A University of Massachusetts Club Wedding
Ceremonies
On-site ceremony rooms are available for groups who meet a $10,000 food and beverage minimum. Our
Ceremony fee is $1,000 for guest counts below 110. Ceremonies of 110 to 150 guests require the rental of
chivari chairs. The ceremony fee of $2,000 reflects the chivari chair rental for the ceremony and the reception.
This fee includes a rehearsal prior to the wedding, a wedding coordinator to assist in the execution of the
ceremony, room setup and breakdown, sound equipment, piano available for live entertainment and
complimentary lemon water for your guests.
Wedding Cakes
A customized wedding cake is included in your selected package price. Cakes are provided and delivered
from Konditor Meister bakery. The cake must be ordered for a minimum of 50 guests. If your guest count
falls below the minimum, an additional fee is applied to reach the minimum. If you choose to work with a
bakery other than Konditor Meister, a cake-cutting fee of $2.00 per guest will be applied to the event.
Private Bridal Suite
Our Presidential Parlor is available as a complimentary bridal suite for all weddings at the Club. The room
offers a private restroom and coat closet as well as a great alternative for indoor photo taking complete with
a fireplace and city view as a backdrop.
Linens
Floor-length white cotton linens and a selection of colored napkins are included in the package. Specialty
upgraded linens can be provided from our preferred vendors at an additional cost.
Seating
For both seated and station dinners we provide complimentary use of our custom made wooden banquet
chairs. Elegant chivari chairs can be rented from our preferred vendors in the color of your choice for $9.00
per chair plus applicable taxes. The cost of chair rentals does not go towards the minimum expenditure. For
an elegant touch, satin chair covers in white, ivory or black can be rented for $6.00 per chair plus applicable
taxes.
Candles
The Club provides white votive candles for both cocktail and dinner tables. Boston fire safety codes restrict
the use of open-flame candles. Outside candles are permitted with the exception of those not surrounded by
a vessel that covers the flame.
Vendors
The Club offers a listing of preferred vendors that not only meet but also exceed our professional standard.
You are not required to work exclusively with our listing. We do however, require contact information for
your chosen vendors prior to the wedding so we may coordinate setup, load-in and parking.
Parking
Discounted and preferred parking rates are available at several area parking garages. Additionally, hosted
parking vouchers can be provided and arranged for your guests by your wedding coordinator.

“Off-hours” Private Events
Although not typically open to our members on the weekends, the Club can accommodate private parties
that fulfill the guaranteed minimum of $10,000 in food and beverage sales for Saturday and Sunday events.
Club Rental Fee
To assist in subsidizing the cost of being open outside our typical business hours, a club rental fee of $1,500
for nonmembers is required for all weekend events. Member-sponsored weddings require a $1,000 club rental
fee. The club rental fee is waived for UMass Club Members who are in good standing for six months prior to
the wedding date. An hourly $150 charge for HVAC will also be applied for every event hold during non
business hours
Surcharge
All Food and Beverage charges include an automatic 22% surcharge. The surcharge consists of a 14% service
charge that is redistributed to compensate hourly service staff, and an 8% administrative fee that is used for
the Club’s general expenses. The 22% surcharge is mandatory.
Overnight Accommodations
The Club has established relationships with several area hotels within walking distance to our location.
Please inquire about options available for preferred rates and room blocks.
Parking
Parking is also located in our building. The garage entrance is accessible from Pearl Street. Their reduced
rate for entry after 5:00 p.m. and the weekends is $8.00. A $2.00 off voucher can be applied when getting your
parking validate with the Club’s receptionist. Please inquire about providing parking for your event.
As an alternative, parking is also located at the One Post Office Square above ground garage, which is
adjacent to the Langham hotel. The garage entrance is accessible from either Oliver Street or Pearl Street, and
vehicles are accommodated on an hourly basis. Their reduced rate for entry after 5:00 p.m. and weekends is
$10.00. A $5.00 off voucher can be applied when getting your parking validate with the Club’s receptionist.
Parking is located at the Post Office Square underground garage. The garage entrance is accessible from both
Congress Street and Pearl Street. Vehicles are accommodated on an hourly basis. Their reduced rate for entry
after 4:00 p.m. and weekends is $9.00. Please inquire about providing parking for your event. A 10% off
discount can be applied when getting your parking validate with the Club’s receptionist.
Bar Requirements
In the time-honored tradition of fine private clubs, Club Staff does not handle cash. Should the host desire
establishment of a cash bar for guests, the host will be provided with both a cashier and a “bank” from which
the cashier may make change.
Terms and Conditions
Payment Schedule
A nonrefundable deposit of $2,000 is required to guarantee the reservation of the date and room requested.
Half of the estimated balance is due 60 days prior to the event, and the remainder is due a minimum of five
business days prior to event operation. Your final payment will be based on the guarantee you provide five
days prior to the event.
Cancellation Policy
Any event with a predetermined menu cancelled 30 days prior to the function will be charged 100% of the
anticipated amount. Please note that special cancellation policies apply during the month of December.
In the event Member/Client cancels the function for any reason, the Club will retain the nonrefundable
deposit. In addition, the Club will be entitled to a cancellation fee as follows:
90 days or less prior to the event - 50% of the estimated cost of the function
60 days or less prior to the event - 75% of the estimated cost of the function
30 days or less prior to the event - 100% of the estimated cost of the function
Host Confirmation
The guaranteed number of guests attending your event is required by five business days prior to date of the
event. If actual attendance is less than the guaranteed number, you will be charged for the guaranteed
number. If more guests than the guaranteed number are in attendance, you will be charged for the actual
number of guests. If no guarantee is received, you will be charged according to the original estimate as stated
on The University of Massachusetts Club Event Contract.
Menu Selection
Multiple menu selections or special dietary substitutions must be identified with a place card to be supplied
by the guest. Place card should indicate each guest’s name, table number and entrée selection. Menus and
place cards may be provided by the Club at an additional cost.
Host and Guest Conduct
The member or event host is responsible for the conduct of guests without limitation. In the event that
damage occurs to the property of The University of Massachusetts Club or the 225 Franklin Street building,
the host will be charged for any replacement or repair required. The University of Massachusetts Club is not
responsible for items left on the premises, which are lost, stolen, or damaged. The University of
Massachusetts Club reserves the right to inspect and control all events. Any advertising prepared by the
member or guest must have prior approval by Club management.
Alcohol Consumption
Club policy is to have the bar close one half-hour prior to the close of the event. Also, per the Clubs Board of
Governors, the bar can only be open at most 4 hours during a 5-hour event. The Member or Event host
acknowledges that alcohol sales are regulated by the state of Massachusetts and the Club enforces its
policies accordingly. The Club reserves the right to discontinue sales of alcohol to any individual or group of
individuals as directed by law or in the best interest of the Club and its Membership. In the case of such
discontinuation, the host continues to be liable for any amounts due to club as well as for the conduct of
host’s guests.
Member-Sponsored Events
As a private club, The University of Massachusetts Club exists for the use of its Members and for friends of
the University. However, you do not need to a member to host your wedding reception at the UMass Club.
Member-sponsored/Nonmember events require signed Private Event Contracts, applicable room reservation
fees and a deposit for 50% of the estimated charges due 60 days prior to the event. The remaining balance of
estimated charges must be received five days in advance. Differences between actual and estimated charges
will be paid to or refunded by the Club within two business weeks from the event.
In accordance with the obligation Members have to the Club as well as to one another, a Member sponsor
accepts ultimate responsibility for the charges and conduct of any individual or group they sponsor at The
University of Massachusetts Club.
Miscellaneous
The University of Massachusetts Club reserves the right to inspect and control all events. Any advertising
prepared by the member or guest must have prior approval by UMass Club management.
No outside catering will be allowed at the University of Massachusetts Club with the exception of specialty
cakes. All food not consumed during an event is not allowed to leave the facility per the Board of Health.
