Who is eligible for the New Hire Wizard:
• ADP Workforce Now 2.0

Requirements • All departments that are in payroll, must be in Time & •

Attendance
All termination codes in payroll must be in Time & Attendance.
The position codes in Time & Attendance must match the job titles in Payroll
All users in Time & Attendance that are marked as an admin, must be assigned to the practitioner security group
All users that are marked as a supervisor, must be assigned to the manager security group
Payroll needs to have features enabled

Security Groups
What are Security Groups and how do they work?
• Security groups are designed to give clients the ability to assign employee’s to more than one supervisor at a time regardless of department or primary supervisor assignment
• Employees are attached to a security group so that the user(s) of that group can view their timecard, make edits, approve time off, modify schedules, etc
• Users(supervisors and/or administrators) are attached to a security group so they have access to employees within that group
• Supervisors and administrators only have access to view employees that are within the group(s) they are assigned

Portal Security Groups vs. Time and Attendance Security Groups:
• In Time and Attendance, we speak about Security Groups, this can also be referred to as Supervisor Access
• In Time and Attendance, this controls who can see who
• We will be discussing the Time and Attendance Supervisor Access today
• In the Portal, Security Groups are controlling what tabs in the portal that employees can access
• These can also have special groups created to have supervisors or admins only see certain sections of the system. For instance, an admin who can only see Time and Attendance not Payroll

What’s the difference between User security and Employee security?
• Employees belong to a security group so the Users of that group can view their data (timecards, exceptions, time off, etc.)
• Users oversee the employees within the group they have been given access to
• Employees can be attached to multiple security groups and supervisors can have access to view multiple security groups as well

Naming Conventions
• We recommend to name the security groups in a default naming convention
• Using a group named after the supervisor is not recommended as the supervisors can change over time
• In order to remove a security group; all employees, including terminated, must be removed from the Security Group prior to deletion
• Using a group name, much like GRP01 is optimal, as you can easily change the descriptions to be the Supervisor name, or even Department name
Important Notes
• Employees that are not supervisors will probably not be in the user security section
• Supervisors and administrators are limited to the groups that they are assigned to view
• If a supervisor cannot access an employee’s timecard or schedule then there could be a security group ASSIGNMENT issue

The accuracy of GPS location reporting varies among devices issued by the client and those personally owned by its employees

Works with single position employees
Supervisor Approval is limited to 100 employees. Geographical restrictions can be based on the GPS Coordinates or the Individual Address configured in the Time and Attendance Software
• Coordinates are determined by a GPS Calculator
• Range minimum 1 meter to hundreds of miles
• If employee tries to clock outside of the GPS coordinates specified, it will show a successful punch, but will never post to the timecard
