HELPGUIDE FOR HIRERS OF ALFORD CORN EXCHANGE 9 Market Place, Alford. LN13 9EB Welcome to Alford Corn Exchange. Alford Corn Exchange is run by the Alford Corn Exchange Community Group, a group of volunteers. The information below is to help you have a successful event . For a full set of hiring conditions, please refer to the Booking Forms issued to you or on www.alfordcornexchange.co.uk Booking and Keys: Any enquiries about the use of the hall, picking up of keys etc can be made in person at the Corn Exchange or by phoning 07817889809 from 1pm to 2pm Monday to Friday. ACCESS: You will be issued with a set of keys prior to your event. Basic set includes 2 keys for the front door and 1 key for the Main hall. Extra keys are required if you require banqueting chairs or stage lighting. The Fire Exit/Back doors in the Theatre Bar must be kept closed at all times so as not to disturb our neighbours USAGE: All Hirers are expected to leave the building in a clean and tidy condition. Upon departure, please ensure you lock all the doors and switch off the lights. SET UP & PACK UP: It is your responsibility to set up for your event and pack away ALL tables and chairs. Please ensure you put items back where you found them. RUBBISH: Please remove and take away ALL rubbish from rooms after use. Hirer’s of the Corn Exchange can access free Wi-Fi. Wi-Fi Name: Corn Exchange Password: GuestAccess! LIGHTING: The main bank of light switches is located in the Theatre Bar. This controls the lights for the main hall and the rear room. The photo above and plan show which light switch Controls which lights. The first switch marked with an Orange dot is a two way switch with the switch beside the main hall door. This means that when you have switched off all the other lights you can see to exit the hall and switch off the final 2 lights at the door. The round dots refer to the light panels in the main hall Ceiling, the 2 squares to the strip lights. The switch on the bottom row marked with a red triangle switches on the table lamps in the windows of the Theatre Bar. The blue triangle marks the switch for the display shelf lights in the theatre bar. The blue stars mark the dimmer switches control the lights in the bar. The red star indicates the location of the switch for the lights in the gents toilet should the lights be required and not already turned on. The switch to turn on is on the bottom row and the switch nearest the door of the room where the banqueting chairs are stored. The lights for the entrance hall and upstairs landing are located in the entrance hall at the base of the stairs. Stage lights are controlled by the dimmer panel located on the stage (photo below) once the main switch(Large red switch) is turned on in the electrical cupboard next to the stage accessed from the Theatre Room, key required. Please ask for a key at time of booking if stage lights are required. CD player/sound system. Located on the stage. 1. Turn power on at wall socket . 2. Ensure CD player is connected to main sound system (Indicated by red triangle) 3. Press power button on CD player, digital display will light up. 4. Insert disc. 5. Music should be heard from speakers on either side of stage. Microphone A microphone which works with the sound system is available. 1. As per step 1 above. 2. Microphone stored in black plastic pouch. Attach the microphone to the sound system using the cable provided. 3. Connect the other end of cable into sound system (indicated by blue triangle) HEATING: The heating timer is set by the trustees but should you feel cold there is a manual override control located just inside the kitchen. If heating not on - turn black dial clockwise for number of hours required. Thermostats are located in the Main hall beside the stage and also in the back room these should be set to 20 degrees. If you increase temperature please reset on leaving. Do not turn off the individual radiator switches, the radiator fans will come on automatically once the hot water has started circulating for a while and will go off automatically when the water cools. KITCHEN APPLIANCES How to light the oven Press spark button (front of bottom housing) and flame failure button until burner lights. Hold flame failure button for a further 20 seconds. Burner should remain alight. Turn thermostat to setting required. To shut down press white circle button. Warning: If the flame goes out do not re-light for 3 minutes Dishwasher 1) Switch on mains supply 2) Press power button on dish washer (I) The orange light indicates that the water in the machine is being heated up. Do not use the dish washer until the orange light is off. 3) Load the machine, close it and press the cycle button. The blue light comes on. If the orange light comes back on this can be ignored. 4) When the blue light goes off, the wash is complete. Unload dish washer 5) After the last cycle, switch off machine 6) Empty the hot water tanks by pressing the cycle button. The blue light comes on 7) Once the tanks are emptied, swicth off mains supply Electric Hot Water Supply Located beside serving hatch. This can be used to make hot drinks. PLEASE DO NOT TURN OFF AT THE WALL Gas Boiler ( beside sink) To light the gas boiler by the sink if it is not on, please press and hold “on button ” as well as the “ ignition button” for 10 seconds, then let go of ignition first, then the on button. The pilot flame should now be on and the hot water will come after fully turning on the hot tap. Fire Door Closers The fire door closers in the kitchen and between the Theatre Bar and the main hall are Swing Free door closers which allow the door to stay open in any desired position until either the fire alarm sounds or a certain noise level is reached. Should they have been triggered by noise (eg loud music) they can be reset by pressing the button on the right hand side, waiting for the beeps to finish and then opening the door fully against the door stopper. Please leave the hall as you would like to find it. Switch off sound system if used. Clean carpet with vacuum cleaner Leave furniture as you found it Please note that the bar is for the exclusive use of our landlady If you have adjusted room thermostat please reset Return glasses/crockery/cutlery to cupboard/drawer where found. Clear and wipe work surfaces Wipe oven and hob if used Wipe sinks Sweep floor, wipe any spills Empty Dishwasher. Instructions for use on wall Empty fridge of any food you brought with you. Do not switch off. Remove rubbish. Ensure window closed. Leave any wet or soiled tea towels on draining board. Make sure all toilets are flushed Turn off lights. Ensure the building is empty. Make sure both locks on main door are locked as well as the inner door. Make sure back door is closed. Please drop keys back at the Council Office after your event The Corn Exchange Community Group would appreciate any comments you have eg on possible improvements or the state of the hall as you found it.
