MEDICAL PRACTICE RECEPTIONIST
JOB DESCRIPTION
Post and Title - Medical Practice Receptionist (Two Posts)
Salary -
at least £7.35 per hour (equivalent to £14,360 pa full-time)
(Starting salary according to relevant qualifications / experience but applicants
should expect to start at or near the beginning of the scale)
Responsible to -
Senior RECEPTIONIST
Hours per week -
20 hours per week (Two Posts at 20 hours per post)
Extra hours will regularly be needed to cover holiday and other absences.
The Job
Receptionists at our surgeries are expected to work in a very busy and demanding environment,
engaging with a wide variety of patients, answering telephone calls and completing many administrative
tasks. They are usually a patient’s point of first contact with the surgery and must reflect the practice’s
high standard of service in dealing with each patient, whether in person at the reception desk or over
the telephone. Patients should find their dealings with the surgery hospitable and friendly, and feel that
their enquiry has been dealt with in a way that shows interest in and concern for them as an individual,
with respect for confidentiality and integrity.
Similar standards are also important in supporting the medical, nursing and other health care staff through
making appointments, taking requests and messages, dealing with medical notes and reports, assisting in other
administrative duties, many of which involve using a computer.
The Practice
This medical practice of five partners operates from two purpose-built medical centres in central Sheffield:
 Devonshire Green Medical Centre, 126 Devonshire Street, Sheffield, S3
 Hanover Medical Centre, 100 William Street, Sheffield, S10
There are also three GP registrars (trainee general practitioners), one Advanced Nurse Practioner, two
part-time practice nurses, one health care assistants and a team of reception and administrative staff.
Hanover Medical Centre accommodates attached district nurses and members of the Homeless
Assessment and Support Team (HAST). In addition, other health care professionals visit each surgery
on a part-time basis.
Approximately 6,700 registered patients are cared for by the practice, together with a large number of homeless
and temporarily registered patients. The practice aims to provide high quality care to its patients and has a
particular commitment to offer a service for disadvantaged and vulnerable groups within the community, which
include
 Homeless and mentally ill people who are resident in temporary accommodation;
 People from ethnic minority communities, including refugees, asylum seekers and families of overseas
students
There is good teamwork in the surgeries, with each person playing their part to ensure that the patients receive
the service they need. Most of the doctors, nurses and receptionists work at each of the two surgeries during a
typical week.
The practice’s mission statement is as follows:

Key Duties and Tasks
1. Preparing reception, waiting areas and consulting rooms for each surgery session
2. Receiving and routing patients on arrival in a courteous, welcoming and efficient manner
3. Answering the telephone promptly and courteously, dealing with general enquiries, explaining surgery
procedures, making appointments and receiving prescription requests
4. Receiving and directing requests for home visits
5. Using the computer system to make appointments, prepare repeat prescriptions for signing by the doctor,
etc
6. Filing and scanning of letters, results and records
7. Ensuring that the reception area is left tidy and ready for use by incoming colleagues and passing on
information about any unresolved matters
8. Ensuring that the premises are secure at the end of the day
9. Giving support to clinical staff, as required, including occasionally acting as a chaperone in consultations
10. Undertaking other reception and administrative duties as may be assigned from time to time
Person Specification
The job is often very busy and demanding and requires knowledge about a range of issues and procedures
within the surgery and the wider health services.
The following are essential qualities and experience sought in a good receptionist:

The ability to multi-task and make progress on many jobs at the same time.

Experience of providing a service to people of all ages and backgrounds and of dealing sensitively with
various situations which may arise

A genuine interest in people and an ability to offer reassurance when dealing with people having
different needs

Courtesy and respect for other people, with an awareness for confidentiality at all times

Good telephone manner and clear speaking voice

Ability to receive and convey or write clear messages

An eye for detail, ensuring important matters are not overlooked and that errors are avoided

Ability to process information within the standards set out in the Confidentiality procedure

Capacity to remain calm in busy or emergency situations

Ability to be sympathetic, kind and yet firm with patients

Flexibility to work as part of a team at either surgery and to work extra hours to cover for absent
colleagues

Good general office experience

Ability to use a computer to find information and to input details (full training will be given in the system
being used at the surgeries) and good keyboard competence
