POSITION DESCRIPTION FOR PROGRAMMING ADMINISTRATOR

Brisbane Powerhouse accommodates; a 560 seat flexible end stage theatre, a 200 seat apron stage theatre, a
1000 spectator open stage, visual arts exhibition space, 2 restaurants and bars, rehearsal rooms and function
spaces.
Brisbane Powerhouse activities include:

POSITION CONTEXT
Purpose
This is a full time entry level position to assist the Programming team to deliver the administrative functions of the
department.
Reporting Relationship
This position reports to the Programming Director.

Manage the program spread sheet and track all events.
Monitor and update the Producer, Box Office and Marketing regarding show on sale dates and status.
Manage contract circulation process in consultation with the relevant Producer including receiving and sending
contracts, generating invoices and job codes and following up on public liability insurance.
Enter and track all invoices payable and receivable including theatre hire and artist fees in MYOB, in
consultation with the relevant Producer and Finance department.
Support the programming team to maintain all Programming EBMS bookings in relation to client contact and
contracting information, booking status updates, and other information as required.
Manage the department’s Programming and Operations Meeting, including booking venues, collating the
agenda, taking minutes and circulating actions.
Attend Scheduling Meetings to ensure no booking conflicts arise.

Collate the quarterly program guide information in consultation with producers, enter into the guide spread
sheet and assist in securing information.
Supply and deliver artist catering riders and supply quotes to commercial hirers as necessary.
Manage Programming and Marketing complementary ticket allocation in consultation with the relevant
Producer and Box Office Manager, using ProVenue ticketing system.
Manage RSVPs for select opening night events, including booking complimentary tickets in ProVenue and
responding to RSVPs.
Provide a high level of confidential administrative support to the Programming Director and assist the Program
team with administrative functions.
Create events drink vouchers and artist discount cards for all visiting artists, in consultation with producers and
production managers.
Manage the accurate monthly settlement of departmental accounts.
Maintain the letters of support database and obtain relevant approvals where required.
