day festival, and from all judgments and costs incurred in relation to said claims and lawsuits,
NCTDC is a nonprofit charitable and educational organization, incorporated in the District of Columbia, which has been certified as a 501(c)(3)
tax-exempt organization by the Internal Revenue Service. NCTDC’s sole purpose is to promote the Tartan Day holiday. All contributions to
NCTDC are tax deductible, to the extent permitted by federal law.
and from all expenses incurred in defending said claims or lawsuits. The individuals and
society/organization named herein hereby releases NCTDC, Inc, all Sponsors and Officials, including
their agents and employees, from liability, from any claim it might otherwise have for participating in the
National Tartan Day Festival, including, but not limited to, any claim for personal injury or physical
impairment or other claim of any type, arising out of participation or involvement in this event. The
individual/organization named herein also agrees to indemnify and hold harmless those released above
from any such claims, damages, losses and expenses, including attorney's fees and all court costs.
Publicity Release
The undersigned hereby gives consent to NCTDC, Inc and assignees to take photographs, make audio
recordings/and or video graphs of myself and/or my organization at NCTDC, Inc and to use such
photographs and/or video graphs for such promotion, publicity and other lawful purposes as NCTDC, Inc
deems appropriate. I/we further waive any rights or claims as to content approval or damages that I/we
may have for those reproductions.
Safety And Site Rules/Policies
1.
NO firearms, drugs, or alcoholic beverages are permitted at the Festival site.
2.
All tents MUST meet with the Fire Marshall’s requirements.
3.
This event will be held on a brick and concrete town square with no ability to stake tents. Bring
sufficient weights to hold down your tent in the event of a strong breeze.
I/We, the undersigned, hereby acknowledge receipt and acceptance of the above rules and policies and
agree to abide by them. This registration is submitted for consideration by the Clan/Association
Chairperson of the National Tartan Day Festival. You will be notified of receipt and acceptance of your
registration application.
