El Paso Driver Appreciation
Hola from El Paso, Texas!
We had another great, successful driver appreciation week. Everything went as planned with
door prizes and caps for all drivers that came by. Drivers enjoyed the delicious food and drinks
served to them. It was nice to sit and chat with the men and women that keep PTL going. Sometimes
we take for granted how hard our drivers work. Drivers are the back bone of the trucking industry,
without you all, I would not be here writing this for the newsletter. Thank you for all you do for
us and our families.
On my last newsletter I had mentioned how hot the weather was down here. It’s a lot cooler
now, as it should be this time of year. After all was said and done, we managed to break another
record, we went over 100 days straight with 90 degrees or above....old record, 80 days. I am glad
this is over with until next year.
I want to give a shout out to all of
our drivers!! We really do appreciate all
you do, don’t ever forget it. Be safe.

AUGUST TRAINER OF THE MONTH
FOR THE KIDS
Our very own Irvin Cady was recently at a Love's in
Tennessee and saw that the truck stop was hosting a
cookout for the Children's Miracle Network Hospitals.
Irvin knew he was going to be there for the night, and
went to see how he could help at this cookout. Cecil from
Love's reached out to us to let us know how thankful
they were to have the help of Irvin and the success of
their cookout. At the truck stop they were able to raise
$700 to help the Children's Miracle Network Hospitals!

a load from New Orleans to Cincinnati that was missed

Randell did an excellent job on a hot load going to
McCook IL. He was very patient when he was told to
drop the trailer and then later when he was stopped
from leaving and told that it was a live unload. He just
smiled and asked what they wanted him to back up to.

QUARTERLY FUEL BONUS PROGRAM
To qualify, based upon quarterly data, a driver must:
1. Have an Out of Route % of 10% or less.
2. Have at least 24,000 paid miles.
3. Have NO accidents and NO service failures.
4. Be employed with PTL the day the bonus is paid to receive the bonus.
5. Have all missing paperwork for the quarter turned in.
6. Have all Vertical Alliance retrains and assignments for the quarter completed.
If you achieve an MPG of 6 or above you will be paid per mile based upon the schedule below:

6.00 - 6.49
$.005/paid mile
6.50 - 6.99
$.01/paid mile
7.00+
$.02/paid mile
Team drivers are eligible for ½ of team miles. For example, if a team runs 60,000 miles per quarter – each driver gets credit for 30,000
miles.
The bonus will be paid no later than the 3rd pay date in the month following the end of the quarter. For example, the end of the second
quarter is June 30th; the bonus will be paid no later than the 3rd Friday in July.

The FMCSA states in regulation §396.9 (d) (1) that the
driver of a Commercial Motor Vehicle shall immediately
mail, fax or otherwise transmit the inspection report to the
carrier within 24 hours.
With that being said, always make sure that the copies
that you are sending to the carrier are clear and legible. If,
during the inspection, you have received a citation for any
type of violation, you are also required to submit a copy of
the ticket (front and back) with the inspection report.
There are a couple of ways that you can submit these
in a timely manner:
1. Fax to 270-753-1528 (ATTN: Gene Fielder/Sandy
Burnett) or fax to 270-753-1730 (ATTN: Tabitha Jones)
Either fax number will assure that the appropriate
persons that handle these time sensitive documents will
receive a copy.
2. Fax or scan both sides of the citation. Be sure to
sign your name on the citation where required.
3. Transflo or Trip-pak scan the documents with a
yellow log cover sheet. Then send message 21 and place
an ‘X’ next to the number 9 over the Qualcomm with the
16 digit confirmation code. The code or number, will be a
combination of letters and numbers i.e. LV01-2ab3-d45e6fg7. There may or may not be any dashes.
4. Out of service “FIX IT TICKETS”:
a. All OOS inspection reports must be signed by
the repairer.
b. CA must be signed by the repairer AND a DOT
Officer before being sent in.
If, for any reason, there is a problem or question,
call Gene Fielder or Sandy Burnett in Driver Services for
assistance.

Accident Prevention

Timing can be a factor that may be overlooked in an accident. Some accidents may be attributed to “poor judgment”
when actually poor timing may be involved.
Most actions taken while driving involve time. Failure to allow sufficient time for a maneuver may result in an
accident. When making a left turn across oncoming traffic, you need enough time to complete your turn without
disrupting oncoming traffic. When passing a vehicle on a two lane road, you also need sufficient time to pass
before meeting an oncoming vehicle.
Have you ever noticed that when you are in a hurry, you tend to forget things? Many accidents happen when
someone is in a hurry. It is human nature to forget things and take shortcuts when in a hurry. Therefore, always
allow yourself sufficient time when starting a trip. If you anticipate bad weather or construction delays, leave
earlier.
As a defensive driver, timing is an important part of your decision making. Hesitation may result in your being
involved in an accident you could have avoided if you had acted sooner. Avoid distractions that could slow your
reaction time. Do not talk or text message on a cell phone while driving. Keep your eyes moving to avoid a fixed
stare and loss of concentration. Take adequate breaks to reduce fatigue.
If you doubt the importance of timing in accident prevention, think about the last time you heard someone say
how close they came to almost avoiding an accident. Seconds can make a difference!

CHAIN REGULATIONS FOR COMMERCIAL VEHICLES
COLORADO: Drivers of commercial vehicles must carry chains for their vehicles from September 1st through May 31st on
Interstate 70 from MP 133 to MP 259 only. Failure to carry chains on this portion of highway may result in an inspection
violation and the driver can be fined $50.00, plus a surcharge. Colorado chain law applies to every state highway, federal
highway and interstate throughout the state. When the chain law is in effect, drivers will see signs along the roadway
indicating which vehicles should chain-up. In some areas of the state, lighted variable message signs will also alert driver of
the chain-up information. Drivers of commercial vehicles who ignore the chain law can be fined $500.00, plus a surcharge,
for not putting chains on their vehicle when required. A driver can be fined $1000.00, plus a surcharge, if the vehicle is not
chained when the law is in effect and as a result blocks the highway. Drivers can call ahead for road conditions and chain-up
information for Colorado’s major highways at 303-639-1111.
OREGON: Requires chains to be carried from November 1st to April 1st on all commercial vehicles. Drivers can call for
information on road conditions and chain-up information at 800-976-7277 in-state or 541-889-3999 out of state.
WASHINGTON: Requires chains to be used year round when the chain laws are put into effect. Drivers can call for
information on road conditions and chain-up information at 888-766-4636.
CALIFORNIA: Only requires vehicles to carry chains when they put the chain laws in effect. The chain laws can be put into
effect at the discretion of the local vehicle enforcement office. Drivers can call for information on road conditions and chainup information at 800-427-7623 or 916-445-7623.
The following states only require chains when the chain laws are put into effect. Beside each state are the numbers to call for
road conditions and chain-up information.

PTL POLICY ON LENGTH, WEIGHT, AND BRIDGE LAW LIMITS
Our policy is to get our units legal for all the states they will travel through. We want our drivers to use the following guidelines. For weight:
use 12,000 for the steers, and 34000 for each tandem with a gross weight of 80,000 lbs. For length: use 41 feet or 6 holes from the front
with the exception of 3 states: (California 40 ft., Michigan 40 ft. 6 in., South Carolina 40 ft. 6 in.). If you have to deviate from this standard,
please get permission from your fleet manager on the Qualcomm. We offer the following suggestions to help you stay legal:
1. Always scale your load. Many of our shippers do not have a scale and put an estimated weight on the bill of lading. If the
shipper does have a scale PTL still wants you to scale the load as soon as possible since most shippers do not have a certified scale.
2. If you have a problem with your load being either overweight or overlength. Please send your Fleet Manager
a Qualcomm message explaining your problem. If your problem is overweight, please list the weight on all 3 axles plus the gross
weight, plus your bridge law setting, (example - 6th hole), and your fuel amount, (example - 3/4 tank). Your Fleet Manager will send
you instructions over the Qualcomm about how to proceed. Please wait until you get instructions over the Qualcomm from your Fleet
Manager to return to the shipper or to move your axles.
3. Length limit messages may be sent to the truck. If you get a load to California you will receive a message to set your
length at 40 feet or 3 holes from the front. Please get your load legal for all the states you will be traveling through. If you are dropping
a California load in El Paso you still need to get the load legal for California before you leave the pickup area.
4. If you pick up a load at a drop lot or in a swap. You are still responsible to scale each load you hook to. Please keep in
mind that some of our trucks weigh less than others so even if the load was legal for the first driver it may not be legal for your truck
without some adjustment. The first driver may not have a co-driver and extra set of gear.
5. If you get into a situation during your trip where you have to apply your brakes hard to avoid an accident, do not hesitate to rescale your load at the next truck stop you get to with cat scales. We have
had several instances where drivers had to do emergency braking which caused their cargo to move causing their load to become
overweight.
6. If you do get a citation for being overweight or overlength. Please scan that citation both front and back with a
yellow log cover sheet to Driver Services within 24 hours. If you scan the citation with your bill of lading please send Driver Services
a Qualcomm message 21 with the confirmation number so we will know we need to get the paperwork from Finance.
7. Trailer tandem pins must be locked into the slide rail so the tandems will not move. If the pins will not retract
or lock, send canned message 30 to road maintenance for repair.
8. Even an empty trailer must meet the state requirements for length limits.

CSA Maintenance Score Card
Preventable CSA Maintenance Violations and Preventive Actions
Each month we study our CSA maintenance score to determine why we were cited for a violation. We
are looking for trends and repeated failures that we can prevent by changing maintenance practices. At
the same time, we evaluate each violation as to whether the driver could have found the defect prior to
DOT finding it and prevented the violation with a thorough Pre-trip or Post-trip inspection.
During August we were cited for 55 violations of DOT vehicle safety requirements. Our analysis of
the available data shows that 47 (85%) of those violations should or could have been prevented by a pretrip inspection. Listed below are the violations that a proper pre-trip inspection would more than likely
have prevented along with preventive actions.

Maintenance wants to help those drivers who want to help
themselves instead of waiting on a service truck. We are
issuing a parts kit through our parts room to drivers who
ask for them. Extra lights, glad hand seals, spare fuses,
air pressure and tread depth gauges or anything else that
a driver requesting the kit is comfortable repairing can be
included in the kit. We do not expect our drivers to be repair
technicians but we see a lot of smart drivers who know if they
can make a minor repair instead of waiting on a service truck,
that will save them time and put money in their pockets. Pick
one up in Murray or West Memphis.

Prevention Basics
Air lines cannot rub against any other part of the
vehicle. They cannot be kinked in any way. This is
easily seen by a visual inspection.
Cannot have any defect larger than what a dime
would cover. They also may not be glazed or
discolored in any manner.
A discharged fire extinguisher is a violation. Fire
extinguishers are secured in a metal mount with a
latching metal band attaching the fire extinguisher
to the mount. If the band is not latched, it is a DOT
violation.
Should be heard during a vehicle walk around with
the engine running.
Even a very basic pre-trip would have observed
leaks prior to being found by DOT inspectors.
The most common violation. All lighting should
be tested at least daily if not every time you take a
break. Either a light is observed to be working or
not working.
It is basic safety procedure to ensure the tandem
pins are properly seated through the slider rail holes
prior to moving the trailer after sliding the tandems.
Visual inspection would have noted questionable
tread depth, flat tires and exposed tread.

ALERT – ALERT
It is vital that you advise OTR Breakdown Maintenance at 800-259-1225 anytime you
add coolant or water to the cooling system and/or oil to the engine.
We recently lost an engine because the driver did not report adding coolant over several
months. The end result of this was losing warranty coverage on the engine costing your company
several thousands of dollars.
Generally speaking, any time you have to add coolant or oil to the engine system, there is
something going on inside the engine. Having a clear record of how much and when fluid was
added helps us identify the problem and protect the engine under warranty.

Preventive Maintenance Tips
ALWAYS return your airlines and ABS cable to the holder mounted on the back of the cab when dropping a trailer.
Would you believe we replace over 100 of these per month? The majority of these could be prevented by using the
airline/cable holder.
ALWAYS check your tires for damage everyday before a DOT inspector checks them for you. Visible damage to
the sidewalls or tread can be easily spotted and corrected before you are cited by DOT.
ALWAYS check your oil and coolant level everyday. Would you believe we have several trucks each month where
the engine shuts down on the side of the road because of low oil level or low coolant level?
ALWAYS return the dolly crank handle back to its stowed position when dropping a trailer. We routinely have to
replace dolly crank handles where they were not stowed and someone backs a trailer into it and ripping the handle
off.
ALWAYS check your lighting every day, preferably at each stop. Lights can quit working at any time and it is one
of the first things DOT inspectors look for during a road side check.
ALWAYS check under your bunk for anything obstructing the air intake on the APU components. We regularly
send equipment to shops for APUs not working to find that a plastic bag or some other item was blocking the
intake vents.
ALWAYS report problems to maintenance with the trailer you are dropping. Don’t leave problems for the next
driver that picks up the trailer.
ALWAYS make sure the trailer doors are securely fastened to the door holdbacks when backing to the door. We
average re-hanging 56 doors per month. All of these could be prevented.
ALWAYS remember your G.O. A. L. – Get Out And Look before backing.
If every driver would follow these preventive repair tips, we could save thousands and thousands of dollars every
month.

IN THEIR OWN WORDS
I try to impress on every one of our 125 Maintenance department team members that we only have two
customers, the driver and operations. Both are vitally important to the company’s mission of providing the
company’s customers with on-time error free service. I try to lead our maintenance team by impressing upon our
team members just how important drivers are to the company and the necessity of minimizing driver wait time on
account of maintenance.
For those of you who follow the monthly SPEAKING OF MAINTENANCE column, you are probably tired of
my rambling. This month, I wanted to take a different approach. I have asked a couple of members of our Murray
Maintenance team to express what the relationship between the drivers and maintenance means to them. I believe
that every member of our maintenance team shares these folks commitment to doing it right the first time and
doing it quickly. In any case, following are comments from randomly selected employees, in their own words.
Penny Kare, Coordinator, OTR Breakdown Maintenance: To
me, it’s not just a job, it’s what I enjoy doing. Helping a driver that
is broken down or in a sticky situation is what I do. Knowing that I
made someone else’s day a little better is my reward.
To me, we all put our pants on one leg at a time. It takes a family
to make a home and that is what drivers are to me, family, and PTL
is our home. I’m here to get our drivers the quickest, most efficient
service in their time of need. Along the way, I hope I can give them
a laugh and put a smile back on their face. While they are out there
doing their job, know I will be doing mine to help them when they
need it.
Drivers are PTL. Without the drivers moving the freight,
PTL would be nothing. So I raise my hand to our drivers and say
thank you. I enjoy every call I get and feel for each driver during a
breakdown. I hope I have helped each one that has called me. I work
for you, the driver. Together, we can reach our goals for success and

take our home, “PTL” into the future.
Tim Walls, Tractor Technician: As I see it, we are all one big
team. Neither of us is successful without the other. I like to take that
extra minute to talk to the driver and hear what they have to say. I
like for them to know I care about their well-being and safety. I try
to let them know that I appreciate the hard work they do. I always
try to go that extra foot to make them happy with their truck.
There you have it, two maintenance team employees selected
at random who shared their feelings about the role they play in
keeping our drivers moving and making miles. I am confident that
you could approach our other 123 team members and get pretty
much the same attitude and response from them.
In maintenance, we believe that we are part of one big team
taking care of our customers, our drivers and operations. If our
customers like our service, then they are better able to serve the

Our Big 5 Successful Driver Tips!
1. Aim to average driving 8 hours, 45 minutes a day; not 10 or 11 hours. You have 70 hours, divided by 8 days,
which equals 8.75 or 8 hours 45 minutes to drive on the average day. If you aim to drive closer to 9 hours a day
instead of 10 or 11, that should keep you running on recaps and keep you from running out of hours or running
low on them. (If you are part of a team, make sure that both of you are not sleeping in.)
2. If your pre-trip walk-around in the morning takes less than 7 minutes, you can flag it as off duty. For your posttrip at the end of the day, the minimum is 10 to 15 minutes on duty. Please call Logs at extension 333 if you need
more details.
3. Unless it’s a firm appointment, arrive at the customer ASAP and find out in person, not over the phone or
QualComm, if you can deliver early. If the answer is no, call Driver Services for a safe and legal place to park.
4. Spend an hour or less between ETA/PTA to keep the planner’s attention.
5. For home time each month, there are two weeks which are slower for freight; our top runners go home the
weekend between those 2 weeks for 4 days. Therefore, the other 2 weeks of the month are the busiest, when our
top runners make themselves available. Our top runners also do not stay out for more than a month as this leads
to burn-out and/or pushed out ETA/PTA.
