A Summary of Practical Information
SELECTING YOUR DESTINATION
Your destination choice should reflect not only your personal desires and preferences, but those attributes that also
make it the best location for your guests. You’ll want to make
it easy for them to say “yes” to your invitation.
The rule of thumb is to select three destinations that fit
your plans. If friends and family are huge Puerto Vallarta or Los
Cabos fans, or just love Jamaica or Cuba, your decision is immediately easier. Due diligence also plays a big role. If you
and your guests are golfers, divers, shoppers, club fans
and/or soft adventure travellers, undertake research on links,
dive and snorkel sites, best shopping, nightlife and destination
thrills and chills within the 3 destinations under consideration.
The destination that meets the greatest level of “must haves, really wants, and absolutely perfects” deserves the nod.
SELECTING YOUR RESORT
Sunquest’s Wedding Guide and Southern Sun brochures are
a good place to start. Consider the following:
Is a small and elegant resort your personal preference
or is your group all about big, splashy mega resorts? How
many guests are you anticipating? If children are not a factor,
you might prefer an adults only property. If kids are involved,
check into babysitting services, kid’s clubs and activities.
Friends with varying pocketbooks always appreciate a
variety in accommodation style & prices. Build your list of
“must haves and really wants” and once you begin to
narrow your choice, ensure your chosen wedding date is
available at resorts on the short list!
Reception Dinner can be pre-planned based on menus and
venues provided by your Wedding Co-ordinator. Speeches
are a consideration if you are in a semi-private dining room.
Inquire about a post-dinner venue where the hotel sets up
celebratory beverages and speeches are then delivered.
Number of weddings Some resorts schedule a maximum
number of weddings per day; three for example. Some have
one. This will depend upon the destination, the number of
guests and the season. Weddings are also performed during
specific periods of the day and evening, and resorts have
maximum guest capacities. All excellent reasons for planning
as far ahead as you can. You want what you want.
Ceremony locations In general weddings are held in
on-property chapels, beautiful seafront gazebos, terraces,
and of course the beach itself. Occasionally the size
of your wedding will dictate the location and the style of
decoration provided.
Day passes Wedding guests usually stay at the same resort
as the bridal couple, however, guests may choose to stay elsewhere. In this instance, hotels may require non-resident guests
to purchase a resort day pass to attend the ceremony and festivities. When it comes to free weddings, some hotels stipulate
that you must have a certain percentage of the guests attending your wedding accommodated at the resort where your
wedding is to take place. All worth checking into.
CHOICE IN CEREMONIES
Civil wedding, religious wedding, symbolic wedding,
renewal of vows Requirements respecting types of ceremonies vary between destinations. In some cases, they are
very few, in others, several. All can easily be managed
through a conversation on your choice of ceremony with the
on-site wedding co-ordinator. Some couples choose to marry
in Canada and then head to the sun for a “symbolic” event
with all the ceremonial bells and whistles just for the pure
joy of the destination wedding experience.
It is important that you are clear on the service you are
requesting and that the information you have is the most
current. Your Wedding Co-ordinator can provide details.
BUDGETING
Be thorough and be thoughtful about exactly how
much you wish to spend before you begin serious planning.
Factor funds for unexpected possibilities, opportunities,
and contingencies.

With such affordability available throughout
Mexico and the Caribbean, you may choose to
cover the travel costs of your bridesmaids and
groomsmen, or perhaps for other important guests
who otherwise could not make the trip.
Be clear to guests about what you will pay for
(much less a concern when staying at a Sunquest
all-inclusive resort). Tell bridesmaids, groomsmen,
and parents of any flower children whether you’re
covering wedding party travel (and any other
expenses) at the time you invite them to participate.

ADVANCE PLANNING
Most experts will tell you to begin planning one
to two years prior to your wedding date. This is optimum, and not carved in stone. However, if there is
a lot to be done, and you have very firm ideas on
what you want, the sooner you get things under way,
the better. Destination weddings are becoming more
and more popular and the top resorts are booked
well in advance. A word to the wise.

day, appoint a trusted member of the
wedding to “tweet” the event as it
proceeds. Check with your resort
regarding webcast capability.
WEDDING CO-ORDINATORS

First and foremost, consider your
comfort You truly do not want to be perspiring and over-heated (dress shields
are a good idea in any event). Designs
with fabrics appropriate to tropical
climes are far more available than in the
past and are certainly worth investigating during your search for the perfect
wedding dress.
We cannot over-emphasize the value
of having an on-site Wedding Co-ordinator. Stress is less when a knowledgeable
destination professional manages your
event. Be prepared with queries when
you make your initial contact. Build a
comprehensive list of questions and provide your wedding date, anticipated
guest count, a clear idea of the event
you seek, and your most realistic budget
estimate. Ask about special services, for example
does the resort provide a private website so that
friends unable to attend can watch the wedding
from home? Ask for photos or a website
address showing ceremony sites, decorations,
cakes, optional add-ons etc. And stay in touch. It’s
nice to have a good relationship when you get there.
THE GREEN SCENE
If protecting the environment or giving back in
some way is part of your wedding theme, be sure to
ask your wedding co-ordinator what choices you can
make to keeping things “green.” There’s some good
ideas out there.
CHECK IT OUT
Consider doing a “site inspection” to explore and
check out the resorts under consideration. Many
bridal couples plan a two week wedding & honeymoon. They spend the week prior to the wedding
day enjoying the resort, resting and tanning, testing
hairstyles, make-up, potential excursions and meeting the Wedding Co-ordinator to finalize the ceremony
venue, the flowers, the cake and any incidentals.
You’ll both be gorgeous, cool, calm, collected when
your guests arrive!

If you will not be covering the costs for your attendants, before you invite friends to stand-up for you,
speak to them regarding your intentions and destination possibilities and furnish estimated costs so if
money is an issue they can decline comfortably.
SEND OUT A “SAVE THE DATE”
ANNOUNCEMENT
Once you’ve confirmed your date (or the week
of your wedding if you can’t be 100% specific about
the actual day) send out a Save The Date announcement to guests, and the earlier the better to
allow invitees to plan for any expense. If it is a small,
intimate affair, a personal phone call should do it. If
you have details on the destination and resort at this
point, tell people a little bit about what’s in store for
them in your announcement.
SEND OUT INVITATIONS 4-6 MONTHS
IN ADVANCE
Include the name, phone number, address and
website of the travel agent who is managing your
travel details with Sunquest and also the website of
your hotel. In many cases, the bridal couple set up
their own website with detailed information on the
There are really no fixed rules regarding who wears
what and you can dress in whatever you like, (you’ll
often see brides in elaborate wedding dresses with
grooms in casual pants and shirt). However, the rule of
thumb is for the groom’s apparel to match the bride’s
style. If you plan to wear full bridal regalia with all the
trimmings, a suit or tux would be great for him.
Some brides plan on two outfits. A gown for the
ceremony and photos and something colourful,
tropical and frothy for the events following.
TRASHING THE DRESS
If you are considering leaping into the surf
or rolling in the sand following your nuptials and
don’t want to ruin your wedding dress, pick up a
“previously loved” gown for this part of your event.
Check with a drycleaner to see if your original
dress can survive a dousing. You can stage your
‘trash the dress’ moment for your photographer the
next day if hair and make-up is important to you on
your wedding day. Have fun!

PACKING THE GOWN
PHOTOGRAPHY
GIFT BAGS TO WELCOME YOUR GUESTS
Check with the airline to see if there is an area to
hang your gown or whether there is a policy regarding this issue. Some brides have their dresses
vacuum packed to fit in their suitcase. Others commandeer an overhead baggage compartment for
their gown (put a sign on it - Wedding Dress, Please
Don’t Disturb! – and who would dare). We have
heard of the rare and very brave bride who has
couriered their dress to the resort. See if you can
have your wedding attire pressed at the hotel (many
weddings already include this service).
A specific number of photos may be included in the
wedding package you select. If not included or you
want more than provided, check out the prices for
the resort’s own on-site photographer. It is not unusual
for bridal couples to take their own photographer for
the occasion (check with your Wedding Co-ordinator if this is your plan).
A small “goodie bag” or gift basket in each
guestroom is a lovely surprise. Perhaps a special
tanning lotion and fragrance and always a
“welcome, and thanks for being here” note from
both of you. Include a list of tours and experiences or better still, a complimentary tour as
a thanks for coming (a group rate may be
available for you). Wedding Co-ordinators have
great ideas and can arrange this charming
touch, at most resort.
PACKING FOR THE BIG DAY
Check. Check. Check. You do not want to forget
your favourite earrings. Which reminds us, take extra
earring backs, everything for perfect nails, fingers &
toes (even with pre-wedding mani/pedis chips
& problems crop up). Take a Tide pen, a sewing kit,
envelopes for tips if you are so inclined, bug spray,
eye-drops for teary red eyes, peroxide for removing
blood (pinprick from a boutonniere), double sided
tape for droopy hems.

MUSIC
Many hotels suggest you bring your own CD(s) and
others offer live music or iPod sound-docks. Add this
to the list of questions for the Wedding Co-ordinator.
GIFTS RECEIVED IN DESTINATION
Sort this out before you go as no doubt there will be
some well-meaning souls who will arrive with a gift
in tow. Send gifts home via courier, or ask guests returning to your home town to manage a few for you,
or bring an extra bag to carry them home yourself.
POINT OF VIEW
Things may not always go as quickly as you may
like. Allow for plans to be fluid as you may find that
certain components cannot be finalized until you are
in the resort. That is the way it is. Be your gracious
self. This is one of the most important days of your entire life. So exciting and romantic.

Sunquest is advised of any significant work that will be ongoing during your stay or of any major facilities that will not
be available, we will try to advise you prior to departure

Force Majeure/Act of God: Sunquest is not responsible or liable for changes or cancellations made that
relate to or arise as a result of hostilities, acts of war or
threat of war, riots, civil disturbances, terrorist activity,
industrial disputes, natural and nuclear disasters, fire,
epidemics or health risks, technical problems with
transport as well as flight delays due to weather or for
mechanical reasons, government action, closed or
congested airports or ports, supplier insolvency, governmental acts and other events beyond our control. The
National Hurricane Center in Miami considers June 1st to
November 30th inclusive Hurricane Season. This must be
taken into consideration when you book your vacation.
You agree that Sunquest does not assume any responsibility, and is not liable, for the costs or other consequences that arise out of or result from inclement weather
conditions at any time of the year.
Hotel Ratings: Star ratings are our opinion and can
differ from official gradings. Our rating is relative to general standards in each destination, so our four-star hotel
in one destination can be different to our four-star hotel
in another. Ratings are based on many factors including
hotel location and facilities as well as feedback from our
customers and staff.

Prices & Cost Increases: All prices, unless otherwise
stated, are per person based on two adults sharing one
hotel room. All prices advertised in this brochure are in
Canadian dollars and do not include GST (where applicable) and taxes. The prices advertised in this brochure are
based on fixed costs at the time of print. These costs are
dependant on fuel costs, rate of exchange and/or other
factors. Sunquest reserves the right to increase the price.
Should the price increase be greater than 7%, you have
the right to cancel the contract for travel services and obtain a refund of all monies paid to Sunquest, unless the
price increase is the result of government taxation or fuel
surcharge allowed by the Canadian Transportation
Agency. Every effort will be made to advise your travel
agent of any price increase at least 15 days prior to your
departure date. In the event of an error in published
rates, you will be given the option to accept the change
or to cancel for a full refund of all monies received
by Sunquest.
Applicable Law: Regardless of your holiday destination, any dispute between you and Sunquest shall be interpreted in accordance with the laws of the place of
your departure from Canada and international conventions and agreements referred to herein. Notice: No
agent or representative of Sunquest or any other service
provider has the authority to modify or waive any provision of these Terms and Conditions.
Arbitration: Any claim or dispute (including, without
Sunquest’s Responsibility: The travel services provided
are subject to the Travel Industry Act (ON), Travel Agent’s Act
(BC), Travel Agent’s Act (QC) or any other similar act enforced in the province of residence of the purchaser or in the
province where a vacation was purchased from Sunquest and
Regulations thereunder and are subject to the conditions imposed by the suppliers and such suppliers’ (and Sunquest’s)
liability is limited by their tariffs, conditions of carriage, tickets and vouchers, and international conventions and agreements, as amended (eg. The Warsaw Convention, The Athens
Convention & The London Convention).
You agree that Sunquest shall not be responsible or
liable for, and you hereby waive any claim arising out of or
relating to, any loss, damage, injury or illness whether physical or mental, resulting from any delay, substitution of
equipment, or any act, omission, negligence or commission
of any third party supplying any of the services
or accommodation herein, its agents, servants, employees,
subcontractors, or for any claims for such loss, damage or injury, whether physical or mental, arising therefrom, or from
any cause that arises by reason of actions of parties other
than Sunquest. Sunquest reserves the right to decline any
passenger as a member of these tours at any time.
Privacy Policy: Sunquest is compliant with the Personal Information Protection and Electronic Document
Act (P.I.P.E.D.A.) that went into effect January 2004. A

claims made directly by you or by anyone connected to
