Photography We welcome professional and amateur photographers and provide ample opportunity for photographs in these picturesque surroundings. The taking of pictures is restricted to the immediate Clubhouse area (property on the west side of Islington Avenue). Please do not go onto any fairway, tee or putting green. Receiving Line (allow approximately ½ hour for 100 people) We will be pleased to assist you in the arrangement of your Receiving Line. Our host will be in attendance to advise you on this timing. The ‘Cake Cutting Ceremony’ for the wedding cake usually takes place after the Speeches and Toasts are completed. Music and P.A. System Our banquet rooms are supplied with suitable background music and are also equipped with microphone and P.A. system for speeches and toasts. Music for dancing should be arranged by the Convener, but we can recommend musicians, bands or disc jockey services. Confetti/Rice/Bird Seed/Bubbles We request that confetti not be thrown in the Clubhouse or on the Clubhouse grounds. An additional charge of $300.00 will be levied if confetti, rice, rose petals, table sparkle confetti or bird seed is thrown on the Club property. Bubbles are permitted on the property, but only on carpeted or grass areas for safety reasons. Florals and Decorations These depend on individual preference. Bud vases or other floral decoration for the guest tables may be arranged by you or by St. George's. Floral arrangements are usually placed on the Head, Guests', Book-signing and Gift tables. All food and beverage must be purchased through the Club. We do not allow any food or beverage to be brought onto the premises other than wedding, birthday and anniversary cakes. In the event such permission is granted, the Club is authorized to charge for the service of said food. In accordance with the Public Health Department Regulations and Club Policy, St. Georgeʹs does not allow any unconsumed food prepared by the St. George’s Golf and Country Club for the function to leave the premises. Any exception to this rule will be made at the discretion of the Club management only. In such cases, the Club waives any liability whatsoever resulting from the transport, refrigeration or preparation of said food once it leaves the Club property. Our full service catering department can coordinate floral arrangements and decorations, specialty linen, audio‐visual requirements and musical entertainment, or anything else you may need to perfectly complement your selected theme and create the desired ambience for your event. You will note in the following information that we have attempted to anticipate most of your questions, however, should you note something that has not been specified, such as menu suggestions, you need only to ask and we shall do our best to accommodate you. 1) 2) Menu Selection To ensure availability of food items selected, we ask that you submit your menu choice to our Catering Department at least two weeks prior to the function and two months prior to a wedding. When selecting your menu, please remember that for each meal function the menu should be identical for all guests attending. All courses (Appetizer, Entrée and Dessert selections) are limited to one choice, unless special dietary or religious restrictions apply. Special dietary substitutions are available (in limited quantities) and must be arranged for in advance of the function. St. George’s requires the names of all guests who may be allergic to any food or beverage item. We also cater to special vegetarian needs as well. Those guests who are to receive these special meals must be identified to the banquet staff prior to the service commencing. Upon the request for more than one entrée selection, there will be a $5.00 per person surcharge applied to the function and the Convenor must confirm the exact number of each entrée as well as provide a colour coded place card or place card with a symbol for each guest denoting their entrée selection. If you would like a choice of two entrées, the price will increase to the higher entrée price with the addition of the $5.00 per person surcharge. Should you wish a menu selection that is not listed in our catering package, please consult with our Catering Department. If a specific product is requested that is not included in our banquet list, the Convenor must purchase the remaining unused product from the St. George’s Golf and Country Club (i.e. specialty wine). Kindly note that an additional labour charge is applicable for all staff required for events held on Statutory Holidays (minimum of 4 hours and minimum attendance of 40 guests). Special Cakes (i.e. Wedding, Birthday or Anniversary) A handling charge of $2.50 per person will be applicable when a special cake is cut, plated and served individually. If a special cake is cut, plated and served individually on fruit coulis with a seasonal berry garnish, there would be a surcharge of $3.95 per person. A $4.95 per person surcharge will be applicable for a special cake cut, plated and served individually with variety of seasonal berries and drizzled fruit coulis. A $50.00 cake cutting fee will apply to parties of 30 persons or more when a special cake is cut and placed on a buffet (whole) for guests to serve themselves (i.e.: Late Evening Sweet Table). We request that any cake requiring refrigeration be delivered on the day of the actual function. 3) Prices All prices are subject to change without notice; however, the Club will honour prices for 30 days after price change. All food and beverage prices are subject to the applicable taxes and service charge. 4) Guarantee In arranging guarantees for functions, it is the sole responsibility of the Convenor for any given function to contact the Club with the specific number of attendees for any food function. Confirmation of the final number of attendees is required five (5) business days in advance (does not include weekends or holidays) of the scheduled function. We will allow a variance of increased numbers only, up to 48 hours prior to the event. The number used for billing purposes will be either the guaranteed number or the actual number of persons in attendance, whichever is the greater. If the guaranteed number has not been received, the billing will be made out for the number of persons for which the function was originally booked or the actual number of persons in attendance, whichever is greater. St. George’s prepares all banquet meals based on the guaranteed number. We will not be responsible for providing the agreed menu and seating for a number which exceeds the guarantee. Please note that there is a 5% Goods and Services Tax on the 15% Service Charge. 6) Room Set Up/Rental A nominal room set up/rental charge is allocated for a private room for member and non‐member (member sponsored) functions. See page 8 for Room Set‐Up/Rental Rates and Capacity Schedule. Kindly contact our Catering Department for additional information. 7) Rental of Equipment We can arrange to rent audio visual equipment for meetings to suit your requirements with one (1) week’s notice. We also have equipment at the Club for a minimal rental charge. See page 9 for list of Equipment and Rental Prices. 8) Linen Charges St. George’s Golf and Country Club will provide house linens ‐ white or ivory Damask tablecloths and white or ivory Damask cloth napkins. During the Christmas season only we will also provide at no charge red, burgundy or dark green napkins (subject to availability). There will be an additional charge for coloured napkins, brocade, organza overlays and floor‐length linen for private functions. 9) 10) Floor Plans and Room Arrangements Floor plans and room arrangements will be provided for all functions. Disc Jockey/Bands/Pianist/Musicians/Florist/Photographers/Videographers It is usually left to the Convener to make arrangements for musicians/pianist according to the Convener’s specifications; however, the Club can make recommendations upon request. Due to safety, all wires and cords must be taped down. Information pertaining to power needs should be discussed no later than two weeks prior to function date. Standard electrical power is available in all rooms. Upon arrival to the Club to unload equipment, please do not block the stairs to the front entrance. Quickly unload equipment and park your vehicle. During set up, we kindly ask that denim, jogging gear, spandex and T‐shirts not be worn. A charge will be added to any function utilizing a Disc Jockey or Live Entertainment for the use of copyrighted music This charge represents the SOCAN fee, which is now being levied by SOCAN (see page 9&10 for SOCAN Fees.) 11) Entertainment St. George’s Golf and Country Club should be advised of all entertainment and/or audio visual equipment being provided by the Convener for the function(s). Also, the Club should be advised of the delivery time of any equipment which is being used at the function. All delivery and pick‐up times must be coordinated with St. George’s in advance of the event. The Catering Office will be happy to assist you in arranging entertainment/audio visual requirements. As St. George’s is located in a residential area, music must be kept to a moderate level after 10:00 pm. St. George’s reserves the right to control the volume of music. All music must cease by 1:00a.m. unless prior arrangements have been made with the Catering Department and noted in writing. An additional fee will be incurred for this request. Pyrotechnics are not allowed on St. George’s property. St. George’s does not allow smoke and fog (even water based) machines due to sensitivity of our fire alarm system. 12) Deposit ‐ Meetings/Private Functions/Weddings A deposit is required for all weddings and certain private rooms on specific days or evenings of the week. The deposit will be credited to the final statement for the event. A function is tentative until the responsible person or authorized representative remits the assigned deposit within the requested time frame of one (1) week (7 days). If no deposit is received by the date indicated, St. George’s reserves the right to release the booking (function room). If another request is received prior to your decision date, you will be notified that a confirmation and deposit are required immediately to guarantee your booking. M9C 3M9 Tel: 416-231-3393 Fax: 416-231-6432 www.stgeorges.org 12/09 pg. 2 Catering Terms and Conditions (continued) 13) Cancellation Policy (excluding Saturdays) Should it become necessary to cancel either a meeting or a food and beverage function, the following criteria will govern applicable cancellation charges, if any, for same. The Wedding Policy for cancellation applies for all Saturdays and Sundays. (See #14 Wedding Deposit Cancellation.) Functions for 30 persons or less requires 10 days notice of cancellation; 31‐50 persons require two (2) weeks notice of cancellation; 51 persons or more require four (4) weeks notice of cancellation. If cancellation occurs less than 24 hours before function, room rental and deposit would be forfeited as well as a food fee (if applicable.) Written notification is required in order to cancel a function. PLEASE NOTE: For specific functions that differ from the above cancellation policy, kindly refer to your personal confirmation letter or contract for details of the policy pertaining to your own specific function. N.B. In the event changes are made to the St. George’s “General Contract Terms & Conditions” found on the function agreement or letter, these changes will supersede the aforementioned banquet guidelines. Force Majeure St. George’s Golf and Country Club will not be responsible for your function should any unforeseeable event take place such as an Act of God, disaster, government regulation, or any other emergency ‐ making it illegal, unsafe, or impossible to hold your scheduled event. 14) Wedding Deposit Cancellation Due to the advanced planning and detail required for Weddings, St. George’s Golf and Country Club has a separate Wedding Cancellation Policy. In the event of a wedding cancellation, a portion of the deposit is refundable if the room is re‐booked for another comparable reservation. An Administration Fee of $750.00 will be deducted and the balance refunded. If we are unable to re‐book the room, the entire deposit will be forfeited. The applicable deposit required for your function will be indicated on your contract. Also indicated on your contract is when the final payment is required. 15) Billing and Payment The Club will prepare a detailed billing statement and mail it to you shortly after the conclusion of your function. Payment in full is due within 30 days of receipt. Accounts that are not paid within the allotted time will be charged interest accordingly. The Club will accept cash, non‐postdated cheques or money orders as payment. 16) Payment of Member‐Sponsored Weddings An estimated total cost of the wedding will be provided when the menu and final function details have been arranged (no later than one month prior). Payment of the estimated cost, less the initial deposit, is required one week prior to the function date by Certified Cheque (payable to St. George’s Golf and Country Club) or Money Order. We reserve the right to cancel the event if full prepayment has not been received and processed by the Club five days prior to the event. Any discrepancies between the estimated cost and the total final billing will be either invoiced or reimbursed following the function. 17) Overdue Accounts Bear Interest. Overdue accounts shall bear interest as per Club policy until paid. Sponsor St. George’s Golf and Country Club is a private club catering to members. All functions held at St. George’s must be either booked by a St. George’s member or sponsored by a St. George’s member. A confirmation of sponsorship form for member‐ sponsored bookings must be completed by the sponsoring member at the time of the booking. Note: For most sponsored events, a Visa or MasterCard number with the 3 digit verification code and expire date are required. The sponsoring member is responsible for guaranteeing the function account and may be required to provide a letter of confirmation that he/she will be sponsoring the function. He/she assumes responsibility for any or all damaged property in addition to the proper conduct of all guests according to the Club Rules and Regulations. Members are encouraged to sponsor functions for non‐members. Attendance by the sponsoring member is encouraged, but not mandatory. 18) Minimum House Account Sponsored private functions will be credited to a memberʹs minimum house account. 19) Code of Conduct ‐ Member Responsibility‐Security St. George’s Golf and Country Club reserves the right to control all functions held on the Club premises and to discontinue service of alcoholic beverages at any time, if in the judgment of the Club staff on duty, it would be in the best interest of the Club and members/guests to do so. The Club reserves the right to ask members/guests to leave the Club’s premises if any house rule is being abused. Children must not be left unattended at any time. Catering Terms and Conditions (continued) The Club does not permit the affixing of anything on the walls, floors or ceiling of rooms with nails, staples, tape or any other substance, unless approval is given by the management. In the event this is done and any damage is suffered, the cost of repair and/or replacements will be billed. In particular, confetti or rice is not permitted inside or outside the premises of St. Georgeʹs Golf and Country Club. A $300.00 cleaning charge will apply if confetti or rice is thrown. Rules and Regulations of St. George’s Golf and Country Club ¾ St. George’s Golf and Country Club reserves the right to close down the event should it pose a security risk to guests, staff or St. George’s property. ¾ Smoking is not permitted inside the Clubhouse; however guests may smoke at designated areas outside. ¾ St. George’s Golf and Country Club has a zero tolerance policy for any used of force including public displays of belligerence or physical abuse directed at any staff member or guest, or for possession of objects which could be construed as weapons. ¾ St. George’s Golf and Country Club has a strict policy on the service and consumption of alcoholic beverages. St. George’s servers are required to implement the Club’s standards as well as those of the ABCO. We reserve the right to refuse service to any person we believe has reached a level of intoxication. ¾ Dress Code is in effect and must be adhered to for all private functions. Business or Smart Casual dress is required. The Club has a dress code whereby there are no blue/black jeans, denim, tights/leotards/spandex pants, jogging suits or short shorts allowed on the premises. Men must refrain from wearing headgear in the Clubhouse lounges and dining areas ‐ with the exception of cultural and/or religious headgear. The Club reserves the right to refuse service if the Dress Code requirement is not met. We request that organizers inform their guests regarding this policy. ¾ Cell phones or BlackBerry (‘Wireless Communication Devices’) are not permitted in member or public areas of the Main Clubhouse. An exception has been made for private functions, and cell phones/BlackBerry are permitted to be used inside the function room only. ¾ Guests of St. George’s Golf and Country Club should understand they will be restricted to specific areas as per function reservation and that other parts of The Club are for the exclusive use of the members. ¾ St. George’s Golf and Country Club reserves the right to refuse to admit any person to its premises if, in the opinion of St. George’s G & CC staff acting reasonably, there is a reason to believe that such person may violate any of the above Rules and Regulations of St. George’s Golf and Country Club. 20) The Patronʹs Responsibility The patron will conduct the function in an orderly manner and in full compliance with the rules of the Club and with all applicable laws, ordinances and regulations. Guests of St. George’s Golf and Country Club should understand that other parts of the Club are for the exclusive use of the members only and they will be restricted to specified areas as per the function reservation. The Club reserves the right to exclude or eject any and all objectionable persons from the function or the Club premises without liability. 21) Liabilities It is understood and agreed upon by both parties hereto that St. George’s Golf and Country Club shall not be liable or responsible in any manner whatsoever for any damages, sustained by any party to the contract or by any person, firm, or corporation and the Convenor agrees and undertakes to indemnify St. George’s Golf and Country Club against any and all claims and expenses by any person, firm or corporation for any loss or damages resulting in: ¾ St. George’s Golf and Country Club being unable to perform the services set out in the Contract as a result of any accident, act of war, flood, fire, force or “Act of God”. ¾ The conduct of any person or persons attending the function. ¾ The conduct of the Convenor and the management of the function by the Convenor. The Convenor agrees to indemnify and save harmless St. George’s Golf and Country Club against any and all claims and expenses presented by any person or persons, firm or firms, corporation or corporations attending the function for loss or damages sustained in the areas of the Club designated for the holding of this function. The Convenor agrees to reimburse St. George’s Golf and Country Club for any damages done to any part of the Club premises or equipment that is caused by any person or persons attending the function. St. Georgeʹs Golf and Country Club will not be responsible for any articles left in the building or for loss or damage of any property of any kind including vehicles left on St. George’s property. Personal belongings and equipment must be removed from the function room at the end of each day. St. George’s will assume no such liability. Displays, exhibits, banners, decorations, or signs must conform to the City Fire ordinances. Each group is also Catering Terms and Conditions (continued) responsible for the conduct of all guests within their organization. We reserve the right to inspect and control all private functions and any damages will be charged accordingly. 22) AGCO and Closing Hours The sales and service of alcoholic beverages are regulated by the Alcohol and Gaming Commission of Ontario (previously Liquor License Control Board of Ontario ‐ LCBO), federal and municipal regulations governed by the Ontario Liquor Laws. No liquor or beverage services will be permitted prior to 11:00 a.m. and after 1:00 a.m. Monday to Sunday as per St. George’s Golf and Country Club policy. All entertainment must cease at 1:00 a.m. on Monday to Sunday in order to vacate the function room by 1:45 a.m. St. Georgeʹs and its representatives maintain the right to withhold service to any guest who may appear intoxicated or is not of legal age for alcoholic beverage consumption. The patron agrees to begin the function promptly on the scheduled time and also agrees to have the guests vacate the designated function area at the closing hour indicated. The regulations of the Liquor Licence Act of Ontario will be strictly enforced at all times. All beverages must be purchased through the Club. Our service team has been certified on Smart Serve for the safety of our guests. Smart Serve is dedicated to delivering responsible service training to all individuals who serve alcoholic beverages in the province of Ontario. 23) Lost Items We regret we cannot be responsible for any lost or mislaid personal belongings or equipment brought into the Club. Our Catering Office is happy to accept wedding favours, guest book, wedding cake (not requiring refrigeration) 24 hours in advance of the wedding function. We request that all such items be delivered to the Catering Office only and not directly to the function room. While we aim to do our utmost to assist our guests in this regard, we regret that all such items left on St. George’s property are at the persons own risk. Furthermore, we do not accept any responsibility of any loss, theft or damage of such items, however caused. 24) Dress Code Members are advised they must apprise themselves and their guests of the Clubʹs Dress Code Policy and be responsible for the implementation of that policy. It is suggested that members advised their guests ahead of time to avoid any embarrassment. Failure to obtain written permission may result in the cancellation of your event. 27) Smoking Policy All persons attending functions in our banquet facilities are asked to refrain from smoking in the Clubhouse building or under fixed awnings (porte cochere). Smoking is permitted outdoors only at noted locations. 28) Parking Complimentary parking in the Club’s spacious, lighted parking area. 29) Storage Due to limited space, St. George’s Golf and Country Club may not be able to accommodate requests to store personal or third party items prior to and following your event. St. George’s is not responsible for any lost, damaged or stolen items; and any items left behind after an event. Any items left after an event for more than 24 hours will be disposed of. In accordance with the Tariffs (SOCAN) you are required to pay a mandatory fee established by the Society of Composers, Authors and Music Publishers of Canada (SOCAN) for any function utilizing a Disc Jockey or Live Entertainment to use copyrighted music. Special Cakes (i.e. Wedding, Birthday or Anniversary) A handling charge of $2.50 per person will be applicable when a special cake is cut, plated and served individually. If a special cake is cut, plated and served individually on fruit coulis with a seasonal berry garnish, there would be a surcharge of $3.95 per person. A $4.95 per person surcharge will be applicable for a special cake cut, plated and served individually with variety of seasonal berries and drizzled fruit coulis. A $50.00 cake cutting fee will apply to parties of 30 persons or more when a special cake is cut and placed on a buffet (whole) for guests to serve themselves (i.e.: Late Evening Sweet Table). We request that any cake requiring refrigeration be delivered on the day of the actual function. Club Piano Rental and Tuning There is a Baby Grand piano that can be used in either the Founders’ Room, St. George’s Room or Rotunda. There is no rental charge unless the Club Piano Rental must be moved, then a charge of $100.00 will apply. The Club piano is tuned on a regular basis. If requested to be tuned, then a charge of $200.00 will apply. Confetti/Rice/Bubbles A charge of $300.00 will be incurred if rice/confetti/table sparkle confetti/rose petals is thrown on the Club property. Due to the safety of guests, “Wedding Bubbles” are only permitted on carpeted areas or outside the building. Floral Arrangements We will be happy to order the flowers for your function and your account will be billed ‘At Cost’. If you wish to bring in special arrangements, you may do so. Wedding Rehearsals No additional charge for wedding rehearsals. Note, subject to availability and rehearsal areas may not always be set up as per your final ceremony arrangements. Wedding Ceremonies A charge of $395.00 plus applicable taxes will be applied for set up and facilitation.
