This guide will introduce you to the MFP (multifunction product) and help you to conduct a successful evaluation. The HP Color LaserJet 9500mfp is a wide-format, color laser MFP with comprehensive communication tools that include standard analog fax and digital sending features. The MFP provides superior paper-handling flexibility, exceptional print quality, and HP Smart printing technology.1 1 Using genuine HP supplies ensures the availability of all HP printing features. Build the MFP that meets your needs. 1. Select an output option: HP 8-bin mailbox Each mailbox bin can be assigned to an individual, workgroup, or department for easy job retrieval. The mailbox is also equipped with a sorter/collator, stacker, and job separator. HP stacker Stacks up to 3,000 sheet of paper with job offset. HP stapler/stacker Provides 3,000-sheet stacker capabilities as well as multi-position stapling for up to 50 sheets of paper per job. HP multifunction finisher Provides 1,000 sheets of stacking capacity, stapling for as many as 50 sheets of paper per job, folding sheets into booklet-styled sets, plus saddle-stitching for booklets of up to 10 sheets of paper. 3. These boxes contain 1. The MFP 2. The finishing device (HP 3,000-sheet stacker, HP 3,000-sheet stapler/stacker, HP multifunction finisher, or HP 8-bin mailbox) 3. The 2,000-sheet side input tray (tray 4). The MFP box also contains the consumables box. The consumables box contains the following: • • • • • • • • Four print cartridges (yellow [Y], magenta [M], cyan [C], and black [K]) Four image drums (CYMK) Box that contains the transfer cleaner Box that contains the toner collection bottle Getting started guide and warranty booklet. For additional copies, contact an HP-authorized dealer. User guide (to be placed in the pocket inside the front door) provides information that is useful when you are at the MFP. CD (includes product software and the user reference guide which contains detailed information about the MFP). Wall poster MFP software The HP Color LaserJet 9500mfp includes a powerful suite of software that is easy to install and use. The printer drivers and utilities cover a wide range of operating systems and are localized in many languages. The MFP ships with the following components on the CD: • • • • • • • Installer/uninstaller HP PCL 6 printer driver (Windows environments) HP PCL 5c printer driver (Windows environments) HP postscript level 3 emulation printer driver (Windows and Macintosh environments) Driver auto-configuration (in Windows 2000 and XP environments, the MFP features automatic discovery and driver configuration for accessories at the time of installation, including paper trays, output accessories, and installed DIMMs) Driver pre-configuration (lets you create custom installations and copy the product software onto disks, your computer’s hard drive, or a network drive) Product documentation Note The printer drivers that are provided on the CD must be installed in order to take full advantage of the printer features. The other software programs on the CD are recommended but are not required for operation. See the Readme file on the CD for more information. Select the correct printer driver for your needs • 6 Use the PCL 6 printer driver to take full advantage of the printer features. Use of the PCL 6 printer driver is recommended unless backward compatibility with previous PCL printer drivers or older printers is necessary. Getting to know your color MFP • Use the PS printer driver for compatibility with HP postscript 3 emulation needs or for PS font DIMM support. • Use the PCL 5c printer driver if you want printed results to look comparable to those from legacy printers. Note The printer automatically switches between postscript (PS) and Printer Control Language (PCL) printer languages. Note PCL5c drivers for windows environment (9x, NT, XP, 2,000) are available via Add Printer only. All NT 4.0 drivers are also only available via Add Printer. You will not be able to install these drivers using the installer. Additional drivers, updated drivers, and other valuable software will be available after product introduction at www.hp.com/support/clj9500mfp. When the MFP software is installed on some Windows-based computers, the program automatically checks the computer for Internet access to obtain the latest drivers. The Software Technical Reference Manual will also be available at www.hp.com/support/clj9500mfp. Note If the desired printer driver is not on the CD or online, check the program’s installation disks or the release notes to see if the program includes support for the MFP. If it does not, contact the software manufacturer or distributor to request a driver for the MFP. Software for Macintosh For Mac OS 8.6 and later, use the LaserWriter 8.6 or later printer drivers, which are PS printer drivers. The LaserWriter 8.6 printer driver comes with the Mac OS or can be obtained directly from Apple. Only PS PPDs are included. The PS PPDs for Mac OS 9 and earlier, in combination with the LaserWriter 8.6 printer driver, provide access to the printer features and let the computer communicate with the printer. Use the Apple LaserWriter 8.6 printer driver that comes with the computer. An installation program for the PPDs and other software is provided on the CD. Use PDEs and PPDs provided on the CD for Mac OS X. HP Web Jetadmin HP Color LaserJet 9500mfp is fully supported by HP Web Jetadmin, a web-based peripheral management tool. With HP Web Jetadmin, IT print administrators can install, manage, and troubleshoot HP and non-HP network peripherals from their desks using their standard Web browser. (For instance, performance claims mean very little if documents print incorrectly or with poor quality.) 9 Ease of use Simplify and save time The HP Color LaserJet 9500mfp was designed to be easy-to-use and offers both administrators and end-users reliable, efficient printing to help increase productivity and improve business communication. Easy to operate and maintain, the MFP is compatible with other HP LaserJet products and includes support for other systems and software. It integrates seamlessly into your business environment, allowing you to invest your time in other issues and reducing your day-to-day business concerns. Intuitive touch-screen graphical control panel The HP Color LaserJet 9500mfp’s logical and intuitive touch-screen graphical control panel makes walk-up operation simple. To make a copy, simply press the green Start button. The MFP’s control panel is used for several HP devices, providing a consistent walk-up experience across devices and improving usability. The control panel offers: • • • • Clear feedback during interaction with the touch-screen graphical display Support for learning how to use product features Clear instructions and illustrations Easy-to-read status messages in one location The home screen, or main menu, displays the three basic functions of the MFP. For example, to make copies, simply describe the original and how you would like the copy to be produced. For more advanced copying and scanning needs, the control panel features an easy-to-use flat menu, designed so the most frequently used menus appear first. The menus that administrators and service technicians use can be protected with a personal identification number (PIN). Effortless copying The MFP may be used as a standalone, walk-up copier, and you do not need to be connected to the network or a computer to make copies. In copy mode, the MFP functions as a standard photocopier—place your originals on the scanner glass or use the automatic document feeder and adjust all copy settings at the control panel. You can produce high quality copies at full engine speed with the automatic document feeder’s 600 by 600 dpi dual head scanner and HP FastRes 1200 dpi print quality. Uninterrupted printing The HP Color LaserJet 9500mfp allows you to print in monochrome when a color print cartridge runs out. This is enables with a user-configurable setting known as Auto Continue Black. When this feature is turned on, all documents sent to the printer will be printed in monochrome; color documents will be converted to grayscale. This feature allows users additional time to replace the depleted color print cartridge. Bulletproof printer drivers HP printer software is easy to use, simplifies networking, and provides a familiar look and feel for HP users. HP Smart printing supplies and technology • HP Smart printing supplies9 ensure consistent, top-quality output over the life of each print cartridge, and from cartridge to cartridge. • The robust and reliable paper path and high-yield HP print cartridges result in fewer and easier interactions with the MFP. • HP Smart printing supplies are activated every time you install an HP print cartridge. The HP print cartridges and image drums, MFP, and software are designed to work together, allowing you to monitor your current supplies, order new supplies on-line, and print successfully every time. You can access supply status by glancing at supplies status indicators that appear on the control panel, by printing a detailed supplies status page via the control panel, or via the product software. • The no-shake cartridge design simplifies installation and replacement. 9 Evaluating color MFPs Using genuine HP supplies ensures the availability of all HP printing features. 11 Productivity tools and services Powerful tools and services provide convenient access to device information, settings, and support. For more information, see “Appendix A—Productivity tools and services” on page 37. HP Embedded Web Server Allows you to view device and network status and to manage printing functions from your computer instead of from the control panel; enables proactive one-on-one management. This tool can be used when connected to a network via an HP Jetdirect print server. HP Web Jetadmin Provides network managers a single support tool to install, monitor, and troubleshoot a wide range of network-connected devices from an intuitive browser interface. While the HP Embedded Web Server is used to manage a single device, HP Web Jetadmin is used to manage groups of devices. This tool can be used when connected to a network via an HP Jetdirect print server. HP Instant Support Professional Edition Connects you to the HP Web site to help you solve problems and answer questions. This service analyzes your device error log and configuration information to provide diagnostic and support information specific to your MFP. HP SureSupply Lets you conveniently and easily order supplies over the Internet. Enabled by HP Smart printing technology, SureSupply helps you track and manage supplies usage, and provides alerts when supplies should be reordered or replaced. With just a few clicks, access cartridge information, pricing, and purchasing options that best meet your needs—either from the reseller of your choice or from HP. (Program availability varies by region.) Extensive user help Documentation The MFP includes a user guide that is permanently installed in the pocket inside the front door. The user guide provides a quick reference that will help you perform common tasks. If you need additional information, access the online user guide that is included on the CD that shipped with your MFP. MFP help system At any time, you can gain access to the Help system on the touch screen of the graphical display by pressing ?, located in the upper-left or upper-right corner of each screen. • What is this?—The MFP provides information about any topic on the touch screen of the graphical display. • Show me how—The MFP shows you how to use the product features. • Print this topic—Print any of the Show Me How instructions by touching the Print this topic button at the top of the Show Me How screen. • Error help—Some error messages include additional help information. Some of these include graphics to assist in solving problems. Online help Extensive Web support services are also available. Access online self-help, HP reference material, troubleshooting tips, and usage information specific to your printer 24-hours a day, seven days a week by selecting Product Support from the HP Embedded Web Server. 12 Evaluating color MFPs Protects the environment Hewlett-Packard Company is committed to providing quality products in an environmentally sound manner. This MFP has been designed with several attributes to minimize impacts on our environment. Evaluating color MFPs Ozone production This MFP contains an ozone filter to protect indoor air quality. Power consumption Power usage drops significantly while in Sleep mode, which saves natural resources and money without affecting the high performance of this product. This product qualifies for ENERGY STAR® version 1.0, which is a voluntary program to encourage the development of energy-efficient office products. Paper use This automatic duplex feature (two-sided printing) and N-up (printing multiple pages per sheet) capabilities can reduce paper usage and the resulting demands on natural resources. Plastics Plastic parts that weigh more than 25 grams are marked according to international standards that enhance the ability to identify plastics for recycling purposes at the end of the MFP’s life. HP LaserJet Printing Supplies In many countries/regions, the printing supplies (for example, print cartridges and image drums) can be returned to HP through the HP Printing Supplies Returns and Recycling Program. An easy-to-use and free takeback program is available in more than 30 countries/regions. Multilingual program information and instructions are included in every new HP LaserJet print cartridge and supplies package. HP LaserJet Printing Supplies, Returns and Recycling Program information Since 1992, HP has offered HP LaserJet supplies return and recycling free of charge in 86 percent of the world market where HP LaserJet supplies are sold. Postage-paid and preaddressed labels are included within the instruction guide in most HP LaserJet print cartridge boxes. Labels and bulk boxes are also available at www.hp.com/recycle. More than 10 million HP LaserJet print cartridges were recycled globally in 2002 through the HP Planet Partners supplies recycling program. This record number represents 26 million pounds of print cartridges materials diverted from landfills. Worldwide HP recycled an average of 80 percent of the print cartridge by weight consisting primarily of plastic and metals. Plastics and metals are used to make new products such as HP products, plastic trays, and spools. The remaining materials are disposed of in an environmentally responsible manner. Recycled paper This MFP is suited for the use of recycled paper when the paper meets the guidelines outlined in the Print Media Guide. See www.hp.com/go/clj9500mfp for ordering information. This MFP is suitable for the use of recycled paper according to EN12281:2002. 13 Evaluation Setting up the MFP Unbox and set up the MFP, using the product documentation as a guide. Consider the following: • Is the user documentation helpful? • How does the overall product design contribute to ease of use? • How well are you able to install and interact with supplies and accessories? Testing product software 1. Install the drivers and other device software and then print some test pages. Document any driver or software changes performed during testing. 2. Note which platforms and printer languages the drivers support. 3. Install and test supported printer languages as time permits. 4. Evaluate the product software after installation: • Is the driver easy to use? • What special features or utilities does the driver include? • What special software or tools are available? • Does the product support legacy print jobs? Interacting with the control panel Interact with the control panel. When comparing products, consider the following: 14 • In general, is the control panel easy to use? • How easy is it to determine device, print job, and print cartridge status? • Is it easy to make copies and send faxes from the control panel? • Can you digitally send documents from the control panel? • Can you access help options from the control panel? HP DSS 4.0 offers peace of mind when digitally sending confidential information. You can transfer data from the MFP to a secure, supported folder with a secure send key. Authentication verifies the sender’s identity, encryption protects files from outside access, and a final safeguard allows you to erase the device’s hard drive. Digital sending helps you convert your paper documents to digital format so you can work with the information more easily. Evaluation Creating samples First, develop a group of sample documents that represent what the end-user typically prints. This is the best method for determining if a product is suited to your environment. Note It is important to test files like those that a typical user will print. Most print samples included with a product have been optimized for that product and may not reflect the type of output you will receive. When evaluating performance, your print samples should include multiple documents and file types, each created in the applications that will be used by the end-user. The samples should have different elements (text, graphics, and photographic images) and should vary in complexity and page length. Some suggested content includes simple text documents, mixed text and graphics, and complex graphics containing photographic images. CAUTION! Using only one application or file can skew test results. Use several types of files and applications to present a broad and realistic performance picture. Different manufacturers provide different print modes (such as EconoMode). Try to compare similar modes to achieve a fair comparison. To evaluate the print quality and speed of text documents, such as those created in Microsoft® Word and Excel, you should print them in different print modes. Documents such as newsletters intended for circulation or image files, where photo quality is desired, are preferably printed in the best mode. 16 Evaluating color MFPs Evaluation guidelines Before you print the sample documents, make sure that your test environment simulates the end-user’s and that you make a fair comparison between products. Follow the guidelines below: • Measure performance from the end-user’s perspective. • Print from computer systems that closely match the typical end-user’s. • Test multiple media sizes and types. For example, you may want to print marketing collateral on HP Soft Gloss Laser Paper or HP High Gloss Laser Paper, which produces rich, vibrant, commercial-quality color documents that look more elegant and professional than documents printed on uncoated papers. • Test MFP features (copying, scanning, faxing, digital sending, two-sided printing, stapling, booklet making, multiple pages per sheet, etc.). • Test and compare default settings. (What settings will the end-users use most often?) • Test other print modes in the printer driver, including glossy and heavy media. • Test text, glossy, and photo glossy copy modes on both glossy and non-glossy media. When evaluating more than one product, it is crucial that you make a fair comparison between products. • Print from identical computer systems so that variations in speed are not due to differences in processing power. • Print the same files on all products, using the same print media and the same or equivalent settings. • Use the same operating system and software application and be sure to test comparable printer drivers. (Each of these components interacts with the printing process and can affect performance.) Evaluating printing performance Using the samples that you created, perform the following tests to gauge product performance. First-page-out The time from when the print command is issued to a product that is in sleep mode until the completion of the first page. This test measures the effect of an instant-on fuser and shows a product’s true speed. Click-to-drop The time from when the print command is issued until the completion of the print job. Pick-to-drop The time from when the first piece of media is picked up by the product until the completion of the print job. Return-to-application The time from when the print command is issued until the time when the computer is available for other tasks. Follow the guidelines below when measuring printing performance: • Be sure to measure the amount of time it takes to print a complete document. (For example, you might print a 20-page, two-sided document, stapled with a company logo on the first page.) Note Evaluating color MFPs A professional printing device is designed to print multiple-page documents. We suggest that you print either multiple-page documents or multiple copies of a single page. • Record any error messages. • Perform each test three times to obtain an average. If the variances in the three tests are too much, discard the result, check the system, and redo the test. 17 • Look at each page to make sure all text and graphics printed correctly. Files that print significantly faster on one product might not be printing correctly. Some products drop complex graphics and images when they are unable to process the whole job. Examine output to ensure that the entire document printed and that it printed correctly. • When comparing product performance, look beyond the speed trial data and consider the acceptability of the output. There are definitely tradeoffs in print quality, but as you review your results, look at the samples and consider whether the quality meets your standards. Also, make sure that toner is adhering to the paper properly. Evaluating copying performance High resolution does not directly correlate to copy quality. Copy the type of material you typically copy, whether a book, magazine, sales brochure, or other high-quality content. • Does the copy quality meet your expectations? • How easy is it to adjust image quality and select output options from the control panel? • How quickly does the page copy? • Does it take multiple adjustments and multiple copies to get good copy quality? Evaluating scanning performance Scan several documents, images, and photos. 18 • How easy it to configure scanning options from the product control panel? • Is the scanning software easy to use? Are there options for scanning specific document and image types? • Does the quality of the scanned image meet your expectations? Additional copies of the job can be printed later, directly from the MFP’s control panel. • The Proof and Hold feature provides a quick and easy way to print one copy and proof it before printing the remaining copies. Evaluating color MFPs 21 Evaluation Produce the type of material typical for your day-to-day business, whether a report, booklets, high-quality brochure, or other professional documents. Note whether the finishing options available are what you typically require, whether producing material in-house or outsourcing. While you perform your evaluation, consider the following: 22 • The MFP should be easy to use. From the touch-screen or control panel, how easy is it to select finishing options? • Is the product customizable to meet your needs? • Is the paper-handling system adjustable? • Does the range of supported media and media sizes and weights meet your needs? Does the product support special media, such as envelopes and transparencies? • What are the product’s input and output capacities? • How easy is it to change paper sizes and types? • Test the product’s digital sending capabilities. Is it easy to navigate through menus and to send to email from the device? Can you easily configure the settings from your computer? • If faxing capabilities are enabled, fax some test documents. If the product has fax speed-dial capabilities, program some fax numbers. Consider the following: • Is the fax function easy to use? • What security features are available? • Are there speed-dial or frequently-used-number options? • Does the fax quality meet your expectations? • Do you encounter any problems sending or receiving faxes? • Is automatic two-sided printing and copying available? • Does the product feature advanced compatibility features, such as direct PDF printing? Monitors display colors by light pixels using an RGB (red, green, blue) color process, but printers print colors using a CMYK (cyan, magenta, yellow, and black) process. Several factors can influence your ability to match printed colors to those on your monitor, including: • • • • • • • • • • • Paper type Printer colorants (inks or toners, for example) Printing process (inkjet, press, or laser technology, for example) Overhead lighting Personal differences in perception of color Software applications Printer drivers PC operating system Monitors Video cards and drivers Operating environment (humidity, for example) Keep the above factors in mind when colors on your screen do not perfectly match your printed colors. The samples printed on your printer with the paper type, toner, 24 Evaluating color MFPs and consumables you plan to use will provide the best example of what a given color value will look like when printed. This is most useful in the case of logos and other spot colors. RGB colors Standard sRGB is a world-wide color standard originally developed by HP and Microsoft® as a common color language for monitors, input devices (scanners and digital cameras), and output devices (printers and plotters). It is the default color space used for HP products, Microsoft operating systems, the World Wide Web, and most office software sold today. The latest versions of Adobe® PhotoShop, Microsoft Office, and many other applications use sRGB to communicate color. Most importantly, as the default color space in Microsoft operating systems, sRGB has gained broad adoption as a means to exchange color information between applications and devices using a common definition that ensures typical users will experience greatly improved color matching. The sRGB standard improves the ability to match colors between the printer, the PC monitor, and other input devices (scanners and digital cameras) automatically, without the need to become a color expert. The HP Color Samples for RGB contains a cover sheet, 19 pages of RGB samples, and a page with the Microsoft Office Basic Colors. The coversheet contains a brief description and a legend showing the scaled contents of the following pages. The 19 RGB sample pages are ordered by hue: magenta, red, orange, etc. Within a page hue, saturation, and brightness are varied, providing a wide range of colors to select from. The last page contains the Microsoft Office Basic Colors arranged in a similar fashion to the color menu in a Microsoft Office application like Word or PowerPoint. CMYK colors CMYK are the inks used by a printing press. The process is often called four-color printing. CMYK data files are typically used by and originate from graphic arts (printing and publishing) environments. The printer will accept CMYK colors through the PS printer driver. The printer colorrendering of CMYK is designed to provide rich, saturated colors for text and graphics. HP Color Samples of CMYK are similar to the RGB except the last page, 20/20, has simple color ramps of primary and secondary colors, as illustrated on the previous page. Swatch book color matching The process for matching printer output to preprinted swatch books and standard color references is complex. In general, you can obtain a reasonably good match to a swatch book if the inks used to create the swatch book are cyan, magenta, yellow, and black and if the recommended media is used. These are usually referred to as process color swatch books. Some swatch books are created from spot colors. Spot colors are specially created colorants. Many of these spot colors are outside of the gamut of the MFP. Most spot color swatch books have companion process swatch books that provide CMYK approximations to the spot color. Many process swatch books will have a note on what process standards were used to print the swatch book. In most cases, they will be Default, SWOP, Euroscale, DIC (Dainippon Ink and Chemical), or Device. To get optimal color matching to the process swatch book, select the corresponding ink emulation from the MFP menu. PANTONE®* color matching PANTONE®* has multiple color matching systems. PANTONE®* Matching System is very popular and uses solid inks to generate a wide range of color hues and tints. Evaluating color MFPs 25 Automatic calibrations The HP Color LaserJet 9500mfp automatically calibrates and cleans to maintain the highest level of print quality. Automatic calibrations include Maximum Density, Halftone Adjustment, and Color Plane Registration. For Maximum Density and Halftone Adjustment, calibration adjusts the product to a nominal state. This desired state is the result of characterizing many products over product life in different environmental conditions. Color Plane Registration sets several parameters based on print registration errors. Users may also request calibration via the MFP’s control panel using QUICK CALIBRATE NOW via the control panel menu (MENUS ¬ CONFIGURE DEVICE ¬ PRINT QUALITY ¬ QUICK CALIBRATE NOW). The MFP incorporates a new feature to skip calibration when appropriate. For example, if the printer is powered off and on quickly (within 20 seconds) then calibration is not needed and will be skipped. This allows the printer to be available approximately one minute faster. In addition, for most calibrations and cleanings, the printer will not interrupt a print job but will wait until the job is complete. If it is necessary to interrupt a print job because it is long (1,000 pages or more), the printer will pause for the length of time it takes to complete the calibration or cleaning and then resume printing. Evaluation Creating samples First, you will develop a group of sample documents that represent what the end-user will produce on the MFP. This is the best method for determining if a product is suited to your environment. Most print quality files or print samples included with a product have been optimized for that product and may not reflect the type of output you will receive. When evaluating print quality, your samples should include multiple documents and file types, each created in applications that are commonly used in your environment. The samples should have different elements (text, graphics, and photographic images) and should vary in complexity. You may want to use the samples you created for evaluating performance on page 17. Follow the guidelines below for testing text, graphics, and images. Text documents—Common applications: MS Word, WordPerfect. • Test multiple font types, such as: Times Roman, Helvetica, and Courier. • Test different font sizes, from small (4 point) to large (36 point) fonts. • Test on each supported media type (paper, transparency, glossy, etc.). • Test in portrait and landscape modes. Graphics—Common applications: MS PowerPoint, CorelDRAW, and MS Excel. • Print pie charts and bar graphs. • Print presentations with solid backgrounds and graduated backgrounds with clipart. • Test on each supported media type (plain paper, transparency, glossy, etc.). • Test in portrait and landscape modes. • Test line art. (Print vertical, horizontal, diagonal, and curved lines.) Images—Common applications: MS Word, MS Excel, MS PowerPoint, MS Publisher, Adobe PhotoShop, Adobe PageMaker®, and CorelDRAW. 26 • Test multiple images and types, using more than one application. • Test images with dark and light detail areas. Print the same files on all products, using the same or equivalent settings and the recommended media. Use the same operating system and software application and be sure to test comparable printer drivers. (Each of these components interacts with the printing process and can affect print quality.) • Use more than one software application to make sure software/driver conflicts are not affecting print quality. • For most products, paper quality and type can dramatically affect print quality. However, the MFP provides excellent results on both plain paper and specialty media. In comparing the printouts of different products, you may want to evaluate how the MFP prints on different types of media. Refer to “Appendix B—Technical specifications” on page 43 for recommended media types. • Plain papers vary among brands and the regions in which they are manufactured. Some plain papers have a preferred print side. You should also take into account storage conditions as well as how the papers handle toner. • Temperature and humidity should be kept constant for each product tested. These factors may affect toner-media interactions and can have an impact on final print quality. Viewing samples Ideally, print quality should be evaluated under a mix of fluorescent and incandescent lighting. Print quality should not be evaluated too close to windows, since natural light changes Evaluating color MFPs 27 dramatically with variations in weather and time of day. In addition, the color of the surrounding can significantly affect quality perception. White surroundings may call undue attention to the color of the media. Medium or light gray is usually the best choice for the area surrounding where the sample documents will be evaluated. Individuals may perceive quality differently. HP suggests that you have several people evaluate your sample documents, in the same environment, with a consistent light source. Have them vote on the samples that they like by listing them in order from the best to the worst. Allow each person to rate the samples independently and then record the results. Also, have each person establish a cut line for acceptable quality for the end-user environment. Note This process is referred to as psychometric testing and should be performed on all of the sample documents that you are using to evaluate text, graphics, and image quality. Evaluating print quality When you evaluate the overall quality of an output, avoid magnification. Under magnification, insignificant differences become huge. However, a detailed inspection is still necessary, and when doing this, look for the following characteristics: Text print quality — • Text should be dark, not faded. • Text should be solid black, without hollow spots. • Edges should be crisp and smooth, not jagged, or with stair-stepping. • Portrait and landscape text should have the same print quality. • Toner should not blur or bleed. Graphics quality — • Edges of colored shapes and graphics should be well-formed and smooth. • Solid color fills should be uniform. • Check for banding. There should be no bands across graphics. • Areas of solid black should not bleed into areas of solid colors. • Areas of solid toner should not wick into the paper fibers. Image quality — • Images should be clear and sharp. • Check for banding. There should be no bands/lines across images. • Look for graininess or visibility of dots. • Skin tones should look natural. • Images should look natural and realistic. Evaluating document durability and usability After you have finished evaluating the print quality of your samples, evaluate the documents’ durability and usability. Test the following: 28 • Can the printed output be fed through a copier without being damaged? • Will the printed output fade or smear with moisture? • Can the printed output be easily scratched, melted, or otherwise damaged? • Is the printed output durable? Can it be folded? Evaluating color MFPs Total cost of ownership High performer delivers return on investment A successful product has to offer more than just superior performance and outstanding print quality. The office documents black-and-white and color documents your company uses daily, as well as any marketing material, can be expensive to produce. Print too many marketing collateral pieces and you have to destroy the excess when a change makes them obsolete. Print too few and you will need to reprint a small quantity at a higher cost per unit. For general office printing, the cost of printing black-and-white pages with your color printer is also important. For many businesses, the total cost of ownership (TCO) is a critical part of the purchasing decision. TCO takes into account everything from the initial investment to support and maintenance costs to the hard costs of supplies. HP supplies minimize costs in the following ways: • If you print high-coverage documents, the separate print cartridges and image drums ensure that you do not throw supplies away before their time. In addition, you perform maintenance less often with up to 25,000-page12 print cartridges and up to 40,000-page13 image drums. • Multiple paper-handling options reduce the need to load paper and keep your office productive. The simple paper path design results in fewer and easier interactions with the MFP. • Supplies status indicators appear on the control panel. • A supplies status page (which can be printed from the control panel) includes information about the supplies that are installed in the MFP, the estimated number of pages that remain for each supply, and the number of pages that have been printed with each supply that is currently installed. The page also includes ordering and recycling information. If the MFP detects a nonHP supply, the supply information will not be listed. Instead, a warning message appears in the section for the specified supply, and a warranty warning appears on the second supplies status page. • A usage page (which can be printed from the control panel) lists the media sizes and types that have been printed, number of pages printed, and information about the percentage of page coverage that has been used for each toner color over the life of the MFP. Saves time and resources The HP Embedded Web Server and HP Web Jetadmin save time and resources: receive email status/service alerts, perform remote diagnostics, take advantage of automated supplies ordering, and integrate e-services into your business model. HP Web Jetadmin offers one management utility for all network peripherals. Using one management utility simplifies device management and improves uptime. To calculate the true TCO, consider the following factors: • Initial purchase price, including enough memory to print complex documents at the highest print quality mode, a high-capacity paper tray, finishing options, and any other accessories or upgrade packages needed. Note Evaluating color MFPs To ensure accurate comparisons between manufacturers, be sure to compare street prices (or what customers actually pay) instead of list prices. • Opportunity costs of outsourcing vs. in-house printing of high-value marketing documents. • User productivity costs. (How easy is it to learn to use the MFP? How easy is it to print your documents correctly?) • Warranty and service costs. The base warranty with the length and type of service should be considered. • Management costs. (When the MFP is down, no one can print, and projects cannot be completed. Are printer errors typically user errors that can be resolved easily or do they require a service call?) • Special media costs. (Does the MFP require special media? Can recycled media be used?) • Print supplies and other supplies costs. (What does it cost, in both expense and downtime, to replace supplies?) • Cost-per-page (or supplies costs): It is difficult for end-users to calculate the cost-per-page due to many variables. Therefore, most manufacturers provide a cost-per-page calculation based on 5% coverage on letter-size pages. When assessing cost-per-page, keep the following in mind: • Make sure the cost-per-page associated with a product’s print sample represents that sample. Some manufacturers may quote the cost of printing in a draft mode when the sample they give you is printed in their best mode, which requires more toner. • Make sure all the supplies are included in the cost-per-page calculation and not hidden as service items. We run the MFPs to engine life and record the supplies’ life, jam rate, and misfeed rate. Using the HP Embedded Web Server When the MFP is connected to the network, the HP Embedded Web Server is automatically available. You may access the HP Embedded Web Server from Windows 98 and later. The HP Embedded Web Server allows you to view device and network status and to manage printing functions from your computer instead of from the control panel. Below are examples of what you can do using the HP Embedded Web Server: • View device status information • Set the type of paper loaded in each tray • Determine the remaining life on all supplies and order new supplies online via the Internet • View and change tray configurations • View and change the control panel menu configuration • View and print internal pages • Receive notification of MFP and supplies events • View and change network configuration A—Productivity tools and services 37 Accessing the HP Embedded Web Server You can access the HP Embedded Web Server in the following ways: • From a Web browser In a supported Web browser on your computer, type the IP address assigned to the device. For example, if the device’s IP address is 123.456.789.123, you would type “http://123.456.789.123” into your Web browser’s Address or Go to field. (The device IP address is listed on the Jetdirect Configuration page.) Note After you access the HP Embedded Web Server, you can bookmark it in your browser so that you can return to it quickly in the future. The HP Embedded Web Server has the following sections: 38 • Information tab • Settings tab • Networking tab A—Productivity tools and services Information tab The Information tab provides access to the following pages: Device Status Displays the MFP status and shows the remaining life of HP supplies in percentages. The page also shows the type and size of print media configured to each tray. To alter device settings, click Change Settings. Configuration Page Shows the information found on the MFP configuration page. Supplies Status Shows the life remaining of HP supplies in percentages. This page also provides supplies part numbers. To order new supplies, click Order Supplies in the Other Links area on the left side of the window. To visit any Web site, you must have Internet access. Event Log Lists all MFP events and errors. Usage Page Summarizes the number of pages the MFP has printed, grouped by size and type. Device Information Displays the MFP network name, address, and model information. To alter these entries, click Device Information from the Settings tab. Control Panel Shows an image of the text currently appearing on the control panel display. Settings tab The Settings tab allows you to configure the device from your computer. It can be protected by a password. Always consult with the printer administrator before changing settings. The Settings tab contains the following pages: Configure Device Configure all MFP settings from this page. This page contains the traditional menus found on MFPs using a control panel display. These menus include Information, Paper Handling, and Configure Device. Email Use this page in conjunction with the Alerts page to set up incoming and outgoing email, as well as to set email alerts. Alerts Set up this page to receive email alerts for various device and supplies events. Alerts may also be sent to a URL. Enter the name and email address for the primary contact who will receive information about the MFP. Language Determine the language in which to display the HP Embedded Web Server information.
