RealLegal iBinder is a hosted Web-based repository for providing secure access to cases containing
transcripts and exhibits. Reporting agencies or litigation support businesses using the RealLegal
Multimedia subscription products may provide secure iBinder as a service to their clients, set up new
cases, add data, and provide secure access by user. You can upload West Publisher™ bundles into
iBinder, bringing in all transcripts, exhibits, and hyperlinks from the exhibit references in the transcripts.
Exhibits that have been processed using optical character recognition (OCR) technology in Publisher
are also searchable in iBinder. The legal team may use collaborative tools in the iBinder case to share
information using a message board, instant messaging, or a calendar. The transcripts and exhibits can
also be sorted, searched, printed, or filtered. Basic annotation capabilities exist, and if video has been
synchronized to the text in West Publisher, streaming video can be added to iBinder cases as well.
Agencies may determine the iBinder tools that their clients may or may not access.

Setting up iBinder
Note iBinder is normally set up by court reporting agencies or litigation support agencies as a service to their
clients.
RealLegal Multimedia subscribers should email [email protected] or call 1-800-290-9378 to set up their
site. You will be asked to complete a form specifying your company information, and return it via fax or email.
When the form is received the technical staff will set up and licence your iBinder site. You will be assigned a URL
and an administrative user name and password, which you can use to set up cases and assign secure user ID and
password access for your clients.
Using iBinder
Note The instructions below outline how law firm users might use iBinder. Additionally, agencies may want to
use the instructions to learn more about the application for demonstration or client training.
LOGGING IN
Open the Web address provided by the iBinder site administrator.Type the user ID and password provided by the
site administrator in the appropriate boxes and click Login. The Projects page is displayed with the list of cases to
which you are assigned (Figure 1). If you do not see a list of cases, contact your site administrator and provide the
name of the case you want to access.

WORKING WITH CASES
At the Project page, you can filter the list of cases by searching for specific cases. Type your search terms in the
Search box, click an option in the drop-down list, and click Go. Click Clear to redisplay to the complete list of
cases.

To open a case, click its name in the list of cases. The Transcripts page is displayed with a list of transcripts
contained in the case.(Figure 2). If you are viewing a different section in the case, you can click Transcripts in the
left frame to return to the Transcripts page.

WORKING WITH TRANSCRIPTS
You can filter the list of transcripts on the Transcripts page by searching for specific transcripts or transcript text.
Type your search terms in the Search box, click an option in the drop-down list, and click Go. Click Clear to
redisplay to the complete list of transcripts.
To view a transcript, click the name of a transcript. The View Transcript page is displayed (Figure 3).

At the View Transcript page, you have the following options:
• To display a transcript section, click an item in the upper-left section of the page.
• To apply an issue code, click a color-coded issue, then select text in the transcript.
• To find words using the Word Index, use the Word Index scroll bar then click a page and line number, e.g.,
4:19, to jump to that page and line number.

• To return to iBinder, click Project at the top of the page.
• To close the View Transcript page, click Close.
APPLYING ISSUE CODES
To annotate transcript text with an issue code, click the issue in the upper-right section of the View Transcript
page and select the text.
VIEWING SYNCHRONIZED VIDEO
Note Two types of videos can be uploaded to iBinder: Videos that have been synchronized with transcripts and
miscellaneous videos. Only a system administrator can upload a streaming video that is synchronized with
a transcript. Any user can upload miscellaneous video. See ”Working with Streaming Media” on page 14
for further information.
After the administrator uploads a video, a Video icon ( ) is displayed next to the transcript on the Transcripts
page. Anyone who has access to the iBinder project can view the video. To view the video, click the Video icon.
WORKING WITH EXHIBITS
At the Transcripts page, click Exhibits in the left frame to display a list of exhibits included in the case (Figure 4).

You can filter the list of exhibits by searching for specific exhibits or contents of exhibits. Type your search terms
in the Search box, click an option in the drop-down list, and click Go. Click Clear to redisplay to the complete list
of exhibits.
To view an exhibit, click a number in the Number column. The RealLegal Image Viewer is displayed with the
exhibit (Figure 5).

USING THE WORD INDEX
When you view a transcript or exhibit that been processed with OCR technology, the Word Index is displayed with
the list of words in the transcript or exhibit. The location of the word is indicated by the page and line numbers
next to the word. To jump to a specific word, click it in the Word Index.
WORKING WITH MISCELLANEOUS FILES
Click Files in the left frame to display the Files page, which lists the miscellaneous files that were added to the
case by the iBinder administrator or by users with upload permissions (Figure 6).

Files are stored in their native format, such as Web pages, PDF files, and Microsoft® Word documents. When you
click a file name, it opens in its native viewer.
You can filter the list of files by searching for specific files. Type your search terms in the Search box, click an
option in the drop-down list, and click Go. Click Clear to redisplay to the complete list of files.
Note You cannot search the contents of all miscellaneous files at once because they are stored in their native
file formats and may be different from one another. To search the contents of miscellaneous files, you
must open each file and run a search.
Adding Files
To add a file, complete these steps:
1. Click Add File at the bottom of the list. The Add File dialog box is displayed (Figure 7).

2. Click a file type in the Type list.
3. Type a description for the file in the Description box. Enter a file type and a description of the file you are
adding.
4. Click Add. The iBinder File Upload Wizard–Upload File dialog box is displayed.
5. Click Browse. The Upload File dialog box is displayed.
6. Click the file you want to add, then click Open. iBinder File Upload Wizard–Upload File dialog box is
redisplayed.
7. Click Finish. The file is added to the list of miscellaneous files.
WORKING WITH THE CALENDAR
The Calendar page allows you to review the date and time of depositions and other events. Click Calendar in the
left frame to display the Calendar page (Figure 8).

At the Calendar page, you can review the date and time of depositions and other events.
Using the Schedule Feature
The Schedule feature allows clients to schedule depositions with their reporting agency. Click Schedule, shown
outlined in Figure 8, to display the Scheduling page. For further information on administering the Schedule
feature, see ”URLs Page” on page 12.
Adding a New Event
Note To add events to the calendar, you must first be given permission by the system administrator.
To add a new event, click New Event in the calendar. At the Calendar Event page, select the appropriate options
and click Save. The event is added to the calendar and viewable to all other users of the case.
Adding Calendar Events to Microsoft Outlook
To add the event to Microsoft Outlook®, complete these steps:
1. Locate the event in the calendar. If the event is more than a week in the future, click the navigation buttons
to find the event.

2. Click the linked text in the Deponent column. The Calendar Event page is displayed (Figure 9).

3. Click Add to Outlook, shown outlined in Figure 9. The File Download dialog box is displayed.
4. Click Open. An Outlook appointment is displayed.
5. You can make changes or forward the event to other users, if desired. Click Save and Close. The event is
saved to your calendar.
6. Click Save at the Calendar Event page to return to the iBinder Calendar page.
VIEWING MESSAGES
The Messages page allows you to share and compare notes with other people who are working on the same
project. Click Messages in the left frame to display the Messages page (Figure 10).

To create a new thread that other users of the site can read, click New Thread, shown outlined in Figure 10. The
Message Board is displayed. Type a subject and a message in the appropriate boxes, then click Post.
To view a message, click its subject. To reply to the message, click Reply. Type a message in the Message box,
then click Post.

USING THE CHAT FEATURE
iBinder Chat allows you to send instant messages to others who are working on the same project. To access the
Chat feature, click Chat in the left frame. The Project Chat page is displayed (Figure 11).

To use the Chat feature, click Chat with users of this project. Type your message in the box, then click Send.
Note For someone to receive your message, the person must be working on the same project and have the chat
screen open.
UPDATING PROJECTS
Only system administrators or users with update permissions may update or add data to projects. If the Update
button is available to you, it indicates you have permission to update projects. See ”Updating Projects” on page 8
for further information.

Administering iBinder
Note Administration of iBinder is typically done by court reporting or litigation support agencies as a service to
their clients.
THE ROLE OF ADMINISTRATOR
As an iBinder administrator, you can
• create projects for your users,
• add users
• grant users access to projects
• determine how search results are displayed
• give users specific rights to projects
• determine who can update or add data to a project
• monitor access to the site
• delete transcripts and exhibits from iBinder
• rename a transcript or exhibit
• track who downloads transcripts and exhibits
LOGGING IN AS AN ADMINISTRATOR
Go to your agency’s web page that was provided during the set-up process. For further information, see ”Setting
up iBinder” on page 2. Type your user name and password in the appropriate boxes and click Login. The Projects
page is displayed (Figure 12).

Creating Projects
To create a project, complete these steps:
1. Click the Database button in the left frame. The Configure–Available Projects page is displayed (Figure 13).

2. Click Create Project. The Create Project dialog box is displayed (Figure 14).

3. Type a name for the new project in the Name box.
4. Type a number for the project in the Number box, if desired.
Note Users can search for projects on the Projects page by project name or number.
5. Click Create. The project is displayed on the Projects page.
Granting Users Access to the Project
To grant users access to the new project:
1. Click Users in the left frame. The Configure–Users page is displayed (Figure 15).

2. Click the project name in the GLOBAL USERS list to which you want to add the users. The Configure–Users
page is redisplayed.
3. Click Add Users. The Add Users dialog box is displayed with a list of users.
4. Click the user you want to add or hold down the Shift key or the Ctrl key to select multiple users.
5. Click Add Users.
Note If no users are displayed, click New User on the Configure–Users page to display the New User dialog box.
Type a name and password for the user in the appropriate boxes and click Create.
UPDATING A PROJECT
Updating a project means adding a West Publisher bundle, which may contain searchable transcripts and
exhibits, video synchronization, and links, to the iBinder project. The transcripts and exhibits contained in the
bundle will be added to the iBinder project in their respective folders. Any links, searchable documents, or
synchronized video in the bundle are also available when the bundle is added to iBinder.
By default, all users can a update a project. Updating, though, can overwrite data and affect data storage.
Therefore, granting updating privileges may depend on your agreement with clients accessing the iBinder
repository. To change permissions, click Options in the left frame to display the Configure–Options page. On the
Basics page, click Yes next to Show Project Update to change the setting to No.
Only administrators and users with update permissions can update a project. When you click the name of a
project on the Projects page, the Update button is displayed in the left frame.
Note Before you can upload a bundle, you must know the location of the bundle. Also, only Publisher version 4
bundles (XML) may be added to iBinder. If you are using Publisher version 5 or later, you must save the
bundle as a Publisher version 4 bundle prior to updating.
To update a project, complete these steps:
1. At the Projects page, click the name of a project.
2. Click Update in the left frame.
3. Click Update Project from Publisher Bundle.
4. At the dialog box, click Browse to locate the file, then click Finish.

SETTING OPTIONS
The Options feature allows you to configure how the iBinder repository is used by clients. To access iBinder
Options, click Options at the Projects page. The Configure–Options page is displayed (Figure 16)

Note You must click Yes next to an option to change it to No.
URLs Page
Click the Urls tab to access the Urls page (Figure 17).

The URLs page is completed by the technical specialist who sets up your iBinder repository. Attorneys wanting to
schedule a deposition with you can click Schedule on the Calendar page, which sends them to the url in the
Scheduling Url box. At this Configure–Options page, you can ensure that your scheduling page or your
RealLegal DepoSchedule page is correct.

Pages Page
Click the Pages tab to access the Pages page (Figure 18).

Use the Pages page to designate how many items are displayed on a page. For example, a large case may have
hundreds of exhibits associated with it. Having 200 hundred exhibits listed on a single Web page may
overwhelm your users or slow the loading process of the page. Therefore, you can lower the number of exhibits
listed to a more reasonable number, e.g., 25 per page.
Advanced Page
Click the Advanced tab to display the Advanced page (Figure 19).

Use the Advanced page to set advanced options for yourself and end users. For example, you can set the Admin
logging level, which is beneficial for you as an administrator, and you can set user session timeout minutes.
Note After you make a change and if it is available, click Save to the right of the field.

WORKING WITH STREAMING MEDIA
Video is synchronized in West Publisher when bundles are created. When the bundles are added to iBinder, the
synchronization information is imported with the transcripts. However, video must be uploaded in a streaming
format (WMV or ASF) to be accessible in an iBinder project. Only system administrators may upload video. For
further information, see RealLegal iBinder online Help.
How To Upload Video
Note Two types of videos can be uploaded to iBinder: Videos that have been synchronized with transcripts and
miscellaneous videos. Only a system administrator can upload a synchronized video. Any user can upload
miscellaneous video.
To upload a synchronized streaming video, complete these steps:
1. Click the project on the Projects page to which you want to upload the video. The Transcripts page for the
project is displayed (Figure 20).

2. Click the Properties icon ( ) to the left of a transcript to which you want to associate a streaming video. The
Transcript Properties dialog box is displayed (Figure 21).

3. Click Edit next to Video. The Transcript Video Files dialog box is displayed.

Note If you do not see the Edit link, the transcript was not associated with a synchronized video. Synchronization
between transcripts and video takes place in West Publisher bundles which are later added to iBinder.
4. Click Upload. The Transcript Video Upload Wizard opens.
5. Click Browse to navigate to the video file, select it, and open it.
6. Click Finish. RealLegal iBinder uploads the file and displays a dialog box when the upload is complete.
7. You have the following options:
• To view the video, click OK.
• To delete the video, click Delete.
• To exit, click the Close button.
VIEWING A USAGE LOG
If you establish a method of charging for client access to iBinder, you can notify users that they will be charged
each time they view a transcript. You can view a log of items that have been viewed or printed in iBinder and
notify your billing department to bill the client for these actions. You can also view actions or updates that have
taken place in the site along with supporting information such as date, time, or user.
To view a usage log, click Logs at the Projects page. The Configure–View Logs page is displayed (Figure 22).
