General Notes
 Parking is located in Parking Lot B at the corner of Grove Street and Myrtle
Avenue.
 Please arrive 15 minutes before your assigned shift to check in with the POD
Leader.
 Dress according to weather conditions. This may include rain gear, sunscreen,
and/or insect repellent.
 PODs cannot leave campus and do not have access to the cafeteria during
shifts. Please bring snack/food/fluids with you for the duration of your shift.
 Restrooms are located in Arnow Campus Center (G6).
 Please listen carefully to the walkie-talkies, sometimes there are requests for POD
assistance.
 For Overnight shifts, we have flashlights but if you have one of your own, please
bring it with you.
 Visiting parents are not allowed beyond the POD area, and no parents are
allowed in dorm rooms.
 Check all adult presence within the dormitories, including Lasell personnel. Don’t
hesitate to ask to see their badge or ID.
 Make sure all campers are wearing their nametags.
 Campers are not allowed in the basement, kitchen, or elevators of the
dormitories. (POD’s are not able to gain access to garage of North Hall
because it requires a card key.)
 During free time, there will be games the campers can sign out (cards, board
games, yo-yo’s). Please have them sign the games out on the blue forms. If
the campers are playing with yo-yo’s in the quad, please be sure they remain
within sight and return the yo-yo’s properly wound.

Emergency - Fire
Procedures and Information

Alarm - Call 911 or the above Emergency Numbers and give them the
following information:

Location of fire in the building
Known information about the fire/smoke
Call-back telephone number
Do not hang up until the emergency services operator does so

Rescue - Remove any persons in the area of fire

Contain - Close door to contain fire, use fire extinguishers if available

Evacuate area

Staff and counselors in the area shall guide the campers to evacuate
the area immediately to the designated location.
At the designated area, group counselor should conduct a roll call and
report the number to the director.
Camper must remain in the designated areas until the fire drill/alarm has
ended.

Emergency - Medical
Procedures and Information
Camp Nurse and Medical Supply – North Hall Room 103A
Non-serious Medical Situations (cuts, scrapes, feeling ill)
1. For minor cuts and scrapes, Counselors will use their own discretion and
treat campers with their First Aid Kit.
2. The Counselor informs the Nurse and the POD Desk with walkie-talkie or in
person.
3. A Counselor or CIT brings the injured camper to the POD desk and checks
him/her in and POD brings camper to Nurse.
4. The Nurse takes care of the camper with the proper medical procedures.
The Nurse then checks him/her out with the POD desk if he/she does not
need to rest.
5. The POD desk then brings the camper back to the group by checking on
the schedule for his/her group's location.
Serious Medical Situations:
1. For serious conditions, contact Nurse on walkie-talkie. Do not move the
camper. Assist Counselors/CITs in keep other campers occupied and away
from the incident while nurse is taking care of the situation.
2. The Nurse will evaluate the situation and decide to notify the camp doctor
or call 911 when required.
3. In the event a camper needs to leave camp, the Nurse will contact
parent(s). If the parent(s) come to camp, they will need to check in with
POD desk. When they arrive, have them sign in (Pink Sign IN/OUT sheets in
POD Desk Binder), contact the Nurse and Camp Director with a walkietalkie.

Emergency - Evacuation Plan
Evacuation from residence halls:
There is an established Emergency Evacuation Plan in place for camp staff. In the event of an
emergency, PODs are responsible for assisting camp staff to lead campers away from buildings to
assigned meeting locations.

Walkie-Talkie Instructions
* * It is important to pay close attention to the walkie-talkie correspondence as
sometimes the counselors/staff request POD assistance. **
* When not in use, the walkie-talkies should remain in the charging units. *
* Walkie-Talkies need to be turned on in order to send and receive calls. *
TO TURN ON:
• Turn the On/Off/Volume knob (the top-right knob) clockwise. You will hear the
Self-Test Tone (beep-beep) and see the LED light flash green.
TO TURN OFF:
• Turn the On/Off/ Volume knob counter-clockwise until you hear a click.
TO ADJUST THE VOLUME:
• Turn the On/Off/Volume knob to the desired volume level.
• Turning the knob clockwise increases the volume.
SELECTING A CHANNEL:
• POD will be using channel 1, The Channel-Select knob (located next to the
antenna) should be at the left-most click position.
RECEIVING CALLS:
• Make sure the Walkie Talkie is set to CHANNEL 1.
SENDING CALLS:
• Make sure the Walkie Talkie is set to CHANNEL 1.
• Hold the unit vertically, and talk in a “normal” voice at a distance of 2-3 inches
from the unit.
• Press in the long button on the left side of the unit (just below the antenna).
• Speak clearly.
• Remember to release the button to hear a response.

Late Arrival Procedure - Day Camper
1. Parent will arrive late to Wolfe Hall and will be reminded by the sign on the
window that instructs late arrivals to escort their child to the POD desk under
the Quad tent.
2. POD - record late arrival (Camper Name and Parent Name) on daily log.
3. POD - look up Camper Group in binder.
4. POD – call CIT for group on walkie talkie and ask CIT to come collect camper
at POD desk. [If a POD or Committee member is available to escort camper to
group, you can find the group location for that period in the binder under
camper group schedules.]
5. Parent can leave and camper remains at POD desk under supervision until CIT
arrives. CIT will have camper badge.
Delivering Material to Classrooms
Camp staff (Counselors, CITs, or teachers) may request help in delivering material to
or from classrooms. These requests will usually come in through the walkie-talkies. Ask
the Counselor/CIT/teacher or POD Leader if you need assistance in finding the
classroom or materials.
Snack Setup and Assistance
When: 10:00 am, 1:45 pm
• Location: 2nd floor kitchenette in North Hall
• Snack (check snack schedule for type of snack and quantity)
– Sort snack into small cups/baggies (please be sure all snacks are the
same)
• Refill water jugs before designated snack times
• Snacks for day campers need to be delivered to DeWitt Hall at 12:30.
• Snacks for overnight campers will be under the Quad tent at 3:30 pm. Stay in
snack area for late comers – make sure that campers take only one portion &
there are some leftovers
• Clean Up
– Remove trash
– If necessary, ensure that snack tables are moved aside for any
scheduled upcoming activity under the tent that day or night

Delivering Water & Ice
When: Refer to POD Checklist
See the accompanying Google map of Lasell Campus for locations of water and ice
delivery.
NECYSC has (8) jugs for our use. We will use (4) water jugs at three locations and it will
require multiple trips. The other (4) water jugs are used to
swap and replace existing jugs during the day. The Taylor
Field location will need two jugs and one each outside
Winslow Academic Center and under the tent in the Quad.
For the first run of the day (approx . 6 am), obtain wagon,
jugs, and pitchers from tent in the Quad.
Follow the map to the cafeteria in Edwards Student Center
(G4). Using the ramp, enter directly into the cafeteria. The
ice machine is located at the soda machines in the
cafeteria (there are two). Using the pitchers, fill with half ice
and half water (water only tab located under Powerade
selection).
If you are delivering to Location 1(Taylor Field), exit the cafeteria via ramps, cross the
road to the Athletic Center. Enter the athletic Center and take the elevator (located
at the end of the hallway) to the lower level. Exit building and wrap around to the
back where there is a table for the water jugs (by big tree).
If you are delivering to Location 2 (Winslow Academic Center), exit the cafeteria via
ramps and follow the path towards the Winslow Academic Center. The water station
is under the tent located on the patio of the building.
If you are delivering to Location 3 (Quad at residence halls), exit the cafeteria via
ramps and follow the path back.
Bring empty water jugs back to Quad.

Crossing Guard Duty
When: 7:30-9:30 am, 11:30 am-1:30 pm, 5:15 pm-7:30 pm, and 9-9:30 pm
A crossing guard is needed to assist campers to cross the public roads at Woodland
Road that intersect Seminary Avenue, Lake Avenue, and Maple Street during
designated times. When possible, assist campers cross all roads. If more than one
group is coming through (perhaps from opposite directions), assist campers through
the intersection at Woodland Road and Lake Avenue.
Counselors and CITs have a shuttle system in place to take campers to/from
dormitories and main campus buildings during "free" time. Campers are not allowed
to be on their own at any time, they must be accompanied by a CIT, Counselor, or
camp staff.
Dress appropriately for weather, wear a safety vest provided by camp, bring a
walkie-talkie, and hand held STOP sign. Flashlights will also be provided for evening
crossing duty.
Dorm Duty
When: 7:30-9:30 am, 11:30 am-1:30 pm, 5:15 pm-7:30 pm, and 9-9:30 pm
These are times when campers are between structured activities where they are able
to travel back to dorms. During this time, there needs to be a POD stationed at each
dorm (except Holt Hall where there should be a POD at all times).
Name Tag Enforcement



All campers and staff are required to wear “NECYSC” name tag
Campers who lose their “NECYSC” name tag will be recorded in POD Leader
Book (notify camp committee member) and should receive a “Temporary” name
tag to use until a new one is issued.
Check all adult presence within dormitory, including Lasell personnel. Don’t
hesitate to ask for their badge or ID.

Visitors
We DO NOT allow visitation during the camp week. Visitors are not allowed into
dormitories or evening events. Camp events including the carnival, talent show, and
dance are closed events. If parents have something to drop off, they may leave it
with a POD who will deliver it to camper’s room.
Camper Leaving Camp
Due to our new camp policy, campers are not allowed to leave camp for any
reason other than medical emergencies or Camp Director approved
circumstances. In the event a camper needs to leave camp, parent(s) will be
notified and need to check in with the POD desk. When they arrive, have them
sign in (Pink Sign IN/OUT log in POD Desk Binder), contact the Nurse and Camp
Director with a walkie-talkie.

Exterior Dormitory Patrol
POD Patrol: 10:15 pm, 1:00 am, and 3:00 am

• Two PODs needed for this task.
• Bring walkie-talkie, flashlights, and wear safety vests when patrolling.
• No campers are allowed outside residence halls after 10:30 pm.
• No lights should be on after 10:30 pm except CIT/Counselor/adult staff rooms
• No window should be opened (except Holt Hall for window fans)
• Patrol areas surrounding the Quad, North, Bragdon, Butterworth, and Holt Halls.
• Check all building doors are closed and locked.
• Be careful of steps and uneven terrain.

Interior Dormitory Patrol
NECYSC uses 4 dormitories for campers. The different configurations will require
a thorough floor and room check - you must enter the suites or adjoining rooms
and check all rooms in the suite including common area and bathroom(s).
Each suite will have a sign with the names of all campers/CITs in the suite. Each
bedroom will have a sign with the names of the occupants of that room. Also
check that windows are closed, floors are dry, and trash/garbage is not
accumulating. Stairways, hallways, lounges, kitchens, and laundry rooms need
to be checked. No camper should be in any restricted/unsupervised areas.
When possible, please have a male POD check the boys halls and female POD
for girls halls. Familiarize yourself with the building/floor plan (will be available in
hall binder) of the building you are assigned to.
Interior Dormitory Patrol Morning, Afternoon, and Evening
When: 9:30 am, 1:30 pm, 7:30 pm

Bring walkie-talkie.
No campers should be in dorms.
Check that all camper rooms are open; campers have been conveyed there
is an Open Door Policy. Please knock before opening closed doors. Staff doors
may remain closed.
Windows should be closed in North, Butterworth, and Bragdon Halls to
conserve AC. Turn off lights and fans. Holt dorm (no AC) windows may have
fans in them.
Check bathrooms floors that they are dry and clean; doors to remain open.
Report to POD Leader if anything needs attention.

Interior Dormitory Patrol Overnight
10:30 pm Curfew call (lights out) – CIT’s will check to make sure campers are in their
respective rooms and seal the tape the door*.
POD Patrol: 11:30 pm, 2:00 am, and 6:00 am

Bring a walkie-talkie, flashlight, and room check-list when patrolling.
No campers should be out of their rooms.
In checking camper rooms, do a visual check of the tape. If it is still
connected, the door has not been opened. If it is disconnected, check the
rooms to ensure the campers are there. Camper may have gone to bathroom
and returned. If so, reattach the tape. *In theory, the tape cannot be
reconnected from the inside.
Please do NOT shine flashlights to see if they are in bed or not.
Open / close any doors quietly.
IF camper is not in his/her room
• Check notes on the name sheet for any explanation by their Counselor
• Check bathroom
• If in the bathroom, check again later
IF camper is in the wrong room
• Send him/her back to own room
• Note the camper’s room # and name
• Notify Counselors
IF camper still "missing" – do not panic –
• Note camper room # and name on the door into dorm.
• Notify POD Leader, Director, Head Counselors, PR Committee member
ASAP.

Laundry Assistance
Begins at 1:30 am - All laundry done at North Hall (second floor)
•
All the wash-needed NECYSC shirts need to be collected in the laundry box –
(one box each for Counselors, CITs, Committee/EA) marked as “DIRTY”
located in North Hall.
•
Get the Laundry card from POD Leader. Each wash and dry load will cost
$1.50. Keep track of the number of washer and dryer loads and report to POD
leader so that PR knows when to charge more money on to the card.
•
Laundry room is on the second floor of North Hall, there will be detergent
available in that area.
•
After drying, fold and sort by size into appropriate (Counselors, CITs,
Committee/EA) clean laundry box – marked as “CLEAN” and bring back to
North Hall POD desk.
•
Return laundry card to POD Leader when all laundry is completed.
