Willen Hospice is an incredible place. As you read this, people from the community are being given specialist,
compassionate end-of-life care and helped to find strength, confidence and peace at what can be a distressing,
scary and painful time. Families are being supported, children are being helped to cope with their bereavement
and carers given respite and understanding. Only thanks to people like you is all this possible.
Generosity keeps our services running. Every coffee morning, music event, dress down day and raffle in aid of
Willen Hospice helps us fund patient care. Whatever you do, however much you raise, you’re helping us make a
difference.
This pack is designed to give you lots of inspiration and some of the tools needed to kick start your fundraising.
We’re always raring to help you raise much needed funds for Willen Hospice so don’t hesitate to get in touch if

Planning your event
There are a few things you need to consider when planning your event
When and Where
Choose a date with realistic time-scales. Plan in the organising and let
people know about the event in plenty of time. Make sure the date doesn’t
clash with any other local (or national!) events that could affect attendance.
Make sure your venue is the right size – not too big and not too small.
Ensure it has all the required amenities and complies with health and
safety regulations. If you are holding your event in a public place you must
have permission from the council or landowner.
Licences
If you’re playing music or selling alcohol, make sure you have all the right
licences. Holding a raffle is a great way to raise extra funds for Willen
Hospice. Your raffle will likely be exempt from a licence if the tickets are
sold during the event where the premises are held, there’s no commercial
gain, the draw takes place at the event, there’s no rollover and costs don’t
exceed £100/prizes £500. However, please check the latest regulations with
the Gambling Commission www.gamblingcommission.gov.uk
Street Collections
To collect money on the street, you need permission from the local
authority. You can collect on private land with permission from the
landowner.
Crowds
Will disruption be caused to roads/residents? If so, inform your local
authority. If you’re expecting a lot of people (or undertaking a physical
activity) you need to ensure availability of basic first aid. Ensure you
are familiar with your venue’s fire evacuation plan.

If you’re holding your event in a public place, you must ensure the venue is covered by public liability insurance.
We appreciate the activities you are undertaking on behalf of the Hospice, please note you do so at your
own risk and Willen Hospice’s insurance will not provide indemnity for you. We strongly recommend you seek
insurance cover in your own right to include your legal and contractual liabilities.

If relevant for your event or activity, setting up a
page can really boost your fundraising (and it takes
just a couple of minutes to do!) Here’s our handy 6 step guide:

Below is a press release template for you to use.

Pictures
When taking photos that you want to send to the press after your event, it’s important that they meet some
criteria to give them a better chance of getting printed.
• Ensure the photos are of a high enough resolution (as a rule of thumb, a picture over 1mb will usually be ok)
• Make sure everyone who is the focus of the picture is looking at the camera
• The photo should be a close crop (i.e. not lots of background)
• If there’s more than one person, make sure there isn’t a big gap between people (the camera makes a small
gap look huge!)
• The image should convey a bit about what the day is. For example if the event is a fashion show take
pictures of the catwalk models, if the event is a car show get pictures of the organisers with a Willen bucket
next to a car etc
• Get the names of the people in the picture – the press will want this with your press release
