Midwest Hunt Fest Rules and Regulations
CENTURY II: RST Productions, LLC has leased from Century II and made other commitments to culminate in The Midwest Hunt Fest (the
show) and herewith makes space available to exhibitors. Midwest Hunt Fest (MWHF) management reserves the right to interpret all rules and
regulations and have final authority on all show activities and content.
BOOTH SPACE: Booths are sold in 10’x10’ increments with fire retardant drapes and DOES NOT include electricity. Each 10’x10’ booth
includes: One (1) 8’ skirted table, 8’ back drape, 3’ side drape, two (2) chairs, and an exhibitor name sign. 20x20 booths are considered Bulk
Space and DO NOT include drapes, tables, or chairs. If additional tables are needed, you may bring your own OR rent them through the Henry
Helgerson Company (download the form from the Exhibitor Info. page on www.midwesthuntfest.com).All tables must be draped. Booth space
must be occupied by 9 A.M. on opening day of the MWHF. Any space NOT occupied by then will be considered forfeited. Space will be reallotted immediately without notice to exhibitor and without refund.
ELECTRICITY: MUST be purchased through Century II. The “Utilities Order Form” can be downloaded from the Exhibitor Info. page
on www.midwesthuntfest.com. Submit orders by the due date to avoid late-rate charges.
EXHIBITOR BADGES: ONLY two (2) badges will be issued per exhibitor / business, regardless of booth size. Additional badges may be
purchased for $10 each, PRIOR to July 7th, 2015, as part of the application. Badges will be included in your vendor packet upon check-in.
Badges purchased after July 7th, 2015 (and at the show) will be $15 each. There are NO refunds on additional badges. All exhibitors MUST wear
a 2015 Midwest Hunt Fest badge during ALL show hours. Exhibitors and / or their employees will be denied access to show area OR charged a
gate admission fee if NOT wearing a 2015 Midwest Hunt Fest badge. NO ONE will be admitted into the show area without a proper badge.
DEPOSIT & PAYMENT: Deposit MUST equal half (½) of the total booth cost, plus any additional charges, and must accompany application.
No space will be considered “reserved” without BOTH deposit and application. Receipt(s) will be emailed to you. Final payment is due by July
7, 2015. If not PAID IN FULL by then, booth space will be considered forfeited without refund. Returned checks will be subject to a $30 fee.
REFUNDS: Refunds will only be issued PRIOR to July 7, 2015 and due to reasonable circumstances. Refund requests must be submitted to the
MWHF management in written form and are subject to approval. No refund will be given if circumstances are not deemed as reasonable. No
refund will be given after July 7, 2015.
AVAILABILITY / ASSIGNMENT OF SPACE: Space is assigned on a first come, first serve basis, so early return of the application will help
ensure you receive your preferred space. MWHF management tries to follow requests as close as possible. Exhibitor shall NOT share or sublet
any part of the space without written approval from the MWHF management. The MWHF management reserves the right to adjust or change
booth assignments, space, and / or floor plan, up to and during move in, to ensure visual appeal or improve traffic flow.
USE OF SPACE: Exhibitors may NOT attach OR hang anything from the ceiling, wall or draping. Do not affix anything to the building surface
with nails, screws, staples, glue, tape, etc. Space must be utilized according to the contract and MUST be attended during all show hours. Helium
filled balloons are prohibited. Do NOT block neighboring exhibitors with wings / sides over 5’ high. If back or side of booth is visible to the
public, it must be finished and visually appealing. If not, exhibitor will be required to lease pipe and drape from the show decorator.
ARRIVAL AT CENTURY II EXPO HALL: Prior to ANY set up or move in, exhibitors MUST check in at the Midwest Hunt Fest show office
located at the North end of Expo Hall. Exhibitors will receive move-in instructions, vendor packet, and map of assigned space.
THURSDAY MOVE-IN: 9 A.M. to 9 P.M. - Leased space must be COMPLETED by start of show on Friday. Larger vendors may schedule
move-in on Wednesday with PRIOR approval of MWHF management. Exhibitors may pull vehicles into the Century II Expo Hall through the
Southeast over-head door. Unpack your items quickly and remove the vehicle(s). There is a 30 minute time limit for unloading. Use EXTREME
caution and be patient, as many others are moving in also. Handcarts are available, but limited to first come, first serve.
FRIDAY MOVE-IN: 7 A.M. to 9 A.M. – Leased space must be COMPLETED by start of show on Friday. The over-head doors will be closed
and locked. ALL move-in MUST be completed using walk-through doors and hand-carts.
DAILY EXHIBITOR ACCESS TO CENTURY II EXPO HALL: Exhibitor access, prior to show start, is limited to the Hyatt doors. They will
open 1 hour before show start, each day. They will lock a ½ hour after show end, each day. They Hyatt doors will be staffed, so exhibitors
MUST present a 2015 MWHF Exhibitor’s badge or a 2015 MWHF Gun Show badge before entry will be allowed. Staff is in place to provide
security – they are NOT in a position to negotiate entrance by any other means. It is the exhibitor’s responsibility to provide your employees with
badges - NO EXEPTIONS!
MOVE OUT: The show ends at 5 p.m. on Sunday, August 16, 2015. Early booth breakdown is PROHIBITED - it is the height of disrespect to
attendees and other exhibitors. The last-minute attendee paid to see EVERY booth. Exhibitors must vacate Century II by 10 P.M on Sunday,
August 16, 2015. Any items left behind will be considered abandoned property and disposed of forthwith - NO EXCEPTIONS!
SHIPPING TO THE MWHF: DO NOT SHIP ITEMS TO CENTURY II - they will NOT be accepted! Exhibitors that want to ship display
items or merchandise to the show MUST do so through The Henry Helgerson Company. Download the Freight Form from the Exhibitor’s Info.
page on www.midwesthuntfest.com.
WHO MAY APPEAR AT THE SHOW: MWHF management reserves the right to make final decisions as to whom and what products may
appear at the show. If any exhibitor misrepresents themselves, company, services, or product, the MWHF management has absolute discretion to
exclude that exhibitor from the show, without refund.
FOOD / BEVERAGE PRODUCTS: If a food product is being sold, sampled, or demonstrated, the vendor must have a food handler’s license.
Food and / or beverage samples are allowed, but may NOT exceed portions of 1” cubes (solids) and 1 ounce (liquids) and may not compete with
concession sales. NO food and / or beverage sales or sampling are allowed without permission of the MWHF management and MUST be
declared on exhibitor application.
DOGS: Dogs are allowed, but must: be on a leash, stay within the parameters of the booth, and owners must be able to provide proof of current
vaccinations. When “nature calls”, walks through Century II, and the grounds, are allowed. Please clean up any messes, should they occur.
FIREARMS: All MWHF Gun Show vendors MUST be federally licensed firearms dealers, if selling firearms at the MWHF. All FFL dealers
shall obey and comply with all federal, state, and local laws. Firearms MUST be appropriately tied, deactivated, non-operational, and unloaded.
NO loose ammo.
NOT FOR PROFIT (Volunteer) ORGANIZATIONS: Spaces are limited – please call for availability and pricing.
RETAIL SALES TAX: All Federal, state, and local laws governing retail sales tax must be followed. Each exhibitor is responsible and liable for
any and all taxes, licenses, permits, and etc. that are applicable on their retail sales. Your event sales tax account # may be used in lieu of being
registered if you participate in no more than two events in a given year. It can only be used if tax is remitted immediately after the event. If you
have additional questions, please see the Kansas Dept. of Revenue website, www.ksrevenue.org/speciasalesevents.htm.
CONDUCT & DRESS: Exhibitor’s conduct, dress, language, booth activities, and printed materials must be appropriate and professional at all
times. The MWHF management reserves the right to edit displays, space, and / or correct behavior. No soliciting in aisles.
NOISE LEVEL / MUSIC: The use of audio and / or visual equipment is allowed if the sound level is kept to a normal voice level. Microphones
or voice amplification MUST be approved by the MWHF management. They will be the sole judge of volume allowed. According to rules and
laws regarding use of copyrighted music, exhibitor must pay fees to ASCAP, BMI, and other entities if certain music is played in leased space.
Fines can be assessed for violations. Exhibitor is responsible for such fees and agreements and agrees that the MWHF management is, in no way,
liable for their violation.
OUTSITE FOOD & BEVERAGES: City ordinance #40-13 expressly PROHIBITS outside food and beverages from being brought into Century
II – this includes coolers! Exhibitors and attendees attempting to enter or re-enter Century II with outside food and / or beverage will be denied
entry. MWHF management and staff are bound by law to comply.
INDOOR VEHICLE PARKING: Select vehicles may remain inside Century II Expo Hall for the duration of the show, with prior approval of
MWHF management. Positive battery terminal MUST be unhooked, fuel cap MUST be taped shut, and fuel tank MUST be less than ¼ full.
DISCOUNT: The “door prize” discount will be applied to the remaining balance of booth cost (after deposit is paid). Prize(s) must equal or
exceed a $50 retail value. Bring door prize(s) to the MWHF show office after arrival.
CANCELLATIONS / INTERUPTIONS: In the event of cancellations or interruptions of the show due to fire, strike, governmental regulations,
acts of God, or any other cause beyond the control of the MWHF management, they shall determine an equitable basis for such portions of
amounts paid as is possible after considering expenditures and commitments already made. If show date or location is changed, no refund will be
made, but the MWHF management must be able to assign exhibitor space in lieu of original space.
LIABILITY: It is agreed that the exhibitor shall make no claim of any kind against RST Productions, LLC and the Midwest Hunt Fest and shall
indemnify and hold blameless RST Productions, LLC, The Midwest Hunt Fest and its affiliates, Century II and its subsidiaries, or any officer or
employee of the organizations or authorized subcontractors. Under no circumstances will these organizations be responsible for loss, damage,
destruction, theft, or injury to himself or any employee while attending the show. It is expressly understood there can be no claim for damage, of
any kind, to the exhibitor’s business due to any circumstance that develops from the show.
FIRE REGULATIONS: Each exhibitor must know and comply with all laws, ordinances, and regulations pertaining to health, fire prevention,
and public safety while participating in the show.
SECURITY & INSURANCE: Reasonable care shall be exercised by the MWHF to help protect exhibitors from loss mentioned previously.
Security will be provided during the show’s operational and non-operational hours (over-night). This does not, in any way, create or increase the
MWHF’s liability. All property of the exhibitor remains under the custody and control of the exhibitor, subject to the rules and regulations of the
MWHF. Exhibitors should NOT leave merchandise OR their space unattended during show hours, and during move-in / move-out periods.
Century II Expo Hall will be locked and secured a ½ hour after show closing until 1 hour before show opening, daily. Exhibitor should contact
their insurance agent regarding coverage and must be able to produce a certificate of liability, if a qualifying instance should arise, at the show.
IMPORTANT NOTICE: Exhibitors allowing unauthorized entry to any person(s) without a proper Midwest Hunt Fest exhibitor badge or ticket
will be liable for that person’s admission fee. Under NO circumstances shall any exhibitor or employee open any interior or exterior door
allowing unauthorized admittance to anyone.
Signature on the application acknowledges that you have read, understand, & agree
to ALL Midwest Hunt Fest Rules and Regulations.
***Failure to comply can result in expulsion from the show.
