We offer our clients and customers foods that are produced in a sustainable manner, from the farm, to the table. • Our seafood meets all Seafood Watch program guidelines, ensuring it is caught or farmed sustainably. Local vendors are our source whenever possible. • Our menus highlight sustainable and organic producers in the Monterey Bay region and Central California. • We’re committed to working with local distributors to decrease fossil fuel use, and we source produce, dairy, fish and meats within 150 miles whenever possible. • We serve food in a responsible manner, ensuring minimal waste in the planning, purchasing, preparation and portioning of our meals. • Our goal is to achieve zero landfill use in all food and beverage operations by reducing packaging and increasing recycling and composting. Prices and availability subject to change. event Guidelines other information you should know. e following guidelines outline the reasons we offer private event opportunities at our non-profit aquarium. ey also include additional background information you’ll find helpful as you arrange an event for your group. 2014 Events Kit event Guidelines Mission The mission of the non-profit Monterey Bay Aquarium is to inspire conservation of the oceans among all who visit. Our world-class aquarium explores the remarkably rich and diverse ocean wilderness just beyond its decks—a bay so special, and protected, it has been declared one of the nation’s largest marine sanctuaries. People may become inspired by an Aquarium visit in a multitude of ways. The Aquarium is available for private events in part because these offer a uniquely personal way to learn, and better appreciate, the vital role of the oceans in all our lives. An Aquarium party has a bigger purpose. The exhibits and programs provide a wealth of educational information, and additional educational programs and opportunities are available to visitors and event guests on request. Event Staff Decorations Your Event Manager will assist you with the event space, logistics, guest entry, music, decorations, and educational programs. One Aquarium Guide will be present for each 100 guests at no additional charge. Additional Aquarium Guides may be requested at a fee of $75.00 per guide, plus applicable taxes. Each event is also provided one Event Ambassador to provide guest count numbers, entry and exit, greet guests, and act as a liaison with operational departments to accommodate guest’s needs. Your Event Manager can arrange for decorations, floral centerpieces, and special linen rental. Non-electioneering promotional signs and banners must be approved by the Aquarium and if approved, installed by Aquarium personnel. No electioneering signs may be displayed at any time. The Event Manager must approve the location for your displays. Education Programs Education programs are available for any and all events at the Aquarium. Ask your Event Manager about all the options, from guided tours to hands-on experiences. He or she will also provide descriptions and rates for all programs. Care of Aquarium Facilities Admission Groups of less than 300 guests may have exclusive use of one wing of the Aquarium and may also reserve the other wing, if available, three weeks prior to the event date. Groups exceeding 300 guests may book both wings of the Aquarium. Admission fees include the following: admission and private use of the area(s) designated in the Catering Services Agreement between you and Monterey Bay Aquarium Catering (“Caterer”) for your event (“your agreement”), event coordination, custodial services, security personnel, and on-site event staff. (Please note that your group will only have use of the part of the Aquarium indicated in your agreement). We respectfully request that your group treat the Aquarium with the utmost care and respect. It is a museum environment, and because of that, the Aquarium specifically prohibits confetti, live fish, sea shells, dried marine life, glitter, rice, birdseed, bird feathers, live birds, adhesive tape, sand, monofilament, Mylar and/or helium balloons, and Mylar ribbon in the Aquarium. No items may be attached by any means to the walls, floors, exhibit graphics, or other parts of the buildings, furniture, or surrounding areas. The Aquarium is a non-smoking facility. Amplified music may be subject to volume control and placement at the discretion of the Event Manager or other authorized staff. Outside Vendors Outside vendors must contact the Event Manager no later than two weeks prior to your event to coordinate delivery times, loading areas, set-up locations, and pick-up schedule. Please plan on providing your own staff, carts, hand trucks and the like to move any event-related objects. The Aquarium will not provide any support for this purpose. Scheduled deliveries are allowed only on the day of the event, as the Aquarium has limited storage facilities. Your outside vendors are required to provide certificates of insurance covering their liability for the event services as described in your agreement. Removal of materials You will be expected to remove all decorations, promotional materials, supplies, rental equipment, etc., and to leave the Aquarium in a clean condition, within 30 minutes following the event. Neither the caterer nor the Aquarium is responsible for any materials or equipment which you or your vendors leave behind. 2014 Events Kit Security Fundraising events Catering Aquarium security personnel will be on site during your event. Your group will be expected to cooperate with any requests made by Aquarium security personnel. Non-profit organizations may hold fundraising events at the Aquarium on the following terms: The following provisions govern food and beverage services for your event: • Clients must pay full admission fees and food and beverage charges and abide by the terms of the Catering Services Agreement and these Event Guidelines. • All food and beverage services are to be provided by the caterer. The Aquarium does not allow groups or individuals to bring food or beverages into the Aquarium. • No event may involve lobbying--the support for or opposition to candidates or legislation. • • No event may involve fundraising for political candidates or political parties. The event ambassador will count the number of attendees at your event. You will be charged the guarantee number provided or the number of guests counted at the door, whichever is greater. • All promotional and advertising materials which include the Aquarium’s name must clearly state that the client is sponsoring the event and may not identify the Aquarium as a sponsor or host. All such materials must be reviewed by the Aquarium for quality control purposes and approved in advance. • Due to the configuration of the Aquarium and the intent for guests to enjoy the exhibits before and after dining, 60 percent seating is provided for strolling dinners. Additional seating may be added upon request for the following fees: Photography and tripods Your Event Manager will advise you which exhibits are approved for still and video photography. Photographers may use tripods or monopods only when necessary. Photographers are prohibited from using images or footage taken at the event for purposes other than those related to the event, and may not be used for any commercial purpose without the written consent of the Aquarium’s public relations department. Photos for promotional use can be requested through the Aquarium’s public relations department. All such images are the copyrighted property of the Monterey Bay Aquarium Foundation and provided for one-time use only in conjunction with your event. They may not be archived or transferred to a third party and must be deleted at the conclusion of the event. The images must be credited to Monterey Bay Aquarium Foundation and any photographer named in the caption. • 60” round tables – $60.00 per table (plus applicable taxes) Neither the Aquarium nor the caterer will sell tickets for your event, nor may tickets for your event be sold at the door. 30” low round tables – $30 per table (plus applicable taxes) Additional Catering Fees • Chef attendants - $150 for each chef attendant necessary based upon menu selections (plus applicable service charge and taxes). 2014 Events Kit Bar policies Event Rates/Guarantees Bars may be set up as full bars or as wine, beer and soft drinks Your Event Manager will review event rates, site capacities and options for your group. To provide the highest quality service we ask that you provide food and beverage orders 14 days prior to your event. • Hosted Bar – We provide (1) bar setup, 2 bartenders for every 150 guests • Cash Bar – We provide (1) bar setup, 1 bartender for every 100 guests • Bar setup fee is $150 with a $500 minimum sale per bar. Setup fee is waived if $500 is met for each bar. • Additional bar request – $250 set up fee with a minimum sale per bar. Setup fee is waived if $500 is met. $150 for each additional bartender requested. • Corkage will incur a fee of $25 per 750ml bottle, $50 per magnum bottle, and $100 per double magnum bottle. We require guaranteed attendance counts in accordance with the following schedule: • Groups of up to 250 – five (5) business days prior Groups of 251-750 – eight (8) business days prior Groups over 750 – ten (10) business days prior Guaranteed number is NOT subject to reduction. If guarantee is not received, the expected number of guests given on the signed contract will be used as your guarantee. We will be prepared to serve 3% over the guaranteed number of guests, with such excess not to exceed 50 attendees (the "Overage Allowance"). Increases to guaranteed guest counts after the required notice above will be subject to a 10% surcharge for each additional guest. In the event that Caterer serves 10% or more in excess of the Guaranteed Attendance, Client shall pay a surcharge of 10% of the per person charge for each person served at the Event in excess of the Guaranteed Attendance. In the event Client increases the amount of the Guaranteed Attendance (subject to Caterer’s approval) following the Guaranteed Attendance Due Date, Caterer will not plan for any Overage Allowance, and any service in excess of the Guaranteed Attendance will result in surcharges. Upon request, a floor plan reflecting table placement will be provided. Any requests to change the pre-determined floor plan will be subject to labor fees to be determined based on the request itself.
