NSHM KNOWLEDGE CAMPUS DURGAPUR GUEST HOUSE Columbia Street, Sector – 2B, Bidhannagar Durgapur-713212 I. Preamble NSHM Knowledge Campus is one among the most respected technical& management institutes in the country. The activities include undergraduate and postgraduate education, research, consultancy, continuing education and service to the community. In its effort towards achieving the above objectives, the institute must interact with other institutions, industry and citizens. Unlike western countries, Indian cities do not possess a hospitality infrastructure that can support large scale travel. In addition it is often difficult to find a reasonable accommodation in a commercial hotel. It is common practice in Indian institutes to create guest houses to host official guests. NSHM Knowledge Campus Durgapur has opened a guest house to meet its needs. The guest house is at Bidhannagar which is within 3 km from the campus. It has got 12 rooms of varied categories. Most of the rooms are air conditioned. The rooms have double beds, twin beds and other amenities. In addition, this double storied guest house has a kitchen and a dining hall. It has a lounge as well. A guest house is not a hotel. It is a facility of the institute. An attempt has been made to provide all essential services to the occupants of guest house. While all steps are taken to ensure hygiene and comfort, frills such as persons to carry luggage, meals outside designated hours etc have been dispensed with. We have also tried to recover a reasonable fraction of the expenses from the tariff collected. The office of Centre Director shall book rooms. II. Categories of Guests There are three categories according to which availability is made :A. Directors & Top Officials B. Officials C. Non-Official Category A: Directors& Top Officials A-1 Trustee /Board of Directors Guests of Trustee/Directors Vice-Chancellor of other Universities on official visit Top Academicians / Officials from UGC, AICTE & MCI Vice-Chancellors of host University Resource Persons invited / engaged by NSHM. Accommodation: Suite Room A-2 Dean, Principals, Registrar of other Universities/Colleges for participation in seminar / workshop / symposium / conference / training / programmes organized by NSHM. UGC, AICTE and MCI officialson official assignment. Recruiters of highest interest. Top officials of NSHM, Synergy Group, SPS Group & Multicon Group Others with prior approval of Centre Director Accommodation: Executive Rooms Category B: Officials B-1 Guests of Synergy, Multicon & SPS Group on official visit on recommendation of the head of the respective institutes/organisation. Accommodation: Executive Rooms B-2 Officials/Employees of NSHM, Synergy, SPS & Multicon Group of Companies staying in the city on their official assignments on recommendation of head of the respective Institution/ campus / Organisation. Accommodation: Executive rooms & AC Rooms Category-C Non-Official C-1 Employees of NSHMKolkata/Durgapur for their personal visit will send the request in advance for booking of room(s) and request may come through the concerned Centre Director. Accommodation: AC & Non AC rooms C-2 Personal guest of employees of NSHM referred bysomeone from NSHM having the rank of Director/General Manager/HR Manager. In this category requisition slip for rooms will be filled up by the NSHM employee and the requisitioner will take the responsibility of the guest. Accommodation: AC & Non AC Rooms C-3 Students from other colleges/cities coming to attend any of the seminars /competition /workshop /training /sports etc. may be accommodated with prior approval of the Campus Director. Alumni of NSHM visiting Durgapur campus on may be accommodated with prior approval of the Campus Director. Any other guest(s) may be allowed only with the permission of any of the Trustees/ Directors of NSHM. Accommodation: AC &Non AC Rooms on sharing basis Note : 1. The allotment of rooms shall be strictly in the order of preference mentioned above. 2.NSHM Authority has rights to accept or reject any request/application withoutassigning any reason. 3. Priority in booking of accommodation will be accorded to guests of Categories A-1, A-2, B-1, B-2, C-1, C-2 and C-3 in that order of priority. Within a class, rooms will be allotted on “First come, First serve” basis. III. BOOKING PROCEDURE 1. Request for the reservation of the room has to be given in writing tothe office of Centre Director,NSHM Durgapur campus by filling Room Reservation Form in normalcourse at least one day in advance. The Format is available on request. 2. There should be one person authorized to give reservation for any particular group company/Associate company. 3. The guests may be allowed extensionof stay due to official work subject to theavailability of the room. The same has to be intimated to the office of Centre Director NSHM Durgapur immediately. 4. Cancellation or amendment, if any, should be made in advance at least 24 hours before the arrival of the guest. III. Guidelines for Dining Hall 1. All Food bills are to be directly paid by cash unless the billing instruction clearly mentions BTC for food. 2. Catering arrangements are available for limited persons for Breakfast, Lunch and Dinner only for in-house guests. 3. The official small get- together or working lunch of the office can also be hosted.Prior permission will be required and information may also be given to the office of Centre Director, NKC Durgapur. 4. Food will not be served after canteen timings. 5. Room service will be provided only when there is less number of in-house guests. Dining hall will be preferredover room service when there will be rush. III. ROOM TARIFF The Room Rents of Guest House (charges will be applicable w.e.f.01.01.2015.) SL. NO. RULES OF STAY FOR GUEST 1. Only the guests who have booked their rooms in advance through proper channel will be entertained. 2. All the guests staying in the guest rooms will have to fill up the guest register during check-in and check-out. 3. All guests, after checking in, are bound by the rules and regulations of the guest house. 4. Guest house rules ®ulation will be placed in each room for the knowledge of the guests. 5. The rules may be amended with the approval of the Centre Director, NSHM Durgapur from time to time. 6. For all the guests of the Synergy Group, SPS Group & Multicon Group of companies whose bills will be paid by the company (BTC) will have to have prior approval from the respective centre director/CEO/General Manager of the company or the Trustee members through proper channel. 7. For all the Officials of group companies, the room rent bill will be BTC and the food bills will be direct (Cash). 8. For non-employee guests, photocopy of identity card will be taken at the time of check-in. 9. Allotment of accommodation in the Guest House shall not confer on the allottees any right of tenancy of the premises and NSHM shall havethe right to get the rooms vacated at any time without giving any noticeor assigning reason. 10. The main gate opens at 6.00 am & closes at 11.30 pm. 11. Visitor for guests residing in Guest House is allowed from 9.00 a.m. to9.00 p.m. only. 12. Pets are not allowed. 13. Cooking/Washing is not allowed in the rooms. 14. No changing of rooms or transfer of rooms is allowed without thepermission of the concerned authority. 15. Gambling in any form or unlawful behavior is strictly prohibited inside the rooms and elsewhere insidethe Campus. 16. All electrical appliances like fan, light, air-conditioners, geyser etc.should be switched off before leaving the room. 17. Please do not take away the Inventory items of the guest house. Otherwise, the charge will be added into your bill. 18. Our staff may check the room from time to time. 19. Damaging of property or defacing any notice/poster/walls etc. of theGuest House is illegal and will invite penalty as may be decided by the authority. 20. Please do not pay tips to the staff. 21. In case of violation of the above rules & regulations or anymisconduct or deem to cause inconvenience or discomfort to others, theManagement reserves the right to ask the guest to vacate the room atshort notice/immediately. 22. The Guest House is meant for you. Please help us to keep it clean.
