GRADUATION INFORMATION GUIDE
38th CONVOCATION CEREMONY (2014)
1.
Date of Convocation Ceremony
1.1
The 38th University Putra Malaysia (UPM) Convocation will be held at Sultan
Salahuddin Abdul Aziz Shah Cultural and Arts Centre, UPM on:

(4 days/8 sessions)
Information pertaining to convocation matters including the graduates arrangement by
programs and sessions order (refer to Appendix 1 (A & B) through the offficial website:

Attendance
2.1
As specified in UPM Convocation Event, Degrees and Diploma will only be conferred
to graduates who attend the convocation, provided that the Senate may, in
exceptional circumstances, may allow a degree or diploma conferred in absentia.
2.2
Graduates must comply the attendance instructions that have been prescribed
according to each session of the convocation.
2.3
Graduates are not allowed to postpone or nominate any representative
to attend the convocation on their behalf.
Fees
3.1
Graduation fee amount RM200.00 (Ringgit Malaysia: Two hundred only) is
compulsory for all graduates attending or not attending the convocation ceremony.
3.2
Graduates attending the Convocation Ceremony should pay the fees at least two
(2) days before taking the academic regalia as methods below:
a)
Payment made at any CIMB branches to UPM COLLECTION account no.
8002155042 and graduates are required to submit the payment slip copy to
the Bursary III or scan and email to [email protected] or
[email protected].
b)
Payment via internet banking CIMB Clicks for those who have CIMB
account whether the payment made by the graduate or others through modul
Bill Payment → Education → Universiti Putra Malaysia Kampus
Serdang.

Choose ”UNIVERSITI PUTRA MALAYSIA KAMPUS SERDANG” when for
option for payee.
c)
Payment by Debit Card, Credit Card (Visa / Mastercard) and Bankcard
(ATM Card) can also be done at Bursary III, Ground Floor,
UPM Administration Building.

Download and complete the form which can be access through the url:

3.3
Payment process REMINDER:
a) Payment methods which are NOT ALLOWED:i. Fund Transfer in CIMB clicks internet banking
ii. Cash Deposit Machine (CDM)
iii. Cash
b) Graduates are PROHIBITED to send bank payment slip by POST to avoid lost
and untraceble of document.

For graduates who do not attend the Convocation Ceremony, the graduation fee
can be paid at any time (working hours) at Bursary III (Ground floor, Administration
Building, UPM). Scroll/Transcript will only be release after the convocation and after
all the necessary fees has been paid (graduation fee, tuition fee, fines & traffic
summons etc), if any.
Graduates Tracer Study
Graduates are required to complete ‘On-line’ Graduates Tracer Survey 2014 starting 3rd
October 2014 (Friday) for the following research (contact person: Mr. Zulkifli Mohammad
– 03-89471409)

* Kindly print the confirmation slip at the last page of the survey form and bring the slip during
collecting academic regalia. Failure to submit confirmation slip will inconvenience for
both parties during the convocation.
5.
Academic Regalia: Loan and Return
5.1
Graduates must first:
a) Payment made prior as indicated in item 3.2 above.
b) Complete academic regalia ‘online’ form through the student’s portal
Students Information System (SMP) at www.smp.upm.edu.my (for
postgraduates students use ic/passport and matrix number for
password and id) menu ‘MyConvocation’ (academic regalia form) by using
browser IE or Mozilla Firefox only (Google Chrome not allowed)
c) Complete the form and click the button draft to send the form to Bendahari
for verification. To reconfirm payment check status as ‘SUCCESSFUL’;
and

d) If the system displays “NOT SUCCESSFUL” within one (1) day after the
borrowing application through SMP has been made, contact the Bursary at this
number:- 03-8946 4156/4161/6215/6225 to identify the problems.
5.2
Graduates are required to ensure academic regalia borrowed from the University
as describe below in good condition:
a)
Post Graduates and Undergraduates
- regalia (maroon colour),
- hood (as faculty official colour); and
- mortar board;
b) Diploma
- regalia (maroon colour), and
- mortar board.
5.3
Graduates are to ensure that:
a)
the correct regalia being received i.e Post Graduates, Bacelor or Diploma;
b)
hood according to the faculty official colour; and
c)
received academic regalia in good condition
5.4
Graduates are not allowed to alter or modify any parts of the academic
regalia.
5.5
The collection of Academic Regalia will be held at the Central Academic
Complex, UPM as follows:

Graduates are required to return the academic regalia latest by 1st November 2014
(Saturday – after the first session) up to 8th November 2014 at Central Academic
Complex, UPM.
(Please refer to the schedule attached in album/scroll during
convocation for the date and time to return the academic regalia).
5.7
The penalty fee will be charged for graduates for late returns of academic regalia
from 10th November 2014 (Monday) for RM10.00 on the first day and
additional RM5.00 the subsequent days. The penalty fee shall be made at the
Bursar III, Ground Floor, Administration Building, UPM and payment receipt must
be presented upon returning academic regalia.

5.8
The University will not be responsible for any damaged or lost items.
5.9
Any damages or lost items charges will be incurred and scroll/transcript will not
be released untill the payment has been made. The payment rates are as follows:

All graduates attending Convocation Ceremony are to be suitably attired referred
to the dress code as follows (refer to Diagram 1):Ladies
- long dresses which cover until the ankles/maxi skirts, long sleeve
shirts/blouses/suit and wearing the academic regalia.
- Colour (no restrictions)
- For those wearing the hijab, it should be light in colour so that
it matches the faculty colours incorporated in the hood
(Bachelor programme).
- Shoes must be dark coloured and covered at the front and back.
- Sport shoes/Slippers/Open back shoes/Shoes with bright or
white in colour are NOT ALLOWED.
- Short skirts are NOT ALLOWED.
- The attire of Pantsuits are allowed.
- Face-covering attire or the ‘niqab’ is prohibited.
Men
- Long sleeve with collar, necktie and coat, dark trousers or dark lounge
suit, dark shoes with stocking and wearing the academic regalia.
- Jeans and shorts are NOT ALLOWED.
- Sport shoes/Slippers/Shoes with bright or white in colour are
NOT ALLOWED.
- Hair styles should be short and neat.
The Convocation Ceremony is an official event. Graduates are reminded to abide
to the dress code as stated above. Graduands not adhering to the dress code
will NOT BE ALLOWED to enter in or join in the convocation parade or go
up on stage for the Bachelor and Diploma Degree presentation ceremony.
Invitation Cards
7.1
Invitation cards and other instructions will only be disseminated when graduates
or their representatives arrive to collect the academic regalia.
7.2
The University is not responsible for lost invitation cards and they will not be
replaced.
7.3
Each graduates is given one (1) invitation cards for two guests to attend the
Convocation Ceremony at the Sultan Salahudin Abdul Aziz Shah Cultural and Arts
Centre Hall (PKKSSAAS).

Briefing and Rehearsal
8.1
9.
Convocation Briefing and Rehearsals Convocation Ceremony will be held at the
Sultan Salahuddin Abdul Aziz Shah Cultural and Arts Centre, UPM Sultan Salahuddin
Abdul Aziz Shah Cultural as information below:

8.2
All graduates are required to attend this session to better understand the
events that have been planned for the actual Convocation Ceremony.
8.3
Failure to attend the briefing and rehearsal session may result in the
University barring graduates from attending the 38th UPM Convocation
Ceremony.
Parking
Parents and graduates who are involved in the Convocation Ceremony are reminded to park
their vehicles at the parking area designated by the Security Division of UPM (refer Attachment
4).
UPM has a bicycle lane on campus. Parents and graduates are required not to park on the bicycle
lane to ensure smooth traffic.
10.
Graduates Processions
10.1
Morning Session
Graduates for the morning session are advised to convene at the car park of the
Sultan Salahuddin Abdul Aziz Shah Cultural and Arts Centre, UPM by 7.30 am. The
parade will commence at 8.00 am.
10.2
Afternoon Session
Graduates for the afternoon session are advised to convene at the car park of the
Sultan Salahuddin Abdul Aziz Shah Cultural and Arts Centre, UPM by 1.45 pm. The
procession will commence at 2.10 pm.
For Zohor prayer, Muslim graduates may perform the prayer at several places
located at the Administration Building at the left and right alcoves of the Sultan
Salahuddin Abdul Aziz Shah Cultural and Arts Centre or the UPM Mosque.
10.3
Graduates are reminded to congregate at the stipulated time and place. This to
avoid any traffic congestion into the campus, graduates are obliged to follow all
the instruction given by the officers on duty.

10.4
Graduates are reminded not to bring valuable personal belongings during the
rehearsal and graduation ceremony to avoid missing items during the actual
commemoration.
10.5
Graduates who are late will not be allowed to participate in the
Convocation Ceremony.
10.6
Parents and guests are advised to have their breakfast before entering into the hall
to avoid any unfavourable incidents.
10.7
Parents and guests are not allowed to bring flowers bouquet or gift into the
hall as it may displeased the other guests.
10.8
Graduates with special needs (pregnant, disabled or injured) that require further
assistance such as wheel chair or an assistant need to inform the secretariat during
the rehearsal.
10.9
During the ceremony, graduates are required to follow all the rules and instructions
from the officers in charge.
10.10
Graduates and/or guests are not allowed to leave the hall until the
ceremony is over.
Rules Guests when Entering The Hall
11.1
Attire – Men Guest : National Dress/ Lounge Suit / Batik/ suitable attire/
(Songkok for 1st Session and 3rd Session)
Ladies Guest: National Dress/ Suitable attire
11.2
Guests may enter the Sultan Salahuddin Abdul Aziz Shah Cultural and Arts Centre
through the door identified by the officers on duty.
* Children under the age of 12 years old is not allowed to enter the hall during the
convocation ceremony.

Taking pictures and video recording during the Ceremony is not allowed.
11.4
Please follow the instructions on movement upon entering and leaving the
PKKSSAAS hall as well as whilst in PKKSSAAS hall to avoid congestion and ease
the flow of movement at the hall (refer Attachment 5).
Conferral Arrangement
12.1
The designation of rows and arrangement for seating for graduates during the
ceremony will be decided by the Committee/Secretariat/Officers in charge.
12.2
Graduates will receive their albums/scrolls individually on the stage from either the
Chancellor or Pro Chancellors.
Collection of Scroll/Transcript for Bachelor’s Degree and Diploma
Graduates may collect their Bachelor Degree and Diploma scrolls/transcripts as soon as the
convocation session is over. However, this depends on the followings:-

13.1
Graduates must be able to produce the receipt as a proof for the payment of
graduation fee;
13.2
Graduates need to return the academic regalia to the University as the application
form for scroll/transcript will only be distributed to those who have returned their
academic regalia.
13.3
For UPM Serdang graduates, their scrolls/transcripts may be collected from the
Central Academic Complex, UPM on the dates that have been decided earlier.
Please refer to the information in the album and scroll after the conferral of the
Bachelor Degree and Diploma ceremony.
13.4
For graduates of PJJ/EKSEKUTIF programmes, their scrolls/transcripts may be
collected from the UPM Education & Training Sdn. Bhd. (UPMET)/Executive
Programme Unit of their respective faculty.
13.5
Graduates owing UPM/PPL/Executive Programme Unit will need to clear their
debt to be able to receive their scrolls/transcripts. Please attach the necessary
evident (receipt/letter) for settlement of debt for confirmation.
13.6
Graduates having problem in collecting the scroll/transcript, graduates may send
representative to collect the scroll/transcript on behalf with condition of:
Graduates must provide a signed letter of authority to the representative. Letters
should be addressed to the Head of Academic Administration and International,
Management of Academic Division, UPM, stating the name, identification card
number and a copy of identification card of such representative. The requirement
above (13.1 untill 13.6) also need to be complete before scroll/transcript could be
given to the representative; or
13.7
Graduates from Executive programmes must foward an authorisation letter should
be addressed to The Director of the Executive Programme Unit of their respective
Faculty stating the name, identification card number and a copy of identification
card of representative that has been appointed.
The University is not responsible for any lost or damage towards scroll/transcript
collected.

Ministry of Education Malaysia (MOE) coordination meeting on Recruitment
Integration System and Education Graduates Posting held on 19th August 2014 has
imposed that all graduates required to register in JobsMalaysia through the URL
address: www.jobsmalaysia.gov.my for the education graduates posting from MOE.
Graduates cooperation in adhering rules and regulation of the 38th UPM Convocation
Ceremony is highly appreciated as to ensure this ceremony runs successfully.

To read, understood and already received the 38th UPM Convocation Description
Book.
To complete Graduates Tracer Study Survey 2014 and print out the Confirmation
Slip in the last page and present when collecting acadamic regalia, verified the
slip at CEM counter.
To check any outstanding fee and settle it at least two (2) days before collecting
the academic regalia if any.
To make payment for graduation fee using bank slip to UPM COLLECTION or
through CIMB Clicks or Credit Card at least two (2) days before collecting
academic regalia.
To complete academic regalia ’online’ form through the student portal (SMP) at the
menu of ”Myconvocation” and print out the form that has been completed.
To print and bring along academic regalia form (which has been completed and
been ’SUCCESSFUL’ in the status at ’check application’ under Myconvocation at
SMP) when to collect academic regalia at Central Academic Complex, UPM within
stipulated date.
Bring a copy of bank slip or payment transaction via Channel-e or Credit Card
when you/representative wants to borrow academic regalia at Central Academic
Complex within the specified date.
Make sure the right academic regalia taken and in good condition.

Bring the name card (for graduates) and invitation cards (for guests) when
attending Convocation Ceremony.
Arrive early before the ceremony begins.
Graduates and guests attire are according to the dress code prescribed.
Date for returning academic regalia starts on 1 November 2014 until 8
November 2014. Penalty will be imposed upon graduates’ failure to
return the academic regalia within stipulated date (begining on 10
November 2014) based on prior stated rate.
Received confirmation document indicating that academic regalia has been
borrowed and returned; and
Bring such document when collecting academic scroll/transcript.
