Every other year your Cloverly PTA puts on the biggest party in our community, and it’s finally here. On June 2nd Cloverly will transform into a wonderland for kids of all ages with games, rock walls, pony rides, moon bounces, music, food and prizes. This year is set to be the biggest event ever – an event not to be missed. While your kids, parents, and neighbors are enjoying themselves in the carnival atmosphere of the Spring Fair, walk into the gym and behold a silent auction that’s second-­‐to-­‐none! There will be hundreds of fantastic items to bid on: trips to New York, tickets to Disney World, Tiffany wine glasses, autographed sports memorabilia, spa treatments, and the list goes on and on. These items are all listed in this catalogue, and there will be more items added on the day of the auction. The Spring Fair is a blast with a cause. This is your PTA’s largest fundraiser. This fundraiser gives us the ability to fund computer classes, scholarships, activity buses, teacher appreciation luncheons and the courtyard beautification. Your Cloverly PTA provides cultural arts assemblies, the 5th grade recognition party, gift cards to help pay for classroom supplies, and the Scholastic News. Your PTA helps pay for the variety show, the Poet in Residence, reading night, the math Olympiad, and ink for the classroom printers. And don’t forget all of the wonderful events like movie night, ice skating night, the family dance, bingo night and the science fair. All of these programs and events cost money. So when you bid on the fabulous items in this catalogue, remember that every dime goes to helping your school. Cloverly isn’t just a building where your children get a fabulous education, Cloverly is a community. You are a valuable part of that community. At the Spring Fair this year, take a moment and look around. Soak it in. Notice the hundreds of children having the time of their life. Witness all of the smiling faces, the connections, the friendships. This community – and the Cloverly PTA – belong to you. Bronson Hoover Cloverly ES PTA President 2013 Silent Auction Catalogue 3 SILENT AUCTION RULES AND PROCEDURES General Auction Rules: All sales are final. No exchanges or refunds on auction items are permitted. Auction items are not redeemable for cash. All items will be sold “as is”. All auction items must be paid for in-­‐full by cash or check. In the event of any dispute between bidders, the Auction Chairperson(s) shall have sole and final discretion to determine the successful bidder. By his/her purchase, the buyer waives any claims for liability against the Cloverly PTA or the donor of the property or services sold. The Auction Committee reserves the right to modify the terms of the auction items, including establishing the minimum bid and minimum bid increase amounts. Until such time as an item is sold, it is the property of the Auction Committee of the Cloverly PTA and can be used at their discretion. Registration: Each Cloverly family listed in the PTA directory is pre-­‐registered for the Auction and has been assigned a bidder number. Family names and bidder numbers are printed on the Auction Catalogs sent home with students, faculty and staff. Volunteers will be available to provide this information on the day of the auction as needed. Other participants must register on the day of the Auction in order to obtain a bidder number. Silent Auction Bidding Procedure: Bid sheets are displayed for each item. Bidder is to print his/her assigned bidder number and the amount of his/her bid on the bid sheet and to initial the bid. Minimum opening bid and minimum bid increase amounts noted on the bid sheet must be met. Each new bid must be written on the first available blank line on the bid sheet and may not be crossed out. Bids must be in round dollar amounts. Entering your bid obligates you to pay that amount for the item should you have the highest bid once the table is closed. The winning bid must reflect the minimum amount for an increase or it will be disqualified. Bidder numbers must be legible or they will be disqualified. No bids may be entered once the designated table section is announced closed. For each item, the person with the highest valid bid at the close of the auction tables shall be acknowledged as the purchaser by the Auction Committee. Title will pass to the purchaser upon receipt of payment to the Cloverly PTA. The purchaser thereupon assumes full risk and responsibility for purchaser’s item(s). Live Auction Bidding Procedure: To enter a bid, bidders must signal the auctioneer or one of the spotters. Bids shall be made promptly. The auctioneer will not allow bidders to bid against themselves. For each item, the highest bidder acknowledged by the auctioneer shall be the purchaser. Title will pass to the purchaser upon receipt of payment to the Cloverly PTA. The purchaser thereupon assumes full risk and responsibility for purchaser’s item(s). Closing Procedure: The silent auction will close, section by section, starting at 2:30 PM and ending at 3:00 PM. Once an announcement is made for bids to stop for the identified table section, all bidding must stop promptly. The Auction Room will close to the public from 3:00 PM to 3:30 PM, in order that the winner bids be tallied. At approximately 3:30 PM, a list of winning bidders will be posted and check out will begin. Payment Procedure: After checking the list of winners, if you are a winner, please return to the auction room to pick up your auction item(s). Cashiers will be in the auction room to collect payment and distribute items. Payment is accepted by cash or checks made payable to “Cloverly PTA.” We cannot accept credit cards. Payment in full is required before items can be disbursed. If you have asked someone else to pay for and pick up your merchandise, you must have noted this in writing at the Silent Auction Registration Desk prior to the close of the auction room at 3:00 PM. Please pick up items no later than 4:30 PM. on the day of the fair. After paying for auction items, a volunteer will collect your items and present them to you. Upon request, you will receive a receipt of payment from the cashier. Please check the items with the volunteer to ensure that they correspond to your winning bidder number. Please then initial the receipt/bidder sheet as proof of merchandise pick up. Late Pick Up: Please make every effort to pick up your merchandise on the day of the Fair. Winners who do not collect their merchandise on the day of the fair will be contacted by a member of the Auction Committee to make arrangements for item pick up. Items not picked up by th
Friday, June 7 will be awarded to the second highest bidder. Tax Considerations: While some goods are subject to the 6% Maryland sales tax, the Cloverly PTA will make payment of any sales tax due out of the proceeds from the event. Therefore, individual purchasers will not pay sales tax. Federal law allows a charitable deduction for items sold at the auction only to the extent that the amount paid is in excess of the value of goods and services provided. If your bid is less than the fair market value listed in this catalog, there is no charitable deduction allowed for federal income tax purposes. All values listed in this catalog are good faith estimates and were provided to the auction committee by the donor. Items deemed “priceless” do not have a dollar value.
