Welcome to the Rio 2016 Press Accommodation Guide.
Rio 2016 has secured over 5,800 rooms in hotels and newly constructed media villages to
accommodate the Olympic accredited press.
This accommodation guide is written specifically for members of the written and photographic
press and non- rights holding broadcasters with E- category accreditation. The guide is designed
to provide as much information as needed for press to secure the most suited and conveniently
located accommodation for the Rio 2016 Olympic Games.
Please read this guide thoroughly and complete the required steps by the stated deadlines. It is
vital that the timeline is followed to ensure that an efficient press accommodation allocation can
be made.
Key points to keep in mind:

Payment can be made with Visa credit card
•
There will be no minimum stay period

There will be a separate Press Accommodation Guide for the Paralympic Games that will be
published in August 2015. Information regarding press accommodation in the football cities will
be distributed in early 2015.

Quick guide to reserving
press accommodation
1. Study this Press Accommodation Guide, giving particular attention to the hotel and media
village descriptions and the section ‘Press accommodation rates and reservation procedures’;
2. Submit your top three accommodation choices form by the deadline of 31 May 2015 (you
can already submit your request from 1 December 2014 onwards). Requests made after the
deadline may be considered but will be dependent on room availability;
3. By the end of June 2015 Press Operations will send the confirmed allocations, along with the
electronic link to access the Rio 2016 Accommodation Reservation System;
4. Follow the instructions on the system to reserve your room(s), after careful consideration
of the dates and the number of rooms and nights you will need. The deadline to accept the
Terms & Conditions and make your reservation is 30 June 2015;
5. Please note that you will not be able to reserve more rooms than the number of
accreditations awarded to your press organisation;
6. The games nights are from 22 July to 26 August 2016. Media villages will be available from
5 July 2016. If you need hotel rooms before 22 July 2016, please email Press Operations at
[email protected];
7. A 50 per cent deposit is due by 31 July 2015. This is for amounts greater than USD 3,500
(amounts lower than USD 3,500 must be paid in full by this date). When you make your
accommodation reservation, you will be given the following options:
• Request to be invoiced to pay the 50 per cent deposit by wire transfer. Payment must be
received by Rio 2016 by the deadline of 31 July 2015.
• Pay the 50 per cent deposit online immediately with Visa credit card.
• Defer the 50 per cent deposit online with Visa credit card for any time prior to the deadline
of 31 July 2015.
• Pay 100 per cent online immediately with Visa credit card;
8. The first deposit must be paid by 31 July 2015 or you will lose your reservation; and you must
pay the second (final) payment by 29 February 2016 or you will lose your reservation and your
50 percent deposit.

The Rio 2016 press
accommodation region
The Olympic events will be staged in 34 venues, in Rio de
Janeiro. They are spread over four Olympic clusters: Barra,
Copacabana, Deodoro and Maracanã. In addition, some football
events will take place outside Rio, in the co-host Olympic cities.
Press accommodation will be based in the four clusters of the
Olympic Games and it offers a combination of press hotels, as
well as newly constructed media villages close to Olympic Park
and an existing media village in Deodoro.
In the Copacabana, Barra and Maracanã clusters, Rio 2016 has
identified two, three and four star hotels. Additionally press
have been allocated rooms in the Barra and Deodoro media
villages, which offer services and facilities equivalent to a three
star hotel.
There will be a dedicated Media Transport system (TM) that will
provide transport between the press accommodation sites and
the Olympic venues.

2.1 THE OLYMPIC CLUSTERS
Barra
The Barra cluster is in the most recently urbanised area of
Rio – Barra da Tijuca, which is often simply referred to as
Barra. Located in the southwest of Rio, the area has many new
shopping centres, restaurants and cinemas and boasts one of
the best beaches in Rio. In addition to hotels, Barra will have
three newly constructed media villages.

The Barra cluster is the home of
14 Olympic venues, including the
Olympic Park and the Main Press
Centre (MPC).
The Barra cluster will be the heart of the Rio 2016 Olympic
Games and will be home to Barra Olympic Park, the largest
concentration of Games venues, plus the Riocentro exhibition
centre that has four pavilions and the new Olympic Golf Course.
In all, the 14 competition venues in Barra will stage 21 Olympic
sport disciplines. The Olympic Park will also be home to the
Main Press Centre.
Copacabana
The Copacabana cluster is one of Rio de Janeiro's most famous
neighbourhoods, and is defined by its 4km-long crescent-shaped
beach. It is here that the Beach Volleyball Arena will be located.
The open water swimming and triathlon events will be held in
the waters and land around Fort Copacabana at the southern
end of the beach.

A little further inland, the stunning Lagoa Rodrigo de Freitas,
surrounded by mountains and with Christ the Redeemer in
the backdrop, will be the site of Lagoa Stadium. This venue
will stage the rowing and canoe sprint events. In the northern
part of the Copacabana cluster there are two more venues:
Flamengo Park, which will host race walk and road cycling, and
Marina da Glória, the base for the sailing events.
Maracanã
The Maracanã will stage the opening
and closing ceremonies as well as
some of the football events.
The Maracanã cluster is in the northern part of Rio, close
to the city centre. It includes two of Rio's most famous
landmarks: the Maracanã stadium, which will stage the
opening and closing ceremonies as well as the final stages
of the football tournament, and Sambódromo, the home of
the carnival parade that will host the Olympic marathon and
archery events. The J. Havelange Olympic Stadium will stage
the athletics track and field events. Also in this cluster are
the Maracanãzinho Arena, where the volleyball will be held,
and the Julio Delamare Aquatics Centre which will host the
preliminaries of the water polo.
The Maracanã cluster is also home to iconic touristic and
cultural attractions such as the steps of Santa Teresa, the
Municipal Theatre, the Museums of Modern and Fine Art and
the Lapa Arches, where there is a vibrant nightlife with many
restaurants, bars, and samba shows to choose from.
Deodoro
The Deodoro cluster is based in the outer west zone of Rio de
Janeiro. The region is home to Brazil’s biggest barracks and has
the highest concentration of military personnel in Latin America.
The Deodoro cluster is surrounded by
hillside and will have the second largest
concentration of competition Venues.

Surrounded by green areas and hillside, Deodoro has the second
largest concentration of competition venues during the Rio
2016 Games, promising a vibrant mix of traditional and newer
sports. The Deodoro cluster will be home to the X-Park, a radical
sports park, which includes the Olympic BMX Centre and the
Whitewater Stadium. The rugby, modern pentathlon, shooting
and equestrian events will also take place in this cluster.

2.4 MEDIA VILLAGES
Barra Media Villages 1, 2 & 3
There will be three newly constructed media villages in the
Barra cluster.
The Barra Media Villages are brand new residential
condominiums, with over 1,500 spacious and modern apartments
reserved for accredited press, across three sites. The apartments
will feature a semi-equipped kitchen, and the condominums will
have restaurants, a bar, as well as 24 hour food options.
The villages, located in proximity to the Olympic action, will be
connected to the Olympic Park and the Main Press Centre via
the Media Transport system.
Deodoro Media Village
The fourth village is based in the Deodoro cluster. The Deodoro
Media Village, an existing complex that was used during
the World Military Games, in 2011, has 107 rooms dedicated
to press. It consists of modern three bedroom apartments
with semi-equipped kitchens. During the Olympic Games a
restaurant and 24 hour food options will be available, as well as
a bar.

Press accommodation rates and
reservation procedures
This chapter outlines the rates, procedures and policies with
regards to booking press accommodation for Rio 2016. Please read
through this carefully and be sure to note the deadlines for making
your top three accommodation choices, reservation and payments.
Requests for accommodation are subject to availability. Rio 2016
will make best efforts to fulfill requests and preferences.
After being notified of its accreditation allotment by its respective
National Olympic Committee or other IOC-approved Responsible
Organisation, such as an International Sport Federation, each press
organisation may request accommodation for the Rio 2016 Olympic
Games. The press organisation may request a total number of beds
equal to the total number of accreditations it is being granted.
Detailed information on the process every accredited press
organisation will have to follow to finalise the top three choices
request form will be published on the Press Operations extranet
on November 21, 2014 at https://rioexchange.rio2016.com.
Rio 2016 will allocate the accommodation to each press
organisation by the end of June 2015, by sending each
organisation the login for the online reservation system.
Room rates
Hotels in Rio de Janeiro are graded by the ABIH-RJ (Brazilian
Hotel Industry Association - RJ). Categories and rates for press
are below.
All accommodations for press (Standard, Economic and
Touristic) include breakfast for up to two people.

Rio 2016 is still in negotiation with every press hotel regarding
provision of free internet access.
Accommodation facilities may require a major credit card
(e.g. Visa) or a USD 300 cash renewable deposit to guarantee
coverage of these expenses.
Games Accommodation
Games nights are from 22 July till 26 August 2016 (with the
exception of media villages which will be available from 5 July
2016). During this period Rio 2016 has guaranteed room rates,
as outlined in this guide. Outside of these dates, room rates are
determined by individual hotels. If you need hotel rooms before
22 July 2016, please email Press Operations at

You can reserve only the room nights you will actually need.
There is no minimum stay period.
Please plan carefully. As there is no minimum stay period, you
will need to study the competition schedule carefully and have
a high degree of certainty if you choose to reserve rooms for less
than the complete allocated period (22 July to 26 August 2016).

If you later determine that you need additional rooms or extra
nights, Rio 2016 may no longer have rooms available for press.
If you then reserve directly with the hotel (outside the Rio 2016
accommodation system), the prices of rooms, even in the same
hotel, may increase substantially.
Please note that Rio 2016 cannot hold rooms unless they are
reserved, confirmed with your reservation and paid for in full.
Rio 2016 is committed by contract to return to each hotel the
rooms that are not confirmed. The released rooms may be
negotiated directly with the hotels and reservation policies and
rates in this case will be determined by each hotel.

Room allocation
While Rio 2016 will strive to meet the preferred area and
standard of accommodation requested, due to the high demand
for accommodation during Games time, it may not be possible
to provide each press organisation with their first choice of
accommodation.
Accommodation in co-host cities
In co-host football cities press will be accommodated in
selected three and four star hotels, which will be announced
early next year.
Press accommodation reservation system
After organisations submit their top three accommodation
choices request form, Press Operations will allocate rooms
based on the date the request form is submitted and the
expressed preferences for accommodation. The accommodation
allocation will be sent to press organisations via email, with the
details of the reservation along with a link and a login to access
the Rio 2016 Accommodation Reservation System.

Accommodation Allocation Agreement (AAA)
The Accommodation Allocation Agreement (AAA) outlines
the terms and conditions of the accommodation reservation
contract. The AAA details reservation and cancellation policies,
payment conditions and all relevant information as stated in
this Press Accommodation Guide.
The terms will be accepted by the client online when reserving
accommodation through the online reservation system.
Accommodation reservation and booking will only be accepted
upon the client's agreement to these terms.
