Release Notes MYOB AccountEdge Pro v14.5 MYOB AccountEdge Network Edition v14.5 AccountEdge Pro v14.5 and AccountEdge Network Edition v14.5 have all the features you’re familiar with, and new features to make managing your business easier. To learn about the new features, see ‘What’s new in v14.5’ on page 12. Are you upgrading from AccountEdge v14? Start by installing the compliance update and loading the new tax tables. See ‘Upgrade from AccountEdge v14’ on page 10. Upgrading from AccountEdge v13.5 or earlier? You need to install AccountEdge v14 and then upgrade your company file. See ‘Upgrade from v13.5 or earlier’ on page 2. MYOB Licence Agreement IMPORTANT – READ THIS CAREFULLY BEFORE USE. This is the Software Licence Agreement (“Licence Agreement”). As you have purchased the Product (consisting of the User Documentation and the Software) following notification of the Licence Agreement you are now legally bound by its conditions. HOWEVER, if the Licence Agreement contains anything of which you were not aware prior to purchasing the Product or do not agree to be bound by, DO NOT INSTALL THE SOFTWARE but return the Product to the seller in its entirety and a full refund of the purchase price will be made. Upgrade from v13.5 or earlier NOTE: The following procedures are only necessary if you are upgrading from AccountEdge or AccountEdge Network Edition v13.5 or earlier. If you’re using v14, see ‘Upgrade from AccountEdge v14’ on page 10. Upgrading is a two-part process that involves first installing AccountEdge Pro v14.5, then upgrading your company file to use with it. When you upgrade your company file, the records and transactions within your file are copied into a format that will work with the new version. What should I do before I upgrade? We recommend you set aside time outside of your normal business hours to complete the upgrade tasks. Do the following before you upgrade: Check that your computer can run AccountEdge Pro v14.5. System Requirements Operating system 2 • Mac OSX 10.7 to 10.10 R ELEA SE N OTES Hardware • Intel Based Mac with 1 GB RAM or more • 1024 x 768 screen resolution with thousands of colours • 250 MB available hard disk space for installation. • Minimum of 35 MB available hard disk space for each company file Note: UNIX-formatted hard drives are not supported. Software • • • • PDF viewer such as Preview or Adobe Reader Web browser, such as Safari or Firefox Mail or Outlook for sending mail Microsoft Office 2008 or 2010 for Mac Additional Requirements for Network Edition: Network hardware • 100BaseT or faster Ethernet network. For more information about network system requirements, download the AccountEdge Network Edition Implementation Guide. For better network performance • Intel Dual Core 15 or faster processor with 2 GB RAM for hosting company files • 1000BaseT/Gigabit Ethernet Network • Mac OS X 10.9 to 10.10 NOTE: Hardware and software requirements may differ, depending on your operating system and office environment. For more detailed information about compatible hardware and software, see myob.com.au/minimum_specs. Back up your company file data in your current software version—See your user documents or the online help for information about how to do this. Know your software serial number—You can find your serial number with your CD or on the email confirmation from MYOB when you purchased AccountEdge. Make sure you are connected to the internet. UP G RA D E FR OM V 13 .5 O R EA RL IER 3 How do I upgrade? NOTE: The following procedures are only necessary if you are upgrading from AccountEdge or AccountEdge Network Edition v13.5 or earlier. If you’re using v14, see ‘Upgrade from AccountEdge v14’ on page 10. You need to do the following to begin using AccountEdge Pro v14.5. Refer to the support note ‘Upgrading from a pre-2004 version’ available from myob.com.au/supportnotes/upgradepre2004, for more information. Install 1: Do these things first Log in to your Mac as an administrator. Save any open documents and close all applications. 2: Find the installer file If you downloaded AccountEdge Pro from the MYOB website 1 Locate the downloaded zip file and double click on it to unzip it. 2 Double-click the AccountEdge Pro v14.5.dmg file to mount the disk image. 3 Drag and drop the AccountEdge icon into the Applications folder icon. 4 R ELEA SE N OTES 4 Double-click the Applications folder icon to view your applications. 5 Double-click the AccountEdge application. The Welcome to AccountEdge window appears. If you downloaded AccountEdge Network Edition from the MYOB website 1 Locate the downloaded zip file and double click on it to unzip. 2 Double-click the AccountEdge Pro v14.5.dmg file to open it. An installation window appears. If you’re installing from a CD 1 Insert the software CD in your computer’s CD drive. The Finder appears, displaying the CD contents. NOTE: [AccountEdge Network Edition only] If you are installing on the host computer for the first time, do not customise the installation. This ensures that all critical components are installed. 2 Double-click the Setup icon. An installation window appears. 3: Start the installation 1 In the installation window, follow the on-screen instructions. 2 When installation is complete, click Finish. The What’s New in this version help topic appears. 3 [Network Edition only] Repeat these instructions for each workstation in the network. For more information about setting up and using AccountEdge Network Edition across your network, see the Network Implementation Guide. IN STA LL 5 Upgrade 1: Back up your company files You should back up your company files before you upgrade them. If you need help backing up, see your AccountEdge help files. 2: Choose the file to upgrade NOTE: [AccountEdge Network Edition only] If your company file is in a shared location, you need to upgrade it on the host computer. 1 Double-click the AccountEdge application. The Welcome to AccountEdge window appears. 2 Click Company File Maintenance then select Upgrade Company File from the drop down menu. The Welcome to the AccountEdge Upgrade Assistant window appears. 3 Click Next. The Find File to Upgrade window appears. 4 Click Find File. The Open window appears. 5 Select the company file to be upgraded, and then click Open. The Find File to Upgrade window reappears. The path and filename of the selected company file appears below the Find File button. The proposed path and name of the upgraded company file appears below the Save As button. 6 Click Next. The Confirm window appears. 3: Confirm the upgraded file’s name Check the proposed filename, and if you want, type a different name. For AccountEdge Network Edition, we recommend you rename it with reference to the AccountEdge version number (for example, ‘YourCompanyFile_v14_5’). This is because the upgraded copy of your company file needs to be saved in the same location as your previous 6 R ELEA SE N OTES version company file. Giving the file a new name will make it easier for each workstation in the network to identify the upgraded file. 4: Confirm the upgrade file’s location NOTE: [AccountEdge Network Edition only] Do not move your company file. Your file must be stored in the Macintosh HD/Library/Application Support/AccountEdge NE/Databases folder. To save the upgraded company file to a different folder or computer, click Browse and select the location. 5: Upgrade the file 1 Click Next to start the upgrading process. The Complete window appears when the company file is upgraded. 2 To upgrade another company file, click Next, or click Finish to close the Upgrade Assistant. If you have customised forms and you want to continue using them, they need to be upgraded. See ‘Migrate customised forms’ below. 6: Migrate customised forms NOTE: [AccountEdge Network Edition only] You need to upgrade the customised templates stored on each workstation. 1 In the Finder, locate and open the installation folder of your previous software version. The installation folder contains these folders: Folder Description Custom User-customised report templates Forms Standard and user-customised form templates UP G RA D E 7 Folder Description Letters Standard and user-customised Microsoft Word document templates Spreadsheets Standard and user-customised Microsoft Excel spreadsheet templates Graphics Any graphics such as company logo, employee or item photos, etc. NOTE: AccountEdge Pro v14.5 support folder AccountEdge Pro v14.5 now stores customised forms and reports, letters, spreadsheets and graphics in a support folder named AccountEdge Pro v14.5 AU and is stored in your Documents folder. 2 Open the new Custom Forms folder located in the Documents > AccountEdge Pro v14 AU folder. 3 Open the previous version software installation folder (for example, the MYOB AccountEdge 14 folder), and then open a folder containing customised templates (for example, the Forms folder). 4 Command-click only your custom templates. NOTE: Avoid copying the latest standard templates The Standard templates are included with the MYOB AccountEdge Pro 14 installation package. Make sure you select only the templates that you created, ignoring the old standard templates, so that you do not have multiple copies of the standard templates. 5 Press and hold the Option key and drag-and-drop the selected template files over the corresponding folder (for example, Custom Forms) in the AccountEdge Pro 14 support folder. 6 Repeat above procedures for any reports, letters, spreadsheets and graphics you have customised. 7: Next steps 8 Prepare the 2015 payment summaries: If you have employees, use this updated version to prepare their payment summaries. You can do this R ELEA SE N OTES by going to the Payroll command centre and clicking Print Payment Summaries. Start the 2016 payroll year: For instructions, see the End-of-period section of the AccountEdge Help Centre. You can access the online help by choosing AccountEdge Help from the Help menu. Load the 2015-2016 PAYG tax tables: Before you process pays for the 2015-2016 payroll year, you need to load the updated PAYG tax tables. See ‘Updated PAYG tax tables’ on page 12 for more information. UP G RA D E 9 Upgrade from AccountEdge v14 NOTE: The following procedures are necessary if you are upgrading from AccountEdge Pro or AccountEdge Network Edition v14.5. If you’re using v13.5 or earlier, see ‘Upgrade from v13.5 or earlier’ on page 2. 1: Install the update If you are installing AccountEdge Pro 1 2 3 4 5 Locate the downloaded zip file and double click it to unzip it. Double-click the AccountEdge v14.5.dmg file to open it. Drag and drop the AccountEdge icon into the Applications folder icon. A message will appear. Click Replace. To verify the application has been successfully updated, open your company file and go to About AccountEdge from the AccountEdge Pro menu. If you are installing AccountEdge Network Edition 1 If your computer allows only users with administrator privileges to install programs, log in as an administrator. 2 Save any open documents and close all programs. 3 If you are installing from a downloaded file: a Locate the downloaded zip file and double click on it to unzip. b Double-click the AccountEdge Pro v14.5.dmg file to open it. An installer window appears. 4 If you are installing from a CD: a Insert your AccountEdge Network Edition installation CD into the drive. b Double-click the AccountEdge Network Edition CD icon on your desktop. The Finder appears, displaying the CD contents. c Double-click the Setup icon. An installation window appears. 5 Follow the onscreen instructions to install AccountEdge Network Edition. 10 R ELEA SE N OTES 6 After installation is complete, open your company file and go to the AccountEdge Network Edition menu and select About AccountEdge to verify the update has been installed successfully. 2: Next steps Prepare the 2015 payment summaries: You can do this by going to the Payroll command centre and clicking Print Payment Summaries. UP G RA D E FR OM A CC OU NTE DG E V 14 11 What’s new in v14.5 Compliance changes Like most end of financial years, this year there are changes to the PAYG tax tables that will take effect from 1 July. We’ve updated AccountEdge to help keep your business compliant. The following changes are applicable in the 2015–2016 payroll year. Updated PAYG tax tables In this release, we’ve updated the PAYG tax tables so that your payroll stays compliant in the 2015/2016 year. Once you’re ready to start your first pay run in July, you need to load the PAYG tax tables. To update your tax tables: 1 Open your company file. 2 Go to the Setup menu and choose Load Payroll Tax Tables. The Load Tax Tables window appears. 3 Repeat for each active company file. note: Check that the 2015-2016 tax tables are loaded Go to the Setup menu and choose General Payroll Information. Check that the Tax Table Revision Date field shows 01/07/2015. Get SuperStream compliant You can now record super payments in AccountEdge and then use MYOB’s new super portal to make your super contributions. The super portal is SuperStream compliant and it’s free with your AccountEdge subscription. You’ll need to register to use the super portal.
