National Championships
A National Championship is defined as an event run in one’s own country to acknowledge a
Champion for that country. All competitors are from that country without entry from
another country.
The FISAF International full and championship members have the right to sanction, in their
country, national and regional competitions. They are required to display the “FISAF
International” and “Hip Hop Unite” logos at any of these events.
In addition to the requirements for all FISAF International sanctioned events contained in
this policy document, event organizers will comply with the following requirements:
Organizations intending to conduct National Championships will:
1. Provide FISAF International with the following information, within a minimum of
three months prior to the competition date:
a. Title of the event
b. Date of the event
c. Venue location
d. Official contact
e. Categories of event
f. Divisions for National competition
2. Ensure that they comply with the criteria for National Championships and,
specifically, that the event organizer agrees to:
a. Use the FISAF International/Hip Hop Unite Tchnical Rregulations without
alteration for the official divisions.
b. Use the official FRF program for registration of competitors, Hotel bookings,
etc, and also to generate the skill lists (judges sheets) of the Sports Aerobic
competitors no later than 2 weeks prior to the competition.
c. Use the official tabulation program or one that uses the FISAF International
ranking system
d. For Sports Aerobic and Fitness Teams the FISAF International logo will be
displayed in a prominent position in the stage area. The size of the logo
will be no less than 0.5m². Rules of how to use the FISAF International logo
can be downloaded from www.fisafinternational.com/documents to
download.
e. For Hip Hop Unite the logo will be displayed in a prominent position in the
stage area. Rules of how to use the HHU logo can be downloaded from
www.hiphopunite.com
1.1
Santioning Fee
No sanctioning fee will be charged by FISAF International for National Championships.
1.2
Conditions of entry
These events are open to all competitors who are members of the officially recognised
National FISAF country member.
1.3
National Judging Panel
The event organiser in conjunction with the FISAF National country member appoint a
suitably qualified judge to act as head judge for the event. The Head Judge will liaise
with the Event Organizer/National member, for the appointment of the remaining judges
to the panels which must consist of FISAF qualified judges and or Specialised Judges. The
panel must be no less than 5 judges + 1 head judge.
Where possible, the Event organizer will organize and pay for the judges transportation to
and from the event, and their individual accommodation and food during the duration of
the competition.
1.4
Officials
The Event Organizer will provide the following suitably qualified officials to assist the
judging panel:
1.4.1
Tabulator
Will control and supervise the entry of all data for the tabulation of the competition. This
will include data entry prior to and during the Event. The tabulator will supply to the Head
Judge all judging sheets for each judge, starting lists for each round of competition and
result sheets for the judging panel signed by the Head Judge.
1.4.2
Judge Assistant
Will assist the Head Judge and Judges as required on a full-time basis.

Open National Championships
All FISAF International members have the opportunity to conduct their National event as
an International event in their own country. These events are known as Open National
Championships.
In addition to the requirements for all sanctioned international events contained in this
policy document, event organizers will comply with the following requirements:
Organizations intending to conduct an open national championship will:

Provide FISAF International main office with a written description of the proposed
competition which includes the following information, at a minimum of three
months prior to the competition date:
a) Title of the event
(Title must include “FISAF International” & “Hip Hop Unite”)
b) Date of the event
c) Venue location
d) Official contact
e) National categories of event
f) Divisions for Open National competition
g) List of judges

Provide a written commitment that they will comply with the criteria for Open
National Championships and, specifically, that the event organizer agrees to:
a) Using the FISAF International /HHU Technical Regulations without alteration
for any of the official division.
b) Organise a suitably qualified National judging panel of no less than 5 judges
+ 1 head judge (this may include FISAF International judges).
c) Provide to FISAF International/ Hip Hop Unite, no later than 2 weeks after
an event, completed Judges Database forms for all panel members.
d) Use the official FRF program for registration of competitors, Hotel bookings,
etc, and also to generate the skill lists (judges sheets) of the Sports Aerobic
competitors no later than 2 weeks prior to the competition.
e) Use the official tabulation program or one that uses the FISAF International

f)

h) For SA ensure the skill lists are with the Head Judge no later than three
weeks prior to the competition, unless a shorter period has been agreed by
the national technical committee.
i) Use the official tabulation program or one that uses the FISAF International
ranking system.
j) Provide to FISAF International/Hip Hop Unite, no later than one month prior
to the event, the names of the judges participating in each judging panel.
k) Provide to FISAF International/ Hip Hop Unite, no later than 2 weeks after
an event, completed Judges Database forms for all panel members.
l) Provide to FISAF International / Hip Hop Unite no later than one week
following the event, a copy of the results from the event.
2.1
Sanctioning Fee
No sanctioning fee will be charged by FISAF International for Open National
Championships.
2.2
Conditions of entry
These events are open to all competitors who are members of any officially recognised
National FISAF country member. For an athlete wishing to compete from a non-member
country, they are able to apply directly to the event organizer for endorsement to enter
the event. The Event Organiser has the right to charge a supplementary fee.
2.3
Open National Judge Panel
The event organiser in conjunction with the FISAF National country member will appoint a
suitably qualified FISAF judge to act as head judge for the event. The Head Judge will
liaise with the Event Organizer/National member, for the appointment of the remaining
judges to the panels which must consist of FISAF qualified judges and or Specialised
Judges. The panel must be no less than 5 judges + 1 head judge.
Where possible, the Event organizer will organize and pay for the judges transportation to
and from the event, and their individual accommodation and food during the duration of
the competition.
2.4
Officials
The Event Organizer will provide the following suitably qualified officials to assist the
judging panel:
2.4.1
Tabulator

2.4.2
Tabulator’s Assistant
Will assist Tabulator to ensure correct and efficient data entry and organize the
distribution of tabulator sheets to the Head Judge.
2.4.3
Judge Assistant
Will assist the Head Judge and Judges as required on a full-time basis.

3.1
European & World Championships
Agreement
Based on the “in principle” acceptance of a proposal by the Executive Committee, the
event organizer and FISAF International will enter into a formal sanctioning agreement.
This agreement must be signed by both parties no later than 6 months prior to the
commencement of the event and the event organizer must supply to FISAF International
the championship promotional poster or brochure of the event for the FISAF International
website.
3.2
Sanctioning Application
Applications to conduct the European Championships and World Championships must be
made by formal presentation to the FISAF International Executive Committee.
Prior to the presentation, a written proposal will be forwarded to FISAF International for
review by the Executive Committee.
The European Championship for Cadet, Junior and Adult age divisions are held on a yearly
basis during the second half of month of May (starting from 2014), if possilbe
The World Championship for Cadet, Junior and Adult age divisions are held on a yearly
basis during the second half of month of October (starting from 2014), if possible.
3.3
Sanctioning Fee & Deposit Fee
A sanctioning fee determined by the Executive Committee (total amount of 5000 EUR for
SA, Fitness and Hip Hop events) will be payable by Event Organizer. The payment shall be
executed by paying 50% at the day of the signature of this Agreement and the remaining
50% at the beginning of the event.
Furthermore, the Event Organizer has to pay a deposit of € 2000 at the day of the
signature of this Agreement. This amount is to be used as a retention for meeting all
requirements of this agreement by the EO.
Event Organizer will receive a report after the championships, after consulting the
committees and conducting Event survey. The evaluation will be made by FISAF
International Executive Committee in close cooperation with TC and HHU TC.
Should the EO meets all requirements of this Agreement and the Event Policy, the deposit
of € 2000 will be reimbursed to the Event Organizer latest three months after the Event.
3.4
Conditions of Entry
European/World Championships are open to all nominated competitors who are
members of any officially recognised European/World National FISAF country
member.
Where there is no FISAF International member in a European/World country,
athletes/teams from that country may apply directly to FISAF International for
endorsement to enter the European Championship.
The decision to permit such an athlete/team will be made by the Executive Committee in
conjunction with the Event Organizer. In such cases, an entry fee, per athlete and per
category, for the event is payable by the athlete to FISAF International. The fee will be
announced by the Executive Committee at the time of the application. It is the
responsibility of the event organizer to collect this fee and forward it to FISAF
International.
The official registration fee is 40 Euro per person (2 officials per member country will get
the registration for free). Event Organizer is not allowed to modify the Registraion Fee
which is a fixed amount approved by Executive Committee.
For non-member athletes the fee for participation will be decided by Executive
Committee case by case.
The European & World Championship is for Cadet, Junior and Adult athletes and allows the
following;

Sport Aerobic and Fitness Teams;
a) 3 entries per member country per category and per age division

Hip Hop Unite
a) 5 entries, per member country, per age division
b) Mega Crew; 3 entries, per member country
The FISAF International main office will make a list of registered athletes and forward to
country Members for confirmation.
IMPORTANT:
If the EO/Country member do not fully respect the Event Policy, the Executive
Committee can decide to exclude the member country for membership for a
periode of minimum 1 year.
3.4.1
3.4.1.1
Qualification
Sports Aerobics
To be eligible for the European or World FISAF International sanctioned events, a
competitor must be nominated by the FISAF International Member of the country of which
they are a citizen/resident. They must adhere to the official National Nomination
procedure of that country. Foreign (not a citizen) competitors with residency in another
country other than their own, can take part in the above mentioned international events,
only if they have fulfilled the National Nomination procedures of the country they wish to
represent. If both countries are Fisaf International Members then both countries have to
agree and accept to allow the competitor to compete.
3.4.1.2
Fitness
To be eligible for the European or World Fisaf International sanctioned events, a team
must be nominated by FISAF International Member of the country of which they are a
citizen/resident. They must adhere to the official National Nomination procedure of that
country. In a fitness team, a maximum of two members are allowed to compete for a
country which is not their country of their citizenship. If a team has ‘foreign’ (not a
citizen) members belonging to a Fisaf International Member country, both countries have
to agree and accept to allow the athlete/s to compete in the team.
3.4.1.3
Hip Hop Unite
In countries where the FISAF International member conducts a national championship, all
dancers and crews must qualify through this championship.
In countries where the FISAF member does not conduct a national championship, all
dancers and crews wanting to participate in the ECS / WCS, must apply to their FISAF
International country member for endorsement to participate in these events.
3.4.1.4
Disqualification from Entry
Any competitor, who has been disqualified from entry to a FISAF International event, by a
FISAF International member, is unable to seek entry into the European or World
Championships through another member.
3.4.1.5
Representation
Athletes and teams will represent their studio/team name and also their country.
Representation of athlete or team is firstly by their studio/team name and secondly by the
country.
It is the responsibility of the FISAF International member endorsing any team/athletes, to
ensure they meet citizenship and residency requirements as stated in 3.4.1.
3.5
Judging Panel
Nominations for the appointment to act as a judge and/or a head judge on the judging
panel of these events will be forwarded to FISAF International main office. Any country
whose judge is appointed to act as head judge for the event is eligible to also nominate a
second judge to be appointed to the panel.
The International Technical Committee will organize and appoint a suitably qualified FISAF
International Judge to act as head judge for each judging panel. It will also organize the
judging panels for all categories.
3.5.1
Judging Panel Sports Aerobic and Fitness Aerobic
For the European and World Championship, where possible, the judging panel must consist
of a 7 member panel of FISAF international qualified judges + 1 head judge. It is a
requirement for each panel to have only one representative judge per country. If this is
not possible, due to a lack of qualified judges, there can be two judges from the same
country, if one is the head judge. For example, Australia Head Judge + Australia panel
member. In this case, the second panel member cannot be a lead judge.
3.5.2
Judging Panel Hip Hop Unite
The Hip Hop Unite Technical Committee will organize and appoint suitably qualified
judging panels for the European and World Championships, based on nominations and
qualifications.
For all Championships, the judging panel must consist of a minimum of 5 qualified judges
(with a minimum of 3 certified Hip Hop Unite International judges) + 1 head judge, if
possible.
Responsibilities of the judges and head judge are written in the Appendix 5.
3.5.3
Judging Panel accommodation and meals
The Event organizer will organize and pay for the Judges individual accommodation, food
and venue transfers for the duration of the competition. In the case that the planning of
the event, or where a judges travel time requires that the judge or judges need to arrive
one day before the programmed event (including all meetings before the event) or depart
one day after the programmed event, the Event Organizer will organize and pay for the
judges additional individual accommodation, food and travel transfers.
3.5.4
Tabulator Assistant
The tabulator will control and supervise the entry of all data for the tabulation of the
competition. This will include data entry prior to and during the Event. They will supply
to the Head Judge, all Sports Aerobic Skill Lists (judging sheets) for each judge, starting
lists for each round of competition and result sheets for the judging panel signed by the
Head Judge.
Will supply to the Head Judge/panel:

skill list sheets for Sports Aerobic three weeks prior to the competition for the Sports
Aerobics Head Judge and Technical Committee

final skill lists for each Sports Aerobics judge via email one week prior to the event

final skill lists for actual judging at the competition for Sports Aerobics Judges one day
before the category

start lists for each category during the competition

result sheets signed by the Head Judge
3.5.5
Tabulator Assistant
Will assist Tabulator to ensure correct and efficient data entry and organize the
distribution of tabulator sheets to the Head Judge.
3.5.6
Judge’s Assistant
The Judge’s Assistant will assist the Head Judge and Judging panels as required on a fulltime basis. There will be one Judge’s assistant per panel. The Judge´s Assistant must
speak fluent English.
3.6
Rules of Competition
Will be the Regulations and any amendments as applied by FISAF International.
3.7
Registration of competitors
No competitors will be accepted into a competition unless the registration process as
required by the Event Organizer is completed by the required time.
For Sports Aerobics & Fitness Aerobics registrations must be done using the official FISAF
International registration system and is submitted to the FISAF International Main office.
For Hip Hop registrations must be done by using the HHU Registration Form displayed on
www.hiphopunite.com. The Event Organiser has no rights to obtain or use the contact
details of the athletes, officials, etc.
FRF registration should not be combined with other registration systems or forms and is to
be used for registration as well as package booking (hotel and transportation).
All FRF skill lists must be submitted and finalized 3 weeks prior to the competition. No
changes to skill lists will be accepted unless accompanied by a medical certificate.
3.8
Convention / Expo or other Benefits
The Event organiser will provide details of any other benefits will be made available to
delegations including social events, tourist opportunities, official functions. Where any of
these benefits are provided free of charge this will be noted. Where any of these benefits
will incur some cost to delegations, this cost will be estimated, per person.
3.9
Meeting Rooms
The event Organizer will provide the facilities for all official meetings as required by and
agreed to with FISAF International.
Facilities required to conduct an International/Judges educational workshop, Briefing for
dancers, Championship Corners, Technical Committee/HHU Technical Committee meeting,
Executive Committee meeting, Educational Committee meeting, General Assembly etc.

General Promotion
Posters and flyers are a good way to catch the audience’s attention. Any artwork should
be colourful and vibrant, and leave no questions unanswered – include all relevant details
to ensure that the person reading it is well informed about your event.
Strategically placing posters and flyers around your community is a big factor in the
success of your promotional campaign. Posters can be put up anywhere to ensures that
people are finding out about the event. Promote outside your community, advertise in
press, as far as possible.
To further extend on this, take your promotion online. MySpace and Facebook are a great
promotional tool. You’ve got a direct way of targeting the people who are most likely to
be interested in your event.
Posting a Bulletin is a fantastic way to get users to notice you; use the Bulletin to plug the
details, time, ticket prices and location of the event, and provide a link back to the home
page of your MySpace or Facebook, so that users can find out more. Try and include a copy
of your flyer as well.
3.11
Official Titles
The winners in each category of the European Championships will be known as FISAF
International European Champions or Hip Hop Unite European Champions.
The winners in each category of the World Championships will be known as FISAF
International World Champions or Hip Hop Unite World Champions.
4
Specific Event Requirements
In addition to the requirements for all events mentioned above within this document, the
following specific criteria will be met for European and World:
Venue
4.1
The event venue must be visited and approved by either a member of the FISAF
International Executive Committee and/or a member of FISAF International Technical
Committee/HHU Technical Committee.
Stage
4.2
The event venue should have a stage area or constructed podium with a parquet floor
suitable for aerobic performance and dance.

The performance area for Fitness Teams will be a minimum of 9 x 9 m.

For Sports Aerobics the performance areas must be marked 7m x 7m and must be
clearly marked by a line of contrasting colour that is between 5 cm and 10 cm in
width. The outside edge of the line forms the boundary of the performance area,
i.e. the line is inside the performance area.


The performance area for Hip Hop Unite small Crew will be around 10 x 10 m
The performance area for Hip Hop Unite Mega Crew will be max. of 12 m x 12 m.
Athletes will be notified of the specification of the performance area prior to the
commencement of the event through websites and bulletins.
4.2.1
Stage Setup
Stage requirements:

to build up a thrust stage, which is a stage that extends into the audience on three
sides and is connected to the backstage area by its upstage end, if possible. The
reason for this is due to the fact that it has the benefit of greater intimacy
between the audience and performers, thus audience can view the performance
from a variety of perspectives

to reduce the distance between the performing stage and the audience. Audience
has to be located as close to the performing stage as possible, which by time will
improve the self-confidence and self-belief to entertain the audience. Eye contact
with the audience is very important, and will encourages them to participate in the
routine, thus improving the performers stage presence.

Entrances to be made from the backstage or by using entrance stairs from the
sites.
4.2.2
Stage Lighting
Stage requirements:

To use basic non-moving toplights during the performance (non-color)
4.2.3
Seating of Judges
The judging panel will be seated in an area restricted from competitors, coaches and
audience. Access to this restricted area is allowed only to event officials and judges.
There must be at least 3-5m of clear space between the judging panel and the audience,
and 3-5m of clear space between the judging panel and stage.
It is a requirement that the seating positions for the judging panel are elevated to enable
all judges to see the entire performance area. However, depending on the venue and the
audience seating plan, it can be accepted not to elevate the judging panel in order for the
audience to have clear view. In such case, the stage has to be elevated.
Judges seating must be facing the front of the stage and in the close proximity of the
tabulator.
4.3
Floor Testing
The event organizer will provide a schedule for floor and music testing for all categories in
the event timetable prior to the preliminary round.
4.4
Winner’s Podium
For the award ceremony the event organizer will provide a podium for the first, second
and third place recipients of the event. The podium should be large enough to
accommodate the teams.
The National Anthem for the winning country of each division and category will be played
for a minimum of 25 seconds during the award ceremony.
The National Anthem and national flags for each participating country must be provided by
the Event Organiser.
4.5
Winner’s Medals
For the award ceremony, the event organizer will provide medals for those ranked first,
second and third in each category.
The event organizer will also provide 2 extra medals to each winning team/crew (first,
second and third in each category). These extra medals are to be used for the
coaches/reserve athletes that have been registered on the FRF.
The event organizer will provide participation certificates to all non podium competitors
and will provide certificates to coaches, choreographers and judges if requested.
Furtheremore, for Hip Hop Unite, trophies will be provided by the event organizer for
first, second and third in each category. But only one trophy per crew, if possible.
Prize Money
4.6
Prize money as determined by agreement between the event organizer and the Executive
Committee (amount of 5.200 EUR for European Championships and amount of 10.200 EUR
for World Championships in total for SA, Fitness and Hip Hop competitors) will be
distributed to the first, second and third ranked recipients in each category of the event –
sports aerobics, fitness (seniors only) and hip hop (adults only).
The distribution of prize money is provided by the Secretary General immediately after
the award ceremony.
Competitor Change Area
4.7
Two appropriate areas, with sufficient numbers of change rooms, will be provided for
competitors to change into competition attire; one area for males and one area for
females.
Security staff must be present to ensure security of these areas and belongings.
Warm Up Area
4.8
An appropriate and safe area will be provided for warm up. Where possible a second
parquet floor will be available in the warm-up area.
Requirements:
4.9

That the warming-up area is equipped with screens or projectors which show the
competition (live) in order for the athletes to keep pace with the programme and
be a part of the event, if possible.

That the warming-up area is run by a timetable, provided by the Event Organiser,
so that all categories have scheduled time to practice.

That the program of the event be visible in in all areas of the warmup area.

For SA/FA the warm up areas have to be equipped with minimum two mats.
Water for Competitors after stage performance
The purpose of consuming water after exercise is to replace fluid and electrolytes lost
through sweat. Failure to consume enough fluid and sodium after intense exercise can
lead to severe dehydration and, in some cases, the need for intravenous fluid
replacement.
Bottled water must be available, at no cost, to competitors in the warm-up and stage
performance areas.
4.10
Meals for Judges at the Venue
Judges are to be supplied with healthy, balanced meals plus snacks and hot and cold
beverages. Examples are salads, quiches, pasta, fruit etc.
4.11
Promotion
The FISAF International “Sanctioned Event” logo will be prominently displayed in the
performance area and will not be less than 0.5 m² in size.
4.11.1
Promotion – T-shirts
We recommend T-shirts be provided for sale and may be sponsored by one/more
sponsor(s). It is also recommended to provide separate T-Shirts, one for SA/FT and one
for Hip Hop Unite.
If the Event Organizer is not able to finance T-shirts within the package price/budget,
FISAF International will be responsible to produce and sell t-shirts during the event. The
profit of this selling will 100% belong to FISAF International.
4.12
Reporting
As written in the agreement between event organizer and FISAF International, the event
organizer will record the entire competition on DVD or on other data carrier which
includes every round of competition from a static frontal position/angle. Three copies of
the footage will be suppled to FISAF International within one month of the event. All
participating judges will receive a DVD copy or on other data carrier of the entire event
from the event organizer or from FISAF International. Non-participating FISAF International
judges will have the opportunity to buy the DVD’s at a price of 50% of the retail price.
4.13
Competition results
Each delegation will receive a printed copy of all results before departure from the event.
Furthermore, the results will be available on the FISAF International websites immediately
after each event.
4.14
Final Schedule for the Event
No less than one week prior to the arrival of delegations, the event organizer in
collaboration with the FISAF International Technical Committees will provide to FISAF
International for approval the final schedule for the event.
4.15
Flag Presentation / National Anthem
The event organizer will ensure that each nation is presented as part of an opening
ceremony for the event. The national flag and the national anthem will be provided by
the event organizer.
The Flags should be for decoration of the venue and/or a flag ceremony. During the
presentation of winners of the event, the national anthem of each winner’s country will
be played publically.
The Event Organizer is required to provide the national anthem for each winner’s country.
4.16
Annual Event Time Frame
It is expected that the European and World Fitness Championships will occur at similar
times of the year, each year. This is to ensure planning and preparation for the event
organiser and the athletes.
Second half of May: European Fitness Championship, to start in 2014
Second half of October: World Fitness Championship, to start in 2014

5.1
Requirements for all Events
Rules of Competition
Rules of competition will be the current FISAF International Technical Regulations and any
amendments as applied by The Technical Committee of FISAF International.
5.2
Age Requirements
The age requirements of all Athletes will be published each year on
www.fisafinternational.com and on www.hiphopunite.com and must be adhered to for
National, Open National and international competitions.
5.3
Registration of all Competitors
No competitor will be accepted into a competition unless the registration process is done
using the Fisaf International Registration Form (FRF) or Hip Hop Unite Registration Form
for Hip Hop, as required by the Event Organizer, within the time frame given.
5.3.1
Registration of Sport Aerobic Competitors
All competitors in sports aerobics will provide to the Event Organizer, as part of their
registration for the competition, the skill list of their performance elements, including
their chosen obligatory and compulsory elements.
All skill lists must be submitted 3 weeks prior to the competition. No changes to skill lists
will be accepted unless accompanied by a medical certificate and approved by the
Technical Committee.
The timing marks are to be included on all skill lists to show the quarters of the routine.
All skill lists are to be received by the Event Organizer at a minimum of 3 weeks before
the date of competition.
5.4
Competion Structure
5.4.1
Two Rounds of Competion
For categories of events where there are 6 or less competitors, the competition structure
will include a maximum of 2 rounds: a preliminary round and a final round. All athletes
entered in the event are eligible to compete in the preliminary round and final round.
5.4.2
Three Rounds of Competion
Where there are 7 or more competitors in any category, it is compulsory to have three
rounds of competition. The competition structure will then include a preliminary round,
semi final round and a final round.
All athletes entered in the event are eligible to compete in the preliminary round. Where
there are less than 25 athletes competing in the event, the highest ranked 12 athletes
from the preliminary round are eligible to compete in the semi-final round.
Where there are more than 25 athletes competing in the event, the highest ranked 15
athletes from the preliminary round are eligible to compete in the semi-final round.
The highest scoring 6 athletes from the semi-final are eligible to compete in the final
round. If there are 3 teams/athletes from one country in the top 6, then the 7th ranked
team/athlete will be allowed through to the final round.
If there are 2 countries with 3 teams/athletes from one country in the top 6, then the 7th
and 8th ranked team/athlete will be allowed through to the final round.
5.5
Venue Requirements
The Event Organizer will provide the following facilitites:
5.5.1
Judges Meeting Areas
Judges must be provided with a suitable meeting room prior to the event to conduct the
pre-competition briefing. During the event and following the event the judges will also
require a suitable judges meeting room to meet in private to conduct de-briefing sessions.
The Event Organizer will supply drinks and snacks to the judges meeting rooms.
5.5.2
Notice Board
The Event Organizer must provide a suitable position for the public display of event
information and results during the time of competition.
5.5.3
Judges Feedback to Athletes
No feedback will be given to athletes between rounds of competition.
Feedback sessions will be verbal and added to the timetable for those wishing to use
them:

After after finals feedback will be given after award ceremony.
Feedback will be given by one or more judging panel members under the direction of the
Head Judge.
5.6
Technical and Administrative Support
It is recommended that the Event Organizer provide technical and administrative
personnel whose duties are as follows:
5.6.1
Event Manager
The Event Manager shall be the overall administrative authority for the competition.
5.6.2
Announcer or Compere
An announcer will be appointed to announce official information. This shall include:

Name of individual/team competitors prior to the beginning of each routine.

Name of sponsor or club affiliation at the beginning and end of each routine.

Following the preliminary and semi-final rounds, announcement of those
competitors proceeding to the next round of competition.

Following the final round of competition, announcement of the ranking of each
competitor at the award ceremony.

Wireless microphone to be provided for all MC’s with two back-up hand-held
microphones.

For Hip Hop Unite, please refer to “Additional Specific Requirements for Hip Hop
Unite” on page 24.
5.6.3
Sound Technician
The sound technician is responsible for all sound and technical audio function. The sound
technician will:
1. Be available for sound and music checks prior to the competition, including practice
periods.
2. Check and record the volume and speed of the audio media involved.
3. Record any information required for the correct playing of any media.
4. Ensure music is in the correct performance order.
5. Receive performance music and ensure its safety until the end of competition.
6. Not change any music unless authorized by the Head Judge.
7. Check the length of each performance music to ensure it applies to the Technical
Regulations and to notify the Head Judge if it is outside the requirements.
5.6.4
Medical Personnel
Qualified medical personnel should be available throughout the event. Emergency
procedures should be established prior to the event and made known to athletes and
coaches.
The medical personnel should be visible in the venue and readily available at all times.
5.7
Administrative Requirements
Ring binders, plastic pockets, and pens are to be supplied to each judge. The judges room
is to be equipped with a perforator, A4 paper and a supply of extra pens.
A sufficient stock of A4 white paper is to be supplied for the Tabulator’s requirements for
the judges master sheets, result sheets per round, list of passage sheets per round and per
judge.
Access to a photocopier is required.
5.8
Event Schedule
The Event Schedule will be formulated with the FISAF International Technical Committees
and approved by the Executive Committee. It will detail all meetings and briefings for
competitors, judges, volunteers, Committees and other officials. The Schedule will also
detail the time of all rounds of competition. A competition briefing for judges, of not less
than 90 minutes per panel, will occur prior to the event. The schedule will also include
de-briefing sessions for the judges after each round of competition.
The Event Organizer will liaise with the Head Judge regarding any extra needs for briefings
during the competition.
5.9
Reporting to FISAF International
A report of the competition must be completed by the event organiser and provided to
FISAF International Main Office within six weeks after the completion. This will include
the following information/materials:






A copy of the official results signed by the Head Judge which will contain a list of all
competitors and their ranking in the competition
Championship photographs including display of all sponsor logos
Championship program or brochures
Poster of championships
Other printed materials
DVD of the entire competition*
*The Event Organizer will record the entire competition on DVD which includes every
round of competition from a frontal, static angle. Three copies of the footage will
be suppled to FISAF International within one month of the event. All participating
judges will receive a DVD copy of the entire event from the event organizer or from
FISAF International. Non-participating FISAF International judges will have the

5.10
Promotion
5.10.1
Promotion Material
The Event Organizer will prominently display the FISAF International sanctioned event logo
on all promotional material.
Furthermore, the FISAF International sanctioned event logo and Hip Hop Unite logo should
also be used as official logo at the registration desk.
5.10.2
Backdrop / Banners for SA/FA
For SA/FA the FISAF International logo will be prominently displayed in the performance
area and will not be less than 0.5m² in size.
5.10.3
Backdrop & Stage Projection for Hip Hop Unite
The Stage having a tremendous existing background setup is great. In hip hop communities
projectors above the actors projecting onto a white painted flat are often used. Or
projectors on the side of the stage are used.
By using projectors we create a lot of possibilities, for example that of having several
scene backdrops.
Requirements:

To use the following backdrop for all European and World Championships (Backdrop
can be downloaded from www.hiphopunite.com)

To use site stage projectors to entertain the audience during the breaks by showing
hip hop routines or explaining the criteria, if possible.
5.11
Smoking and Alcohol
Alcohol and Smoking are prohibited at the Competition Venue at all times.
Additional Specific Requirements for Hip Hop Unite
Events

MC & DJ
6.1
The Event Organiser must provide a DJ and one or two MCs who must be approved by the
HHU TC.
6.1.1
The MC
MC requirements:

To use MC’s who are familiar with Hip Hop culture.

To use MC’s who speak fluent English for the International competitions.

To use MC’s who speak the local language for the National competitions.
6.1.2
The DJ (Disk Jockey)
DJ requirements:

To entertain before, during and after the competition sections and during breaks..

Using the workmanship between MC and DJ during the EC and WC as an example
for all Hip Hop Unite Countries.

The DJ wearing hip hop clothes during the event.

The DJ having hip hop music himself and ask him to create some special music for
the awards!

The DJ is to be used for crew and battle categories
Briefing for Dancers
A suitable area is to be provided for the crew briefing before the competition commences.
Opening Ceremonys
6.3
All dancers asked on stage and introduce each crew or an introduction of each country
member and their flags is also an opportunity.
Announcement of the Final Rankings
6.4
The awards Ceremony/announcement is very special and important in order to celebrate
the winners and show respect to all participants - Therefore it is important to extract
time for this final part of the competition.
Requirements:
All finalist crews, for each age category, will be called to the stage prior to
awarding medals and/or.

Finalists are to be announced beginning from the bottom to the top 3, giving each
team the time to be photographed and videotaped in front of the stage after
announcing their name and result.

The DJ playing some special hip hop music to create a professional flavour and to
give the dancers this special feeling.
Notification regarding display of scores for HHU
events
6.5
After the Preliminary round, the scores and ranking of the crews that did not qualify for
the Semi-final will be displayed and announced.
After the Semi-final round, the scores and ranking of the crews that did not qualify for
the Final round will be displayed and announced.
In the Final round, the announcement of the final rankings will be giving during the award
ceremony and then displayed.
All scores and rankings will be available on the FISAF HHU Website after the Competition.

7.1

For categories of events where there are 10 or less crews, the competition structure will
include a minimum of two rounds: a preliminary round and a final round. All athletes
entered in the event are eligible to compete in the preliminary round and final round.
7.2
Three Rounds of Competition
Where there are 11 - 25 or more crews in any category of event it is compulsory to have
three rounds of competition. The competition structure will then include a preliminary
round, semi final round and a final round.
All crews entered in the event are eligible to compete in the preliminary round. The 20
highest ranked crews from the preliminary round are eligible to compete in the semi-final
round.
The 10 highest ranked crews from the semi-final are eligible to compete in the final
round.

APPENDIX
Appendix 1 – Additional reguirements
8.1
8.1.1
Package
The Package offered by FISAF International should be a good and appreciated offering
compared to other organizations.
It is recommended to:

offer the package services, as this is a point of difference to other competitions for
FISAF International

offer same package, but also include low-cost hostels to teams that cannot afford
more expensive ones (it is our opinion that including low-cost packages might
result in higher participation).
To create links on the championship website to hotels and hostels, busses and car-rentals
not included in the packages in the specific area of the competition
8.1.2
Food for Athletes During the Event
The package offered by FISAF International includes breakfast and 1 hot meal. This is the
best offer for athletes, especially since breakfast is the most important meal of the day!
Nevertheless, we have some further requirements:

Lunch could consist of a choice between several small dishes at the venue for
example: fruit, pasta, sandwiches, etc. This will help the organization to keep all
athletes at the venue all day and to create a better atmosphere.
We all know that athletes need to eat and drink healthy food/proteins before, during and
after their performances! That is why it is necessary to provide healthy food and drinks at
the venue.

A FISAF International Judge should be fair, honest and impartial in all activities and
decisions concerning every competitor participating in an event. FISAF International
Judges participate in an event as an ‘Official’ of the sport and their role is to apply the
rules of the sport to the best of their ability.
A judge will:

understand and abide by the FISAF International Technical Regulations

be able to apply the current FISAF International Technical Regulations and any
subsequent published amendments or notifications

Conflicts of Interest
A Judge must be aware of the possibility of bias and therefore avoid this by disclosure of
any conflict. If a conflict exists, a Judge cannot be part of the panel for that category.
Circumstances of a conflict of interest which may compromise a Judge's position on a

Responsibilities Following the Event

Approve and sign the results prior to their announcement

Provide reports to FISAF where required, concerning the judging panel and/or the
competition

Ensure that signed copies of the score are provided as follows:

Conduct Judges Debriefing

Act as spokesperson for judging panel

In order to fulfill their responsibilities, the Head Judge will perform the following
task:
Pre-competition
o
Inform Event Organizer regarding requirements for all Judges
Briefings/meetings, including:




Venue
Equipment (e.g. video player, monitor, tables, writing materials,
etc)
Time
Length. The initial Judges Briefing must be at least 3 hours.

Inform Event Organizer regarding other judges meeting requirements
o
Understand specific event requirements, including media, judges
appearance, rigid time constraint, when/where judges are to report
o
Ensure Judging Panel is provided with the following:






Written schedule for the event
Competitors List in Competition order (draw)
Adequate stationery for each round of event including the Official
Warm Up
Obligatory movements of each competitor
Stop watch
Ensure

Judges can be seated in positions which give clear vision of the
competitor and have ample table space

Tabulator is placed in a position which will ensure the efficient
processing of scores

That the judges area has a least 1 meter of clear space between the
judging panel and the audience to prevent interference with the
judging panel

Judges Stationery is correctly prepared for the event

Judges understand the attendance requirements at meetings and
venue
Ensure volunteers associated with Judging Panel, fully understand their
duties
During Competition

Ensure judging panel is seated and prepared for judging at all scheduled
times

Review of Judges' scores and rankings for consistency
o
Review tabulation reports for accuracy
Post Competition

Approve final tabulation of scores and results

Sign results and distribute copies as required

I have read the FISAF International Judges Position and Codes of Ethics and agree to fulfill
the requirements as stated. I understand that any violation of the Code or Judging
Position will subject me to appropriate disciplinary action, which may include demotion or
discharge from the Panel and/or Competition.
I hereby agree that I will comply with this Code of Ethics and Judging Position for the
duration of the competitions I am assigned to for 2014 and will fulfil the requirements of
both documents.
