Permanent Secretaries and Heads of Departments are asked to invite applications from suitably
qualified officers in their Ministries/Departments to fill the post of Assistant Archivist 1
(PIDG/AR 3) - (Vacant) in the Audio Visual Unit, Jamaica Archives and Records
Department, salary range $664,664 – 790,088 per annum and any allowance(s) attached to
the post.
Job Purpose
Under the general supervision of the Audiovisual Records Analyst, the incumbent provides
assistance to external users of the services of the Archives and assists with the organization
and dissemination of the maintenance of the archival databases.
Key Responsibilities
Provides response to internal and external queries and maintains records of all requests
received and honoured;
Assists researchers with internet and other searches;
Monitors the use of documents by researchers to ensure records are not damaged,
altered, misused or removed from the room;
Provides information and audio visual materials to Public Broadcasting Corporation of
Jamaica (PBCJ) for production use and to satisfy queries;
Tracks and retrieves video cassettes loan to individuals and institutions;
Maintains inventory of the collections in the audiovisual archives;
Sorts, lists and files materials in accordance with established filing systems and which
allows for easy access and retrieval;
Maintains daily log sheet of all activities to assist in compiling unit reports;
Maintains file of news clippings on archival issues;
Assists with data entry for maintenance of inventory and other database;
Views and catalogues materials to and input data on AVIDA database;
Conducts regular self-reading to identify gaps in sequence and inform the relevant
officer;
Assists with digitizing of collections;
Maintains file of video records on loan and advises delinquent borrowers of loan
deadlines;
Assists with the mounting of displays and exhibitions and the marketing/promotion of
services by the Archives.
Required Knowledge/Skills/Abilities
Good typing/data entry skills of at least 60 wpm;
Competence in the use of relevant computer programmes, knowledge of the
WINISIS/AVIDA database would be an asset;
Excellent interpersonal and team skills;
Ability to effectively communicate orally and in writing;
Ability to operate audiovisual equipment (U-Matic and Betacam machines).

Minimum Required Qualification and Experience
Certificate in Records Management or Library Science or related discipline
At least four (4) CXC/GCE O’Level subjects
At least one years’ experience in a library, archives or other information service facility
