Rules and Regulations
1
All school policies apply. School policy and State law prohibits students from
using alcohol or drugs. In the event that a student is found to be using, or in possession
of contraband, parents will be notified and the student will be sent home at his or her
expense.

All students must have a medical release form on file with the directors. Please
make sure you have the exact times on file for when medication is to be taken.

Students must be in the room assigned to them at room check and must remain
there.

Students will be held responsible for any damaged property and must refrain
from taking souvenirs from the lodging site.

Be punctual. To be early is to be on time…to be on time is to be late…to be late
is to be very sorry!!

Chaperones are acting on behalf of the director and should be respected and
obeyed at all times. No exceptions to this rule will be tolerated.

No visitors will be allowed without the directors’ permission. No visits to relatives,
etc. will be allowed unless directors grant permission prior to departure from Denton.

The noise level in the rooms must be kept low as a courtesy to other guests
staying in the hotel.

No boys in girls’ rooms. No girls in boys’ rooms. We will operate on a “zero
tolerance” policy for this. Parents will be notified and you will be sent home at your
expense if you disregard this rule.

Proper attire is expected at all times in accordance with the school dress code.
Refer to the “Standards for Student Conduct” for any questions regarding this matter.

The director reserves the right to inspect the students’ room and or luggage
without warning if deemed necessary, and may charge the chaperone to assist. (Refer
to Rule #1)
If an incident occurs that the directors determine warrants sending a student home,
the student’s parents will be responsible for the expense of an immediate flight home
for BOTH the student and a chaperone.
Respect is gained through respecting others.
South Padre Trip Information
Money for Meals
Students will need $$$$ for 6 meals (3 breakfast, 2 lunch, 1 dinner).
Luggage
Due to the extremely early departure time on Friday morning, students must have a plan to
deliver all luggage/instruments to the bandhall no later than 6 PM on Thursday night. All bags
travelling on the trip must in the bandhall for inspection. Any luggage that is not stowed at this
time will not be going on the bus.
Students will be allowed one suitcase OR duffle bag to go under the bus and one carryon item.
It might be a good idea to pack with a roommate to save space. The carryon item should be
no larger than a backpack.
Instruments on the bus
Flutes/Clarinets/Oboes should be carried on with the students. All other instruments must be in
hard cases (no gig bags) and must go under the bus.
Garment Bags
If space allows, garment bags may be placed under the bus, if not, they will need to be
placed in the overhead compartments in the main cabin of the bus.
Don’t Forget to Bring:
Concert attire/tux in garment bag
(Black socks/shoes, white tux shirt, black bow tie, black shoes/hose)
Instrument and all accessories (tuner, reeds, mouthpiece, valve oil, etc.)
Percussion sticks/mallets (small instruments)
Music
Swimsuit/towel/beach footwear
$$$ for meals, souvenirs
Charger
DVD’s for bus ride (Rated PG13 or less, at discretion of directors)
Comfortable shoes (tennis shoes) for walking around
In downtown San Antonio, South Padre, and Schlitterbahn
Students must travel in groups of no fewer than 4 for safety reasons. Students must not leave the
designated area(s), FOR ANY REASON!!!
Guyer Band Chopped Competition
1. 1 entry per room
2. Ingredients assigned by judges
3. Must use required ingredients (may use other ingredients too!)
4. Contestants will be judged on taste, presentation, and creativity.
5. Grand prize winners announced at 12:30 (prizes will be worth writing home about, as well
as bragging rights)
Procedures and Flow
Assigned Chaperone
Each room will have an assigned chaperone. You will check in with this chaperone at all
designated times. This chaperone will do your room checks at night and will be your “go to”
person for all issues/concerns.
Checking In
Each room will be assigned to a chaperone. You will need to check in with your chaperone
anytime we meet as a group. If you have any questions or problems, go to your assigned
chaperone. When we arrive in South Padre, your chaperone will distribute the room keys and
do room checks at night.
While we are at the hotel
Do not block traffic paths and doorways.
Speak in normal volume and do not yell to each other when indoors.
Use the stairwells as much as possible to avoid frequent trips in the elevators.
Students must NOT wear pajamas to any meals or other activities.
Students must wear appropriate footwear at all times.
Students are not to order pizza or other food to be delivered to their rooms.
No hotel meeting rooms are to be used without permission of management.
No room or bus switches are permitted.
Lock, bolt and safety chain rooms for the night. Students are not to open the door for anyone
other than Guyer Band members and adults.
Students are not to make any local or long distance calls on the room phones.
Do not take towels or any other souvenir from the rooms. You will have to pay for them and any
damage done to the rooms.
Students are not to play their instruments in their hotel rooms.
Take care when using appliances/equipment in hotel room. Turn off all appliances when
leaving the room.
Swimsuits
Ladies- You must wear an appropriate swimsuit or a t-shirt over anything that might be
questionable. An appropriate swimsuit includes:

Full bottom (no cutoffs)
•
No string bikinis
•
No “triangle” tops (If straps tie, they must be pinned)
Guys- Acceptable swim trunks (NO SPEEDOS OR CUTOFFS PLEASE)
Please keep this in good taste. If a chaperone or director sees anything questionable, you will
be asked to change. Any non-compliance could result in the loss of swimming privileges for the
remainder of the trip.
A Few More Details
Please bring sunscreen and USE it during our time outside. Ladies-It will probably be best if not all
4 girls brought a hair dryer. The hotel provides a hair dryer in the room. Four hair dryers going at
the same time equals no electricity for your room. The same can also apply to a curling iron.
Checking Out
Your chaperone will do a room check of your room prior to leaving the hotel. Anything found
broken or damaged will be reported and your room will be asked to pay the fee. Give your keys
back to the chaperone and then load the buses.
Swimming/Water Rules: South Padre 2015
I want everyone to have a good time and be SAFE on our trip. All students need
to follow these rules:
1. If you are not accustomed to swimming in SURF, you are not allowed to
go out in the Gulf past your waist AND if you aren’t a strong swimmer, you
are not allowed in the deep end of the pool.
2. Strong swimmer or not, EVERY student needs to have a “buddy”. While in
the water, you are responsible for your buddy and they are watching out
for you. This is in the Gulf AND in the pool. If your buddy gets out of the
water, you need to find a new buddy.
3. You are only allowed in the pool/Gulf if there is a chaperone at the
pool/Gulf who knows you’re swimming. When you go to the pool, check
in with a chaperone first. (it doesn’t have to be YOUR chaperone…it just
has to be a Guyer Band chaperone) Likewise, you may only go into the
Gulf if you have checked in with a chaperone to tell them you are going
into the water so they can watch you. When swimming in the Gulf, keep
an eye on the beach to make sure the waves aren’t moving you down
the coast.
4. Please be honest with yourself and us if you are not good in the water.
Now is NOT the time to learn how to swim, especially in the Gulf! Wading
is cool. We like wading.
5. Please know that these rules are in place because I care very much for all
of my students and I couldn’t live with myself if anything ever happened
to one of you.
6. NO swimming in the Gulf at dusk or any dark times! NO exceptions!
RECAP:

2. Inexperienced swimmers need to only wade in the Gulf and stay in the
shallow end of the pool.
3. If you’re swimming, there needs to be a chaperone there who knows
you’re swimming so they can watch you.
4. No before dawn or night/dusk swimming in the Gulf.
