VOICELINK | 3 WORDS OF WISDOM Th e Leadership Excellence Series Motivating People To a s t m a s t e r s I n t e r n a t i o n a l ’ s T h e L e a d e r s h i p Excellence Series is a set of programs addressing the subject of leadership. Members will learn about the skills they need to be successful inside and outside of To a s t m a s t e r s . Motivating People – Background for Presenter Most of the Programs in the series may be presented by the Vice President Education or other club member and may require up to 10mins for presentation. If you have more time available, you can involve the audience in the program by leading some of the points covered in the script or by selecting an appropriate exercise for them to complete. You may also want to personalize your presentation by giving appropriate examples form your own experiences to illustrate some of the points in the script. Motivating People – Presenter’s Script One of the distinguishing characteristics of a successful enterprise is a highly motivated workforce. The ability to motivate people – getting them to perform in a superior fashion – is one of the 4 | VOICELINK most valuable skills a leader can have. This is just as true in Toastmasters, where everyone is a volunteer, as it is in the corporate world. Because humans are complex, so is motivating them. Motivating people would be easy if we were all alike, if our motives were all the same, and if we all had the same needs, wants and desires. But people have different backgrounds. As a leader, your goal is to understand the needs of your team members on the job. If you satisfy those needs, or even come close, you are more likely to have motivated team members who will succeed. WORDS OF WISDOM A motivated team will overcome obstacles of all types to accomplish its goals. Though it is part of your job, you are not primarily responsible for motivating team members to a successful performance. It is their job to motivate themselves. You can however, create and maintain an environment where team members have the opportunity to achieve a high degree of motivation. provide clear direction and purpose and not to retreat when you are confronted with tough decisions or difficulties. Bec ause humans are complex, so is motivating them. Basic Principles People prefer rewards over punishment. It is better to reinforce your instructions with the promise of a reward than with the threat of punishment. Misused rewards demotivate people. If you overuse praise or reward the wrong people, team members will lose their respect for you and their motivation to do well. People like to do meaningful work. When people believe what they are doing is important, they will feel good about their work and want to do it. People must believe you. Team members must know that you will do what you promise. People want you to act like a leader. Team members do not like indecision, disorganization, or lack of direction in their leader. They want you to As I mentioned earlier, people are motivated by different things. You must find out what motivates each of your team members and use this to motivate them. Once you know what motivates them, develop reward systems that match what they value. Following Are Things That Motivate People Money. Some people value pay increases and fringe benefits. Although this option is not possible in our Toastmasters club, it often works in our business environment. Praise. Some team members respond to praise. They like to know that they are appreciated. Make a point to meet with the team member and thank her. Follow up with a written note of appreciation. Public Recognition. Acknowledgement in meetings and in the company or in Toastmasters Club or district newsletter may inspire some team members. VOICELINK | 5 WORDS OF WISDOM More responsibility. Giving team members greater control over their work provides some team members more satisfaction and a desire to perform well. Reward only the desired behaviour. Reward only the behaviour that you want, and reward only when the team or person performs better than the standard. Punish undesirable behaviour. If you do not punish those who are not performing to your expectations, you will give them the message that their poor behaviour is allowed. This will allow the behaviour to continue, and other team members who do perform well will become discouraged. Eliminate demotivators. Often factors in the environment can cause problems for an frustrate a team. Removing these problems can create a more positive environment for the team. Promotion. Some members like the opportunity to achieve and advance in an organization. Reward Properly. Recognising positive behaviour should be done carefully. Recognise immediately. Reward somebody as soon as possible after the achievement. This encourages repetition of the behaviour. Reward somebody as soon as poss ible after the achievement. Th is encourages repetition of the behaviour. Match Skills To Jobs As you work towards creating a climate that motivates people, consider another factor. People like to use their talents and skills. Direct a teams member’s skills to the job that best fits these skills. For example, if one of your team members has excellent public relations skills and enjoys meeting and speaking with others, ask the person to be the Vice President Public Relations for your club instead of Club Secretary or Treasurer. The club will benefit, and the member will be motivated by the opportunity to use his natural skills. Conclusion Be specific. Explain why the behavior is being rewarded. Match the reward to the achievement. A team member who completes a complex, year long project should be rewarded more substantially than a member who spent an extra hour reviewing a document. 6 | VOICELINK When you understand what inspires individual team members to perform well and reward them appropriately when they do perform, team members will be committed to your goals and be willing to work hard to achieve them. You will have a climate that fosters motivation, and in turn, success. EVENTS Christmas Party 2005! T h e w a r m h o s p i t a l i t y o f S I M I I To a s t m a s t e r s members is a major reason why so many guests d e c i d e t o j o i n t h e c l u b . M u n S i o n g Yo o n g i s convinced that one learns best among friends. Good evening Madam President, fellow Toastmasters, ladies and gentlemen. Public Relations Is A 24/7 Activity I was reviewing the guidelines of speech one from the Advanced Toastmasters’ ‘The Public Relations Speech’ manual and it says that ‘Almost all of us are in the public relations business… When you apply for a job, make a sales call on a customer, or bring the boss home for dinner, you are engaged in public relations’. I totally disagree! Let me share with you why by way of a story. When I graduated from university, my church decided to make us over through employing an image consultant who’d teach us how to present ourselves in the workforce. When I met this trainer, I was informed, even before I opened my mouth, that my prospects for promotion would be severely hindered by my choice of eyewear. No, not this pair on my face. But this pair. [changes glasses]. Please don’t laugh so obviously. I can see from your reactions that there is an impact yes? 10 | VOICELINK Therefore, we are caught in the business of public relations every second of the day whether we like it or not. People assess us silently all the time, and not only when we are due for a promotion and certainly if they want to figure out if SIM II Toastmasters is the club to join. So the question for tonight is “Why SIM II Toastmasters?” And more importantly, what is the SIM II Toastmasters image we’d like to project when people are making a decision about our club? Why SIM II Toastmasters? To understand why members have not only joined SIM II Toastmasters but also stayed on for many years, let’s ask some of our members who’ve been with the club for awhile “Why did you choose to stay in this club?” [solicit responses] OK, I hear your answers. I did also ask this question discreetly during my informal conversations with many of you in this room over the past few months. And I keep hearing the same few words. They like Mun Siong Yoong B E S T P R E PA R E D S P E E C H E S SIM II for her friendly atmosphere, welcoming environment and supportive members. If you ask me, that’s a great compliment to everyone in this club, so please give yourselves a round of applause! All of us stay here because we have decided that ‘We learn best among friends’. Sure there are many champion clubs out there. We are a champion club too! But what sets us apart is that we are also a club where people come to see their friends and laugh away their stress on a Friday night. “If the word ‘Toastmasters‘ was left out of the title, it would like given SIM II the club more prominence over Toastmasters the organisation; as stipulated in the speec h objectives.” Prabhu Deva, CTM Our Unique Selling Proposition So now with this input in mind, Public Relations set out to communicate this value proposition of SIM II Toastmasters to the world at large. Let’s remember that we are a friendly people. Yes there are many champion clubs out there, but how many of them have a supportive environment that’ll help you along in a gentle and in an encouraging manner? I am not sure how many clubs out there offer this, but I’m pretty darn sure I like it here a lot. That’s why I’m staying! This value proposition is also reflected in the re-designed corporate website http://www. sim2toastmasters.com. As you can see, the colour scheme is full of reds and browns. It uses a simple interface and the emphasis is on giving you the information that you seek. For example, if your are a guest looking to find out more, there’s information on the background of the club and how you can join us. If you are a member, there are up to date files e.g. program schedule, latest news and photos for you to browse. So please feel free to browse our community website and direct guests there. By doing this, you’ll not only have more time to connect with your guests, you can also leave the nuts and bolts of how to become a member and other procedural details e.g. ‘how does one become a Competent Communicator?’ to the website and other Public Relations press releases. You can spend your time with people telling them how you’ve learned from SIM II, and when people ask you how they too can benefit from the experience, feel free to show them the friendly supportive environment that you are a part of. After all, you learn best among friends. President, Toastmaster of the evening, fellow Toastmasters and guests. Falling Sick Can Be Costly In Singapore, 8,000 are diagnosed with cancer every year. Every day, 3 women are diagnosed with breast cancer. I can go on and on with the statistics gathered. We do not know when we will be struck with an ailment. Even if we don’t fall seriously ill today, we will face aging ailments later like hip fracture, osteoarthritis, stroke, etc. Treatment for an ailment is extremely costly in Singapore. Let me share some real life examples with you: Last year, I had a breast lump removed. Fortunately, it was benign. The cost for a one day stay plus surgery at a private hospital came up to $6000. In September this year, my mother had a total knee replacement surgery on one leg at a private hospital. The total cost exceeded $20,000. My friend’s brother had a liver transplant in March this year. The transplant was performed by the 12 | VOICELINK surgeon who had operated on Mediacorp artistes, Andrea De Cruz. His fee alone was $250,000. The total cost of the surgery exceeded $500,000. The follow-up medical cost is minimum $5,000 per month as long as he lives. How can we afford this? I used to think that Medisave and Medishield/Incomeshield and our employer will cover all the medical costs. But experience tells me otherwise. For my operation last year, only $900 can be deducted from my Medisave. My employer, then DBS Bank, reimbursed me $1,500. The balance amount was paid from my savings. Some employer like DBS Bank or the government bodies, go by a standard surgical table limit which limits the amount of claims. If this operation falls under table 2c, then its $850 + A class ward based on government hospital rate. From Incomeshield, nothing because Kelly Yeo Ka Lye B E S T P R E PA R E D S P E E C H E S the total claimable limit was less than $1,500. Medishield and Incomeshield cater to serious discovered a breast lump last year. She paid $500 to have it removed at the Singapore General Hospital. The lump was tested benign. Her wound did not “Th ere was good vocal variet y and her gestures were confi dent and well articulated.” I. Warton Ong, ATM-B ailments like cancer and long term stay in the hospital. The do not pay 100% of the medical costs incurred. Please note that we do not have life long employment today. So, do not rely on your employer to meet your medical costs. My mother’s total operation costs were about $20,000. From her Medisave - $4,400. From Incomeshield - $6100. The balance amount was paid from our savings. Post operation care like physiotherapy which amounted to more than $1,000 came from our savings. Be On Guard Against High Medical Costs My suggested solution to these high medical costs is to buy a hospitalization insurance policy when you do not have many pre-existing medical conditions. After the painful lesson last year, I bought a hospitalization policy. All insurance companies have an exclusion clause for me. That is, they do not cover any treatments for breast related ailments. I don’t have to worry now about medical costs for any other ailments. The Singapore Government has promised affordable healthcare for the needy. But experiences from friends tell me that we need to depend on ourselves. heal. She developed complications a few weeks later. Her surgeon did not respond promptly to her General Practitioner’s query about her complications. The case was later escalated to a Senior Doctor who then attended to her. Her condition was later diagnosed as 3rd stage cancer. She paid a few thousands dollar to have her whole breast removed and had to undergo chemotherapy. Looking After Yourself and Your Family I can go on and on to cite examples of what you can expect from low cost medical treatment like being a guinea pig for a novice doctor, scheduled surgical appointments changed at the eleventh hour because there are other emergency cases, numerous trips to the hospitals, etc. Do you want to go through these? Ladies and gentlemen, if something were to happen to you, your loved ones would beg and borrow or sell their assets to give you the best medical treatment. Likewise, you would do the same for your loved ones. Life is precious. Do you love your loved ones? Hospital Insurance Policy is an essential policy. It relieves your loved ones the financial burden should you fall seriously ill. We are responsible. Consider buying one to get maximum medical coverage. How many of you have a hospital insurance policy? How many of you will consider buying a hospital insurance policy after this evening? Thank you. Toastmaster of the Evening. Autumn Years K e l l y Ye o t e l l s u s w h y w e s h o u l d w o r k o u r bodies to keep it in optimum shape. President, Toastmaster of the evening, fellow Toastmasters and guests. Have you thought of how you want to spend your autumn years? Some of you may think that it’s still a long time to your retirement. But time flies. In the blink of an eye, you will find yourself in your autumn years. Could you visualize your autumn years jetsetting from city to city, beach resort to beach resort? Sitting under the tree on a hot and breezy afternoon, pretending to read a book but in actual fact looking through your tinted glasses at fair and beautiful girls in their bikinis or for the ladies, looking at bare bodied men showing off their six-packs reminding you of your husbands or boyfriends once upon a time. Or (pause) would you be going from doctor to doctor, hospital to hospital and counting your days to end your physical pain? Last month, my mother had a knee replacement surgery. The cartilage in her right knee had worn out and she had been in pain in the last few years. She decided to go for the surgery to have a better quality of life. I found myself a new job as her caregiver 14 | VOICELINK since 14th September. The next day after the surgery, she had to go for physiotheraphy. I accompanied her to the physio department. Her ankle had to be strapped with ankle weights like this (show ankle weight strapped to the ankle) while lying on a low table, she had to exercise her legs - up and down, “Kelly’s choice of a walking quad stick as a prop was very app ropriate for her message and audience.” Prabhu Deva, CTM forward and backward to strengthen the thigh muscles (do exercise to show audience). She had to learn how to walk with a walking frame and then progress to quad stick like this (show quad stick and how to walk with quad stick). In the physio department, there were a number of ladies in the 50s and 60s. Most of them were doing Kelly Yeo Ka Lye B E S T P R E PA R E D S P E E C H E S similar exercises like my mother. I nosed around and checked what’s wrong with some of them. I was told that most of them were recovering from strokes. There was a lady who made a deep impression on me. She was probably in her late 60s or 70s. She was wheeled in by her maid. Her face was distorted and there were tubes attached to her face. She could not talk and her face looked expressionless. Her maid lifted her from the wheelchair onto the table. Mind you, this lady was quite big in size and her maid was skinny. After she was lifted her onto the table, her maid started to flex her joints to let the blood circulate in her body. I overheard her maid’s conversation with one of the physiotherapists. She said she massages her ma’am everyday but there was no improvement. They came because of the particular table available in the hospital. What’s so special about the table, I wondered. Soon a tall, dark and handsome male physiotherapist came and strapped the patient securely on the table. The table was tilted vertically to support the patient in the standing position. After that, he started to press the various pressure points in her body to let blood circulate in her body. Poor thing. At this stage, the patient could not voice her protest even if she was in great pain. solutions and introduce you to the acroymn – FEES. F - Finance. Set aside a little sum of money every month for your autumn years and emergencies. If you jetset from city to city, beach resort to beach resort, you would want to holiday in style. Even if it’s for medical treatment, you could afford to go to the best doctor to lessen your pain. For your information, the total cost of my mother’s surgery is more than $20,000. E - Eat Right. We are what we eat. If we eat garbage, our internal organs land up processing garbage and wear out faster. A healthy diet delays the many symptoms and afflictions of the elderly. E - Exercise. Exercise your body and mind. Exercise strengthens not only the muscles but improves circulation, respiration and mobility. It reduces the risk of developing heart disease. S - Social Recreational Activities. Take up leisure pursuits to relax and release stress. Keep a balanced lifestyle. Practice FEES now if you want to have quality life during your Autumn years. Ladies and Gentlemen, close your eyes now. Visualize yourself in your autumn years… jetsetting from Gold Coast to Mauritius, Maldives to Hawaii, sipping cocktails and reading a book under a tree. Feel and smell the sea breeze. Is this your dream autumn years? Is it possible? Yes. It is possible if you make FEES a part of your life. Toastmaster of the Evening. Ladies and gentlemen, we will age. It’s inevitable. Is this what we should expect of our Autumn years – to live in constant pain? I think we can have a quality life during our Autumn years if we make preparations early - regardless of your age now. How?
