Lockbox Committee - November 27, 2013

In an effort to maintain transparency during this process, the Lockbox Committee would like to make the membership
aware of upcoming developments with the Electronic Lockbox (ELB) efforts. Your constructive input is always
welcome.
Q. Why do we need a new ELB system?
A. Per the supplier, the current system cannot be renewed and will no longer be supported…we have to
change/update. Staying with the current system is not an option. Our current contract with Supra concludes at the end
of 2014 and requires a 6-month notification of any changes. Therefore, the Lockbox Committee will continue to meet
to review options with a recommendation going to the Board of Directors in April or May. This will allow us to notify
Supra of either an upgrade to our system or a change of vendor.
Q. Can we use any of the same hardware components we already have?
A. No, the technology is totally different.
Q. Will we get credit for any of the hardware components we currently have?
A. Credit for some/all of the current hardware that members now have in their possession will be negotiated with the
new supplier contract.
Q. What new features can we expect with a new system?
A. There are two ELB front runners (Supra and Sentrilock). Please visit their websites for additional information.

The Lockbox Committee will be reviewing, comparing, contrasting and evaluating each system thoroughly with an eye
toward ease of use, reliability, technological advantages, and cost effectiveness. Some specific evaluation criteria will

The ability to use your smartphone and/or a keycard (similar to a credit card) for access.
Instant notification when an ELB is opened.
Ability to track inventory on device.
Additional hardware (if any) needed to obtain security access updates.
No cellular service required at the lockbox.
The ability to accommodate Non-Member access. (on a limited basis)
Q. I work with neighboring MLS’s. Will this system be compatible with the other MLS’s or will I need different
equipment?
A. The Lockbox Committee would like very much to coordinate the type of system used with other Boards/MLSs and
will take that coordination into consideration when reviewing the potential vendors…so the real answer is that we
don’t know yet whether compatibility will be possible or not.

Against ELB’s (20)
Just curious why we even need Electronic Lockboxes. Many of the listings that I have and many that I show are on the
manual lockboxes and that seems to work.
This just seems like an additional expense that in not really needed?
I'm 100% for combination boxes. Most of the Cincinnati MLS members are back to using combo boxes....at least on the
west/northwest sides of town. If I show 10 houses today, 8 will be on combo boxes and 2 will be electronic. It's just not
prudent for Realtors to have to continue using the electronic system. If I get a call from a client and they want to see a
home on short notice and I don't have my electronic key, it's just a huge hassle. I find myself hoping that all listings I show
are on combo boxes....all of Indiana is, and most of Cincinnati is. I say we drop Supra completely.
I wish that the agents could have the opportunity to express their opinion on the lock box changes.
A large number of agents and companies do not use the current system.
Go back to combo locks, they work for All!
That's my opinion.
The best solution, if possible, would be to go to all combo lock boxes. OR, a lock box where no external device is needed to
open the box (the supra keypad is a major hassle).

We don't use elec. lock boxes in our area so it is important that their is a way to have easy access when we have showings
in the Cinn. area. We can have a similar situation in the Dayton area, or we have to pay to have boxes we don't use for two
different areas. Otherwise the owners have to leave their homes unlocked or the listing agent has to be there to open the
home.

Feedback on ELB. I personally would like to see the whole Supra/ELB system cancelled.
It's expensive to use, cumbersome to carry around and recharge/update each night and
redundant with combo lock boxes. It's seems like Supra is just trying to make additional
money from agents by replacing one system with another. The cost must be the same or
less then the current system in order to make it attactive for agents to use.
Combo lock boxes work just
fine and if they are good enought for banks, FHA and property security managers they
are good enought for agents.
Its my personal opinion that elb is more of a pain than it is worth (as opposed to manual lock boxes), extra
expense, and hassle. My vote is to dump the whole elb system. I never liked them. (updating, charging, etc.) most
of us out here in the field are not super agents busy everyday with clients, so our showings are here and there a
month. The elb key is just another piece of equipment to act up, remember, and update on the off occasion that a
home you might show may have one. On top of that there are the expenses that go along with having to have it.
I often only show Listings in Cincinnati MLS without ELB. It's expensive to keep a key pad for 8 or 10 sales a year.
If I could pay a small fee and use my smart phone that would be acceptable.
I would sell more in Cincinnati MLS if it were more convenient.
I realize the manual lockbox battle was fought and won some time ago in favor of the ELB. I
wonder, however, if members/brokers were polled on this matter today, how many would reply
that the ELB would be their preference versus the manual lockbox? There may be
overwhelming support to stay with the ELB. Perhaps lots of agent and brokers find the
information available from the ELBs to be very helpful. I don’t find it of any value at all. Now
that the time has come yet again to make another sea change in this technology, I think it
would be worthwhile to test these waters again before simply ignoring the possible option to
return to a technology that worked very well and cost very little.
I have always been in favor of taking advantage of technology, but I can honestly say there
was a single advantage for my clients or me in going away from the manual lockbox. In fact,
there have been several disadvantages. To names just one is having to meet an
agent/appraiser/stager at a listing who doesn’t have a keypad.
I know I am only one Realtor and there may be many other Realtors and/or brokers who highly
value the ELB. I just don’t happen to know any.
I would like to have the factual information provided by Realtors and brokers as to how the ELB
technology has benefited their clients and themselves enough so to remain with the costly ELB
technology. Perhaps we could all benefit by such enlightenment.
It seems to me that with every change there is more expense that the members need to take on. Technology changes so
rapidly that this will be the problem every some many years. I know safety if a concern but I really feel that the standard,
non-electronic lock box is the way to go. So many of the members from our board and others refused to go along with the
trend. Therefore, the listing agent would have to put on a standard, non-electronic lock box for their specific entry or meet
them at the property.
I tend to use the standard, non-electronic lock box for my properties that I know the agents tend not to have a key pad.
Just my opinion. Typically don't give my opinion but felt I needed to put my two cents in on this one.
Thanks for all the hard work that you and the key box committee are doing to make a wise decision for all the members of
the board.
Look I know I've said this before but why don't we go back to the non electric lock boxes? Look around and
you'll see at least 70 % of the agents are there already. You have to look at the writing on the wall agents
don't want the expense and the hassle of electronic boxes and Boards like Dayton never switched and are
trilled that they didn't. plus why throw out the extra expense when there is NO benefit to it. Lets make this
thing cheaper for everyone and change back! Plus look at the percentage of agents that have no key pad and
are doing business by borrowing someone Else's keypad for the few times that they need one. Charlie we
don't need electronic key pads and lock boxes and people aren't using them, lets dump the expense. Look at
the numbers!

I woundn't even own an electronic key pad, however sometimes some of the homes I show have an ELB. Probably about
50/50. But I still have to pay the yearly fee and mess with the cradle, etc.
My opinion, quit increasing the cost of doing business, Eliminate the Electronic Lockbox system.
Just my .02 cents.
Regarding the message below, I would like to personally weigh in on the lock box issue. I don’t know if you would
file this under “constructive” necessarily, but I personally know many agents (myself included) that would prefer to
do away with the electronic lock boxes all together. The last thing we need as agents is another expense to
undertake, as I’m sure the “new hardware” will come with extra expenses, despite the fact that many agents don’t
like the lock boxes to begin with. It seems an unnecessary when the combination lock boxes have come so far in
terms of security, etc.
I don’t know where this falls in with what the board will consider, as I’m sure another round of electronic lock boxes
will be implemented whether the dissenting voices are a majority or not. Will we as agents have the opportunity to
have our voices heard, perhaps through a survey of some sort? I thought it was at least worth sharing my thoughts
with you, especially since I know I am not alone in feeling this way.
Charlie. Only 25% usage in the Fairfield area. Dayton does not use electronic lockbox. Southeast 0hio does not use them
effectively. Two large companies do not force their people to use them. They are more expensive than the combo lockbox.
The Reo listings do not use electronic(25% of the listings). Agents share the codes and pads. I have in our company history
only once had a situation where it proved who was at fault on a showing. Unfortunately it was our agent. The electronic
lockbox is a great idea but without MANDATORY usage it has not worked as promised.. My proposal is this: A survey of
the realtors as to the objections and why they fail to use them. #1 would be cost. The next reason is cost. I would also survey
the brokers as to will they require usage by all? Not new ideas but with limited participation is an ideal worth
pursuing? Streetcar ? Thanks for your time.
There are less realtors using ELB, why do we even need them, it's just another thing that we are being forced to use and
pay for. I would say over 60% of homes I show do not use a ELB. If you took a vote today I would say that it would be
unanimous to do away with them. We pay enough dues.

My biggest concern and fear about changing over to a different system is the likelihood that agents as myself who have
invested a good amount of money in their lockbox inventory are going to come out on the short end of the stick. I would
hope that as the info is stated in this email there will be a fair exchange for my inventory. Not only that but the key itself
was quite an investment for all realtors involved.
Regarding the lock boxes. They were very expensive and I certainly hope that we will be able to get the
full credit for our cost of these lock boxes. I have many of them and have spent a large amount of
money for them. We should be able to exchange or get $100 credit for each one we turn in.
I know the lock box committee is hard at work, it's a big job. I only wanted to make a comment. As I am out showing
houses about half of them are on combination lock boxes, which is fine as long as those listing agents have a key pad. I am
wondering if most of them do.
It is probably due to the market the last few years and the added expense to agents having to pay a lock box yearly fee and
buy the expensive lock boxes. I am wondering if the committee is also considering doing away with the electronic lock box
system all together and see how it works. Are they still being used in many markets around the country?
If you need anyone on your committee next year I would like to be a part of it.

Would prefer to go back to combo locks, many agents not using Supra, many appraisers also don’t use. Would be
less hassle and cost without it.

THANK YOU! The Cincy MLS desperately needs a new lockbox system. If you need bodies to be part of this process, I’m
happy to donate my time and experience from other boards.
Thank you for reviewing the details; I have no additional input because all of my questions are already answered
below.
The reason I'm messaging you is because the NKY MLS staff made the decision on a new electronic key system
a couple of years ago without consulting us, the members. When I found out it was not compatible with
Cincinnati's Supra key, I quizzed a staff member on how they reached the decision and found out the girls in the
office liked the flashlight feature. Later, I heard from another staff member, that they were receiving a portion of
the proceeds. Since it was done without consulting us, I don't trust their decision making abilities or that it was
done in the best interests of the members. Regardless of an incentive a supplier may offer, the decision should
be done in the manner that you are doing below.
If it is necessary to upgrade our ELB system I highly recommend Sentrilock. When in a different market our board changed from
Supra to Sentrilock.
Sentrilock is an amazing tool. If you have seen it demonstrated, you will see what an advantage the system holds over Supra.

If I may add my thoughts: Please do the Supra eKey option. When I dream at night, it's about a day when Cincy
and NKY use the same system! (I know they won't be compatible, but they would at least be the same system)
It would be very helpful to keep start up and continuing costs at a reasonable costs.
Also, something that doesn't have to be updated every day would be helpful as well.
I really like the ideas that were listed in the email about new features you & the committee are researching.

I have just recently dumped my land line. I would like a system that allows us to update more than 2x in between hard
wired updates. Many people no longer have landlines and I could not justify any longer paying $40 per month fo one just to
be able to update my key pad. There has to be a better way. Thanks!

The Multiple Listing Service (MLS) of Greater Cincinnati is beginning the process of
reviewing new Electronic Lock Box (ELB) systems. The current contract with Supra
expires on January 31, 2015. We must notify them about our future plans no later than July
31, 2014. The MLS Lockbox Committee, with approval from our Board of Directors, must
make a final decision by May 31, 2014.
Cincinnati REALTORS have utilized ELB’s for many years. Subscribing members and
sellers enjoy the basic benefits the ELB affords them: simple access to the property’s keys
for authorized participants, creating a record of those accessing the keys and most
importantly, preventing non-authorized participants from gaining access to the property. In
general, the system has worked well for over 15 years.
Over the next few months, the MLS Lockbox Committee and Staff will be providing
information to educate our members on the options and opportunities for enhancing our ELB
system. Some of the technological advancements afford us exciting changes. The MLS
Lockbox Committee will analyze the benefits of each system, weigh them against the
associated costs and provide a recommendation to the Board of Directors.
Stay tuned for more information over the next couple of months. We look forward to the
opportunity to upgrade our ELB system and will keep you informed during the process.

Sentrilock Key Points
Good morning, Sharon – I appreciate this opportunity to highlight the advantages of the Realtor™ Lockbox system from
SentriLock. It might help to first clarify how SentriLock and the other company’s systems are similar before describing
how our system is better:







Both boxes are very similar in size and weight
Both boxes claim identical overall mechanical failure rates of just under 1%
Both boxes are UL (Underwriters Laboratories) certified
Both boxes have large key compartments for holding multiple keys, fobs, and proximity cards
Both boxes are powered by long-life Lithium batteries that can last five to seven years on average, and which are
warranted for the life of the vendor contract
Both boxes can be opened via a smart phone/tablet app which then delivers an instant showing notification to
the listing agent
Both systems have an optional handheld cellular-based device for agents who do not have smart phones
So as you can see there are several areas of similarities between the basic physical characteristics of the two
boxes. With that being said, let’s focus now on how SentriLock Board customers typically differentiated SentriLock
when selecting us over the other company:
Corporate Ownership:




SentriLock is 100% owned by the National Association of Realtors, meaning we are 100% accountable to this
industry
We are a profitable asset to the Realtor organization, and our Revenue helps fund additional Realtor-centric
initiatives
Our Board of Directors is made up of national leadership figures from the real estate industry
Being owned by the industry that we serve results in Realtor-friendly business practices and outstanding
customer service
Physical Characteristics of the Box:






Manufacturing Materials: Only the Realtor Lockbox uses heat-treated steel in the vault and the shackle, making
it physically stronger and more tamper-resistant than other electronic lockboxes.
Manufacturing Certifications: Only the Realtor Lockbox also has certifications from Industry Canada and Loss
Prevention Certification Board (LPCB) in the UK. These two product testing companies have tougher security
standards than UL. Only SentriLock can meet these standards, which enables us to sell our lockbox in the UK,
which requires LPCB certification. Furthermore, only the Realtor Lockbox has ROHS (Reduction of Hazardous
Substances) Certification, showing that that there are no hazardous substances in our boxes.
Battery: Only the Realtor Lockbox has a user-replaceable battery – so if a battery expires prematurely, agents
can replace just the battery instead of replacing the entire lockbox.
Key Compartment Design: Only the Realtor Lockbox opens from the top, so keys don’t fall to the ground.
U.S. Manufacturing: Only the Realtor Lockbox is 100% assembled in the U.S. (compared to manufacturing in
Mexico)
Backward compatibility: Only SentriLock contractually guarantees that future lockboxes will be compatible with
the current generation lockbox
Software Characteristics:


Non-Member Access: Only SentriLock includes unlimited, universal one-day codes which provide a secure,
convenient, and free access option for non-members, without requiring them to have a smart phone and
download an app, and without additional cost to the Board or the agents. Only SentriLock’s one-day codes can
virtually eliminate the need to ever put a mechanical lockbox on a listing.
Lockbox Assignment to Listing: Lockboxes are automatically assigned to listings via the mobile app




Homeowner Controls: Only the Realtor Lockbox has optional homeowner controls over the access times and
shackle removal
Multiple access options: SentriCard® smart cards and one-day codes mean there are two back-up options if
needed to open a lockbox
Showing Feedback: Optional automated showing feedback requests
Foot traffic data: Data on the number of showings can provide viable predictors of upcoming closed sales
Support:

Board Staff Support: SentriLock provides Board staff/leadership with a dedicated Customer Relationship
Manager
Agent Walk-In Support: SentriLock will provide local support to Cincinnati-area agents at our West Chester
facility (for lockbox distribution, training, etc.)
Agent telephone support: Seven days a week, 8AM to Midnight from our West Chester facility
Agent automated support: 24/7 voice-activated support for one day codes & card renewals
Board staff administrative/usage reports as needed
SentriCard® Benefits:

The mobile app means that the SentriCard smart card is no longer needed to open our lockboxes. SentriCards
are still part of the system, however. Cards can be used for agent IDs, and for tracking attendance at Board
events and CE classes. Cards are also required to take ownership of new boxes. Lastly, the card is important as
a back-up device for opening the box in the event of smart phone failure.
Economic Considerations:

Last, but definitely not least, SentriLock provides the best long-term financial benefit for a Board. SentriLock
designed our lockbox for longevity as opposed to planning for its obsolescence. This is evidenced by our use of
superior materials, and our user-replaceable batteries. This means that SentriLock Boards can elect to purchase
their lockboxes knowing that these units will continue to operate into a second contract term, well after the
initial costs have been fully amortized. Most of our large Boards are currently on extensions to their original
SentriLock contracts, and their only expense is a nominal monthly service fee. As soon as any initial Lease or
Finance component has been satisfied, the Board will experience a significant reduction in the cost of providing
an electronic lockbox system to your members.

Our last proposal to the Cincy MLS was for 5,200 participating agents and 19,000 lockboxes. Can you please
confirm the current quantities that SentriLock and Supra are to use for updated pricing proposals?

SentriLock would like to leave behind working boxes for you and for each of the Lockbox Task Force members,
which would be enabled to open with both the SentriSmart mobile app as well as with custom SentriCard smart
cards/photo ID cards. To do this we will need to create actual member records in our admin system for each
person. Could you please provide me with the name & office name of each task force member – plus anyone
else who will be at the presentation on February 12th? I can probably find all their photos on their web pages or

“Essential Feature” Considerations
Non-Member Access
Code-based systems were invented by Supra almost 60 years ago. They are
convenient, but notoriously lack security and accountability. Even today’s electronic
KeyBoxes with push-button code features lack the level of security expected by today’s
homeowners. When used improperly, these boxes become little more than glorified
mechanical boxes. Codes can be given to or obtained by unauthorized users with no
way to turn them off. The liability is significant, even if for just one-day.
Organizations have found that part-time members have little motivation to
participate in the lockbox system, or pay dues, if they can obtain codes directly from the
listing agent.
Supra’s solution for non-member access requires the user to “know something”
and “have something,” a double level of security. Users easily register and there is a fee
for the service, which encourages the non-member to join the organization. They also
must use their own smartphone, reducing the chance non-authorized users have
access to a listing.
Wireless Technology Implementation
Supra chose to put the wireless technology in the hands of the users instead of in
the lockbox. The benefit is that future upgrades and new feature benefits can be easily
added through the app on the phone, or a wireless firmware upgrade. Features that are
contained in the lockbox of other systems may require upgrade of the lockboxes.
NAR published in 2011 that 72% of agents carry a smart phone and that number
continues to increase. Since most agents carry a wireless device at all times (their
smart phone!), why should they need to carry anything else? With Supra, it can be as
simple as an app on their phone.
In the past, other electronic keybox systems may have been considered “easier
to use”. However, with wireless technology, Supra has made it as easy as entering
your pin and opening the lockbox. There are no cards to update via a reader device, or
line of site between the car and listing to be concerned about. Once a Supra key is
updated, it stays updated for 24 hours, making it unnecessary to be within cell phone
range when opening a keybox. The most convenient access to lockboxes is with Supra
wireless.
With Supra Wireless, your showing information is always up to date. There is no
concern that an agent may not put the card key into the reader to pass the showing
information. Supra delivers showing information within minutes. The real-time showing
information adds to the value of showing reports available in SupraWEB. SupraWEB
has robust features providing agents valuable information, including reports that help
them make the sale faster and keep their clients up-to-date on their listing.
Lastly, Supra has decades experience with handling installations and upgrades
with large real estate associations and MLS’s. Our staff of installation professionals will
plan, organize, and execute the installation at no additional cost to the Organization.
Replaceable Batteries
Replaceable batteries do not last as long as factory installed batteries. There is
often a spike in keybox failures within a couple years of starting service with
replaceable-battery boxes. In addition, it is inconvenient and expensive to replace
batteries, especially when an external power source or “power paddle” is required.
Supra’s solution is to seal the long-life batteries within the box and to build
safeguards into the networked system. Supra’s batteries regularly last many times
longer than any other batteries on the market. In fact, the average battery life of Supra
boxes over six years old is still about 60%. If batteries do get low, the system is smart
enough to notify the box’s owner, providing ample time for replacement. If the battery
continues to be used, even after notifications the battery is low, it will eventually save
enough power to allow the listing agent to remove the key and remove the box from the
listing. Supra replaces the entire box (not just the battery) with no questions asked. In
the end, Supra stands behind the longest, most comprehensive warranty in the market.
Financial Considerations
Other lockbox systems require external financing to be obtained by the
association or MLS. Supra takes on all financial risks associated with the lockbox
system through our Keyholder Lease agreement option. No other lockbox vendor
provides this true direct-billing model.
While older keybox technology may appear inexpensive, the latest wireless
keybox options just recently made available from other lockbox providers is priced
similarly or more than Supra’s wireless technology. Supra does not require additional
components besides the app on the phone, or ActiveKEY. Other systems require
multiple components for wireless operation.
Supra encourages lockbox participation because agents must have a key to
enter the property, or pay for non-member access. It is common in areas using code
based systems that many agents will decide to not participate in the lockbox key
system, and instead call the listing agent when they need access. This can result in
significantly less revenue being paid toward the keybox system. Without revenue, it is
difficult to maintain a high level of electronic lockbox use on listings, and overall
participation in the lockbox system can be significantly reduced. It also leads to some
members failing to recognize the value in belonging to the association, since one of the
primary essential services is the lockbox system. In some areas, utilizing codes to
access the lockbox has resulted in significant decline in use of the electronic system,
and even decreased membership participation in the association.
“Seamless vs. cumbersome” and “integrated vs. complicated”
One weakness of the Sentrilock boxes are their batteries. By choosing replaceable batteries
they tied themselves to lower quality, short-life batteries. The NXT box (the box they are
currently selling) continues to have issues to the point that current customers are proactively
telling their customers to:
 Put the lockbox to sleep when not in use
 Store the boxes in a temperature controlled environment
 Be sure the “Low Battery Notification” is on
 Proactively change batteries every 3-4 years
 Rotate the lockbox inventory
 Contact the organization to use a power paddle
There is a reason the organizations are asking their members to do this… They experience
problems! How cumbersome is all of this? (source: the attached brochure) In many cases, the
batteries are not part of the Sentrilock warranty.
Now for Supra… The batteries in the Supra iBox and iBox BT are extremely high quality, longlife batteries guaranteed to last for the life of the agreement with Supra. We have a track record
of the boxes lasting 6-8, or more years. We’ve learned in our almost 60 years of designing and
manufacturing that the system needs to be simple and seamless. Here is how our system does
the work for the user…
 There is no need to put the box to sleep, worry about where the boxes are stored,
change batteries, rotate the inventory, or know how to use a “power paddle.”
 The Supra network of real-time information keeps track of battery levels for the user.
 IF a battery ever gets low the system automatically sends two emails (one at 5% and
one at 3%) to the responsible user (whomever the box is assigned to in SupraNET).
 IF the user ignores the emails the system is smart enough to save enough battery power
to allow the listing agent to remove the box from the door and obtain the keys. (the
system literally tells the buyer’s agent that the battery is too low, but an agent with the
shackle code can access it)
 And of course, box issues (battery included) are fully warranted by Supra… And we
replace the box (that has other old components), not just the battery.
