Questions and answers regarding RFP Marketing Agency 2013 – posted 7/31/13 Q: How many firms are being invited? A: Approximately 20 invitations were sent out. It was also advertised, as required by Jo Daviess County in the Galena Gazette and the Flash, both weekly papers. The RFP is also posted on the CVB website and the Jo Daviess County website. Q: Is the existing marketing plan on the website? Can you provide any detailed advertising budget information? A: The existing marketing plan was approved at the January 2013 meeting of the CVB Board. It is posted with this information. Also attached are the expenses we have committed for first quarter of FY2014. Q: Can you provide an overview of the promotional tactics that have worked best for the CVB over the past year? A: The most recent reports from our online advertising and website are attached. We have also referenced the 2011 study done by the University of Houston in decision making. Q: Is there any new destination ‘product’ or enhancements in the works now or in the future? A: A new winery opened in July, a new distillery is expected to open this fall. We are trying to put together a chess tournament. Q: Are translations, applications and implementations for International media included in the budget? A: They are not. Costs involved are absorbed through the regional office, since they do most of the international marketing. They have marketed the destination for international travelers from Canada, United Kingdom, Germany, Japan and Mexico. We do plan to participate at IPW in Chicago in 2014. Q: Should the e-newsletter costs be included in the advertising budget? A: Costs would only be for a design/template change. Q: Is the budget of $350,000 an increase, decrease or the same as 2012 and 2013? A: The budget is the same. Q: What events are organized and promoted by the CVB, if any? A: The CVB organizes the Triathlon in May and the Lead Rush in November. We promote the entire county and that includes numerous events. Q: Does the CVB have internal advertising and marketing support? A: The Executive Director and the Director of Sales and Marketing can and will offer support. Q: How many room nights are available with hotels, resorts and in in the county? How many properties? A: Approximately 1,100 rooms are available. Lodging businesses enrolled with the CVB number 89. Q: Can you explain this from the disclosure? ”The content of all proposals, correspondence and any other medium which disclosed any aspect of the request for proposals will be considered public information when the award is announced.” A: The CVB is a department of county government. As a department of government, we abide by the open meetings act and are subject to freedom of information requests.
