Board of Trustees Meeting Crossroads Assembly of God 12 Edsall St., Hamburg Wednesday March,11,2015 Board Members Present: Doug Mather, President Tony Radzicki, Vice President & Roads Don Kirchenbauer, Treasurer Liz Saunders, Secretary Ellen Hamler, Web Administrator & Communications Kevin Berberich, Grounds (arrived late) Minutes prepared by: Liz Saunders Meeting called to order by Chairman Don Kirchenbauer at 7:30 PM Don: We have a quorum present. We did not have a February meeting due to not having a quorum. Our first order of business is to approve the January 14, 2015 meeting minutes. Do I have a motion to approve the minutes of the January 14,2015 Board of Trustees Meeting as previously submitted? Is there any discussion or questions? Tony: Makes motion to approve. Don: Seconds motion to approve. Don: All in favor? Vote: 5 - Yes, Zero - No. Motion carries. Treasurers Report Don: We have two Treasurers Reports to accept. Do I have a motion to accept the January Treasurers Report? Any questions on Treasurers Report? Tony: Makes motion to accept. Doug: Seconds motion to accept. Don: All in favor? Vote: 5 - Yes, Zero - No. Motion carries. Don: Next is February Treasurers Report. We did fairly well with 2015 dues and back dues, construction fee and two Initiation fees. Our total income was good but was offset by snow removal costs. Our Road loan balance is $67,519.54. Any questions on February Treasurers Report? Do I have a motion to accept? Doug: Makes motion to accept. Tony: Seconds motion to accept. Don: All in favor? Vote: 5 - Yes, Zero - No. Motion carries. Don: There is a typing error in the January minutes Payroll Expenses should read $10,524.25. Liz: I will make correction. (Kevin arrives) Roads Tony: I went through the process concerning the vehicle in parking lot, complaint filed with Vernon Municipal Court clerk and summons was issued. The vehicle owner had 30 days before court date to respond. I will check with Court clerk tomorrow. If I don't get satisfaction as to when court will order owner to remove vehicle, I would like the Board to approve $150.00 to have the vehicle removed from the parking lot. Don: Do I have a motion? Tony: If no satisfaction from Vernon Court , I make motion for $150.00 to have vehicle removed from parking lot. Doug: Seconds motion. Don: All in favor? Vote: 6 - Yes, Zero - No. Motion carries. Tony: Can we get a letter approved by our attorney concerning people who have driveways parking on roads overnight and if we get letter concerning overnight parking on roads what can we do to move this issue forward. Kevin: I downloaded information concerning parking regulations from NJ state website, perhaps the Board should review it. Doug: This issue should be addressed by our attorney. Grounds Kevin: I will have Landscaping bids for April meeting. Web Administrator & Communications Ellen: I will make updates to website. I have not received bill from Damien for web hosting fee to date. Presidents Report Doug: Update on Dam, all permits are in. We approved contract for Civil Dynamics to create a Bid Package, which they have completed. We have been in contact with several tree companies for tree removal for dam area and waiting for snow melt so contractors can view area and submit bids. Don: Are we under the April 1st deadline due to Indiana Bat? Doug: I assume so, but most of the work has been done. I will check into it. After finalizing Civil Dynamics proposal by our attorney we can put out bids for the repair of the dam and finalize Dam loan. Our attorney is working on that. With estimates received in writing from banks, hopefully we will not have to raise dues or place assessments to repair Dam. Don: Taxes are being done and our accountant will get 2014 Financials completed so we can forward them to banks. Doug: We did emergency pothole repairs but they are back so more repairs will have to be done. We plan to do more on roads this year. Don: Does that conclude Board business? Kevin: What are we doing with fountain, repairing or replacing it? Doug: Wait until pond is thawed so we can see where the problem is. Tony: We have to make sure for next year that snow removal contractor is informed that Ridge Road must be plowed and salted. We had member calls this year that Ridge Road was not taken care of. Don: Are we done? Do I have a motion to adjourn with option to reconvene if necessary? Doug: Makes motion to adjourn. Ellen: Seconds motion. Don: All in favor?
