Credential Information 7 CREDENTIALS • LVMS CREDENTIAL OFFICE IS LOCATED AT GATE 2 OFF LAS VEGAS BLVD NORTH CREDENTIAL TYPES • • • • • NASCAR ANNUAL HARD CARD – Hot Pit, Garage, Vehicle Tunnel, Suite Level, and Roof access. SMI ANNUAL HARD CARD - All access, including Garage. For HOT access a HOT pass is needed from NASCAR. LEVY ANNUAL HARD CARD – Gate access, Vehicle Tunnel, and Suite Level. PRE RACE – Access to grass area on infield for pre race festivities for Public Relations. PAPER CREDENTIALS – There are four different types: Worker, Guest, Media, and Levy. Each can be for Weekend, Friday, Saturday, or Sunday. Accesses vary. Suite Information 10 SUITE PASSES/SUITE ACCESS • • • • • • • Suite pass will allow guest gate and suite level access to the suite that is listed on the ticket. It will also allow access to the Neon Garage*. It will not grant access into the grandstand seating area. (The Neon Garage provides unprecedented access to race teams and drivers, unique concession areas, live entertainment and the Winner’s Circle. Some have called it “NASCAR Disneyland.”) This area, which is located in the center of the speedway’s infield, allows race fans to watch the drivers and crews of the NASCAR Sprint Cup Series from both ground-level and elevated positions. All suite guests must go to Suite Check-In each day to secure their wristband. Your suite pass will also allow you to enter the pit area, please see the Pit Tour Schedule for times. Passes must be visible at all times while in the pit area. No outside food or beverage may be brought into the LVMS venue. Everyone must have a suite pass including children for suite level access. NASCAR Hard cards are allowed on suite level. SUITE WORKER PASSES • • • Two (2) worker passes can be found on the last page of each day’s suite tickets. A worker pass will enable you to access your suite once the gates have opened. Pre-event access needs to be arranged with your Account Executive. This might include deliveries that need to be made to your suite, such as florists, decorators, etc. THESE PASSES DO NOT ALLOW GRANDSTAND ACCESS. PARKING PASSES • • Parking passes will have designated reserved parking area printed on them. Please affix your parking pass to the left-hand bottom side of your windshield in order to make the parking process easier for you and our event staff. Sixty (60) person suites will receive Thirty (30) parking passes. SUITE HOURS OF OPERATION • • Suite level opens the same time as the spectator gates. Suite level closes 90 minutes after the completion of the day’s events. TELEPHONES: (SUITE HOLDERS ONLY) • Local phone service is provided in each suite, by dialing 9+ the local phone number 11 V. Hospitality Information 12 Hospitality Package Contents THE ITEMS IN YOUR HOSPITALITY PACKAGE SHOULD BE: • Grandstand Tickets • Pre-Race Pit Passes: In order to enhance your guests’ Hospitality Experience, you will be provided one (1) pit pass for each guest. This pass allows a one-time entry to the pit area. Pit Access times and instructions follow. Also, each suite ticket allows access to the Neon Garage. (The Neon Garage provides unprecedented access to race teams and drivers, unique concession areas, live entertainment and the Winner’s Circle. Some have called it “NASCAR Disneyland.”) This area, which is located in the center of the speedway’s infield, allows race fans to watch the drivers and crews of the NASCAR Sprint Cup Series from both ground-level and elevated positions. • Hospitality Village Passes: Each guest must display this credential at all times. This pass provides access to the Hospitality Village compound. For the race, this pass must be accompanied by a grandstand ticket. Each guest must have a Hospitality Village Pass (including children). • Hospitality Parking Passes: This pass should be visibly affixed to the lower driver’s side corner of the windshield of each automobile before entering the speedway. • Hospitality Worker Passes: Depending on the size of your party, you will receive the following worker credentials: (additional credentials may be granted by LVMS discretion) 50-100 guests = 4 passes 101-200 guests = 6 passes 201-300 guests = 8 passes 301+ guests = 10 passes • Traffic Plan: Traffic plans for hospitality bus parking, driver appearance route and vehicle parking are included. • Las Vegas Motor Speedway will hold a Transportation Luncheon at the Speedway (Wednesday, February 17, 11:30am), where the complete traffic plan will be outlined. (Please call 702-632-8252 for exact location.) This meeting will be held in the Blackjack Club located on the third floor of the Media Center. We strongly recommend you, a representative of your group or contracted transportation vendor attend. 13 Hospitality Village Information All Clients must return the Hospitality Upgrade Order Form - even if upgrades are not required for your guests. Deadline is January 25, 2010 HOSPITALITY VILLAGE HOURS OF OPERATION Saturday: 8:00 am – 2:30 pm (approximately 1 hr after Green Flag) Sunday: 7:00 am – 1:00 pm (approximately 1hr after Green Flag) PIT AREA DRESS CODE Las Vegas Motor Speedway and NASCAR will enforce the following NASCAR dress code: Shoulders must be covered at all times. Closed-toe shoes are required. Long pants are required. Children under 18 are not permitted in the pit area at any time. PRE-RACE PIT ACCESS With your hospitality order are Pre-Race Pit Passes equal to the total number of guests. Pre-Race Pit Passes/Hospitality Passes must be visible at all times. Pre-Race Pit Tours may be conducted according to the schedule listed below: No tours will be permitted during or after these events. The pre-race pit pass is attached to the hospitality village credential. Please limit tour group sizes to no more than thirty. Pit tours are restricted to Pit Lane only. Each hospitality group is responsible for their own tour guides. 14 Hospitality Village Information (cont.) PRE-RACE PIT TOUR ROUTE • • SATURDAY- From Hospitality Village: – Exit Hospitality Village through the south gate near Speedway Blvd. – Proceed to the Tickets/Gift Shop building. – Load onto the “Speedway Tram” that will give you access to the Pedestrian Tunnel off of Checkered Flag Blvd near Turn 2. – Proceed through “pedestrian tunnel located off Checkered Flag Blvd.” – Conduct your pit tour from behind the pit wall. – Return to Hospitality Village at conclusion of tour using the same tram SUNDAY- From Hospitality Village: – Exit Hospitality Village through the south gate near Speedway Blvd. – Follow Signage – Cross Speedway Blvd. and follow GREEN STRIPE across Midway – Display Credential & Ticket to Enter Designated Gate. – Proceed straight ahead to Pit Tour entrance, near Earnhardt Terrace, marked with signage and green stripe on the ground. – Descend the stairs to track level. – Display Pre-Race Pit Tour pass to gain access on to track. – Bear left along track apron to pit lane entrance – Conduct your pit tour from behind the pit wall – Return to Hospitality Village at conclusion of tour SECURITY • • • To arrange for private security, at your hospitality tent, please contact Will Hanzel, Operations Coordinator, Las Vegas Motor Speedway at (702) 632-8142. You may send an e-mail message to: [email protected] Only Will Hanzel is authorized to arrange Hospitality Village Security. The DEADLINE TO ARRANGE SECURITY is Monday January, 25 2010. Advance payment is required. Changes to Security requests after this deadline are not guaranteed and subject to additional fees. 15 Hospitality Village Information (cont.) Please note that any items left in the hospitality area (e.g.: banners, flags, programs, decorations) are the sole responsibility of the client. Las Vegas Motor Speedway is NOT responsible for any personal belongings left in your hospitality area. SHOW CARS • If you intend to bring a show car, you must either have indicated so on your Hospitality Order Form or in writing to your Las Vegas Motor Speedway Account Executive. Show cars must be delivered during specific delivery times: – Friday: 3:00 – 8:00 pm; Saturday: 3:00 – 8:00 pm Show Car Trucks and Trailers must have a Lot 6 Parking Pass – They will not be permitted to remain in Hospitality Village. Anyone delivering a Show Car should contact Kyle LeValley at [email protected] to make a delivery appointment. Cars should be delivered by appointment only. DRIVER APPEARANCES • A time-saving route is available for transporting drivers from the infield to your hospitality tent, on Saturday and Sunday. Please see the “Driver Appearance Map” in Appendix B. -This is the only approved route. • If you are planning a Driver Appearance, an “Official Vehicle” credential is required please contact your LVMS representative by, January 25, 2010 to arrange delivery. In order to enhance any scheduled driver appearances, we recommend the use of a PA system. TENT FURNISHINGS • Included with the price of your hospitality tent are the following items: – – – – – – – • Seating for 75% of total guests Registration tables and chairs Linens White picket fencing Tent identification sign 19” TV Umbrella Sets Additional furnishings such as seating for 100% of guests, additional registration tables, colored linens, etc. can be ordered in Appendix A on the Hospitality Upgrade Order Form under Additional Tent Furnishings. Advance payment is required. 16 Hospitality Village Information (cont.) AUDIO/VISUAL EQUIPMENT • • Additional items such as big screen television, sound system, CD player, stage, podium, etc. are available to upgrade the overall appearance of your hospitality tent. Items and prices are located in Appendix A on the Hospitality Order Form under Additional Tent Furnishings. Note: Additional electrical outlets will need to be ordered for Audio/Visual equipment. Electrical can be ordered in Appendix A on the Hospitality Order Form under Electrical. SOUVENIR PROGRAMS • Souvenir programs are available for purchase. Please refer to the Hospitality Upgrade Order Form included in Appendix A for pricing. Programs must be ordered no later than January 25, 2010. All program orders must be paid in advance. Programs will be delivered to your Hospitality area. DECOR • Many Hospitality clients choose to upgrade their Hospitality area with other attractions (floral, balloons, audio/visual equipment, souvenir programs, and scanners). In Appendix C, Las Vegas Motor Speedway-approved vendors for each of these categories are listed, including contact names and numbers. Only the vendors listed will be granted access. Please select your upgrade vendors from the choices provided in Appendix C. 17 Hospitality Village Information (cont.) HOSPITALITY VEHICLE PARKING—LOT #6 • Entrance – Display, in lower driver’s side corner of the front windshield Lot #6/ Hospitality Village Parking Credential. – All private vehicles with Lot #6/Hospitality Village parking passes must arrive at the Speedway via Interstate 15 – From Las Vegas, follow Interstate 15 North to Exit 54 (Speedway Blvd.) – From Exit 54, proceed straight (crossing Speedway Blvd.) and travel under the LVMS marquee. – Follow traffic officer direction to Lot #6/Hospitality Village Parking. **It is important to understand that the Exit route will be different from the Entrance route • Exit – – – Follow signs and traffic officer direction to GATE 8. Stay in LEFT lane. Exit Gate 8 by turning LEFT (NORTH) onto Las Vegas Blvd. Proceed on Las Vegas Blvd. & follow signs to Interstate 15 HOSPITALITY BUS PARKING INSTRUCTIONS • All buses enter GATE 8 off of Las Vegas Blvd. • On February 17, 2010 Las Vegas Motor Speedway is expected to announce a dedicated bus route that all buses should follow to Gate 8. A special credential, required for access to this route, will be distributed at this meeting. Please ensure a representative from your party or hired bus company is present at the transportation meeting. If your representative is unable to attend, please contact Chris Lopez, LVMS Credentials Supervisor at 702-632-8211. • Before arriving at Las Vegas Motor Speedway, please make sure your buses have the Hospitality Bus parking credential displayed in the driver side window. To travel on the time-saving dedicated bus route, all buses must have a Parking Permit clearly displayed in the windshield. Please Note – The Hospitality Parking Pass and Special Dedicated Route Bus Pass are NOT the same. • Entrance – From Las Vegas Boulevard, enter Gate 8 onto Speedway Boulevard. – Proceed along Speedway Boulevard—follow directional signage— to Charter/Hospitality Bus Parking. • Exit – From Charter/hospitality Bus Lot, Exit LEFT onto Speedway Boulevard. – Follow traffic officer directions for lane assignment. 18 Hospitality Village Information (cont.) Display Information 25 MIDWAY DISPLAY INFORMATION BEFORE YOU ARRIVE: It is mandatory that you provide LVMS with a signed “Manufacturers Midway Display Lease Agreement,” full payment for the display space and any/all services that may be requested, and proof of liability insurance in the amount of $2,000,000—naming Nevada Speedway LLC, dba Las Vegas Motor Speedway and Speedway Motorsports, Inc. as “additional insured.” In addition, it is imperative that you communicate directly with CLARK COUNTY FIRE DEPARTMENT regarding the strict fire code and requirements for fire permit. Additional information pertaining to this requirement is included in this information packet. • Please be aware that you should expect many changes in the configuration of our midway/display area. OVERNIGHT WATCHMAN: • We strongly recommend that you schedule a private overnight watchman to protect your assets. Although LVMS has roaming security on the grounds, LVMS hereby declares itself not responsible for and assumes no liability arising from fire, theft, damage or to the loss of a vehicle or articles left therein. A minimum of two (2) exits are required, spaced approximately in equal intervals, around the perimeter of the tent. Aisles of at least 56 inches must be maintained and kept clean, clear and free of obstructions. Directional signage must not be blocked. NO SMOKING SIGNS: shall be posted VEHICLES: must be a minimum of 20 feet from the tent/canopy structure. Display vehicles under the tent/canopy must meet the following guidelines: the fuel tank shall contain the lesser of ¼ tank or 5 gallons; fuel tank openings shall be locked or taped shut and batteries disconnected; vehicles shall not block the required exits or paths to exits. GENERATORS: Tent or Canopy shall not be located within 20 feet of an internal combustion engine (Generator). If your tractor fuels the generator located in the trailer portion of your display, then you are responsible for requesting and obtaining an alternative means and method approval from the CCFD. In the past, the following precautions have been put in place: generators shall be sealed inaccessible to the public with electrical power provided per the National Electric Code approved wiring methods; and Generators shall be designed to automatically shutdown upon low oil or overheat; and 2 employees shall be designated as fire watch personnel with access to fire extinguishers. However, it is at the discretion of CCFD for final approval. If required, your display must be completely set and ready for inspection by CCFD. 32 33 34 35 36 37 38 39 TITLE: Tent and Canopy Permit Requirements SCOPE: Tent(s) in excess of 200 square feet, or canopy(s) in excess of 400 square feet shall be permitted and installed in accordance with this guideline and the requirements contained in the 2005 Clark County Fire Code. Temporary membrane structures, tents and canopies shall be used for a period of not more than 180 days within a 12-month period on a single premise. PURPOSE: This guideline was written to provide an outline of the Clark County Fire Code requirements for permitting tent(s) and canopy(s). SPECIFICATIONS AND REQUIREMENTS At the time of permit application, three (3) sets of plans, drawn to an indicated scale, must be submitted for review and approval. Minimum permit and expedite fees (if required) must be paid at this time. The minimum permit fee for this submittal is $75. However, permit fees for this type of submittal vary. Please see the Clark County Fire Department Permit and Service Fee Schedule for specific information. In addition, expedite fees (minimum fee of $85) are also variable based on the complexity of the submittal. Again, please see the Clark County Fire Department Permit and Service Fee Schedule for exact details. You will be notified via telephone when the review is completed. Once a permit has been approved, call 226-8991 and schedule a fire inspector to verify site and validate permit. After the review, two sets of the plans and the permit must be picked up prior to erection of the tent or canopy. One Fire Department stamped plan set must be onsite and available for review at all times. Permits must be conspicuously posted in public view. Plans for tents and canopies shall be drawn to architectural scale (min. 1/8”) on uniform sheets no larger than 30” by 36”, meet all requirements of the 2005 Clark County Fire Code Article 32, and contain the following: 1) Fire access, location and parking: Show minimum 20 foot set-back from property lines, buildings, other tents/ canopies, parked vehicles, and internal combustion engines. 2) Fire extinguishers: Show fire extinguishers (2A10BC rated) located in the path of egress, and so that no portion of the structure is more than 75 feet from a fire extinguisher. 3) Means of Egress: Show the location and width of all exits and indicate locations of exit signs. Indicate if doors are to be installed (direction of swing) or if curtains will be used (only free sliding, contrasting curtains on rod mounted 8 feet above floor.) 4) Emergency lighting: Indicate type and locations of emergency lighting. 5) Heating and/or Cooling: Indicate type and location of equipment, including ducting. 6) Fire Hydrants: Show location of fire hydrants. 7) Event Contact: Provide event contact name and phone number. 8) Provide a copy of Title 30 (Zoning) approval from the Comprehensive Planning Division of C.C. Development Services. Temporary uses of this type require Comprehensive Planning Division approval. Contact the Zoning Division at 455-4314 for further information. Provide evidence that the sidewalls, drops, and tops of temporary membrane structures, tents, and canopies are constructed of flame resistant material or treated with flame retardant in an approved manner. Certificates for all flame treated materials must accompany the submittal. Insurance-Provide a copy of a valid bond or current certificate of insurance showing the Clark County Fire Department as additional insured, with a minimum coverage of bodily injury or property damage in the amount of 1 million dollars. Inspection-Prior to occupancy for any purpose and in order to finalize the permit, you must schedule an inspection by calling the Fire Department scheduling hotline at (702) 226-8991 before 2 P.M. the day prior to your desired inspection date. 40 Of multiple events within a temporary structure: A. Permit fees are charged per submittal and based on square footage, which is cumulative. The basic fee associated with any submittal is $75.00. B. Submittals containing multiple temporary structures/tents erected for the same event are charged additional fees, which are cumulative, based on square footage. C. Tents, which are erected for an extended period of time with the intent of housing more than one event, are charged a one-time permit fee of $75.00. This permit is required prior to structure erection. Separate event permits within the structure, which require changes to the original event floor plan will be permitted separately. Submittals containing multiple tents on the same premises must contain an overall site plan detailing the locations of tents relative to each other and other structures in the area. Locations if fire hydrants and emergency vehicle access routes as well as other pertinent information must also be included. D. A maximum of ten (10) tents/ canopies (located on the same site and contiguous to one another) can be permitted under the same permit number. 41 VII. Parade Lap Information 51 • All Parade Lap participants must receive approval from the LVMS Sales and Marketing Department. • Parade Lap passes will be available at the LVMS Credentials Building located at Gate 2 on Las Vegas Blvd. on the Monday of event week. • Credentials for Parade Lap vehicle drivers should be submitted through the LVMS Sales and Marketing Department at least three weeks prior to the event. • All cars participating in the Parade Lap will not be allowed to enter the speedway until Sunday. Parade Lap vehicles are asked to line up on the apron of the race track in the area of Turn 3. Once the Parade Lap is completed, all Parade Lap vehicles must leave the superspeedway infield. 52 XII. The “Nationwide On Your Side” Rides will be available to help with transportation needs of handicapped patrons or those needed special assistance from the designated handicap lot.
