Notice Inviting Quotation No-81/2nd call/Q of 2014-15
Separate sealed quotations, superscribed with the name of work on the envelope, are invited by the Executive
Engineer-II, P.W.D, North Kolkata Health Electrical Division, P-16,Indian Exchange Place Extn., KIT
Annex Building (4th floor), Kolkata – 700073, for the work “Annual maintenance of 6 x 7.5TR & 1 x 15
TR Air Cooled Package Units installed at ITU Ward at 2nd floor of Green Building of MCH ,
Kolkata” from reputed, resourceful Agencies and having enough financial capabilities/ adequate experience
in successfully executing similar nature of works in Government Departments/ Organization with special
relevance in P.W.D.(Elect.)/ Govt. of W.B.
Intending Quotationers must submit sealed quotation together with documentary evidence in support of their
experience and competency to execute such type of works incl. self-attested photocopy of Valid PAN, VAT,
Professional Tax Registration Certificate & PT Challan, Trade License etc.
The prospective Bidder shall have satisfactorily completed, as a prime agency during the last 5(five) years
from the date of issue of this Notice, at least one work of similar nature under authority of State/ Central Govt.
State / Central Govt. undertaking/ Statutory Bodies Constituted under the Statute of the Central / State Govt.
and having a magnitude of 40(forty) percent of one job, of the amount put to Tender. Necessary completion
certificate must be submitted with bid. Completion certificate should contain a) Name of work, (b) Name &
address of Client, (c) Amount put to tender, (d) Date of commencement of work (e) Date of completion of
work.
Agencies with previous record of having been imposed penalty under one or more penal contractual clause/s
will not be allowed to participate.
Any conditional offer and or Quotation offered with price variation clause will not be accepted. The rates
should be quoted in words as well as in figure, inclusive all applicable taxes and duties. The total rate quoted
for the work as a whole is the criteria for selection.
Intending Quotationer may download necessary documents for participating in Tender / Quotation from the
website of PWD i.e. http://www.pwdwb.in or may be collected from the above office during working hours
on week days before the date of Dropping Date.
Bill(s) are to be submitted/placed to the concerned Sub-Assistant Engineer, in appropriate prevailing printed
form in quadruplicate along with document(s) mentioned in the Terms & conditions and scope of the work.
The payment will be made as per PWD norms and when fund will be available from the concerned source.
No claim, whatsoever, for delay in payment, if any, will be entertained. Contractors are requested to quote
their rates accordingly.
Successful Quotationer must have to deposit Earnest Money @ 2% of their total quoted value in the form of
Bank Draft drawn on any Nationalised Bank/RBI listed bank in favour of the ‘Executive Engineer, North
Kolkata Health Electrical Division, PWDte’ payable at kolkata. The Bank Draft should be attached with
the Quotation documents, failing which the tender/Quotation will be treated as informal. and shall have to
execute agreement in appropriate Government Forms (3 sets) along with work schedule (2 sets) (to be
purchased as per Govt. rates) for final acceptance of his offer and issuance of work order.
Acceptance of lowest or any quotation is not obligatory. The accepting authority reserves the right to reject
any or all quotations without assigning any reason thereto.
This notice inviting quotation shall be deemed to be part and parcel of the contract if and when awarded.

The tender/quotation will be received up to 2 P.M. on 05/11/2014 & will be opened thereafter in presence of
the tenderers willing to present during Opening. No. tender / quotation paper will be issued on the date of
opening.
Labour Welfare Cess @1% to be deducted from bill value.
In case of any non-scheduled holiday (Bandh / Strike ) on any of the aforesaid dates, the next working date
will be treated as schedule date for the purpose.

Scope of Work & Terms and Conditions
of Annual Maintenance service contract for A.C. Package Unit.
SCOPE OF WORK :A. Comprehensive maintenance service contract must ensure smooth running of the Plant i.e.
proper flowing of fresh air (entire air should be changed once per hour) with predetermined
temperature and humidity. This maintenance contract will cover repairs and / or replacement
of any spare and accessories incl. compressor, control unit, refrigerant etc. free of charge.
B. The following work beside above should be carried out in the Annual Maintenance Service

Checking & inspecting of motor, control units and the system performance periodically.
Monthly checking and servicing of Air conditioning plant.
Attending to the plant when called for.
Cleaning of cooling coils, condenser coils once in a year. If necessary, cleaning of the same to
be done when required.
Cleaning of Air filters once in a month. But if required, cleaning of air filter to be done for
sufficient air flow.
Checking and inspecting of belts, adjusting belt tension periodically.
Lubricating of bearing of fans & motors when necessary.
Through overhauling of entire system once in a year including changing of air filter.
Painting of outdoor unit must be done if necessary.
NOT COVERD BY THE MAINTENANCE SERVICE CONTRACT
Repairing and replacement of insulation, false ceiling, ducting, duct lining.
Checking and repairing of the electrical installation prior to main incoming switch of the plant.
Any masonry / structural work.

TERMS & CONDITIONS :1. The annual maintenance Contract will cover the works as mentioned in scope of work.
2. Report is to be submitted periodically about the condition of the Plant & all of its accessories to the
concerned AE / SAE.
3. The agency must have their office & Telephone contact in Kolkata and must quote the address
& number on the quotation. The telephone call should be responded without delay.
4. Any fault should be set right within 2 (two) days from the date of noting the fault. When the
fault related to compressor etc. other major/ sophisticated part of the plant, the same must be
temporarily replaced by similar one by Co’s own stock.
5. Failing of compliance of any of the above-mentioned points, this Department possess the right
to deduct the cost from the bills of the agency on prorate basis determined by the Engineer –incharge.
6. The above penalty may be evaded by the Executive Engineer on consideration of convincing
reasons submitted in writing by the contractor.
7. The Service professionals deputed by the Agency should wear the Photo Identity Card issued
by the Agency.
8. The Contract may be terminated at any time, with one month notice from either ends.
